MANAGE USER

To begin with, first go to manage users module.

How do I search a user?? 

To search a user, click on the search user tab, here you can search a user just by typing his or her 

name. In case of any conflict with the name or any kind of duplicity with the name you can

search the user by view all option. In this option you¶ll be asked to select a role for the person

you are looking for from the given choice of admin, employee or student. If it is an employee

you are looking for then it will ask 

 How to create a new user??

To Create a new user, click on the add

new tab. A window with details such as

Username, first name, last name,

 password, and email will appear for you

to fill. It will also seek to define role of 

the person whose login is being created

under the head of admin or employee.

For administrator login admin should be

clicked. For creating a login for 

employee should be clicked. Please note

that employee login ID if once created

cannot  be modified in any manner .

How can a student be admitted?? Students can be admitted by filling the admission form. The admission form contains various

details about student such as his personal guardians. Information, his contact information, details

about his parents and guardians.

W hat if there are two students by the same name? 

In case of duplication in names of student, which is a common sight in school, the student¶s

 profile will differ from each other on the basis of their login ID. This id will be a unique ID and

will remain the same throughout for a particular student as login id once created can not be

edited at any time in future.

C an an image of student be uploaded?? 

Yes, there is a provision of uploading the image of the student. It can be done by selecting an

image saved on the hard drive of the system and uploading it. The image once uploaded can be

changed in future by following the same procedure.

Student details

How can details about the enrolled students be searched using this option? 

The details about any of the present or former student can be searched using this module. This

module helps to narrow the search by asking to elect one option amongst present or former 

student. It then displays the result of the names of students as per the selected preferences along

with their profile.

How can the number of students in a particular class be seen? 

If the details about a particular batch are to be found out then it can be done by using the view all

option on the search page. In this option you can select a particular batch to view the details of 

students registered in that batch along with their profile.

W hat is the advanced search option?? 

The advanced search option is meant to search for students using options like blood group,

country, gender, admission date, category etc . Apart from the general search options like name ,

 batch, course etc.

C an a record of students academic progress be viewed here? Yes, record of student¶s academic progress is visible on the profile page under the drop in menu

head reports. Under this head you can find a detailed as well as subject wise progress report of 

the pupil. Also one can view homework given under various subject heads.

Is there a provision to delete a students profile? 

Yes, you can. Click on the view profile tab of a particular student. Once the profile will open

then it show a delete tab on the right hand side top corner of the profile. After clicking on the tab

it will ask whether the student is leaving the institution or does he want to delete his profile

completely. In case of student leaving the institution, the profile of the student will be saved in

the database and can be viewed under the head former student.

What is HR Settings Module?

HR module is most important module amongst the entire module. It is a comprehensive module

which acts as a database for the Human resource department. It manages all records for the

human resource right from their categories to their payroll. It is a very useful and important for 

maintaining every minute detail about the Human resource of the company.

 

Add Employee Category

In this menu you can add employee category under 

the various heads such as administrator, teaching,

non- teaching. The categories created here will be

reflected everywhere from the employee¶s profile to

his pay slip creation.

Employee Position

Helps to create positions for employees of the

organization to classify them further into this. The

  positions can be created depending on the various

designations available in the organization such as principal, supervisor, Head of the departments, HR 

Manager etc.

Departments 

This sub module will help to constitute various departments for the employees. The employees

can then be managed, assigned duties, searched, catalogued according to their departments for 

e.g. Science, mathematics, language, Human resource, Finance etc.

Grade

This menu aids in creating grade for the employees. Also it helps to set the priority related to a

 particular grade and assign periods accordingly. The grades created will be displayed according

to their priorities.

Add payroll category

This menu helps to create payroll category under two heads ± deductible and non deductible.

Under the deductible head deductions such as income tax, professional tax etc. are given along

with their percentage of deduction from the given criteria. Items under the non deductible head

comprise of basic salary, House rent allowance, dearness allowance etc. While creating items

under any head there will be check box provided which will enable an item to show in the

deductible category when checked.

Add Bank details

Adds details about the bank with which the institution has its account.

Add additional detailsAdds additional details such hobbies or other personal information about the employees.

What does employee management module do??

Employee management sub module helps to manage employees efficiently. It keeps a track of all

the employees in the organization. There is an employee admission form in this sub module

which helps to create employees profile in the database. This form has all details regarding the

employee such as his personal information, details about his experience, information about his

 previous employer etc.

What does the employee subject association mean?

This option is meant to allot teachers to various subjects according to the different courses in

school. There is also an option to allot single teacher to multiple subjects. They can also be

categorized into various departments according to the courses and subjects allotted to them.

