Introduction Microsoft SharePoint is enterprise collaboration platform with a variety of capabilities. One of the capabilities is a Web Content Management System. We have done a lot of customisation and development to improve the usability and flexibility. We end up with easy to use responsive modern website theme.

These Websites are delivered in English and Turkish. In most cases pages are translated from one language to other and published together.

The Websites owners are responsible to do the updates and keep their website up-to-date.

The website owners Must Not,

• Upload documents, zip files, images etc... Tahat is not related about the website, or not used within the pages.

• Don’t delete the Pages. Instead, Redirect pages or delete the outdated content and hide the page on the Menu. Pages can be deleted when you mistakenly create them or if the content will never be used within the website.

• Don’t upload low quality images and use them within the pages. • Don’t delete previously added staff and add again. This will change the Item ID and cause

Page not Found error to the users coming from the search engines. You can delete the staff when they don’t work in your faculty/department any more.

• Don’t leave the Pages checked-out.

Always read and check the content before you publish and after you publish on both English and Turkish sites.

Quick Reference Sign In to SharePoint:

1. At the bottom-right side of the page, click hidden Sign In link. It’s below social icons.(Figure 1.0)

2. You will immediately be prompted to enter a User Name and Password(Figure 1.1) 3. Enter your EMU Mail credentials and click Log In. You are now signed in.

Sign Out from SharePoint: In the upper-right corner of the page, click the down arrow next to your Name, and then choose Sign Out. (Figure 1.2) To ensure you are fully logged out, you have to close all open browser and browser tabs.

Window Layouts

SharePoint Site Window Layout

When you Sign In your SharePoint Account the SharePoint Suit Bar will be visible and following links and buttons will come up on the top of the page (Figure 2.1). Click Site Contents under Settings Menu to open Admin Panel Layout (Figure 2.2).

Show Ribbon Ribbon TABS (Figure 2.3) allows you to do some actions without getting the page in Edit Mode. Also has EDIT shortcut to edit the page on the right corner. And Status bar displays messages about the current page.

Once you are signed in, check if you can see the Ribbon TABS If it is not visible click Settings Menu, choose Show Ribbon to make it visible. (Figure 2.2)

Page Operations Page Variations Websites are multilingual. Root Site redirects the users to the sub sites according to browser language. These sub sites are called Variation sites. We have English and Turkish variation sites. English Variation site is source and Turkish Variation site is target site. Pages created in English site will be added in Turkish site automatically by the SharePoint and connect to each other. The language switch button works according to this connection.

Always add pages to English Variation site. And edit pages added to Turkish site by SharePoint. If your page will be only in one language, then you hide the other language in the menu. Also for these pages you can write a message in the page “This page is available only in (English/Turkish) language”. So when a user tries to switch the language, they will see your message instead of empty page.

Adding a Page You must be logged in SharePoint to Add pages. The New Page will be at the same level with the page you are viewing. For example if you want to have another page under About Us menu, you must click one of the pages below About Us menu before adding new page.

1. Open SharePoint Site Window Layout. 2. If you are in Turkish language, switch to

English. 3. On the Settings Menu, click Add a Page. 4. In the Add a Page dialog box, type a name for

the new page, and then click Create. 5. Edit the page. Save and Publish. 6. After 2 minutes go to the Turkish site and edit

your automatically created Page.

Editing Navigation Node Title (Menu Name) and URL of auto created Turkish Page It will take couple of minutes for the system to create page on TR site. This Page’s Content, Navigation Node Title (Menu Name) and URL will be in English. You must translate all in Turkish manually.

The example below shows “Research Centres” Page. Navigation Node Title: Menu Name. Replace the letter with Turkish translation. You can use Turkish characters. Friendly URL Segment: This will be URL of your page. Don’t use, Capital letters, Turkish characters, or any other special character. Use “-”minus instead of “ ” blank spaces.

click Edit Navigation Properties.

Tabs in Edit Mode Ribbon tabs are changing according to operation you are doing in SharePoint. While editing the page the Ribbon tabs are changing and following tabs are becoming visible. (Figure 4.0).

The necessary tabs, buttons will be explained briefly.

Bullet list, Numbering, Outdent, Indent, etc.. Align Text.

Styles Each text should have one style. Either Paragraph or Heading. Heading 1 can be used only if your page layout does not use it. Use Heading 2 and others according to your titles in your page.

Edit the HTML mark-up for the contents of the page.

Step 1: Click the Table, choose the required dimension with your mouse and click. New table will be inserted.

Once the table is inserted, Go to the DESIGN Tab. You can choose your table style.

Inserting Picture from SharePoint Please refer to Uploading Images title to check how to upload pictures before use them within the site or lists.

1. Click Picture, choose From SharePoint

2. In the dialog box click add to upload new picture in your library. If you already have the picture in your library please goto step 8.

