We, the pledges of Alpha Rho Chi Fraternity at Sostratus Colony, hereby request that this Petition to Form a Chapter

of said Fraternity be examined.

Having fulfilled the requirements given us by the Grand Council of Alpha Rho Chi Fraternity, we request that the Grand Council and the several Chapters of Alpha Rho Chi Fraternity examine and test this,

our Petition to Form a Chapter, as evidence of our efforts and of our worthiness to be admitted as Brothers.

Therefore, we hereby submit this Petition to the Grand Council and to the several Chapters of Alpha Rho Chi Fraternity,

in full faith that it will be examined and tested in accordance with the traditions and regulations of said Fraternity.

colonizationThe colony wishes to thank our pledge trainer, Brother Camille Ganir, for all her efforts and patience with us during this process. We could not have done this without you.

We also thank Brothers Laura Schmidt, Charles “Chooch” Pickard, and Dana Hennis for traveling all the way to Pullman to pledge our colony, as well as for all the help they have provided during the colonization process.

We also thank our big brothers at Andronicus Chapter for their guidance and friendship.

We also thank Brother Scott Swanson for his help during colonization.

The beacon is representative of the Great Lighthouse of Alexandria, which was constructed by our namesake during the Third Century BC under the patronage of Ptolemy I of Egypt. In Sostratus’ day, the Pharos was used as a day beacon,

and the beacon fire was added under the Romans. According to legend, Ptolemy refused to allow Sostratus to mark his work and instead demanded that the

credit go to himself. Sostratus, however, had “Sostratus, son of Dexiphanes, the Cnidian, to the Savior Gods for the seafarers.” This was plastered over and an

inscription honoring Ptolemy chiseled into the plaster. Over time, the plaster fell away, leaving Sostratus’ original inscription.

The Great Lighthouse stood until the Fourteenth Century, when it was toppled by several earthquakes. In its day, it is thought to have been the third tallest

building on Earth after the Great Pyramids of Khufu and Khafre. It was said that the light of the beacon could be seen as far away as 35 miles. Antipater of Sidon included the Great Lighthouse among the Seven Wonders of the World, and the Muslim traveler Ibn Jubayr said of it, “Description of it falls short, the eyes fail

to comprehend it, and words are inadequate, so vast is the spectacle.”

Concerning Sostratus himself, little is known besides his involvement in the design and construction of the Pharos lighthouse in Alexandria and that he was

from Cnidus (in modern-day Turkey). His other known projects are the Hanging Pleasure Gardens at Cnidus, the Clubhouse of the Cnidians at Delphi, and some military works in the service of the Ptolemy, including temporary redirection of

the Nile at Memphis. His final known project is the Tetra Stadium at Alexandria.

In the beginning, there were three guys wanting more of a connection with other architecture students. Bryce Cahill, Caleb Summerfelt and Craig Pontius began their research and came across Alpha Rho Chi. The decision had been made but was there an interest from the other students? Fliers were posted and at the first meeting decisions were made, we had a first group of officers that would continue the dream. This was the beginning.

Communications with Nationals had provided us with the steps and

the things that we would need to accomplish in order to join this fraternity that we all so desperately wanted too. It was evident there was lots of work ahead and we needed to begin the checklist. From there the first semester consisted of recruiting, mainly second and third years. People came and went, but one thing remained the interest from the beginning few. Everyone who stuck with it through the challenges began to learn what being a brother really meant and gained friendships that will stand the test of time.

Pledging was a very amazing time for all of us. It felt very official at first with the Worthy Grand Associate Architect Laura Schmidt, then Expansion Director Charles “Chooch” Pickard, and our Regional Director Dana Hennis.

But in time we relaxed a little and it felt more like they were brothers that we had not seen for a while. It was truly amazing to experience a bond so fast with complete strangers. This was a true realization of what Alpha Rho Chi was all about. Before pledging, the executive board and our faculty advisor Ken Carper met with the national representatives for the first time. We had lunch at the Fireside Grill in town.

Afterwards we proceeded with the pledging ceremony, which was our first taste of what this process was going to be all about. Later we enjoyed our first dinner as a colony at Basilio’s. We continued bonding as a group, and had fun showing nationals who we were, and that Pullman may be in the middle of nowhere, but we might as well be in a big city.

Pledge Trip to SeattleDate: April 18th

The pledge trip to Seattle was a great bonding opportunity for all of us. It brought the group closer and was great for relieving the stress of school. During the trip we met our pledge trainer Camille for the first time in person. It was great to be able to meet her face to face, and have a pledge meeting in person. After the meeting we invited Camille to dinner at Jesse’s house, where we were staying. It was a great time for bonding and sharing a meal prepared by Jesse, Craig, and Josh. The dishes included everything from gumbo to guacamole. After Camille left, we enjoyed an evening of polar bear swims in Beaver Lake at 50 degrees

in the water and 40 degrees outside. Also some hot tub relaxing with a few too many people trying to get in. After the outdoor events we had a live band playing some “Rockband” on an Xbox 360 and some pool down in the basement. It was a great time where the memories and bonding with our brothers will not soon be forgotten.

To Kill a MockingbirdSetbuild for

Pullman Civic Theatre’s

production of

To Kill a Mockingbird

running in October

As a community involvement project we became involved in the construction of a set for the play To Kill a Mockingbird. We felt that this was a great use of our collective skills in design and carpentry. It also posed the opportunity for our members to grow in their skills by getting to actually build a project form plans in order to better understand the process of designing a build-able environment.

They set us to work constructing raised multi-use stages, as well as house facades including the construction of usuable and structurally sound

platforms, patios, doors and window frames. Stairs were also fabricated for one of the houses, presenting the challenge of making what is usually a fixed object mobile. Construction was completed on weekends spanning a month prior to the play itself.

