AMERICAN CONCRETE INSTITUTE:American Concrete Institute , founded in 1904 with HQ in Farmington Hills, Michigan, USA advances knowledge in concrete throughout the world conducting 125 seminars annually, manages 14 different certification programmes, offers scholarships to students and publishes hundreds of technical documents considered as authentic reference in court of law, for tender drafting and codal provisions in other countries as well. Its wide database for R&D in concrete is a vast treasure trove to the world. ACI has 98 chapters, 37 student chapters and nearly 20,000 members spanning over 120 countries.

INDIA CHAPTER ACI:India Chapter, the largest ACI chapter, is in its 33rd year and is privileged to receive “Excellent Chapter” award consecutively for last 12 years. The Chapter is committed to train and propagate good concrete making practices through seminars, demonstrations, workshops and competitions for the construction industry. It believes in Continuous Progress and Development in ‘Knowledge Dissemination’ as an ongoing activity. In 2009, India Chapter successfully launched ACI Certification Programme of ‘Concrete Field Testing Technician Grade 1’. Within a short period of time, the chapter trained and examined as local sponsoring group 200 concrete professionals and technicians.

Engineering fraternity has always played a key role in the development of a nation. It is in service to the mankind whether in rural or in urban areas.

A common man, in his day to day life in metros, is generally unaware of the contribution of engineers and unfortunately remembers engineers only for the inconveniences.

This conference is aimed to discuss, on an interactive platform, the expectations of the society from the engineering fraternity and how various challenges are to be resolved to meet the need and satisfaction of the society. It also aims to arrive at innovative solutions to ever mounting problems of roads, water and electric supply, waste management and similar other problems of mega cities.

India Chapter of American Concrete Institute organizes seminars in similar thought provoking subjects on a regular basis. This conference is an attempt to bridge the gap between needs and aspirations of the society from the engineering fraternity and the engineered solutions adopted currently.

ICACI shall finalize and conceptualize the conference concept and theme. Blackarrow shall liaise with ICACI team and help in conceptualizing the theme by providing conference industry related standards and current industry requirements.

Blackarrow suggests the use of a 5 star hotel as the venue for the conference. Various options are available such as J W Marriott, Grand Hyatt, ITC Sheraton, Hyatt Regency etc; subject to availability. Blackarrow shall liaise with the hotel and get their regular corporate discounted rate for the conference.

Blackarrow shall liaise with ICACI and understand the role of respective ICACI members in the execution of the conference. Clear demarcation shall be done in the scope of work of ICACI and Blackarrow. Blackarrow shall plan the schedule of work along with the time period chart for completion of activities. Blackarrow shall plan all deadlines required for achieving successful execution of conference plan.

Blackarrow shall liaise with ICACI and plan the agenda for the conference.Blackarrow shall do extensive research to achieve the most top rated agenda by liaising with industry experts and market leaders. Blackarrow shall compile the conference agenda along with the session topics and bullet points. Periodic consultations to be done with ICACI team and suggestions to be incorporated in the agenda planning.

Blackarrow shall identify potential organizations namely associations related to the concrete and construction industry & acquire them for a barter non-commercial partnership supporting the conference. Supporting organizations to highlight the conference agenda and conference banner on their website. They shall also be required to send out conference related information to their members/contacts.Blackarrow to ensure the timely implementation of the above activities and ensure maximum exposure to the conference via the supporting organizations.

Blackarrow shall identify potential media companies namely magazines and online portals related to the concrete and construction industry & acquire them for a barter non-commercial partnership supporting the conference. Media Partners to highlight the conference banner on their website. They shall also be required to send out conference related information to their members/contacts.Blackarrow shall strive to get 1 page advertisement in magazines of media partners.Blackarrow to ensure the timely implementation of the above activities and ensure maximum exposure to the conference via the supporting organizations.

Blackarrow, along with assistance from ICACI, shall identify potential speakers for the conference and invite them to speak at the conference. Blackarrow shall be available for meetings (within mumbai) with senior speakers inviting them for the conference. Blackarrow shall compile a list of potential speakers and finalize the final speaker list upon approval from ICACI.Blackarrow shall liaise with the speakers in procuring their presentations for the conference.

Blackarrow shall formulate a media and marketing plan and propose the same to ICACI. All paid activities shall be approved by ICACI and then carried out by Blackarrow. Media plan to include billboards, OOH media, TV Channels, Newspapers, etc.

Upon budget approval from ICACI, Blackarrow shall contact local PR firm for covering the conference in various national and regional media.Blackarrow shall direct and oversee the post event coverage reports with the PR firm, in approvals from ICACI.

Blackarrow shall identify potential companies for sponsorship on the conference. Blackarrow shall compile the sponsorship plan along with the receivables and deliverables. Blackarrow shall strive to get sponsors for the conferences. Complete co-ordination with sponsor companies till the conference date as well on the conference days.

Blackarrow shall liaise with the venue hotel and co-ordinate with the logistics requirements required prior to the setup for the conference including supervision during setup and inspection of conference setup. Blackarrow shall carry out the room reservations speakers and dignitaries who shall be staying at the venue hotel.

Blackarrow shall design the emails and HTMLs for mass mailing for a number stipulated.Blackarrow shall also design the registration forms to be used for delegate and sponsorship clients.

Blackarrow has a two pronged approach in acquiring delegates for the conference; electronic mailers to a wide database of about 60,000 key decision makers and 1on1 tele-calling to senior decision makers pan India. Blackarrow has an extensive database of Project Managers, Technical heads and HR/training heads within the construction and Infrastructure industry.

Blackarrow utilizes its own domestic and international data of about 125,000 professional around the world for mass mailing campaigns. Blackarrow also uses its network of associations and media partners to send out information to the database of these organizations.

Blackarrow shall design and procure the complete setup for the conference viz, stage, backdrop, audio/video equipment , technicians including seating arrangements inside the conference hall. Blackarrow shall supervise and inspect the setup at venue prior to the conference. All co-ordination work with the contractor and hotel staff will be undertaken by Blackarrow.

After invoicing the clients , Blackarrow shall followup with respective clients for the payment collections. Payment will be collected by bank transfers directly to ICACI account or by cheques and DDs. All payments will be collected in the name of and on behalf of ICACI. Blackarrow shall periodically send all collected cheques to the ICACI office.

Blackarrow shall assist in compiling the materials for the delegate kit from the respective sponsors and partners. Blackarrow shall suggest to ICACI a cost effective kit compilation. Assist in logistics related to the delegate kit preparation. Design the delegate badges for conference access.

Blackarrow shall take charge of welcoming of participants, registrations at the venue, delegate kit distribution, payment collections at venue, networking break timings setups, assistance to participants, etc. Conference hostess can be arranged along with welcome team at additional costs. Liaise with the hotel team for the pre-function area setup. Maintain smooth running of the entire conference.

Blackarrow can devise a theme for the post conference networking cocktail and entertainment.

Cocktail parties are a great way to thank your team, introduce business strategies or to simply have a good time with your peers and colleagues.

Networking after the first day of the conference facilitates the participants to discuss and network with their peers and colleagues.

It is also a important time for sponsors to brand themselves at this session and highlight their expertise and services to a selected audience.

The networking session helps in breaking the ice between sponsors and end user companies & it sets the tone for future business meetings.
