Introduction
Purpose: Determine… • Which journals your researchers choose to cite, and • Compare the result to the stock at the University library • This is to detect gaps in the stock, ie journals used
but not acquired, OR subscribed journals that are not in use.
• Appendix: List of all journals in WoS with Abbreviated titles, issn and a template for matching.

Get article records from Web of Science
• Databases: Science Citation Index Expanded (SCI-EXPANDED); Social Sciences Citation Index (SSCI); Arts & Humanities Citation Index (A&HCI)
• Year of publish 2009-2011. (The previous three years) • Design queries that correspond to your University and the desired
research field. • Make searches in WoS (Advanced Search).
Example; oceanography, Free University of Brussels:

The Search:
• AD=((free OR vrij* OR libre) SAME (bruss* OR brux*)) AND PY=2009-2011 AND WC=oceanography
• The search used in the example is trying to catch publications from the Free University of Brussels (Vrije Universiteit Brussel, Université libre de Bruxelles) by searching in the address field (AD) for possible variants and abbreviations . Added to this are the chosen
• years of publication (PY) and • the WoS category, (WC) i.e. the field of research. • The last part of the search-string could be changed according to interest. You also have the
option to add specific terms to your search (TS)
• Another possibility is to search for publications from a specific department at your University. The search may, however, be quite complicated, since the names of departments tend to have even more variations than the names of Universities.
An example: AD=(((plant physiol*) OR (plant ecol*) OR (plant system*) OR (bot*)) SAME (stockholm* univ OR univ stockholm)) AND PY=2009-2011

OR-operator in Search History:

Get records from WoS • Export all records as the format Plain Text. (NB! You cannot
export more than 500 records at a time. If you have more records, you have to make repeated exportations.)
• Choose Full Record, plus Abstract, plus Cited References

• Save and name the files. (1-500.txt, 501-794.txt if you have more than 500)

Preparations in Bibexcel
Download Bibexcel from http://www8.umu.se/inforsk/Bibexcel/ and install the program on your computer. (Freeware by Olle Persson, http://www.soc.umu.se/om-institutionen/personal/olle-persson/ )
Preparations in Bibexcel Combining of files
• If you have more than one imported text file, you have to combine them in Bibexcel (ex. 1-500.txt; 501-794.txt) to one single file.
(Here named 1-794.txt). • Select both files. Choose :File / Append all selected files to another. Write
the new file-name (1-794.txt) here.

Preparations in Bibexcel • Select 1-169.txt. Edit doc file / Replace line feed with carriage
return, answer OK on the first and NO on the second question. You now have a .tx2-fil.
• Select the .tx2-file. Misc / Convert to Dialog-format / Convert from Web of Science. Answer OK. You now also have a .doc-fil.

opening the file)
Choose this alternative Write: ”filename.cls” including quotation marks.

Save with the ending .cls (”cls” for ”classification”).

The same journal may have different names. Choose, if possible, name according to the attached Excel file: WoS titles and Template , the sheet with Title with abbr. and issn. Use this in column C. NOTE: The list of journals can be very long and numerous journal names may have to be checked. Allow time for this.

Generating citation frequencies • Remove the first (A) column with numbers. • Sort ascending by the column that is now called B, with the default name. • Remove all rows without default name. • Sort ascending by column A. • Re-name the file 1-169.cls
We assume here that only AQUAT BOT and AQUAT ECOL has variant names in
our material.

You get 1-791.cll, an updated version of the oux-file (also a not. file containing strings that are not mapped to the default name, is created). Variant names in the oux-file for a given journal has been replaced by a default name.
Mark 1-169.oux.
Choose: Add data classify / Add classification to out-file-exact match.

• Open 1-169.cit in MS Excel. Copy the contents of the two columns with the number of citations and abbreviated name.
• Open excel file "WoS titles and template". Go to the tab / sheet “Template"
1. Generate full journal names and issn using the attached Excel file.
• Paste content here. •Then copy these cells in all rows below. (The cells contain formulas that retrieve the full name and issn.)
