1) Work out your auto enrolment manuallyManaging your auto enrolment manually can take you a vast amount of time and effort. Imagine having to assess each and every employee to see if they fit into a certain criteria every time you run your payroll? This is what the law requires and managing it yourself could take up as much as 4.5 hours per payroll run according to the CIPP. In addition to this, having to manage such a complicated process manually so often, you could end up making mistakes and being non-compliant with the workplace pension legislation.

2) Export your auto enrolment to a middleware providerA middleware provider is a third party piece of software that runs outside your payroll. At the beginning of auto enrolment, many businesses that staged adopted a middleware provider to manage their auto enrolment solution purely because there were no better alternatives. Middleware; whilst appearing to be free up-front, can be very costly going into years two and three. Middleware can complicate the process, it doesn’t run within your payroll software and can cause complications further down the line when it comes to re-enrolment

Manage auto enrolment efficiently within your payroll

Benefits:

• Auto enrolment assessment can be fully integrated into your payroll software. This means that there is no exporting and importing of data to third party solutions because all of the information you need to run assessment of your employees is ready for you.

You can simplify your payroll process

The IRIS AE Suite™ sits within your payroll software and automatically assesses employees’ eligibility for auto enrolment as well as sending payslips and P60s electronically and distributing pension communications to employee’s secure, online portals.

As you can see from the tables above, the 3rd party or middleware provider process contains a lengthy, tricky method that requires you to run your payroll twice. The IRIS AE Suite™ allows you to manage your auto enrolment assessment within your payroll and then subsequently generate the required payroll, P60 and pension letters as well as generating the pension output file.

This means that you can simplify your payroll process and reduce the amount of time it takes for you to manage your auto enrolment. Consequently this allows you more time to concentrate on other, more business-centric tasks.

The simplified process on the right only adds one further step to your auto enrolment process and that is simply to export and upload the pension output file to your chosen pension provider. As of November 2015 the IRIS AE Suite™ is supportive of NEST Web Services, which allows you to upload your pension output file directly to NEST within the IRIS AE Suite™ itself meaning that you don’t have to export a file from your payroll software to upload to the NEST website.

You can automate the distribution of payslips, P60s and pension letters

The automated distribution of payslips, P60s and pension letters means that you could save up to £1.75 per payslip, per payroll period. This is because you will no longer have to print, sort and send the documents as they are automatically produced and delivered to the employee’s online portals with the click of a button within the IRIS AE Suite™.

Automating this distribution means that you do not have to worry about remembering to do it manually. This is a legally required aspect of your auto enrolment responsibilities which means that forgetting to do it or getting it wrong could lead to your businesses being non-compliant with auto enrolment and therefore incurring a fine.

There are four legally required pension letters that must be sent out at various different stages in an employee’s auto enrolment journey. What are my outsourcing options?

Payroll services: Payroll processing and production of BACS files for processing, a backup can be provided so that payslips or BACS files can be processed in house.

BACS service: Our BACS accredited bureau can make all your BACS payments on your behalf. Our service is completely secure and you can be confident the payments will be processed correctly and on time.

Payslip printing: We will print and seal your payslips and can send to either one address or directly to your employees. You can benefit from professional laser security payslips without the need to invest in a pressure sealing machine. Your payslips will be printed in a secure off-site environment ensuring payroll data is kept confidential.

Year End Service: This service includes: processing PAYE tax and NI payments, P60 production for employees, filing Employer Annual Return (P35 and P14s), filing expenses and benefits and production of the P11D and P9D forms.

P11D production: We can look after your P11D production, carrying out all calculations and submitting information online to HMRC.

Digital Payslips: You can utilise IRIS OpenPayslips with our managed service.

You may only need some payroll services taken care of or you might prefer to outsource your entire payroll process.