3. Select your picture and click Insert.

Columns are used to divide the content in pieces. Columns are responsive cells. It’s resizing content according to display width and drops down one below the other for low resolution devices or mobile view. Buttons are used for various purposes like submit or reset a form, Go to page, download, link, etc… indicating an important action or to fire an event to do something on a web page. Different colours for buttons are available in Block and Inline style. Also can be used with icons to have better look and understanding.

Other Buttons

Inserts space below the current ROW. Inserts space above the current ROW. Deletes the current ROW and contents. Changes the column ordering. Moves current ROW and contents to right side. 2nd Column goes on top on mobile devices. Toggles the current Button Size. Makes it bigger or smaller. Inserts the horizontal divider into the cursor position.

IMAGE tab

Pick Rendition of the image When you select an image inside a page, the IMAGE Tab becoming visible. You must choose Rendition for every photo you have inserted into the page.

Horizontal Space & Vertical Space: As default the SharePoint sets these values to 5px. We advise to set them to 0 px.

Alt Text: Add a description of the image that can be interpreted by screen reader applications. This description will also appear whenever the image cannot be displayed.

Full size Image: Used when the picture is already cropped and resized. List Item Image: Used in Lists. Brochure Thumbnail: for Brochures. Medium Image: smaller than 50% of the page. Copy from Word, Excel or any other location 1. Go to the source content, select the text to be copied. 2. Right click, choose copy (Ctrl + C) 3. Open the page you would like to paste the text. 4. From Settings Menu choose Edit Page. 5. Right click to the place you would like to insert the text. Choose paste.

6. If you prompted the paste options, it means you have additional inline styles pasted. Choose Paste Clean from the paste options to clean them.

1. Open Sharepoint Admin Panel Window Layout. 2. From Quick Launch click Staff to open Staff List. 3. Click the ellipsis icon (…) icon of the desired Staff to edit. 4. Choose Edit Item. It will open the details of the staff to edit. Edit the information and click

1. Open Sharepoint Admin Panel Window Layout. 2. From Quick Launch click Staff to open Staff List.

3. Click new item.

4. Enter PersNo, staff id number. 5. Click Save.

6. The information for the staff will be retreived automatically from Database.

7. Click the ellipsis icon (…) of the newly added staff.

8. Choose Edit Item. It will open the details of the staff to edit. Fill the missing information and Save the staff.

11. Select picture of the staff and click Insert.

12. Choose Staff Image from Image Rendition dropdown list.

13. Fill the other missing information. OrderNo field is auto generated field by system. Leave it as it is.

14. The CV of the staff should in word or PDF format. The filename should be cv.docx or CV.pdf.

15. Click Attach File from EDIT Tab. 16. Click Choose File button to browse for file and

upload. 17. Save the staff.

Image Library

Uploading Images

Image Renditions Image renditions enable you to display differently sized versions of an image on different pages, based on the same source image. The image renditions are available for every image that is uploaded. When an image is added to a page, the author can specify the image rendition to use on that image. Authors can also crop the image rendition to specify the portion of the image to use in the image rendition.

Edit Rendition 1. Click the ellipsis icon (…) of the Image you would like to Edit. 2. Choose EDIT RENDITIONS

1. Open the Image Library from Quick Launch

2. Choose and click to enter the destination folder in the Library.

3. Drag and drop files from windows explorer into the page where says “drag files here”.

1. Find the size you would like to edit. On this example we choose Medium Image.

Pages Library The pages you have used within the English or Turkish site are stored in Pages library. Pages EN under EN: Contents for English pages and Pages TR under TR: Contents for Turkish pages.

Deleting a Page

1. Open Sharepoint Admin Panel Window Layout. 2. From Quick Launch click desired language of Pages Library. 3. Select your Document/Page with Item Selector. 4. On FILES Tab click Delete Document.

Warnings !

• Don’t Delete Pages which are linked on the menu or within the pages. • Remove the outdated content instead of deleting the Page or redirect the page. Pages can be

deleted when you mistakenly create them or for the content will never be used within the website.

Document Library Zip files, Word or PDF files, etc... (except images) used in the website can be stored in this Library. You can create folders to keep your files well organized.

Upload a file in Document Library and get url 1- Open the Document Library from Quick Launch. 2- If you would like to create new folder. Click FILES Tab, click New Folder. Give name and click

Save. 3- Choose the destination folder you would like to upload. 4- Click new item to upload a single file. For multiple files drag and drop files from windows

explorer into the page. 5- Click the ellipsis icon (…) of the document. From the dialog box you can copy the Url to link

from pages.

Photo Galleries Photo Galleries Library is used to store photos that will be used in pages like gallery. Every folder is one gallery. And the name of the folder represents the gallery name.

