Welcome from the Dean of Graduate Studies

I would like to welcome you to NUI, Galway. For some of you, entry into a graduate programme represents a continuation of your undergraduate studies here, for others you are at NUI Galway for the first time. Regardless of the path that brought you here, we hope that you will learn more about our University and the supports that are available to you in this guide.

Our vision is to be a student-centred and research-intensive University of international standing with Colleges and staff committed to excellence. Within this vibrant learning and scholarly community we will support you in undertaking your further studies.

We have established clear and mutually agreed University Guidelines for Research Degree Programmes for both students and supervisors on the conduct of research which are available on our website www.nuigalway.ie/graduatestudies/Current_Students_2/guidelines.html We recommend that you obtain a hard copy of the University guidelines for easy reference by emailing [email protected], giving your NUI Galway address and we will send you a copy by internal mail.

I also work with the Deans of each of the Colleges, the Vice-President of Research, Vice-Deans for Graduate Studies, and Administrators to continuously improve and expand our research programme offerings. Acting with the Secretary for Academic Affairs and the Standing Committee of Academic Council, I am responsible for the overall management of the operation of University postgraduate research programmes. The formal roles of the Dean of Graduate Studies and the Deans of College are given in the University Guidelines. I am responsible for updating these guidelines, ensuring that feedback from research students, supervisors, local graduate research committees and examiners is analysed and considered. I also oversee and monitor the operation of the research Master and PhD examination processes.

There is a genuine collaborative spirit across the Colleges and a concern for the welfare of all our students. Our intimate and collegial environment supports the development of close relationships with academic staff who will work with you

as mentors and partners in creating new ideas and identifying and meeting new challenges and opportunities

On Arrival: Finding your way around

There are a number of forms and processes for you to do when you first arrive at the University so that you will be registered and have access to the appropriate facilities. We have listed the main ones below.

1.1 Meet with your Supervisor

We would encourage you to arrange an early meeting with your supervisor and the members of your Graduate Research Committee. Your supervisor can advise you on the local procedures and show you where you will work. For information on how your discipline is located within a School and College and more general information on your discipline, see the web link below.

There are 15 restaurants located across the campus operated by 4 different caterers: Campbell Catering, Student Union Catering, Masterchefs and Café Togo. A choice of caterers on campus promotes variety, competition and ensures customers eat well!

How to register, pay fees and access facilities?

2.1 Registration Summary

Before you begin your academic year you will need to be fully registered with the University. Registration allows you to obtain your student card and gain access to a wide range of services and facilities available to our students. For additional information to that given below, please go to the registration website at www.nuigalway.ie/registration/ or email [email protected]

Registration is carried out online and involves the following 2 stages:

1. Update any of your personal details e.g., term address, email, mobile number

2. Now choose your curriculum if applicable

3. Confirm your registration

4. Read the Terms & Conditions and if you agree check the tick box

5. Update any other personal details

6. Upload a photo if one does not exist. If you cannot upload a photo, email a passport sized photo of yourself to [email protected]

7. You can opt to pay your fees now or pay later; any fee queries should be directed to [email protected]

8. Continue until you press the finish button

9. Now you are registered!

10. Select your modules (this is available for only some courses!)

11. Your NUI Galway email details are located on your “my details” tab and is now active

12. You can collect your Student ID card once you are fully registered on the dates indicated on the Registration website

** Research students who are registered in year 0 of their programme: Please note those students who registered after 1 March and are in 0 year of your programme, you will need to register again fully from 24th August for year 1 of your programme.

2.2 Campus Account

Campus Account provides student access using a single User ID and Password to all computing services (otherthanemail*) such as PC suites, library suites, My Campus, NUIGWiFiNote: *StudentMailisexternallyhosted;youremailpasswordisseparatetoyourCampusAccount

password.

• If you were a registered NUI Galway student for 2009/2010, you will continue to use the same Campus Account user ID and password as last year - visit Campus Account Self-Service at http://www.nuigalway.ie/cs/students/cass/ if you have forgotten your password or would like to reset your password.