What is attendance sub module?

Attendance module helps to keep a track of employees¶ attendance. This sub module creates the

type of leaves available for the employees to avail viz. personal leave, medical leave, casual

leave etc. It also helps to keep a record of student¶s attendance with the help of attendance

register. The attendance in the attendance register is displayed for employees department wise.

What if the attendance of all the employees in a particular department is to be viewed at a

glance?

The attendance report tab is handy to see attendance of all employees in a given department at a

go. This tab gives an option to select the department. After selection of the department it then

displays the list of employees in that particular department along with the different type of leaves

taken by the them in that particular department.

Does the create pay slip sub module helps in the generation of pay slips?

Yes, the create pay slip module helps in generation of pay slips. Its three options help to create as

well as delete the pay slips generated for employees individually and in group.

How can we generate pay slip through this sub module?

You can create pay slip of an employee through this option. For pay slip creation, you have to

select the department of the employee whose pay slip is to be created. After selecting the

department the list of all the employees pertaining to that department will appear. By clicking on

the name of the employee, his pay slip will be generated. The pay slip thus generated will show basic salary along with the deductions this pay slip will also get reflected in the finance module

for approval, after getting approval from the finance department then only employee can see

their pay slip on their particular profile.

What is one click pay slip generator?

One click pay slip generator is a very helpful tool for the HR Manager to generate the pay slip

for each employee for a particular month at one click. On clicking on this tab it asks to select the

month for which pay slip is to be generated. The selected monthµs pay slip will be generated and

will be displayed in the finance module for approval process.

What is one click pay slip revert?

One click pay slip revert option can be used to delete the pay slip already generated for a

  particular month. This option can be used in case, if wrong entries have been posted for the

calculation of pay slip.

What is employee search sub module?

Employee search sub module is the module that helps to search all employees in the

organization. Its view all option helps to search employees through their departments. Once the

required department is selected it flashes the list of all the employees listed in that particular 

department. On clicking on the name of a particular employee all his profile along with the other 

details such as salary and leaves taken by him will be made viewed. We can also search

employees by exercising the advanced search option, by using choices like blood group, country

category etc.

What is the use of employee pay slip sub module?

Employee pay slip sub module helps to view pay slip details of individual employee month and

department wise. It displays the pay slip of employee along with all the items and deductions

when his department and month for which the details are needed is entered.

What is finance module?

Finance module is one compact module that takes care of all finance activities in school right

from collection of fees to management of assets and liabilities. Its various sub modules helps to

manage effectively all issues related to finance.

What is the manage fees sub module?

This module manages fees. It module manages fees with the help of many options like create

fees, fees collection, fees structures etc. The various options of this sub module are:-

Fees Create

This option helps to create fees. It helps to create master fees as well as additional fees. It creates

master fees under different category and particulars. It also creates additional fees under the

head of additional fees details like donations , management fees etc.

Fees collection

This option helps to create fees collection dates. It also sets a limit as to till what period of time

can the fees be collected. It also displays the fees collection dates by the way of view option.

Fees submission

This module helps to submit the fees and transfer the total amount to the books of accounts. Its

fees submission option helps to submit the fees by course and also for individual ward. For 

submission as per course it asks to select a particular class along with the date of submission. For 

individual ward¶s it first asks for ward¶s name. When the name of the student is entered it asks

for a date of fees submission.Fees Structure

Is Displays the fees structure for a student. To find the fees structure of a particular student we

have to enter the student¶s name first. After entering the name it will ask for a fees collection

date. Once the date is entered it will display in detail the fee structure of the student. You can

view the whole structure in PDF format also by clicking on the PDF tab at the bottom of the

 page.

Fees Defaulters

This option helps to display the list of all the students who have not paid the fees. To view the

list of defaulters first the class for which we have to see the defaulters have to be clicked then the

type of fees for which the default is to be found out is to be set. After entering the details about

the class and the type of fees a list of all the defaulter students in that class is displayed.

What is the purpose of create finance category sub module?

This sub module aids in creating categories multiple categories in which financial transactions

have to be recorded such as fees, sundry expenses, bills etc.

What is transaction sub module?

Transaction sub module helps us to create various financial transactions such as income and

expenses. It also helps us to see all the transactions done and compare various transactions for 

the purpose of determining the income earned and expenses occurred in a particular month. This

module has four options, viz ,

Add Income

Add income option helps us to add various income transactions. To create an income transaction

we have to first enter what kind of income transaction is it, after this we have to provide the

description Of the transaction, then we have to enter the amount and finally categorize that

transaction under the various income heads available. The income added over here will be visible

in the report of various transactions of a particular month.

