Report ofthe Treasurer ON AUGUST 31, 1990, the market value ofthe invested funds of the American Antiquarian Society was $17,269,710, compared to $ 19,144,3 5 7 at the end of the preceding fiscal year. The cost of the investments on August 31, 1990, was $18,848,581 compared to $17,542,337 on August 31, 1989. The Society's return on the equity portion of our portfolio in this fiscal year declined 17.5 percent, versus a decline in the Stan- dard & Poor's 500 Index of 4.9 percent. Our fixed income increased 6.9 percent compared to an increase in the Shearson Lehman Hutton Government/Corporate Bond Index of 6.3 percent. The total portfolio declined 9 percent during thisfiscalyear ending Au- gust 31, 1990. Income generated by the Society's portfolio for the period September i, 1989 through August 31,1990 was$i,277,905. The portfolio continues to be managed in accordance with a balanced investment discipline. The objectives are to attain sub- stantial income through a mix of equity and fixed income se- curities, while maintaining a conservative risk stance. Gifts in kind or in cash for additions to the collections or desig-nated for specific purposes, were received to a value of $412,027.Donations from generous members and friends for defraying theannual expenses ofthe Society totaled $295,003.

Gifts received in the past fiscal year for the increase of theSociety's endowment funds totaled $755,811. A major and gener-ous bequest was received from the estate of Paris Fletcher in theamount of approximately $669,252.

The financial statements of the Society are audited by McCar-thy, Hargrave & Company. The financial statements are presentedin accordance with Audit and Accounting Guide—Audits of CertainNonprofit Organizations, issued by the American Institute of Cer-tified Public Accountants.

Years Ended August 31,1990 and 1989

A. Summary of Significant Accounting Policies

Basis of Statements—The financial statements are prepared in accordance withthe American Institute of Certified Public Accountants Audit Guide for CertainNonprofit Organizations. In addition, the financial statements have been pre-pared on the accrual basis. Under this method of accounting, expenses are re-corded when incurred and income is recorded when earned.

Fund Accounting—The accounts of the Society are maintained in accordancewith the principles of fund accounting. The fund groups are as follows:

1. Unrestricted funds, including Council designated funds, represent re-sources available for support of Society operations.

2. Plant funds represent resources restricted for property acquisitions andfunds expended for property.

3. Endowment funds represent funds that are subject to restrictions by thedonor, requiring that principal be invested and only the income be used.

Marketable Securities—Bonds are recorded at cost and stocks are recorded atthe lower of cost or market at the balance sheet date. Gains and losses from salesof investments are accounted for within the fund ovming the investments.

Cash—For purposes ofthe Statement of Cash Flows, the Society considers cashon hand and amounts due from banks to be cash.

Pledges Receivable—Pledges are recorded as receivables in the year the pledgeis received.

Property—Buildings and equipment are recorded at cost. Expenditures formaintenance, repairs and renewals are charged to expense as incurred whereas

major betterments are capitalized as additions to property. Buildings are depre-ciated on the decUning balance method and equipment is depreciated on thestraight-line method over the estimated useful lives ofthe assets.

Deferred Amounts —Funds and pledges restricted by the donor for specificoperating purposes or property acquisitions are deemed to be earned and re-ported as revenues when the Society has incurred expenditures in compliancewith the specific restrictions. Such amounts received but not yet earned arereported as deferred amounts in the balance sheet.

Pension Expense—The Society's policy is to fund pension costs accrued.

Library Collection-Books and other valuable items in the Society's collectionare expensed as purchased.

Government Grants—Grants from the National Endowment for the Humanitiessupport various projects of the Society. Grant support, which is subject to auditby the funding source, is recognized to the extent of eligible expenses.

Functional Allocation of Expenses—The cost of providing various programs andother activities has been summarized on a functional basis in the statements ofactivity and changes in fund balances. Accordingly, certain costs have been allo-cated to the programs and supporting services benefited.

E. Pension Plan

The Society sponsors a defined contribudon pension plan for all eligible employ-ees. Contribudons and cost are 5 percent of each covered employee's salary forthose with two to ten years of service and 7 percent of each covered employee'ssalary for those with over ten years of service. Contribudons and cost amountedto $47,471 and $47,943 for the years ended August 31,1990 and 1989, respecdvely.

E. Income Taxes

The Society qualifies as a tax exempt, nonprofit organizadon under Secdon 501(c) 3 of the Internal Revenue Code. Accordingly, no provision for income taxesis required.

The Society qualifies as an organizadon which is not a private foundadon asdefined in Secdon 5O9(a) ofthe Internal Revenue Code because it is an organiza-don described in Secdon 5O9(a)(i) ofthe Internal Revenue code.

We have audited the accompanying balance sheets of the American Anti-quarian Society as of August 31, 1990 and 1989, and the related statements ofactivity and changes in fund balances, and cash flows for the years then ended.These financial statements are the responsibility of the Society's management.Our responsibility is to express an opinion on these financial statements basedon our audits.

We conducted our audits in accordance with generally accepted auditing stan-dards. Those standards require that we plan and perform the audit to obtainreasonable assurance about whether the financial statements are free of materialmisstatement. An audit includes examining, on a test basis, evidence supportingthe amounts and disclosures in the financial statements. An audit also includesassessing the accounting principles used and significant estimates made by man-agement, as well as evaluating the overall financial statement presentation.