• Forgotten Password: If you have forgotten your Campus Account Self Service password, click the “Forgot Password?” link (on left hand pane of CASS homepage). You will be prompted to answer several questions to verify your identity. If you supply the correct answers to these questions, Campus Account Self Service will allow you to change your password. The questions that you will be presented with under these circumstances (as well as the answers) are specified in your account options. You will be required to select which questions you wish to be presented with (for forgotten passwords) the first time you log in to the Campus Account Self Service.

• Forgotten ID: If you have forgotten your Campus Account Self Service User ID, you will need to contact the Campus Account Self Service User Support Centre.

• Locked Account: If you have exceeded the maximum number of retry attempts for logging in your Campus Account Self Service account will be automatically locked to prevent further login attempts. You can click the “Forgot Password?” link and provide answers to your verification questions. You will then be able to change the password and the account will be unlocked automatically. If you then exceed the maximum number of retry attempts for password verification answers, you must contact your User Support Centre to have your account unlocked.

• If you are returning after two years or more, you will need to activate your Campus Account by following the instructions for New Students.

New Students – Steps to activate my Campus Account:

1. Go online to http://www.nuigalway.ie/cs/students/cass/ Note: Your temporary activation password allows access to PC Suites & WiFi on-campus.

2. Login using the following credentials:

User name: YourPACnumber e.g. 10100001Password: galway followed by the first 4 digits of your date of birth e.g. 21st May 1990 – galway2105

1. Complete the activation questions.

2. Choose your new Campus Password.

3. Your Campus Account is now active.

Whycan’tIlogintothecomputer?  

1. Ensure that you are typing in your student ID number as your User ID.

2. Ensure that you are typing in your password correctly.

If the steps above do not work, restart the computer and attempt to login again. Finally, try to login to a different computer.

If you still cannot login, please visit the Service Desk (see section 5.5 “Information Solutions and Services” for details on location). Remember to bring your NUI Galway student ID card.

1. Click the Start button at the bottom right hand corner of the screen.

2. From the menu, choose Shut Down.

3. From the options listed, select Close all programs and logon as another user.

4. Click OK.

Information you will need during your Research Degree

3.1 Student ID Card

You will be issued with a Student Identity Card following registration. You should carry your card with you at all times. Any authorised staff member of the university may request a student to produce their identity card. Failure to produce your student identity card is a breach of the University Code of Conduct. Students will also be required to present their current Student Identity Card when collecting their grant cheques at the Fees Office. Students are strongly advised to keep their identity cards on them at all times. (Replacement ID Cards will cost €13.) Please refer to: www.nuigalway.ie/student-contact-centre/

3.2 PPS number

The Personal Public Service number (PPS Number) is your personal reference number. It helps you to apply for benefits and to get information from public service agencies quickly and easily. This includes services such as Social Welfare, Revenue, Public Healthcare and Education. The PPS number replaces the RSI number (Revenue and Social Insurance Number). If you already have an RSI number this is now your Personal Public Service number. More information about the PPS number can be obtained at: www.welfare.ie/EN/Topics/PPSN/Pages/faq.aspx

WhatdoIneedaPPSnumberfor?A PPS number is required for Scholarship Exemption Declaration form - if a student does not have an Irish PPS no. and is receiving a scholarship for more than 3 months then the student needs to apply for a PPS number from the social welfare office. If a student does not have an Irish PPS no. and the scholarship is for less than 3 months then please write ‘None’.

WheredoIgetaPPSNumber?The number may be obtained at the local Social Welfare Office in Augustine Street, Galway which is located beside the City library. It is not possible to get a PPS number before entering the country if you are entering Ireland for the first time. (International students please see section 3.3 “International Students”)

3.3 International Students

Students from non-E.U. countries must register with the Garda National Immigration Bureau (G.N.I.B.) within 30 days of arrival in the State irrespective of the date stamped in your passport by immigration officials at the airport on arrival. Please contact the International Affairs Office or refer to the “Orientation booklet for international students” for more information on the requirements for immigration registration. The International Affairs Office provides a variety of services to assist students in adapting both culturally and academically to their new environment.

3.3.1 Host Family Programme

The Host Family Programme is a unique programme which offers international students the opportunity to learn about Irish life and culture.

