2 GENERAL
When user visit http://www.univotec.ac.lk to register on UNIVOTEC Education Management
Education System, following page will open. In order to enter the student registration process, user
have to click on the “Register Now” button.
When user click on the “Register button” webpage will open the following page.

2.1 LANGUAGE SELECTION
Before login to the Education Management Information System (EMIS), User can select the preferred language by clicking dropdown and selecting the relevant language button.

2.2 USER LOGIN
The Login page is the landing page for the application. On this page, Student needs to enter valid user name and password and click on ‘Sign In’ button to login to the site.
Only those who have active accounts can login to Education Management Information System (EMIS). Username and Passwords are mandatory for logging into the system.

2.3 NEW USER SIGNUP
When a new member (Student) wants to register for the Education Information Management
System (EMIS), it can be done by clicking on the “Sign Up here” button.
After clicking on the “Sign Up here” button, following form will be loaded. On there Student needs to
fill out the User Name, Password, Email and the NIC number. User needs to enter a valid Email
address and a valid password. After filling out all the fields click the “Save” button to add user details
to the Education Management Information System (EMIS).
User Name, Password, Email and NIC are compulsory fields.

All the fields that has a red star besides, are compalsory to fill. User cannot complete the process
without filling out that fields.
After clicking on the “Save” button user will receive an Email on the provided Email address with the
verification code. Then the user needs to enter the verification code in order to complete the
registration process of new user.

3 APPLICATION MANAGEMENT OF ONLINE SYSTEM
3.1 APPLICATION DASH-BOARD
When user completes the registration part and click the “Login” button after entering the
correct user name and password, system will open the following Application Dash-Board page.
This page will be loaded with the currently logged on user’s application details.
Name and the NIC Number fields will be auto captured by the system according to logged on
user.

3.1.1 ADD NEW APPLICATION
When user wants to add new application to the Education Management Information System it
can be done by clicking on the “ADD NEW” button.
After clicking the “ADD NEW” button the system will open the following Basic Information form.
Date of Applied, Application No and NIC number will be auto captured by the system. User can
select the Title by clicking the dropdown list. Also needs to fill out the Full Name, Name with
Initials and Date of Birth fields.
User can upload a photo by clicking on the “Choose File” button, after selecting the photo from
the PC user can click the “upload” button to upload and save the photo into the Education
Management Information system (EMIS).

After filling all the information user can click on the “Save and Next” button in order to proceed
with the registration process. If user wants to cancel the process click on the “Cancel” button
and system will redirect to the Application Dash-Board.

3.1.2 APPLICATION INFORMATION
After clicking the “Save and Next” button system will open the Application Information details
form. The photo will appear on this form that user uploaded on the previous form (Basic
Information).
This page will load with Batch, Course 1, Course 2, Course 3, Exam Canter, Collage of Technology and Course Medium fields. This each field has a dropdown list of its own. User can select the information from the dropdown box.
If the user is a teacher, he/she needs to tick the box on the “Is Teacher” button. If not user can leave the box as it is. .
If the user is currently undertaking studies under any university or Higher Education Institute, User has to tick the "yes" tick button. If not user can continue without ticking the box.
If user tick the "yes" button, user has to mention the name of the higher education or University on the text box.
After filling all the information user can click on the “Save and Next” button in order to proceed
with the registration process. If user wants to cancel the process click on the “Cancel” button
and system will redirect to the Application Dash-Board.

3.1.3 CONTACT INFORMATION
After clicking the “Save and Next” button on Application Information system will open the
Contact Information details page.
This page will load with Permanent Address, Contact Address, Province, District, DS, GN, Residential, Mobile and E-mail fields. This each field has a dropdown list of its own. User can select the information from the dropdown box.
After filling all the information user can click on the “Save and Next” button in order to proceed
with the registration process and system will open the Personal Information form.