Create new gallery 1. Open the Photo Galleries from Quick Launch. 2. From FILES Tab click New Folder. 3. Enter name for the gallery and click Save. 4. Click on the newly created folder to open. 5. Drag and drop files from windows explorer into the page.

2. Click LIBRARY Tab, click Quick Edit. 3. The column OrderNo refers the sort order of the photos. TitleEN is English caption and

TitleTR is Turkish caption. 4. Edit items as you edit items in Microsoft Excel. When you finish click Stop editing this list.

Edit renditions of photos in photo galleries 1. Open the gallery folder in Photo Galleries Library. 2. Use Item Selector (Figure 3.0) to select Image. 3. Go to DESIGN Tab, click Edit Renditions. 4. Use “Image Gallery or News, Events Large” Rendition type to edit the rendition.

i. Web address: Url for the English language. ii. Description: Display Text for link.

e. Url TR: i. Web address: Url for the Turkish language.

News, Events and Announcements There are English and Turkish versions of News and Announcements lists and Events lists. These lists are connected each other to support language switching between the News, Announcements and

Events. The Item should be published at the same time in both languages, so the translation will be available when a user switches the language.

If the event will be held on Turkish language, it’s advised to put a message to the reader “Event will be held in Turkish”.

Before you add new News, Events or Announcements,

• Prepare Images, Graphics: o For News: it is compulsory to use a news image. Minimum width: 980px. Additional

images can be used inside news. o For Events: If there is a prepared poster, graphic, etc… o For Announcements: Optional.

• Title and content in both languages.

Item Approval Status explanation There are three different values for Approval Status. This values determines if the item will be displayed, displaying latest approved version or hidden. The table below show the item is visible or not according to different situations.

The newly added item to the List should be Approved to become visible. If you edit the item and not Approved yet, the item’s latest approved version will be displayed. Till you Approve it. If you edit the Approval status manually and change it to “Pending” than the item will not be visible.

*Always check the visibility in another browser that you are not logged in.

Updating auto created News and Announcements or Events When you add an item on of the News or Announcements list or Events List SharePoint creates new item on the other one. Let’s assume you have added a new item to “News and Announcements EN” list under “EN: Contents” than you must go to the “News and Announcements TR” list under “TR: Contents” to edit the item created automatically by SharePoint.

Slider List Slider EN list and Slider TR lists are two separete lists and they don’t have relation as we have on “News Event” lists. There isn’t auto created items in these lists.

Adding Images for Sliders 1. Open Images Library from Quick Launch. 2. Click Slider folder. 3. Drag and drop your files from windows explorer into the page.

Adding/Removing slides 1. Open required language Slider List from Quick Launch. 2. Click “Click here to insert a picture from SharePoint.” link. 3. Click “Browse” to find the image you have uploaded before and click Insert. Set image

Rendition to List Item Image and click OK. 4. Don’t check the Online field yet. 5. Enter the sort number of the slider to OrderNo. 6. Enter the Slider Title. 7. If you would like to link the Slider Title to a site or page, enter the link to the Webpage field.

Leave the description field empty. 8. Choose SliderName group from Dropdown list. If you would like to create new group, enter

new group name into “Specify your own value” field. 9. Check your newly created item on list view. If all fields are correct, than edit item again,

check the Online field. Your new slide will be available.

Recycle Bin The Recycle Bin can be used to recover content that has inadvertently been deleted from List and Libraries. To access the Recycle bin you need the click appropriate site Contents.

There is 3 different Recycle Bin. Every list or library item goes it’s parents Recycle Bin. You must choose your parent site first to see the corresponding Recycle Bin

• Root Site recycle bin • EN Site recycle bin • TR Site recycle bin

The recycle bin is enabled by default with an automatic deletion from after 30 days and an allocated storage amount for the 2nd stage.

Behavior of items in the first-level (Site) Recycle Bin:

• The site collection administrator can see all items deleted by any user from any site within the site collection.

• Non-administrator users can see the items they deleted from the site. • Items in the Recycle Bin can be sent to the Second-Stage Recycle Bin by the user or the site

collection administrator. • All items are automatically deleted 93 days after they were originally recycled.

Behavior of items in the Second-Stage Recycle Bin:

• Items in the Second-Stage Recycle Bin can only be seen by the site collection administrator. • Items in the Second-Stage Recycle Bin can only be restored or deleted by the site collection

administrator.

Restoring from Recycle Bin 1. Open the appropriate Recycle Bin. 2. Select the check box next to the item you want to restore, and then click Restore Selection.

If you restore an item that was originally located in a deleted folder, the folder is recreated in its original location and the item is restored in that folder.

Troubleshooting

If someone else is working on a page, it will be checked out to that person. You will not be able to work on the page until that person checks the page back in. Contact the person, if possible and ask to check in. If you cannot reach the person, then contact the EMU Web Office to fix the issue.