The director and set designer were pleased with our work and thanked us by allowing us to attend the rehearsal. On top of this she has asked for our continued services on their yearly “big show” where they have need of help at this level.

Helping to better prepare freshmen at Washington State University for its grueling architecture program, a workshop was made available on September 4th 2008. Among the presenters were Craig Pontius, Joshua Mantyla, and Jesse Wolfe. Each presented a portion of this workshop, including discussions on drafting, rendering, sketching, the tools of the trade, as well as additional supplies found to be useful to the upperclassmen. In attendance at this workshop were five to eight first year architecture students.These students were also presented

the opportunity to ask questions of the presenters about the program and our experience with it. Following this presentation several of these students expressed interest in further workshops as well as joining the fraternity.

Recruitment BBQ

Location: Reaney Park

Date: September 20th

Time: 12 pm

New Colonist:Sheena McNeice

The recruitment BBQ was a huge success. It accomplished its major tasks of both brotherhood and recruitment. This event included the BBQ as well as a couple games of Ultimate Frisbee, and a touch football game to top it all off. The majority of the group was there, along with six recruitment potentials. Through this we gained one person who is still very active within the group, in Sheena McNiece. The food was great and so was the company. Everyone at this outing had a great time while enjoying food prepared by everyone. That included

burgers (some bigger than others), chips, drinks, and of course what BBQ isn’t complete without the chocolate chips to top it all off? Once everyone was stuffed so they couldn’t eat any more the games of Ultimate Frisbee and football took over, and took on their own rivalry that made sure that everyone had a blast.

This truly was a day where we were able to show our brothers that we were in this together till the end, and gave us the chance to talk to potential recruits about everything that we had to offer with our membership.

Cougar CarwashLocation: Dissmores IGA

Date: September 28th

Time: 12pm - 4pm

Money Made: $200

For one of our fundraising events, we held a carwash and bake sale in the Dissmores IGA parking lot. The event lasted from 12pm to 4pm on September 28th. We assigned a baked good for each member to bring and a poster to advertise for this truly epic event. Luckily on the day of the carwash, the weather was beautiful and warm so we could soak up the last rays of the summer sun. A table was set up for all the baked goods, and all the signs were being waved to drivers on the street. For the entire four hours of the car wash, there was always at least one car beig washed, although we had some gaps so we could wash all of our own

vehicles too. Members present at the carwash included Jesse, Wellbe, Craig, Mark, Josh, Andy, David, Natalie, and Jamie Little. With those of us present, we were able to wash multiple cars with people running the bake sale and holding signs, all at the same time. Mark brought his stereo for us to listen to the radio for some background noise while we stayed busy getting cars clean. The car wash was our largest fundraising event held so far with nearly $200 made, the cash made is extremely nice for our colony to hold recruitment events and advertise around campus, helping to make the Sostratus colony of Alpha Rho Chi better.

Constitution of the Sostratus Chapterof Alpha Rho Chi at Washington State University

PREAMBLE

In order to secure a closer fellowship among ourselves, and to encourage a greater interest in the study of Architecture, Planning and the Allied Arts, this chapter of the Alpha Rho Chi Fraternity is hereby established and constituted, we hereby declare for its government this Constitution.

ARTICLE I: NAME, EMBLEMS, MOTTO, ETC.

Section I: NameThe corporate name of this Fraternity shall be the Sostratus Chapter of Alpha Rho Chi Fraternity.

Section II: EmblemsThe emblems of this Fraternity shall consist of a badge, a coat of arms, a sister pin, a recognition button, a pledge pin, a system of colors, and a flower.

Section III: ColorsThe colors of the Alpha Rho Chi Fraternity shall be Sanguine (Maroon) and Azure (Blue).

Section IV: FlowerThe flower of the Alpha Rho Chi Fraternity shall be the White Rose.

Section V: MottoThe Motto of the Alpha Rho Chi Fraternity shall be “Fidelitas, Amor, et Artes.”

Section VI: Badge, Coat of Arms, and Cadency MarkThe official forms of the badge, coat of arms, and pledge pin, sister pin, and recognition button shall be as prescribed in the Ritual. The Cadency Mark of this Chapter shall be the Beacon.

ARTICLE II: OBJECTIVES & POWERS

Section I: ObjectivesThe Objectives of Alpha Rho Chi Fraternity are: to organize and unite in fellowship for the education and professional development purposes the students of Architecture and the Allied Arts of this University in order that this Fraternity may promote the ethical, artistic, scientific, and practical proficiency and community involvement of its membership and the profession.

Section II: Powers The powers of this Chapter of the Alpha Rho Chi Fraternity are:

a. To legislate and administrate pursuant to this Chapter Constitution and By-Laws and the National Constitution and By-Laws of Alpha Rho Chi Fraternity for the general benefit and welfare of this Chapter and this Fraternity.

b. To charge and collect dues and fees of its Members and for the National Fraternity. c. To determine, and to be the sole judge of any disputes, obligations, and responsibilities

between each of its Members and between each member and the Chapter. d. To accept or expel Members of this Chapter. e. To perform any other acts for the benefit of its Members or Membership, which are not

inconsistent with the applicable Federal, State, or Local Laws, Regulations, and or Ordinances; or the National Constitution, National By-Laws and the Franchise granted to this Chapter by the Alpha Rho Chi Fraternity.

ARTICLE III: ORGANIZATION, DISCIPLE, & GOVERNMENT

Section I: OrganizationDelegates from the Alumni Associations, Chapters, the Grand Council and its Officers in Convention shall assemble the National Government of this Fraternity, and at all other times such shall occur as prescribed by the National Constitution and By-Laws.

