• Use a Chronological Resume when you have good work history and are staying in the same career.

• Use a Functional Resume when you have gaps in employment or are changing careers.

• Use a Combination (Chronological & Functional) Resume when you are in the Military, Federal Jobs or Transitioning Careers.

• Use a Scannable Resume (Keyword Resume) format when sending your resume will be pre-screened by an automated computer system, via email or when sending your resume through an application system on a website.

• The Resume Verses the Curriculum Vitae. The difference is the Resume is more of a quick summary; easy to read, with just enough details to let the employer know you have the necessary skills and education. The Curriculum Vitae is more to show what an applicant has studied, researched, taught or written (i.e. professors, researchers, or author).

General Guidelines for Using Different Types of Resumes…

Page 4: Resume and Coverletter Workshop, 2009

General Guidelines Chronological or Functional Resume

• Use an easy to read font

• Use quality resume paper

• Use size 12 point font (no less than 10) for the body of the Resume

• A Resume should only consist on one page. Here are some exceptions: Military, Federal jobs, Nurses, or CEO’s

• Use Headings: * Bold font * Use all caps * Use approximately two point font sizes larger than the body of text

• Do spell check & review for grammatical errors, but also get feedback from others (spell check doesn’t have all the answers)

• Save Resumes & Letters of Interest (Cover Letters) on a storage media, such as a 3.5 computer disk, CD or memory stick

• Be willing to review & adapt for different positions for which you apply (save each with job titles & dates)

• Use adjectives to describe duties for job experiences (use job description to choose those adjectives)

• Use bullets to itemize relevant duties (highlighting skills that are in the job description & relevant for the job)

• You can use volunteer experience to show knowledge, skills, & dependability

• Use professional vocabulary & grammar (not slang)

• When using acronyms, spell them out at least once and next to the word put the acronym in parenthesis

• Don’t write the job description verbatim; however, write achievements & use key words that are written in the job description or on the employer’s website.

• Put the most important headings at the top of the resume. Read the job description and judge accordingly (i.e. education, licenses, relevant skills, work experience). Additionally, if the education is more than two years old, or is not pertinent to the job, it can go at the bottom of the resume or not at all.

Page 5: Resume and Coverletter Workshop, 2009

RESUME WARNINGS:

• The purpose of a resume is to get you an interview, not to vent or tell the employer about your personal issues.

• Be careful not to shift tenses when you are writing your resume (i.e. if you are writing about a past experience, then keep it in the past).

• Carefully consider what personal information you include on a resume. This would include previous work dates of more than 10 years (in most cases), because discrimination sometimes occurs.

• When including hobbies, make sure they will enhance your qualifications for getting the job. Never include age, marital status or physical attributes, because these really are discriminatory factors.

Page 6: Resume and Coverletter Workshop, 2009

A SCANNABLE RESUME, KEY WORD RESUME, ELECTRONIC RESUME (BY EMAIL) OR SCANNER-FRIENDLY RESUME

These are resumes formatted in a specific way, so that they can be read by an automated tracking system which will perform the initial pre-screening process.

Examples:

• A resume scanned into the computer through a scanning machine, and saved in a different format (PDF or jpeg). Then sent by email or through an online application process, to be pre-screened by an automated tracking system.

• A Microsoft Word document pasted into a website resume box to be pre-screened by an automated tracking system

•A MS Word document uploaded into an online application system to be scanned by an automated tracking system.

•Attached MS Word Document (Resume) saved in a “Plain-Text” format, and will be emailed to the employer.

DEFINITION OF TERMSDEFINITION OF TERMS…

Page 17: Resume and Coverletter Workshop, 2009

ASCII

ASCII is an acronym that stands for American Standard Code for Information Interchange. ASCII is plain-text formatting language that can be read by any computer tracking software. Here are some guidelines when typing a resume with this ASCII format:

• The length of each horizontal line on a page should be between 65 and 80 characters (1 inch margins)

• As you get to the end of each line, only use hard returns (use the return key) instead of word wrap

• Don’t use bullets in ASCII format (use asterisks or dashes)

• Avoid punctuation whenever possible (If you need to use punctuation, then it is strongly suggested that you don’t have it touch the word before or after the word; it can distort the translation of the word.

• Don’t use bold, italics, underlining or shadows

• Avoid graphics or extra lines and boxes

• One way to distinguish between statements or to list a phone number without punctuation is to provide white space between words and numbers. It’s also good to separate a paragraph and the next heading by one vertical space between them.

• Use a fixed width font, 10-12 point size (i.e. Courier, Tahoma, Verdana, Helvetica, Arial, & Times New Roman)

• Use left justification for the whole resume

• Uses all capital letters for your headings (this will help define sections of interest)

DEFINITION OF TERMS

Page 18: Resume and Coverletter Workshop, 2009

BUZZ WORDSA term used when a human-being (not a computer) does the pre-screening, and they are looking for specific action words that are important to the job itself, and/or industry.

KEY WORDSA term used when automated systems are tracking specific words for the purpose of pre-screening resumes. The tracking system is usually looking for nouns.

E-RESUMEA resume adapted to ASCII format (no bullets, simple font, etc), and sent by email.

HITWhen an automated tracking system searches for a keyword and finds it.

The general reason for keeping the resume simple is that many companies are pre-screening incoming resumes with scanning software that doesn’t always interpret the information the way it

was intended. And so sometimes an employer my not even get to see a qualified candidate just because the computer

misinterpreted the contents of the resume.