Add expense

Add expense transactions help us to create new expenses to record in the accounts. To create a

new expense transaction we have to first enter the details of the expense, then we have to enter 

the amount and then we have to categorize it as per the previously entered expense. The expense

added over here can be view under the report option.

Report

This option helps to generate monthly report of all the financial transactions. The report can also be seen in a PDF format. The report consists of all the income and expense transactions along

with the date when they were occurred. It also shows a graphical presentation of the transactions

incurred where the upper half of the graph signifies income and the lower half signifies expense.

Compare Transactions

This option helps to compare all the financial transactions occurred between two different time

 periods. The comparison is represented graphically as well as in tabular format.

Wants to see the list of all the donors then even that can be viewed with the help of donors tab at

the top of the page.

What is auto transaction sub module?

Auto transaction helps to create auto transactions.

Does pay slip module help to generate pay slip??

 No, this sub module does not helps to generate pay slips but it helps to view pay slips generated

for a particular employee for a given department as per his category , position and grade. The

one click approval option of this sub module helps to approve pay slip for a particular month.

What is meant by asset liability management sub module?

The asset liability management sub module helps us to record entries pertaining to assets and

liabilities of the organization. It has two options which are:-

Assets 

This option maintains entries for assets of the organization. It can help us to create asset in which

we have to provide title, description and amount for the asset. This asset and its details such as

date of creation, value of asset along with the description of the asset can be seen with the help of 

view tab under the same option.

Liability 

This option helps to manage the liabilities of the organization. It helps to create an entry for a

liability along with the details such as description, amount for the liability. The liability and its

details such as date of creation, amount etc. Can be viewed under the view tab.

What is the attendance module?

Attendance module is the module which helps to keep a track of the attendance of students at a

glance so that the number of students frequently absenting themselves from the class can be

determined. The attendance module has two sub modules namely:-

Attendance Register

This sub module displays the attendance register for the student of a particular batch. To see the

attendance of the students of a particular batch we have to first select the class for which we want

to see the attendance. On selecting the class the register will get displayed. In this register we can

mark the absent of a particular student by clicking on the date on which he was absent along with

the reason for his absence.

 Note: - There is a dependency of this module on the time table module. If the time table of a

 particular class has not been created then the attendance of the student of that class will not be

marked.

Attendance Report

Attendance report sub module helps to display the attendance (yearly or monthly) of the student

in a particular class, in a particular month. To view this first we have to select the batch for 

which we have to see the attendance, then it will ask us to select the mode i.e. whether we wish

to see the monthly report of the student or overall report. On clicking the monthly option it will

ask us to enter the month and the year for which we wish to see the attendance of and will

display the same. If we wish to see the overall report then it will display the list of students along

with the number of days they were present out of the total working days as well as their 

  percentage of attendance. It also has a filter which helps to filter the list of students whose

attendance was below or above or equal to the set limit.

TIMETABLE MODULE  

What is time table module?

Time table module is the module which helps to manage and create and edit timetable for a class.

It is a comprehensive module which helps to manage time table and its various issues. It has got

four sub modules which are :-

Create weekdays

This sub module helps to create weekdays for the school. This sub module is important as it willhelp us to create time table based on the weekdays created for a particular class. To create

weekdays click on the create weekdays tab. A list of weekdays will open along with the option of 

choosing the batch for which weekdays have to be created. By checking on the boxes for the

required weekdays we can create weekdays for the particular class.

Set Class Timings

This sub module helps us to create class timings for a particular class or in other words we can

say that it helps us to create periods for a particular class. On clicking on this sub module it will

ask us the batch for which timings has to be created. On selecting the batch it will ask us to add

the start and end timings of the period. There is also an edit option which helps to edit the class

timings.

Create / edit timetable

This option helps to create or edit time table for a particular class. For creating time table for a

  particular class we have to select the class first for which we have to create time table. On

selecting the class a window will open which with a blank Performa of time table. Then it will

ask us to select the subjects with which the time table is to be set. On selecting the subject the

teachers associated with the subject will also be displayed.  Now to assign a particular subject to a

selected period we have to drag and drop the teacher¶s name of teacher teaching that subject to

the unassigned period. To edit the time table, by clicking on the red button next to the teachers¶

name the teacher as well as the related subject can be removed from that particular period to

assign a new one to the same. There is also a publish time table tab which helps us to publish the

time table for the class.

View Timetable

This sub module helps us to view time table created for a particular class. To view time table we

have to select the class for which we want to view the timetable. On selecting the class it willdisplay the weekly timetable of that class. This time table can also be seen in the PDF format.