Section II: DisciplineRobert’s Rules of Order, Newly Revised Edition, shall govern all meetings of the Fraternity including Conventions, Grand Council, Alumni Association, Chapter, and Committee Meetings, except in such cases where these rules conflict with the National Constitution and By-Laws of the Fraternity.

Section III: Governmenta. Those individual Members possessing the power and right to vote and the Meeting

Officers shall govern this Chapter during any Regular or Special Chapter Meeting. b. At all other times by the Chapter Executive Board and the officers of this Chapter

pursuant to and according to the power and authority vested in them by its Articles of Incorporation, the Constitution and By-Laws of this Chapter, the National Constitution and By-laws and the Franchise granted to this Chapter by the Alpha Rho Chi Fraternity.

ARTICLE IV: OFFICERS & EXECUTIVE BOARD

Section I: OfficersThe officers of this Chapter shall consist of a Worthy Architect (President), Worthy Associate Architect (Vice President), Worthy Estimator (Treasurer), Worthy Educator (Pledge Trainer), Worthy Scribe (Corresponding Secretary), Worthy Clerk (Recording Secretary), Worthy Superintendent (Sergeant at Arms), as elected by the Chapter, and Committee Chairmen or others as elected or appointed.

Section II: Executive BoardThis Chapter shall have an Executive Board consisting of the Worthy Architect (President), Worthy Associate Architect (Vice President), Worthy Estimator (Treasurer),

Worthy Educator (Pledge Trainer), Worthy Scribe (Corresponding Secretary), Worthy Clerk (Recording Secretary), and Worthy Superintendent (Sergeant at Arms); as elected by the Chapter. The “Executive Board” as stated in this Chapter Constitution and By-Laws corresponds to the “Board of Directors” as stated in the Alpha Rho Chi Fraternity National Constitution and By-Laws.

ARTICLE V: MEMBERSHIP & ASSOCIATES

Section I: MembershipThe membership shall be divided into 6 classes within this chapter of the Alpha Rho Chi Fraternity, as prescribed by the following.

a. Chapter Active members shall consist of students registered in professional courses leading to a Bachelors or Masters Degree from this University, who have been Pledged by the Chapter.

1. While membership is encouraged amongst majors in the fields of Architecture, Planning and the Allied Arts, all students who have a dedicated interest in said fields are welcome and encouraged to join Alpha Rho Chi Fraternity.

2. Affiliates chapter members shall consist of an Active Member of Alpha Rho Chi Fraternity who has transferred to and is enrolled at this University as a student and wishes to affiliate with the Chapter, only upon the approval of the Chapter and only if he presents a letter from his Chapter Worthy Architect stating he is an initiated member and in good standing with his Chapter with all dues and fees paid.

b. Chapter Non-Graduate members are members who withdraws from college before receiving a degree.

c. Chapter Alumni membership shall consist of all graduate and non-graduate chapter active members of this chapter, and may include chapter actives from other chapters of Alpha Rho Chi based on their geographical proximity and desire to join the Alpha Rho Chi, Sostratus Alumni Association.

d. Chapter Faculty members shall consist of any faculty member of this University who has participated in the Chapter’s development and has been initiated by the Chapter.

e. Honorary members are those individuals recognized by the executive board and endorsed by the chapter, who have contributed to the goals, mission and values of the Alpha Rho Chi Fraternity and the Sostratus Chapter, without having being initiated through the customary rites and rituals of the chapter and national fraternity.

f. Master Architect members shall conferred the title at Convention upon such individual brothers who have gained National prominence in the field of architecture, the allied arts, or who have made significant contributions to the built environment; who have been members of Alpha Rho Chi for not less than two years; and have met criteria as set forth by the Convention and verified by the Nominating Committee. Such individuals shall be proposed by the Grand Council and approved by a majority of the Chapters and Alumni Associations prior to participating in the Fraternity's Ritual. A Chapter, Alumni Association or the Grand Council may nominate an individual for the title. Nominations must be approved by a three-quarters (3/4) majority vote of the Chapters and Alumni Associations.

Section II: Joining the ChapterMembership in the Sostratus Chapter shall be by invitation issued by the Chapter in accordance with current fraternity and chapter policies.

ARTICLE VI: AMENDMENTS & VOTING

Section I: AmendmentsAmendments to this Constitution and By-Laws must be proposed in writing, signed by a minimum of three members and must be presented to the Chapter at least one meeting before the meeting at which a vote is held. The Grand Council of Alpha Rho Chi Fraternity must approve all Amendments to this Constitution and its By-Laws in writing.

Section II: VotingAn Amendment to this Constitution and By-Laws must be approved by a ¾ vote of the membership present and voting, providing there is a quorum present.

ARTICLE VII: APPROVAL

This Constitution and By-Laws are hereby declared the governing documents of this Chapter of Alpha Rho Chi Fraternity and all members shall respect them accordingly.

Bank Account - We need to open a bank account for our colony.

Dues- The colony has set $20 per semester for our dues.

Namesake - There was a discussion about ideas for a namesake. No decision has been made at this point in

time.

Member Definition - The colony has discussed the definition of “allied arts”. The conclusion is that any field can be

considered an allied art as long as said person has a keen interest in architecture.

Decisions made during a meeting:

- Fall Semester dues waived o The motion made by Ron Fabros was passed unanimously.

- Dues due mid-semester each semester o The motion made by Matt VanGunda was passed unanimously.

- Referred acceptance of sociology major to online voting o Unanimous consent

Advisor- Somebody will need to contact our advisor and get a letter from our advisor to turn in with the

Statement of Reason.

Old Business Cadency Redesign

• Josh has finished the cadency mark. The sheets of different versions were passed around. The decision to send these to the Grand Worthy Council was unanimous.

