Policies, Procedures & Additional Information

Catering All food and beverage must be served by one of our 9 preferred caterers. Please note that all caterers will charge a 15% landmark commission fee on food, beverage and event staff, with the exception of our in-house caterers, Gourmet Cuisine and Impressions. The caterer shall provide the food, beverage, alcohol, serving staff and rentals. The client may not prepare and/or bring food. The caterer is charged a kitchen usage fee of $300 if they choose to use our in-house kitchen and a $100 garbage removal fee. Caterers that are not on our list are not permitted. Beverage Service All bar services must be provided by your chosen caterer. Clients are not permitted to provide their own alcohol. Your caterer must bring the alcohol prior to the event and remove it from the premises at the conclusion of the event. A Special Occasions Permit is required for the service of alcohol, which the client must obtain from the Liquor Control Board of Ontario. This permit must indicate the date(s), time and place where the alcohol will be served and consumed. This permit is required onsite. Without this permit, we are unable to allow the service of alcohol at the event. Homemade wine, beer and spirits are not permitted. Parking Parking is available at the discounted rate of $5.00 per vehicle for facility rental clients. Parking can be paid by your guests as they enter, or tallied and invoiced to you following the event. Parking is complimentary with after-hours rentals. Electrical Please discuss your electrical requirements with your event representative. There is a 4-hour minimum charge of &75/hour to have electrical support onsite. All after-hours events require an Electrician for the

entire duration of the event, including setup and tear down. This is included in the rental price. Internet Please advise your sales representative if internet is required, so that arrangements can be made. Additional fees may apply. IT staff is not available to assist clients with logging onto the network. Décor All décor and signage must be free-standing; some exception can be made, subject to the approval of your sales representative. It is the responsibility of the client to remove (or arrange for the removal of) all décor and signs at the end of the event. After Hours Event Setup Exhibit hall setups may begin after the building closes to the public at 5:00 pm or 6:00 pm, depending on the time of year. Limited Great Hall set up may begin at 2:00 pm on the event day. Load In Load in for an event may only take place in the scheduled times, as provided by your sales representative. Your sales representative will contact your suppliers to discuss these time restrictions. Suppliers arriving prior to the load in time will not be given entry. Load Out Load out must occur on the same evening of the event. The Ontario Science Centre is not responsible for items left behind at the conclusion of an event. Preferred Rental Suppliers The Ontario Science Centre has 3 preferred rentals suppliers: Chairman Mills, Exclusive Affair Rentals & Gervais Party and Tent Rentals. Should you wish to use an alternative supplier, please supply name and contact information to your sales representative, prior to booking their services. A 10% commission charge will be billed to the rental supplier on any rental products secured for an event. This

commission charge must be paid in advance for any supplier currently not in a contract with the Ontario Science Centre. Event Suppliers Please submit a list of names and contact information for all external event suppliers, 2 weeks prior to the event date. This includes suppliers such as DJ’s, florists, bakeries, specialty linens and drapery, decals, entertainers, photographers, etc. All suppliers will be contacted by your sales representative to discuss load in/out procedures, as well as any necessary insurance requirements, licenses or commissions. The supplier must be able to supply documents, if requested, in order to be given access to work onsite. Resources The Ontario Science Centre has a limited number of tables and chairs. Please inquire about availability. Hours of Operation The Ontario Science Centre is open from 10:00am to 5:00pm throughout the year. These times may vary, depending on holidays and special exhibits. Setup for after-hours events may only begin once the building closes to the public. The Ontario Science Centre closes at 1:00am for after-hours events. An additional charge of $500 is required should you wish to have your event run until 2:00am. Deliveries and Storage All deliveries must be arranged in advance with your sales representative and must take place outside of operating hours. Limited storage space is available should you require. Pickups Any leftover materials from an event that are stored in our facility will be discarded after a week from the event date. Staffing Additional staffing charges may be applied, depending on the requirements for your event.

Cleaning Fee A garbage removal fee is charged for all evening events. Additional cleaning fees may apply. Bookings A 25% non-refundable deposit is required at the time of booking, if a booking is made more than 30 days prior to an event. The remaining balance is required within 30 days prior to the event date. Events booked less than 30 days prior to the event date are required to provide full payment. The Ontario Science Centre reserves the right to book other events on the same day as your event. Cancellations Refunds will not be granted for events cancelled within two weeks of the event date. Events cancelled more than two weeks prior to the event date will be reimbursed for 75% of the contract price. Audio Visual Our in-house Audio Visual professionals can supply you with the equipment and technical support you require for your event. Additional costs apply. Rental Space Due to the nature of our venue, our exhibit halls and public areas are constantly evolving. Displays and exhibits may change periodically throughout the year. We will do our best to inform our clients of changes that occur which may affect their event space. Pictures Guests are permitted to take photographs onsite. Private Suite A space will be provided to the client for use as a “private suite”. Please do not store valuables onsite.

CATERING

All catering services must be provided by one of our preferred caterers. Catering is a separate contract. A 15% landmark commission fee is charged by our caterers on food, beverage and staff. Please contact caterers directly for menus and quotes.