3.4 I have a Scholarship/Studentship

If you are approved for funding from a scholarship or studentship you will be required to complete a form, which can be found via the web link: www.nuigalway.ie/research_accounting/scholarshipforms.html You should return a copy of this, signed by your supervisor, to ensure funding details are captured and that you will receive timely payments.

3.4.1 Can I apply for Tax Exemptions on my Studentship/Scholarship?

It is University policy to support students to ensure that a maximum tax advantage is made available to them within the tax code and subject to certain requirements being met. To explain this, the following is an extract from the Financial Policy & Procedures Manual (Scholarship/Fellowship Exemption from Income Tax) www.nuigalway.ie/financial_accounting/documents/fellowship_scholarships.pdf

To establish entitlement to exemption from income tax in respect of scholarship income as provided for under TCA 1997 S 193 (Section 353 of the Income Tax Act, 1967) the following conditions must be satisfied:

• The student must be in receipt of full-time instruction at an educational establishment.

• The object of the scholarship must be the promotion of the education of the holder rather than the promotion of research through the holder.

• There must be no direct element of service between the sponsor and the student nor must the award arise from an office or employment.

So that you can apply for this, the following forms should be completed and returned to the relevant College or Research Accounts office, as appropriate. The forms need to be completed by you and your supervisor as indicated on forms.

Forward a copy of the forms to the Fees Office for Registration purposes and send the originals to the Research Accounts Office. For queries regarding these forms and payments please see personnel and contacts below.

3.5 How to get paid?

3.6 Self- funded Research Postgraduate Student

Students, who cannot produce evidence of an award from the Local Authority/Scholarship, will be required to pay 50% of the full fee. You will be required to pay the student levy and any tuition fee payment in excess of the higher education grant maximum. (The student levy is €224 in 2010/11.) You will be required to pay 50% of the full fee immediately and 50% in January 2011. EU students can pay their fees in two equal instalments, 50% on registration and 50% in January 2011. NON EU students must pay their fees in full prior to registration in year 1.

3.7 Tax Relief for Tuition Fees in respect of Third Level education

From 2007 onwards, an individual can claim tax relief on fees paid for Third Level courses as long as he/she has paid the qualifying fees. Please see the web link below for more information.

3.8 Employment in the University during Studies

You will need to complete a declaration form, (GS 010 or GS 020), for “employment in the university during studies”, should you undertake any paid employment within the university. This requirement is for research masters and PhD students (full time or part-time).

10. Congratulations! Your email account is now active. Outlook Web Access (OWA) is now visible.

4.3 Postgraduate Research Student Email Address

ISS has implemented a process that allows registered research postgraduate students to request a NUI Galway email address in the staff email address format. The staff email address format is: [email protected]. Requests are accepted from valid postgraduate research students only with sponsorship from their academic supervisor using the form provided. The email address will be available in StudentMail and students will continue to use their existing login credentials. The student email address will remain linked to the StudentMail account and it is used by NUI Galway for all official communication to students.

Computer Help for Postgraduates

The NUI Galway campus network supports a range of academic computing facilities for registered postgraduate students. PC Suites across the campus provide Internet and email facilities to registered students. PCs are available on a ’first come first served’ open access basis. These open access hours are advertised on the notice board in the suite at the start of term and are also online.

5.1 What software is available to me as a student for home use?

NUI, Galway has site license agreements for SPSS, NVivo and Minitab software which allow students to borrow this software and install it on their own personal devices. To borrow this software, visit the Service Desk with your current NUI, Galway ID card. For each product borrowed a Copyright Acknowledgement Form must be signed. The software installation CD must be returned within two working days.

5.2 Software Deals Available for Students

It is possible for students to avail of deals on certain software for use on their own personal devices. Information Solutions and Services are not involved in the purchase of software for student’s personal use and do not provide recommendations for any such purchases. James Hardiman Library

NUI Galway provides a high quality and innovative library service committed to supporting the excellence of teaching, learning, research and clinical practice. You can study there, borrow material, search the internet, consult archives, watch DVDs, photocopy and use computers. The library also has full wireless access. When using the Library, make sure that you have your student ID card with you. It doubles as your Library card, and you will need it to borrow books. You will also need it to gain access to the Library.