Professional Programming • Craig has been in contact with the Pullman Theatre and it sounds like we will be able to help

build sets sometime next month. • Chelsea is going to talk to the Pullman School District to see if they need help as well. • We would like to set up a firm where everyone can go to visit this year or next.

New Business Travel to another Chapter

• Everyone agrees that if Andronicus is our sponsor chapter that we would like to visit them. Possibly stopping at other chapters on the way down. The best time to visit would probably be spring break next year so that we have an opportunity to fund raise and so that we are not missing school.

• We are going to Seattle sometime this year so everyone look for dates in which this may be possible. Jesse has suggested that we could possibly stay at his father’s house.

Recruitment• We need to be able to plan events and have recruitment events for students to attend. Matt has

information from IFC that is for chapters that are struggling with recruiting or are just starting upon ways to recruit.

• In order for a new member to join they must attend at least 3 meetings and at least 2/3 of the colony must vote yes on the fact that they want them to join.

Shirts• Bring more concrete versions of the design to the next meeting for group discussion.

Vice President, Matt VanGunda • Make sure you know who you are riding with to Seattle. • There is a program for learning about hazing that we should consider; Matt will send out the

information via email. • Work out within your own group who is paying for what as far as rides to Seattle.

as there will be a lot of people in one house.

New Business Conference

• There is an Alpha Rho Chi conference in October, in Austin, Texas. • We need to do some fundraising if we wish to send anyone to go to this event. • If we finish all of our colony requirements then we can possibly get initiated at the conference. • It was decided that we should finish pledge training during finals week so that we do not have to

continue it in the fall.

Committees Committee meeting times: • Finance- Thursday nights at 7:00pm • Professional- Monday at 7:00pm • Records- Tuesday at 7:00pm • Correspondence- Wednesday at 6:00pm The rest are yet to be determined.

Pledge Project • We could do a tour for freshman or a pamphlet of the Palouse with general information about the

area.• We could do a tour of the architecture firm in Pullman. • We decided to offer our services to the school to give tours of the buildings and give our student

perspective on the program. oWe need to talk to Kessler about this as we will need his permission.

Open Forum Posters

• We should put informative posters about the fraternity on doors and windows around the building as this would be an inexpensive way to get our name out to more people.

Brotherhood• We need to have more brotherhood events in order to get pictures for rush and recruitment. • We can do the ropes course as a brotherhood event, assuming that we can find an open time for this.

Seattle Trip Mark cannot drive and therefore we need to work out the car arrangements. Contact Matt for a list of who is riding with who. We are going to have a dinner party at Jesse’s dad’s house so we need to consider food allergies if anyone has any that we need to be aware of. Shrimp will be in the meal for sure.

ConferenceIdeas for raising money for this:

• We need RSO insurance for concessions at football games, and there is already a lot of groups doing this.

• We could talk to AIAS about doing a bake sale with them. This may or may not go over well. • Doing a bake sale at night in Carpenter might go over well as there is nowhere really close to get

food.• Carwash- include a donation accepted sign as we cannot charge people outright. • Sell energy drinks at night in Carpenter. The school may not allow us to do this. • Consider a bake sale at the Moscow farmers market on the weekend.

Rush and Recruitment We need to come up with social events so that we can get to know possible future pledges. We can also go around and talk to each section of studio about Alpha Rho Chi. We have decided that we need to have at least three social events at the beginning of the year with fliers that have a schedule of the events. We should try and recruit engineers as well as architects as they are in a related field of study. Recruitment should be 3 to four weeks long in order to get to know the possible pledges and to make sure they are truly interested, and the pledge class should be limited to 15-25 people

Activities could include: • Open BBQ- byo beef • Informational meetings • Ultimate Frisbee • Water events – Swimming, Cliff-diving. • Toolbox building session • A formal dinner before official pledging

Treasurer, Natalie LongWe need to hold elections for a fundraising committee chair. Natalie is in charge of fundraising but not able to lead the efforts. Everyone needs to do their part to help with this. The amount each person pays in dues needs to be discussed. Last year they were $70 ($35 per semester) however she suggested that we raise them due to the fact that we will be encountering new fees.

Clerk, David Freeman The records committee needs to meet up and get going on the history book.

Scribe, Paul EllisPaul visited Andronicus over the summer and met with alumni. They discussed the types of people that are good to have in the pledge class.

Recruitment Chair, Jamie LittleJamie helped to run the booth at the all campus picnic and had a few people take interest in the fraternity including professors, parents, and President Floyd.

New Business

Professional Program

To Kill a Mockingbird- Set Design Fridays are the day that the theatre has set aside the time for us to work. They have the supplies and the design; they just need the extra hands to do the construction. We may possibly have to find a way to make a swing be supported by the keys.

We need to work on this project together possibly with t-shirts for the production team. Thet-shirts could possibly become fundraising efforts but this needs to be ran by the Grand Council.

Haunted HouseThere is also a haunted house on campus that could be another possibility to help reach out to the community. More information will be gathered and the issue will be discussed at a later time.

Pledging

We need to issue a proposition to nationals in order to become a chapter. Everything that we have done needs to be sent to the national committee including pictures, records, and the pamphlet. Multiple people should work on it and one person can put everything into one final product. Jamie Little volunteered to do the final product after everyone else has done their own separate part. We should think about setting a number for how many pledges we can accept each semester. We need to start recruiting for next year. Ideas for recruitment events include workshops, barbeques, intramural sport, and Snake River trips.

Fundraising

Car Wash We need time to do this as it would be a good opportunity to raise some funds since all we would need to purchase is soap and some rags. We could even have a bake sale or garage sale coincide with the car wash.

Selling Chipboard The idea was to buy a ton of chipboard and sell it to the other students, since we can purchase a sheet for a dollar and then sell it for less than the Bookie ($1.50 per sheet). We would have to buy 300 sheets though and the concern is if we could feasible do this and if it is economical. The other concern is if we would need a business license or some other form of permission.

