RDC Business User Guide Depositing checks

Depositing checks

The Deposit module allows you to scan checks into a deposit, enter information for eachcheck, and submit the deposit for forward presentment.

You can scan a maximum of 50 checks into a deposit. Before you begin scanning, you mustadd up the total value of the checks in the deposit so that you can enter the Deposit ControlTotal (DCT) value. Deposit Control Total, DCT, and Control Total refer to the same value andare used interchangeably in the application.

The scanner scans each check. It franks or endorses the check (if it is set up to do so), andthen either places it in the hopper or ejects it.

After you have entered all the data for the current deposit, you must submit the deposit forforward presentment processing. Only deposits that are "in balance" can be submitted fordeposit. "In balance" means that the Control Total you entered matches the total value of thechecks you scanned. If your deposit is not in balance, you must update the Control Total oradjust individual amounts in the Amount fields.

During the scanning process, one or more errors might occur: Check Data Misread,Duplicate Check Detected, and Image Quality. You must manage these errors before you cancontinue to scan checks into your deposit. Details are provided below.

You can only cancel the current deposit when checks are not being scanned. When youcancel a deposit, it is not sent for forward presentment processing. All data associated withthe canceled deposit is permanently deleted from the system, and it is not recoverable.

Once you submit a deposit, you can no longer edit the information associated with it. Forexample, after submitting you cannot delete a check from the deposit or change the payorinformation.

Scanning checksBefore you scan for the first time, you must install the Scanner Control Manager (SCM). Ifthe SCM is already installed, you must still go to the Settings page and select your scannermodel from the list before you can scan for the first time.

To start a deposit, you must supply the total dollar amount of checks in your deposit (theDeposit Control Total). There is a calculator to help you do this.

Managing check scan errorsWhen you scan checks, you might encounter one of the following errors:

o Check Data Misread Erroro Duplicate Check Detected Erroro Image Quality Erroro Image Compatibility Error

Each is explained below.

Check data misread error

As you scan checks, the MICR line at the bottom of each check is read and validated. If checkdata cannot be read or validated, the Check Data Misread dialog appears. This dialog shows:

o At the top, a summary of the problem.

o In the middle, a picture of your check.

o At the bottom (under "Enter check data"), is the system's best guess at the MICR line, with question marks (?) where it has no guess. You can edit this MICR line.

If you have permission to edit the MICR line, you can correct, remove, or re-enter digits tomake the electronic MICR line match the MICR line that is printed at the bottom of thecheck. Alternatively, you can reject the check to delete it from the system completely.

If you do not have permission to edit MICR line, you must reject the check when you receivethis error. Clicking Reject Check deletes the check from the system completely. After youreject a check, you can rescan it if you suspect that it was scanned incorrectly.

Page 16

Page 16: Remote Deposit Capture (RDC) Business

RDC Business User Guide Depositing checks

If duplicate check detection is activated, the MICR line at the bottom of each check is readand validated as you scan the checks. Blank spaces that appear in the MICR line are ignoredduring validation. New checks are verified against the last 30 days of check data in thesystem to identify duplicates.

The Duplicate Item error appears when MICR data from the check you are scanning matchesMICR data already stored in the system.

Image Quality Analysis error

Each scanned check is validated to determine how accurately its electronic image representsthe original paper check. The Image Quality Analysis (IQA) error appears if a check imagefails to meet image quality standards.

You cannot deposit electronic check images that fail one or more image quality tests. If youbelieve that the check image can be improved, you can rescan the check. If the checkcontinues to produce an error, you need to take the check to the bank for deposit.

IQA might fail for the following reasons:

Image QualityThreshold

Description

Excessive Skew The check was not positioned properly when it was scanned.

Piggyback The check might have overlapped with another check duringscanning.

Too Light The check image is too light to be an acceptable representation ofthe paper check.

Too Dark The check image is too dark to be an acceptable representation ofthe paper check.

Image compatibility error

Image compatibility errors apply only to flatbed (TWAIN) scanners.

Each scanned check is validated to determine how accurately its electronic image representsthe original paper check. The check image is tested for proper alignment on the scanningsurface, whether the check data (MICR codeline) can be found, and whether the dimensionsof the front image match the dimensions of the back image.

Page 17

Page 17: Remote Deposit Capture (RDC) Business

RDC Business User Guide Depositing checks

You cannot deposit electronic check images that fail any of the image compatibility tests. Ifyou believe that the check image can be improved, you can rescan the check. If the checkcontinues to produce an error, you need to take the check to the bank for deposit.

The error message shows you the following statistics:

o Compatibility Level Index: A number, 0–10, that indicates how closely the checkimage matches image compatibility standards. The lower the number is, the lesscompatible the image is.

o Check front and back mismatched: An indication that the dimensions of the front ofthe check do not match the dimensions of the back of the check closely enough.

You must recover from an Image Quality error before you can continue to scan checks. ClickOK to continue scanning checks. The check is deleted from the system permanently.

RDC Business User Guide Reports

Reports

In the Reports module, available reports are listed in the left pane, and Deposit Status detailsare displayed in the right pane. You can generate reports, and then view, download, andprint them.

Report formatsAfter you generate a report, you can download it in one or more formats, depending on whatformats are available for that report. Select the file format that best fits your needs.

CSV (Comma-Separated Values)

File extension: .csv

CSV files contain tabular data where each piece of data is separated by a comma (comma-delimited). CSV files are commonly used to transfer data from one database to another.

In a CSV file, each line of data is equal to a row in a table. Within each line, fields or “cells”are separated by a comma. Data that contains a comma is surrounded by double-quotes.Each line (or row) ends with a line feed, or a carriage return and a line feed pair.

Here is data as it appears in a table:

CheckAmount Bank# Account# Check# ItemType

5,840.83 123 1212121 181 CHECK

91.03 456 3434343 45 CHECK

956.24 789 5656565 97 CHECK

Here is the same data in CSV format:

"5,840.83",123,1212121,181,CHECK91.03,456,3434343,45,CHECK956.24,789,5656565,97,CHECK

CSV files can also be opened in a simple text editor such as Notepad or a spreadsheetapplication. However, opening a generated report that is in CSV format in a spreadsheetapplication can cause unexpected reformatting of numerical data in the report. If you need

Page 29

Page 29: Remote Deposit Capture (RDC) Business

RDC Business User Guide Reports

to open a generated report in a spreadsheet application, we recommend that you downloadthe report in the Excel format, if possible.

Excel

File extension: .xls

For Microsoft Excel. This format is useful if you want to sort, limit, or analyze your reportdata.

MHTML (Mime HTML)

File extension: .mht

The MHTML format is a multi-part MIME message containing HTML in one part and otherresources referenced by the HTML in other MIME parts (for example, logos or images). Thisformat is useful if there are images associated with the report that you want to archive withthe report when you download it and view it offline.

Before you print a report that is generated as an MHTML file, download it first and thenopen the report in a browser. Although Internet Explorer supports MHTML format, not allother browsers do (or they might display it in different ways).

In addition, MHTML files can be opened and saved using Microsoft Word 2002 and later.

PDF (Portable Document Format)

File extension: .pdf

Typically, you download reports in the PDF format for archiving purposes, or when you donot need to manipulate or analyze the data.

To open a PDF file, you require PDF reader software, such as Adobe Acrobat Reader version8 or higher.

XML (eXtensible Markup Language)

File extension: .xml

XML is a structured, text-based file format standard. Typically, a computer processes thereport data contained within the XML file to transform it into another file for a differentapplication.
