The following sheets are included in the template1

Set"up

A!ents

###$excel"skills$com

This template enables users to calculate sales commission for up to 5 levels of sales agents. Simply create a unique agentcode for each sales agent, specify the appropriate commission percentages, copy & paste the appropriate sales data into thetemplate, link each sales transaction to an agent code and all the commission amounts are automatically calculated. Thetemplate also includes a unique commission report which can be compiled for any user defined date range.

Set"up % enter a business name and specify the appropriate sales ta! percentage on this sheet.

A!ents % create a unique agent code for each sales agent, specify the appropriate commission percentage for each of the 5commission levels and link the agent code to the code of the agent that is directly above the agent in the commissionstructure. The agent commission codes from level - to 5 are automatically determined based on the level 2 agentcommission code.

Sales % copy & paste all the relevant sales data onto this sheet. Only the columns with yellow column headings require userinput and you can add additional columns if required.

Commission  % this sheet includes a commission report that can be compiled for any user defined date range. )ll thecalculations on this sheet are automated and the only user input that is required is to specify the appropriate date range forwhich the commissions need to be calculated.

The Set%up sheet includes input fields for the business name and the sales ta! percentage. The business name is used as aheading on all the sheets and the sales ta! percentage is used to calculate the sales amounts e!cluding sales ta! and thecommission amounts including sales ta!.

Note: If the sales tax percentage needs to be amended, you will have to copy all the calculated amounts in column H on theSales sheet and paste the appropriate cells as values before amending the sales tax percentage on the Set-up sheet. If youdont paste all these cells as values, all the exclusive sales amounts on the Sales sheet will be calculated based on the new

sales tax percentage.

) unique agent code needs to be created for each sales agent and the appropriate commission percentages need to beentered on the )gents sheet. ) sales ta! code also needs to be selected for each agent and the agent needs to be linked tothe agent code of the sales agent who is directly above the agent in the commission structure.

Note: !e recommend that you use an abbreviated version of the name of the agent as the agent code because it will ma"e iteasier to identify the correct agent when selecting the appropriate agent code from the list box in column # on the Sales

sheet. $or example, an agent code of %&'() can be created for the agent *%&' +imited*.

Note: nly the columns with a yellow column heading reuire user input - the columns with a light blue column headingcontain formulas that should be copied for all the new agent codes that are added to the sheet. he calculated columnscontain the following calculations:

Com*Code % the formula in this column determines the agent code of the agent that is t#o le)els above the agent in thecommission structure. The om2ode that is selected in column 6 is used to determine this agent code and the commission

percentage that is specified in the om-7 column will be used to calculate the sales commission that will be paid to thisagent.

Com+Code % the formula in this column determines the agent code of the agent that is three le)els above the agent in thecommission structure. The om-ode that is determined in column 8 is used to determine this agent code and thecommission percentage that is specified in the om*7 column will be used to calculate the sales commission that will bepaid to this agent.

Com,Code % the formula in this column determines the agent code of the agent that is four le)els above the agent in thecommission structure. The om*ode that is determined in column 9 is used to determine this agent code and thecommission percentage that is specified in the om57 column will be used to calculate the sales commission that will bepaid to this agent.

EC % an error code of 0 will be displayed in this column if any of the agent codes that have been created in column ) areduplicated. The error code can be removed by simply deleting one of the rows that contain the duplicated sales agent code.

Note: %ll new agent codes must be added to the sheet in a continuous cell range otherwise all agent codes may not beincluded in the list boxes in column # on the Sales sheet. here should therefore be no empty rows between the agentcodes that are added to this sheet.

4t is important to note that only the commission percentages that are specified for an agent are used to determine thecommission that is earned by the particular agent. 4f an agent therefore earns commission on the sales of an agent that isbelow the agent in the commission structure, it is the commission percentage that is specified ne!t to the higher level agent

that is used for calculation purposes.

/xample: %gent 000() is one level above agent 111() in the commission structure, the 'om)2 for both agents is 32, the'om42 for agent 000() is )2 and the 'om42 for agent 111() is 52. %gent 111() will earn 32 commission on all hissales and agent 000() will earn )2 on the sales of agent 111(). %s you can see from this example, the commission

percentage that agent 000() will earn is determined by the 'om42 this is specified for agent 000() and not the 'om42that is specified for the agent who sells the products 6agent 111()7. %lso, if an agent that is directly below agent 111() inthe commission structure sells products, agent 111() will earn 52 commission on all of that agents sales.

Note: !e recommend that you also create a generic agent code which can be used for sales transactions where noi i i bl t t hi t d th b l t d f th li t b i l # th S l h t

The following user input fields are included on the Sales sheet1

Note: %ll new sales transactions must be added to the sheet in a continuous cell range otherwise all the transactions may notbe included in the commission calculations on the 'ommission sheet. here should therefore be no empty rows between thesales transactions that are added to the Sales sheet.