Booth on the Mall The idea is to sell something up on the mall such as hot dogs. The cuncencious is that there is not enough of a demand that it would not bring in sufficient funds. Plus we would need a food permit. This idea is more for just getting our name out to the students.

Leadership Conference

We need to try and send someone to the conference. First we need to examine the money and see if it is possible and if so can we send more than one person?

We discussed how much we were spending on this colony vs. how much we felt that we were getting back from it. We decided that we need to cover more activities with our dues than we did in the previous semester. This being discussed the local dues have been set at $35 this semester with the option of re-examining for next semester.

Upcoming Events

The freshman workshop and the recruitment barbeque are on the horizon so be thinking about them.

Things to Do

Consider who should be the Fundraising Chair. We will vote on this next week. Think of dates for the barbeque and a list of what we will need. Make a flyer or two for the workshop and put up in carpenter somewhere.

Mark was nominated by himself and endorsed by Paul. Open vote has been decided upon with the results of 7, 0, 2.Mark has been elected for the position of Fundraising coordinator.

Fund Raising Activities

Car Wash The car wash needs to be done soon due to weather getting colder. Talk to Zoe’s about doing it one of the two next Sundays.

ConcessionsIn order for us to sell concessions at WSU events we need to get RSO insurance for $200. Mark is going to look into the profit margin a little more closely while Natalie looks into the insurance.

Petition Documents Meant to cover everything from pinning to the last thing we do before we send it in. Activities that we would like to cover in the document are pledging ceremony, the Seattle trip, the freshman workshop, and the set build. We also need to include the pledge project (pamphlet) and the Constitution and Bylaws. We need to make a layout for the pages so that we may place pictures and short stories.

WorkshopJesse, Craig, and Josh will be leading the workshop. It is intended to cover basic techniques for new students. Every member is encouraged to try and step in for a few minutes. Everyone who comes needs to wear pledge pin and sweatshirt. Make sure you come in quietly as not to interrupt.

Professional Project

Set Build We are able to meet on Friday evening or Saturdays and need to have between 4 - 8 people at a time as there is not much space in the theatre. The theatre is above Dismores. The theatre has lots of wood, styrofoam and other building elements to work with. We will be putting together 4 house fronts for the play. There are different levels on the stage so that people can walk up and down. We need to make it look authentic. Renderings have already been done on Sketch-up so all they need us for is to build. One person will be there to act as foreman and to keep order and understand what we need to do next. Those who can, please start on Friday and keep track of who is working each day because everyone needs to participate as much as possible. We will work on Fridays for now and then play it by ear to see how much time it will take. The idea of T-shirts will be too much money for the benefit.

Haunted House The haunted house is only a possibility at this point since Orton group is underway. Those who cannot be a part of theatre project should work on this if we decide to do it.

FeesWe upped our local fee to $35. This needs to be paid by all members. Part of the reason that we raised the fee is that there will be a $250 Chapter initiation fee that needs to be paid upon initiation.

AppearanceAs a group it is requested that we all dressing up for formal critiques. It is already required to dress up from 2nd year on, so just make sure and wear your pin (should already have it on anyway). The discussion was made to explain between desk critiques and formal critiques. Also when going on study tours be sure to dress appropriately for touring firms. Even though we are required to dress nice for critiques it would be a good idea for us to do this on a daily basis - at least more professionally dressed than the average student.

RSOIn order for us to be recognized by the university more people need to sign up on the website:getinvolved.wsu.edu. The people in charge of finances, Natalie and Mark, need to go to the workshop. Go to the website for time and place.

Sergeant at Arms, Craig PontiusWe are having problems with people showing up late to meetings, people not showing up to meetings at all and excessive talking at meetings. Please work on this. Also Chooch wants an update of everything that we have accomplished.

Old Business BBQ It was decided that the barbeque will be held in Reaney Park on September 20 at noon. The decision was made to use colony funding to pay for the food. It will cost about $65 for 40 burgers with all the fixings, and we should only have one person do all the shopping so that we don’t bring duplicates. Since the park is a large with enough space for a variety of activities we are going to look into what we can rent. Ideas are football, volleyball, and other activities from the OREC.

Fund Raising

ConcessionsIt would cost us $200 for the group insurance and that is if we have 15+ people. It was suggested that we may look for something at U of I, however selling concessions does not seem feasible at this point in time.

Car WashIt will be held in the Dismores parking lot on Sunday, Sept. 28 from 12-4pm. Anyone who can be there needs to be there. The supplies we need soap, hoses, sponges, rags, and buckets. The funds for the supplies will come from the colony bank account. It was suggested that we do a bake sale at the same time as the car wash. We would have enough people to man both. Everyone should bring something to sell. Mark will contact Dismores to find out if we will even be allowed to do the bake sale.

Brotherhood Chair Natalie nominates Jamie Millard for position of Brotherhood Chair and with no other nominations the decision was made to do an open vote with no interview. Jamie Millard has been elected as the new pledge trainer and will need to start getting some events planned for us.

PetitionChooch, along with other national members, wants an outline as soon as we get it. Collection of all the pictures from the events we have held is one priority. We need to create pages like in a scrapbook that explain each event. In order to assemble all of the pictures we will have a brotherhood at Stevenson on Thursday at 7pm at the font desk. Make sure to bring pictures, stay for one hour or until the project has been completed.

Professional

Theatre projectOne stage has been built and we will see if it works after this week. However they would like us to develop a work schedule so that it is more consistent and we know that enough people will be there. The available times are weekends. We need to have the foremen keep in contact so that we know what to do the next day and what needs to be finishes. This project needs to be done as soon as possible so practicing on the set can take place.

Read your pledge books!

