despatch requirements for the delivery of the goods to our projects in PNG.

The aim of the document is to:-

a. Describe how goods are to be Export Packed for the subsequent safe handling,

transport and shipping as well as storage in a tropical environment.

b. Describe how goods are to be marked for easy identification at various stages of the

movement from the point of supply through to the point of receival and usage on the

Hidden Valley and Wafi Golpu Projects which will cover several site locations in PNG.

c. Outline the process of Pre-Shipment Notification of goods being supplied and the

liaison with MMJV on the timing of deliveries.

d. Clearly state the documents required to be prepared and provided to MMJV, and

any other parties as nominated by MMJV, with such documents covering the

commercial supply of the goods and the requirements for exporting the goods from any

overseas location and the importing goods into PNG. This documentation includes

satisfactory compliance by Suppliers re any goods identified as Dangerous Goods

under the meaning of the legislation in the country of origin as well as the International

Regulations for either Maritime Shipping or Air Freight for the movements to PNG.

For these projects, all goods shall be shipped through our nominated freight handling company, whose details and contacts shall be provided to the supplier at the time of placing our Purchase Order. All preservation and Packaging Materials together with Package Markings and Documentation shall be subject to inspection by MMJV and any changes incurred by MMJV due to the failure of the Supplier to comply with these instructions shall be to the account of the Supplier.

2.1 Packaging Materials

All packaging materials and procedures being utilised or to be utilised by the Supplier shall

be subject to inspection by MMJV or nominated representative.

All packaging, inclusive of protective materials, shall be new and maintain their integrity and

perform their intended function whilst being transported, handled, shipped and stored.

Packaged materials and equipment showing any damage, defect or shortage resulting from improper packaging, packaging materials, packing procedure, having concealed damage or being short at the time of unpacking shall be subject to rejection and be replaced at the Suppliers cost. 2.2 Weather Proofing All goods except reinforcing steel, painted structural steel and approved break-bulk items shall be either weatherproofed by relevant means/methods or packed in a suitable package being weather proof lined. Waterproof case liners in bag form or over wrap, constructed of asphalt laminated Kraft paper and sealed with waterproof adhesives, shall be used within packaging if the goods are susceptible to damage from moisture. Equipment such as electrical panels, switch boards, motor control centres, office machines and instrumentation etc. shall be packed in an interior moisture–vapour proof barrier with a suitable desiccant to absorb moisture within the package. Openings in electric motors, generators and other electrical equipment shall be sealed with plugs, waterproof tape etc. to prevent the ingress of dust and moisture. All exposed bright metal surfaces shall be treated with suitable rust inhibitor prior to packing.

2.3 Optimisation in packing The Supplier shall on occasions optimise the size, weight and complexity of the packaging and packaging materials to minimise the cost of transport, handling, shipping, storage and the site removal/disposal of packaging materials. The Supplier when designing protection packaging for equipment such as electrical switchboards, motor control centres and distribution boards shall provide for the inclusion of certified lifting lugs and sling points ensuring they are always accessible and available for lifting and transport purposes. There shall also be suitable tie-down points for lashing such equipment as necessary into or onto containers. For the purpose of handling by forklift truck, packages where applicable shall be fitted with skids having a skid height of no less than 100mm high and 150mm wide.