Research Postgraduates can borrow 14 books for three months.

6.1 Customer Services Desk

Your first point of contact for information is the Customer Services Desk in the foyer on the ground floor of the Library. Staff at the desk will be very happy to answer any queries that you may have. Where necessary, they will be able to refer you to relevant staff in the Information Offices for more specialised help. You can borrow, return or renew books at the self-check machines on all floors of the Main Library, and in the Nursing and Midwifery Library. Staff at the Customer Services Desk will be on hand at all times to help if you encounter any problems. When the Library is closed, you can return books to the white book returns box outside the main Library entrance.

Parking

There is a clamping system in operation throughout the university, so if you plan on commuting to and from the university by car you will need to obtain a parking permit (see below) or use the “pay and display” facilities available in many of the car parks around NUI Galway (at the cost of €1.60 per hour) or avail of the park and ride bus service. 7.1 How to get a NUI Galway Student Parking Permit

(Returning permit holders and new students)

The charge for the period September 2010 to August 2011 is €45 for students. All returning students will have a one-month grace period (September) in which to pay, during which you must display last year’s valid permit. During this grace period, vehicles without a visible permit will be clamped. From Monday 4th October 2010, vehicles displaying invalid permits (i.e. where no payment has been received) will also be clamped. New students must use a temporary student permit to park in Corrib Village, until you pay your fee of €45, but this is only valid until the 4th of October 2010. 7.2 Park and Ride Bus Service

Permit holders may also park at the new 500 space Park and Ride car park at Dangan (just to the northwest of Corrib Village). It can be accessed via the entrance to Corrib Village off the Upper Newcastle Road. Please note that the opening hours are from 7 am until 11 pm on weekdays only; please do not leave your car there outside these hours as it may not be possible to retrieve it and it may be clamped.

7.3 Pay and Display

If you park in a “Pay and Display” space, you must display a valid Pay & Display ticket and park only in spaces marked “Pay and Display”. “Pay and Display” operates in the car parks beside the Bank of Ireland, the church and Arts Millennium Building and the Orbsen Building.

7.4 Drivers with Disabilities

Drivers of vehicles requiring the use of ‘universally accessible parking bays’ may only do so if their vehicle displays a valid and registered “blue badge”. If they have a blue badge, drivers may use these bays for free. The Road Traffic Regulations, 1997, governs the issue of disabled persons’ parking permits in Ireland. Local Authorities, the Irish Wheelchair Association and the Disabled Drivers Association issue the permits. Permits are granted to all eligible disabled persons, irrespective of whether they are drivers or not, and they have National application. Any person who is suffering from a disability that prevents that person from walking or causes undue hardship in walking is eligible for a permit. For those permits not issued by the above agencies, the displayed permit must comply fully with EU recommendation (98/376/EC), which allows for its recognition in other EU member States. If you display a blue badge, you may use ANY of the universally accessible bays for free throughout the University, regardless of whether you hold a permit or not.

8.5 Student Counselling Service

University is a big step with many rewards, but also challenges. Counselling can be helpful for all kinds of difficulties, both academic and personal. You could be dealing with something serious that you have struggled with for many years, or it could be something small which has happened recently. Maybe you don’t even know exactly what the problem is, but are finding it difficult to cope. This can affect your studies and your ability to take full advantage of the opportunities available to you at NUI Galway. The student counselling service is a team of experienced counsellors, psychologists and psychotherapists who can help you to work out what is bothering you, and think about what steps you can take to make it better.

The Student Health Service provides on-campus medical and psychiatric care to registered students of the university in a professional, courteous and confidential manner. Absolute confidentiality is maintained. All medical records are retained in the health centre and do not form part of the University student records. Information is only given to third parties with the patient’s consent.

8.6.4 Pre-existing Medical Condition

If you are coming to College for the first time and have a pre-existing medical condition, please ensure that you bring all your relevant medical documentation from home with you. It may be a good idea for you to register with the Student Health Unit on your arrival in college so they are aware of your condition.