Our reputation with the School of Architecture is lacking a relationship with our program and professors. We might think about writing out a letter about our fraternity and our goals that may go out to the professors. We would like to have a higher academic standard, have a better relationship with other clubs, and remember that school should be first priority over Alpha Rho Chi.

Along with this you need to create a this is who I am “scrapbook” page that is due in two weeks. Please format it as a basic 8.5”x11” which should include a picture of yourself.

Old Business Professional

Set Design This week we will definitely do the Sunday set build group, however Saturday is the BBQ. Tracie is not sure about the Friday time slot. Craig will call her to get the information and then send out an email to the group. He will also send out an email regarding the Friday time slot, although there may not be anyone at the theatre that day. We need more workers for Sunday. Everyone needs to remember to take a camera and take pictures, so that we can use it in the petition. We discussed continuing this from year to year. Theatre project would be good because of the consistency of the plays and not all of the projects are as

extensive as the current one. Everything should be ready to go on the painting and since painting should not require a lot of set up/clean up time. So lets plan on working at 9:30 - 11:45 on Saturday. People that are willing to show up on Saturday are Josh, Mark, and Craig.

Other Ideas Camille has suggested we get together with Habitat for Humanity. The closest one is in Moscow, and we should try to get in touch with them

Orton Haunted House Andy will talk to the RA in charge about people helping out

Big Brothers Try to get a hold of your big and keep in contact with them. This is a way to get to know people within the fraternity and show your interest.

FundraisingWe still need to get supplies for the car wash we will hold on the 28th of September. We will need to distinguish between sponges – one for cars and ones for rims. Car wash soap from Wal-Mart will be the cheapest option.

Bryce's Membership Bryce has not been involved in anything we have done this Semester. With the recommendation of the Executive Board, we voted on removing Bryce Cahill from our membership. The vote stands 9, 1, 2. Bryce Cahill was removed from the membership.

ConstitutionJamie will read the constitution now. If anything needs to be changed speak up.

Jamie M – worked on wording the changes so that we can make them official. The vote to approve the constitution was 11, 0, 0. Constitution has been approved.

Chapter Dues We set a deadline of 3 weeks after the beginning of the semester (two weeks from now) for chapter dues to be in. After a brief discussion on the subject, we voted to add a 10% fee to dues paid past deadline, vote tallying to 11, 0, 0. There will be a 10% fee added for late payments.

BBQFunding needs to be decided upon as far as how much to spend. Supplies for the BBQ include burgers (some veggie), buns, veggies, condiments (ketchup, mustard), cheese, chips, soda, lemonade, cups, plates, napkins, and cookies. Activities will include frisbee, volleyball, and football. Everyone can set up for the BBQ @ 11:30 at Reaney Park.  

Open Forum

Set Design Will discuss with the theatre people about Friday and Saturday and send out an email with the decisions. Those on the first weekend shift should take a survey of the amount of supplies for the Sunday shift.

Old Business

Firm tour Those who can will go on a tour of Design West on the 17th of October from 2-5pm, you will get a letter to get you excused from studio if need be.

Dad's Weekend We would like to set up some sort of event for dad’s weekend. Our ideas include a bbq or a spaghetti feed. These plans are weather and location permitting. Everyone should bring some more ideas to the next meeting.

Alpha Rho Chi Bulletin Board We need to do something different than the other bulletin boards downstairs. We should use different materials than other boards, it would make for a more dynamic design. We could try to tie into our Greek background for the design. We should produce a temporary design for right now so that we can claim the board for now. Later we can do a final production for our bulletin board. Color would be a good element to add to the design.

Committees We need to start working with the committees. The history book from the records committee is of high importance. Heads of committees need to decide on three days and times that can possibly work for them. Email that info to Jesse by next week. Try to be on at least two committees if your schedule allows for it.

WorkshopsAutoCAD, Revit, and SketchUp workshops would be greatly helpful for us and others. We would like to look into scheduling one for 2-3 weeks. We need to try to find someone with a high amount of experience to help out with the programs.

Incorporation of the StateWe will need to get the By-Laws approved by nationals first. We will also need to have someone with a permanent address in Pullman before applying.

RecruitmentWe need to show that we are recruiting new members for the petition, mainly by showing pictures from pledge events.

WebsiteWe should use Chapter Communications to create the site for us so that future members do not have to deal with trying to keep it updated.

Registering with the school We need to have just one more person go on the RSO website and join it so that our organization will be fully recognized by the school.

PetitionWe need to get all the pictures together and start a layout for the petition.

Meeting time Our meeting time will stay the same this semester, but we will change it next semester. Everyone should try to get their next semester schedule to allow for 5:30 meeting time.

Dinner Party The dinner party in Seattle went well and we would like to try this again. We should try to do this on Nov. 11 during chapter time, since we do not have class that day. This will be a formal dinner party.Everybody will need to chip in a little funding for the food.

Educator, Jamie Millard I will contact Camille regarding the next meeting with her.

Sergeant at Arms, Craig Pontius We will be making a decision about our next workshop tonight. It will either be CAD or REVIT

Old Business

WorkshopsWe have been thinking about AutoCAD and REVIT, and SketchUp workshops. We need to make them open and available for the entire school. We should go and ask Ramen about helping out with CAD training. There is also a grad student that we can ask to help us with REVIT training. We could plan the SketchUp workshop for a Thursday right after the first year lecture class. Jamie will talk to Snook about SketchUp training. The AutoCAD workshop would be more aimed toward the second year students.

Committees

RecordsWe started talking about the layout for the History Book and what all should be included in the petition. We would appreciate other members to give an opinion about different aspects of the

history book. We also need to get the dates from all of the events in the past and future in order to update the Calendar.

3rd YearThere are a number of third year classes that require a good deal of studying - Structures, Phil's class.