3.1.4 PERSONAL INFORMATION
After clicking the “Save and Next” on the Contact Information button system will open the
Personal Information details page.
This page will load with Ethnicity, Gender, Marital Statues, Age as at Closing Date of Application, Religious, Nationality and Special Achievements. User needs to enter the data to Age as at Closing Date of Application and Special Achievements manually to the system. Each other field has a dropdown list of its own. User can select the information from the dropdown box.
After filling all the information user can click on the “Save and Next” button in order to proceed
with the registration process and after that system will open the Education Qualification form.

3.1.5 EDUCATION QUALIFICATION
After clicking the “Save and Next” button on the Personal Information form, system will open
the Education Qualification details page.
This page will load with existing Educational Qualifications of the logged on user. If user wants enter a new educational qualification it can be done by clicking on the “Add” button.

After clicking on the “Add” button User can select a Qualification by clicking on the dropdown list.
Also user can enter the Name of the Institute manually in the the field.
If user wants to delete a record, it can be done by clicking on the “Delete” button.
If user wants to delete multiple record, it can be done by clicking on the “Delete” button. First user needs to select records by putting ticks on the records that needs to be deleted. Then selected records can be deleted by clicking on the delete button.

If user wants to edit a record it can be done by clicking on the “Edit Record” button.
After entering the correct date user needs to click on the “SAVE” button.
After completing filling out all the information on Education Qualification form user can click on the “Save and next” button to proceed to enter the Post Diploma Industry Experience page.

3.1.6 POST DIPLOMA INDUSTRY EXPERIENCE
After clicking the “Save and Next” button on the Education Qualification form, system will open
the Post Diploma Industry Experience details page.
This page will load with existing Post Diploma Industry Experience details of the logged on user. If user wants enter a new Industry Experience it can be done by clicking on the “Add” button.
After clicking on the “Add” button User can enter Institute, From Date, To Date and Duration to the system.
To Date and From Date can be selected from the Calendar generated by the system.
Duration can be added using number only (Months/Years).
If user wants to delete a record after add the record, it can be done by clicking on the “Delete” button.

If user wants to edit a record it can be done by clicking on the “Edit Record” button.

3.1.7 WORK EXPERIENCE
After clicking the “Save and Next” button on the Post Diploma Industry Experience form, system
will open the Work details page.
This page will load with existing Work Experience details of the logged on user. If user wants to enter a new Work Experience it can be done by clicking on the “Add” button.
After clicking on the “Add” button User can enter Name of Organization, Place of Work, Designation, Official Address and Office Telephone to the Education Management Information System (EMIS).
User can add more and more records by clicking on the “Add” button.
User can delete records as well. Just as other forms it can be done by clicking on the “delete”
button.
After filling out the Working Experience, User can clicking on the “Save and Next” to Save the
data into the system and proceed to the attachments page.

3.1.8 ATTACHMENTS
After clicking the “Save and Next” button on the Work Experience form, system will open the
Attachments page.
From this page user can upload documents into the Education Management Information System
(EMIS).
User have to click on the “Choose File” button to select the file user wants to upload. After
selecting the file from the PC, user can upload the selected file into the EMIS by clicking on the
“UPLOAD” button.
User also can download the files that have uploaded into the system. It can be done by clicking
on the “Download” button which is right next to the upload button.

After upload all the necessary files user can click on the “Save and next” button in order to
proceed to the Payments details page.

3.1.9 PAYMENTS
After clicking the “Save and Next” button on the attachments page, system will open the
Payment details page.
This page will load with the available payment methods. Education Management Information
System (EMIS) provides two different payment methods.
Bank Deposit and Online Payment.
User can select the payment method from here. Bank deposit or the Online payment.
When you user clicks on the “Back Deposit” button, system will save the payment as Bank
Deposit and direct to the next Print Application page.
When you user clicks on the “Online Payment” button system will open the online payment
application form and then user can fill out the information to complete the payment.
(Currently this feature is not available with the system, once when they order the gateway this
feature will be available).

3.1.10 PRINT APPLICATION
This page will load with the application printing option.
User can get a printout of the application by clicking on the “print Application” button.
After clicking the “Print Application” button’ system will auto download a PDF file of the
application.
After printing the application user has to clicking on the “Save and Next” button to complete the
registration part.
By clicking on the “Save and Next” button system will open the Dash-Board form.