)ll the column headings contain a filter selection arrow % this feature indicates that the ;ilter feature has been applied to thesheet. This !cel feature is very useful when you need to f ilter the data on the sheet based on one of the filter criteria which

are available after clicking the selection arrow. The ;ilter feature can also be used to sort data based on a single column andincludes a 3ustom3 filter option which enables you to specify a custom filter that needs to be applied to the data on thesheet.

/xample: If you only want to display transactions for a particular month, you can filter the data based on the Invoice 8atecolumn by specifying filter criteria which includes all transaction dates greater than or eual to the )st day of the month andless than or eual to the last day of the month. %fter reviewing the filtered data, simply select the *%ll* option in the filteredcolumn in order to remove the filter and to display all the transactions on the sheet.

#ou$ll also notice that there are totals that are included in the cells above all the amount columns <formatted in italic=. These

cells contain a Subtotal function which results in all filtered records being included in the total that is calculated. This meansthat after filtering data, only the transactions that are displayed on the sheet are included in the calculation <column total=. 4fyou therefore print the sheet while a filter is in effect, the totals above the column headings will be calculated accurately andwill only include the filtered transactions that have been printed.

-n)oice %umber % invoice numbers can be in any format and have no effect on commission calculations.

-n)oice .ate % the ta! invoice dates should be included in column > % all commission calculations are based on the datesthat are included in this column.

Customer   % the customer name or customer code can be included in this column but has no effect on commissioncalculations.

.escription % a description of the products or services to which the ta! invoice relates can be included in this column but hasno effect on commission calculations.

Tax -nclusi)e Amount % the total invoice value inclusive of sales ta! should be included in this column.

Tax Code % specify the appropriate sales ta! code in column ;. 4f the 3)3 ta! code is selected, the e!clusive sales amount incolumn ? is calculated based on the sales ta! percentage that is specified on the Set%up sheet. 4f the 33 ta! code isselected, no sales ta! is calculated and the e!clusive sales amount will be the same as the inclusive invoice amount. @otethat if your business is not registered for sales ta! purposes, all transactions should be allocated to the 33 ta! code.

A!ent Code % select the appropriate agent code for each sales transaction in this column. ) generic 3no commission3 agentcode should be selected for all transactions where commission is not applicable. @ote that only agent codes that have beencreated on the )gents sheet will be included in the list bo!es in this column.

Template Settin!s

Com+( % this commission percentage is looked up on the )gents sheet based on the agent code in column A.

Com+ Amount % this amount is calculated by multiplying the e!clusive sales amount in column ? by the om*7.

Com, Code % this agent code is lookup up on the )gents sheet based on the agent code in column :. This is the code of theagent that is four le)els above the agent whose code is reflected in column :.

Com,( % this commission percentage is looked up on the )gents sheet based on the agent code in column T.

Com, Amount % this amount is calculated by multiplying the e!clusive sales amount in column ? by the om57.

Total Commission % this column displays the sum of the all the commission amount columns.Total Com (  % the total commission percentage is calculated by dividing the total commission amounts in the previouscolumn by the e!clusive sales amounts in column ?.

The sales commission report on the ommission sheet is automatically calculated based on the sales transactions that areincluded on the Sales sheet and the commission percentages that are included on the )gents sheet. The sales commissionreport can be compiled for any date range by simply entering the appropriate 3;rom3 and 3To3 dates in cell 2 and :2respectively.

The om0 to om5 columns include the totals per agent that have been calculated on the Sales sheet <om0)mount toom5)mount columns=. The sales ta! codes in column are looked up on the )gents sheet and determine whether salesta! is added to the total commission amounts in order to arrive at an inclusive total. The sales ta! amounts are based on thesales ta! percentage that is specified on the Set%up sheet.

Note: &y default, only the first 5( agent codes are included on the 'ommission sheet. If you therefore create more than 5(agent codes on the %gents sheet, some of the codes may not be included on the 'ommission sheet. his can be rectified bysimply selecting the last row on the 'ommission sheet, copying the entire row and pasting the formulas into the reuirednumber of additional rows. %ll sales agent codes wi ll then be included in the report.

Note: !e have added conditional formatting to the 'ode heading cell which will result in the heading being highlighted in redif the number of agent codes on the %gents sheet is greater than the number of agent codes on the 'ommission sheet. If thiscell is therefore highlighted in red, it means that you need to add additional rows to the 'ommission sheet by copying theformulas in the last row that is included on the report.

The functionality that has been included in this template uses data validation, conditional formatting and named cell rangesin order to validate all user input and to produce the reports that form part of this template. "ost of the formulas that areused in this template are based on named cell ranges that include the first 0,+++ rows on the Sales sheet. hen the number

of transactions that you$ve recorded on the Sales sheet reaches this limit, you will therefore have to e!tend the defaultb f i d t i l d ll t ti i th t l t l l ti