2nd Year We do not need to have one for materials, but we should have one for Phil's class before the next Quiz and Final.

BoardWe can cut this out of wood for right now and paint it to look like metal or we can buy the metal from the shop and use the Watercutter to cut out the letters. We would have to get the design done on the right program in order to use it. Jesse will finish up the basic shape and design for the Bulletin Board. Wecould make any design for a calendar, laminate it, and use overhead pens on it. We could even add a logo of some kind on the background.

Fundraising-Papa John's Pizza card We can buy these cards, min. of 100 costing us $300, and sell them for a profit however there are too many coupons for the pizza places making this a hard item to sell. What do we need to pay for that we need to do fundraising for? Most of the money we bring in right now will go to helping with the Chapter Initiation Fees. Try to come up with some more ideas about fundraising….

WebsiteWe need to make a decision about which template to use from the Chapter Communications site. Thereis a motion to approve template 21 with a vote of 9, 0, 1. We will go ahead with template 21 from the Chapter Communications website. We will need to get permission to use the Fraternity Crest, the WSU Logo, and we will also need to find out if we can get a hold of the copy of the Beacon from nationals. As far as funding the website, there is a motion to approve paying for the website out of the bank account with a vote of 10, 0, 0. We will use the bank account to pay for the website.

Bylaws Looks good to Nationals except for two sections, one being 6.3 and the other being 3.3. There is a motion to approve the changing of 6.3 to the suggestion that has been made with the vote tallying 9, 0, 0.Section 6.3 shall be changed to the suggested wording. And we will add another sub-section to section 3.3 in order to alleviate the issue of new officers having enough time to adjust to their respective position before the semester comes to a close.

PetitionWe need to have text for each of the pages for the petition. There are seven pages so we need seven volunteers to fill in the text for that page. The Records committee reserves the right to do all final editing on the pages. There is pictures already on the page so make sure that the text pertains to that event.

Recruitment Package and Event We need to have a couple of people to work on this together and get it finished up ASAP. Wellbe and Sheena will work on this pamphlet to get this finished up. We also need to come up with an idea for a recruitment event for next semester and working toward a permanent event that we can do every semester. One idea was Open Crit Night and we can advertise the event on Thursday during the first year lecture and put up fliers since it is a school related event. Old Business

RSO TrainingWe have an opportunity to take our RSO training next week next Tuesday at 5pm in CUB 208. Andy has made it mandatory for the exec board to attend since it is at our regular exec meeting time. This will help the colony to move forward.

Convention19-22 of March in St. Louis - our colony is required to send at least one person. It is possible that the school will pay the airfare for up to three people and on top of that it would cost each person around $300. We need to get this taken care of ASAP in order to keep the airfare cost down. According to the By-laws the President should be the one to go. Jamie would also like to go. Other suggestions would be for Craig to go as well. We need to make sure that our colony is well represented. Sending two people instead of three would save on hotel cost. The National website will have all the information about the Convention for anyone that would like more information. Jamie talked to Dana and was informed that sending two people is typical for most chapters.

We should decide upon at least two people to go that way we can get the registration paperwork in and hotel reservations made. Andy has decided to take the first seat for Convention. Craig has called for an election to choose the other delegate we will be sending. Jamie seconded the call for election.

Craig, Jamie, and Emily have been elected as possible delegates for the convention. We will take the vote by a show of hands.

DuesJamie had proposed doing a monthly dues collection in order to get in the habit of paying national dues each month. She has also proposed to make dues $10 a month for local dues, in addition to the $12.50 per month national dues. Craig has proposed to round up to $25 per month just to make things easier to remember. Craig has called for a vote to make dues at $25 a month, local and chapter. Josh seconded. The vote tallied to 8, 0, 1. Dues will be $25, please get them in before next week.

For the first year students, we need to sponsor study groups for math and physics in order to aide them in their schoolwork. These groups need to be study groups, not recruitment activities as we would like to help people and do not want to scare people away from joining.

Josh will finish Mark's section of the history book as he has more information about the event. IncorporationOur Incorporation application has been turned into the state and we should hear back from them soon - hopefully within the next century.

Bank Account At the RSO training event tonight we have discovered that we need to get an account through them for banking needs, not an outside account.

New Business

RecruitmentThe colony needs to plan more recruitment events. Part of the petition is showing that we have a recruitment system in place and we need to hold at least one event per semester.

BrotherhoodPlanning some more brotherhood events would be nice as well for additional bonding.

Initiation Start refreshing yourself on the pledge manual before initiation. We can start doing 10-20 questions at each meeting just to be more prepared.

Matt VanGunda's membership The colony needs to hold a vote in order to decide if we are going to allow Matt VanGunda back into the colony due to the fact that he was unable to attend classes last semester and was not involved with our group. Matt will now plead his case for us. He is very sorry that he had to leave and really wishes to become a part of the colony once more.

As far as a reason to take Matt back is because when he was here he was always here and he had a very legitimate reason for not being here last semester. Once he made it back to school he has shown interest in joining the colony again.

Upon the issue duly motioned and seconded the Sostratus colony has decided by a vote of 7, 0, 2 to reinstate Matt VanGunda's membership with his pledge class to be determined by Nationals.

Open Forum

Events for recruiting new members.Andy is suggesting that we try and set up a tour of the new Res Hall on campus because it is LEAD certified. We could use this as a Brotherhood event or Recruitment event. First step is to find out if we would even be allowed to take a tour of the building.

Bulletin Board Jamie and Andy talked to Garrison today and can have him water cut the letters out of metal for a price of about $10 plus the cost of materials.

ClothingSome T-shirts and/or Sweatshirts should be made up for the group as a whole, not just class shirts. This means that people who want should make up some designs for next week.