If you are an overseas student coming and have a pre-existing medical condition, it maybe helpful for you to contact the health unit prior to your arrival by email to ensure that all your medical needs can be met as some overseas medications are not licensed for use here in Ireland.

9.1 Sports, Clubs and Recreation

NUI Galway recognises the relationship between academic performance, health and wellbeing and in support of this the Sport and Recreation unit has a mission to promote participation in sport and physical activities by all students to support higher standards of performance in sport and physical activity for elite sports individuals and teams within NUI Galway. Being involved with sport is a great way of meeting new friends and there are several opportunities to do this at the university. You can join one of the University’s 45 active and vibrant sports clubs or join the Kingfisher Club at the sport’s centre. 9.3.1 Students Union Postgraduate Officer

Ciara Staunton is the Postgraduate Officer and is responsible for developing Union policy on postgraduate issues as well as lobbying for improved induction, training, services and facilities for postgraduate students. 9.3.2 Postgraduate Student Representation

The Students’ Union has responsibility for the election of discipline, school and College representatives. Nominations for discipline level representatives open annually. Elections of the representatives will take place the following week. Once the discipline-level representatives are elected, then they will elect the representatives to School and College. For more information on the duties of the reps and the elections contact the Students’ Union Postgraduate Officer. Postgraduate representatives are also elected to Academic Council and Governing Authority (Údarás na hOllscoile). The roles of these bodies are outlined below. The students elected to these two bodies sit on many committees relevant to postgraduate issues such as the Graduate Studies Board, Research Committee, Library Committee, Quality Committee and others. If you are interested in running for any of these positions, please contact the Students’ Union Postgraduate Officer. The names of elected postgraduate student representatives will be posted on our Blackboard Graduate Studies Training pages (1GST1).

9.3.3 Academic Council

The Academic Council is the chief academic authority and, subject to review by Údarás na hOllscoile, controls the academic affairs of the University, including the curriculum, instruction and education provided by the University. Election of Postgraduate Students to the Academic Council is organised by the Secretary for Academic Affairs.

9.3.4 Údarás na hOllscoile (Governing Authority)

Údarás na hOllscoile, the University’s governing authority, is responsible for managing and controlling all of the affairs of the University and is composed of members of the academic staff, the student body and several external members. There are three student representatives on the Governing Authority: two Students’ Union representatives elected by the Executive, and one Postgraduate student. All hold office for one year or until term of office ends. Peter Mannion as President of the Student Union and Emma Conway as Vice-President/Welfare Officer are the Students’ Union representatives. Kathryn Hughes is the current Postgraduate student representative. Elections for the postgraduate representative are held in February of each year.

9.3.5 Postgraduate Research Society

The Postgraduate Research Society was set up to build a postgraduate community and aid the development of social support network with the support of the Dean of Graduate Studies, the Students’ Union and Student Services. This society allows you to network, share ideas and be part of the postgraduate research community here. The Society forms links with members of staff, especially through the postgraduate reps, who have close ties with the Society. On the academic side, the Society will work on establishing improved postgraduate facilities and ensuring the election of postgraduate representatives. On the social side these are the weekly meet-ups, bi-weekly social events and the occasional weekend away. The email address for the Society is: [email protected]. 9.3.6 NUI Galway Postgrad Facebook

A joint initiative between NUI Galway Students’ Union, the Research Postgraduate Society, the Dean of Graduate Studies and the Careers Service has been the establishment of a facebook presence to represent, support and promote the social life all postgraduate students. The project is funded by the Student Projects Fund. This programme supports social events, class representatives system and graduate development skills programme for all postgraduate students. Volunteering is a great way to meet new and interesting people. ALIVE (A Learning Initiative and the Volunteering Experience) was established by the University to enable, harness, acknowledge and support the contribution that NUI Galway students make by volunteering either at home, in Galway or within the University community itself. Examination Policy

14.1 Approval of Examiners

Prior to the submission of a thesis, the choice of Examiners is approved by the College after submission of a completed Approval of Examiners Form (EOG 010) by the supervisor, (refer to section 6.1 of your guidelines)

The examination of a research Master’s’ thesis normally involves two examiners, one internal and one external. For more information refer to section 6.4.3 of the guidelines.