HOMEWORK MODULE  

What is the purpose of homework module?

The homework module helps to create and manage homework. This module also helps to create

grading levels to evaluate the homework along with publishing the subject wise report of the

same. This module has following sub modules:-

Set grading levels

As evident from the name this sub module helps to create grading level for the homework to be

evaluated. These grading levels can be created in common for all the batches or differently for 

various classes separately. There is a Tab for courses given on top the page, this tab is given to

facilitate to set grading levels for the particular class.

Homework Management

This sub module helps to create homework for a given course. To create homework we have to

select the class for which homework is to be created. Then we will have to select the subject for 

which homework is to be created. Upon doing this we will find a new tab on top of the page

which will help us to create homework and also assign the grading levels for the same.

Homework wise report

This sub module helps to display the report according to the homework. To see homework wise

report we have to first select the class for which the report is to be shown then we have to select

the subject for which we want to see the report.

Subject wise Report

Subject wise report shows report of all homework according to the specific subject. To see the

report of specific subject we have to first select the class for which we have to see the report,

then we will have to select the subject for which we want to see the report. On selecting the same

the report of individual students studying that subject will be displayed. The average scoring of 

the class in this subject will also be displayed.

EXAMINATION MODULE 

What is Examination sub module??

Examination sub module is that module which deals with the various options related to

management of examination such as grading levels, results, group reports, individual reports etc,

additional exams etc...

What are the various sub modules under examination sub module?

The various sub modules under the examination module are:-

Set grading levels

As the name suggests this sub module helps to set grading levels. It helps to set common grading

levels for each class with the help of its add grades tab. It also helps to integrate the grading

levels with the various batches in the organization.

Exam Management

This sub module helps to manage exams and scores efficiently. When we click on this option it

asks us to select a course for which the exam is to be manages. On selecting the course it

displays the list of the exams associated with that course. If we want to create another exam then

we can do so with the help of new tab given on the right hand side top of the page. On clicking

the new tab another window opens which requires to enter the name of the exam along with the

type on which results will be evaluated. There is also a connect exam tab on top of the page

which helps to combine two exams together.

Additional Exam

This helps to create additional exam and its particulars. To create an additional exam it will first

ask the class for which additional exam is to be created. On selecting the class we can create a

new exam in it with the help of new tab. With the help of this new tab we can enter the name of 

subject along with the details such as start time of exam, end time of exam, maximum marks and

minimum marks etc. We can also publish the schedule of exam with the help of publish tab given

next to the subject.Exam Report

This sub module helps to display the report of the exam. To view the result we have to first select

the class as well as the exam type for which we want to see the report .After selecting the class

the list of all the students along with their examination report will be displayed individually.

The progress of a student is also displayed graphically in comparison to the average marks of 

class and individual scoring of the ward. If one wants to see the report of the whole class then it

can also be seen by clicking on the consolidated report tab. A report can also be generated in the

PDF format of the same.

Subject wise Report

This sub module helps to generate subject wise report of the students.  Now to see the subject

wise report we have to first select the class for which report is to be generated along with the

subject whose report we want to see. On selecting both we will be able to see the list of marks

scored by each student in that class along with the average marks scored by the class. This report

can also be generated in PDF format

Grouped Exam Report

Grouped exam report displays the student¶s exam report for all the subject taught in the batch.

To see the group exam report we have to select the batch for which we want to see the report. On

selection the scoring of all the subjects of individual student in the particular batch will be

displayed alongwith the total and aggregate marks scored by him. This report can also be seen in

PDF format.

Settings Module

What is settings module ?

Settings module is the basic configuration module which helps us to create courses , batches,

subjects and manage category for students .

What the purpose is of manage course/ batch sub module?

This sub module helps to manage courses and batches of a particular standard. With the help of 

this sub module various sections of different standards can be created. Manage batch option

helps us to manage various batches in the school. With the help of this batch we can also allot

various grades for assessment. Also there is an option of batch transfer. This option helps to

transfer or promote students of a particular class to a succeeding class.

What is the use of manage student category sub module?

Manage student category sub module helps us to create various student category such as general,

OBC, SC etc. This sub module can play a vital role in imparting education to the under 

 privileged social class.

What is the purpose of manage subject sub module?

This module helps to govern subjects for a particular batch. With the help of this module we can

assign various subjects both elective and compulsory, to a particular batch.

What is the purpose of general setting module?

General settings module helps to enter general information about the school such as name ,

address, phone number etc.

What is the use of add additional admission detail module?

This module helps to add additional details about the admission of the student on the admission

 page.