BoardThere board is just about done but the letters need to be finished up. One of the people in the furniture design class needs to look into the cutting of the letters with the water cutter.

EventsWe need to acquire some new people so some new events to hold would be a plus. We can find out when first year projects are due and we can help them do some preliminary critiques to show our support. We can also go down to studio and pass out some of the Architecture Survival Guides.

Just within the colony we should all go out to dinner at least once a month in order to keep up with each other on a personal level.

We also need to do some research into some philanthropic events that we can do as a group this semester. We had some events last semester but need to continue this aspect of our colony. The Center for Civic Engagement located within the CUB will have some information for us as far as where to look.

WebsiteEveryone has been loaded onto the site and everything is just about finished but there are still a few people who need to go on and update their profiles – pictures and information. Also, all committee members have a link under groups which have the names of your group members and other information about your committee.

History Book The history book is just about finished. It just needs a little bit of editing which will be done by Jamie and Craig. If you are one of the people that needed to type up stuff from last week, please do it or find someone who can. If you were not signed up for anything and have some time, please volunteer to help out as there is much to do.

PetitionEverything needs to be finished in the next couple of days including all of the dues being turned in. We are close to getting this wrapped up and because of the amount of time it will take for Nationals to go over the petition we need to finish it and send it in.

BudgetJamie has gone through the entire budget from the past year and found that the dues were paid but some things like pledge binder fees were not all accounted for. Because of the discrepancies there was some money, about $55 that was not accounted for from the first semester, and about $2 from the second semester. This problem occurred because of poor bookkeeping which will get straightened out this semester.

For the committees, all purchases need to go through the colony bank account. No cash purchases anymore. Jamie will pick up a receipt booklet for when people make dues payments.

Open Forum

Parli-ProCraig will be holding a Parli-Pro workshop after the meeting so we will all know how a meeting should be ran as this is the typical format for groups to be controlled.

Committees All of the committees need to keep up with their meeting times. Finance will be meeting right after the Parli-Pro workshop after the meeting.

Pledge Pins For when we become initiated, an idea for a good brotherhood activity is to make special boxes for each pledge pin and hand them down from generation to generation, a sort of family tree type exercise. We could do this by engraving our names on the box and continue to engrave names as they are passed along, providing for a more personal pledging experience.

Also, everyone needs to sign the petition before we can turn it in. The petition will be finished by the end of the week no matter what!

Storage Chest Craig and Josh have started to design a large lockable chest to contain any information or items that the colony might need to keep safe. This chest will have a number of different locks so multiple people will have to be present in order to open.

SignGarrison has the letters for the sign planned out on his computer but there are a few inconsistencies which he will be remedying. After that it will only take a week or so to finish them up. After that we will post the sign and calendar at the same time.

Upcoming Events

We have contact information in order to be routed to the individual in charge of the new dorm room building project. We would like to get in contact with this person about getting a tour of the new building while it is under construction.

Matt wants to set up an event for recruitment for the first year students or whoever. This could possibly be a BBQ at Matt’s apartment since it has ample space.

Social committee will be meeting after the general meeting to work on planning an event.

Correspondence Committee Craig needs to meet with the correspondence committee as soon as the general meeting is over tonight.

Sign and Calendar Garrison has cut out the letters but a couple fell through. It will not take long to redo them. The wood and plexiglass are cut and ready to go up when the letters are finished.

PetitionJamie has suggested that we vote on the petition today as a final step to getting this turned in since we need to vote on the funding for printing the packet out. Everyone needs to get up and take a look at the petition as it is now so that you can make a proper vote on whether or not to approve it. Upon the issue duly motioned and seconded the colony has decided by a unanimous vote to approve the petition.

Jeopardy – February 24, 2009 Paul will be formatting this.

Ice-blocking – April 11-12, 2009 This is a brotherhood event that Craig is working on.

Sledding Competition – Weather Permitting. Finance committee will be holding this event as a fund raiser.

103 Workshop – TBD This will be put on in order to give the first year students some sort of idea about what to expect in the years to come.

Sketchup/Revit/Photoshop Workshops – TBD Josh and Paul will do some more formal planning for these events to be held in the near future and will add the dates to the calendar.

ShirtsWe will look over the renderings that people have come up with and try to decide on a final design to be used on our shirts. We have a number of good ideas which we have discussed and we will now vote on our choice. The decision has come down to two shirt designs which we will vote on now. Shirt #1 – 9 Shirt #2 – 2

Josh will now go ahead with finalizing the design of Shirt #1 that Sheena has designed so that we can get them printed out.

Member Records Since the original list was lost we have made a new list. Jamie will read over this and we will make sure that it is all correct and that we have everyone on the list.

Open Forum

Prizes for Jeopardy Paul would like some ideas about possible prizes that people would like to get. Ideas: -brownies or pizza -modeling supplies -t-shirt reimbursement Brotherhood committee will make some final decisions on the prizes.

University Requirements

Washington State University requires that all student organizations meet several requirements to operate on campus. Firstly, all organizations must be registered with the Office of Student Involvement and Leadership Development. This is done online at studentinvolvement.wsu.edu. In order to register, an organization must have a constitution, at least five student members, and a faculty or graduate student advisor. Secondly, organizations must send at least one member to the RSO Training Class, held once each semester. After this is done, staff at Student Involvement verify that all the steps have been completed and the organization receives “Active” status within the University system.

To maintain active status, an organization must resubmit a registration form each semester. Like the original filing, this is done on the Student Involvement website. Organizations must also send at least one member to the training course annually, maintain membership, and retain an advisor. Failing any of this results in the organization being placed on probation for one semester. Probationary organizations must rectify any issues before the end of the semester or lose university recognition. An organization that loses recognition can regain it by completely reapplying and following the process used by new organizations.
