Travel Policies and Procedures If an international student is planning overnight trip outside of Vancouver area:

• Natural parents of the student fill in the travel request form online prior to travel for any travel outside of the Vancouver area : http://westvancouverschools.ca/international/student-travel-application/ Note: This online request must be submitted when traveling overnight with their host parents.

Travelling back to home countries during Winter Break and Spring Break

1. If an international student is travelling back to their home country during the Winter Break

and/or the Spring Break; • Natural parents of the student fill in the travel request form online prior to

travel: http://westvancouverschools.ca/international/student-travel-application/

2. If an international student will be missing school days due to travel arrangements: The student must submit the Extended Absence Application.

• If approved, the International Programs department will inform the student’s school to mark the requested days as “Excused Absence”.

• If not approved or the Extended Absence Application was not submitted by the student, “Unexcused Absence” will be noted on the student’s record. In addition, further disciplinary action might be taken.

During the Winter Break and the Spring Break, one week before or after is acceptable time off school, if the student’s parents/ custodian inform the International Programs in advance. We acknowledge that getting flight tickets at Winter and Spring Break can be challenging. Students should make every effort to return to their schools on time. Students should also inform their teachers and homestay parents of their travel plans as early as possible.

Page 11: TABLE OF CONTENTS - Amazon S3€¦ · TABLE OF CONTENTS Calendar and Contact ... Classes resume Tuesday, January 3 March Break March 13 to 24 Classes resume Monday, March 27 Program

Other Overnight Trips If an international student is planning overnight trip outside of Vancouver area;

• Natural parents of the student fill in the travel request form online prior to travel for any travel outside of the Vancouver area : http://westvancouverschools.ca/international/student-travel-application/

Note: This online request must be submitted even when traveling overnight with the host parents.

Once the trip has been approved, students and their host parents will be notified by email. We will deny permission for trips which ae too risky for the student. If this happens, we will communicate the reasons by email to the natural parents, custodian, and homestay parents. The goal is not to restrict students from having experiences but try to ensure that travel is arranged safely and with proper approval.

Day Trips to the US If students want to have a day trip to the US, they do not need to be accompanied by an adult over 25. We DO NOT encourage students to travel on their own but they can travel with other students or friends.

• Natural parents of the student fill in the travel request form online prior to travel: http://westvancouverschools.ca/international/student-travel-application/

Once the office has approved the trip, the student can come to pick up a Travel Letter. It is the student’s responsibility to take proper travel documentation and check the US entry requirements. Visa-exempt foreign nationals who fly to or transit through Canada will need an Electronic Travel Authorization (eTA).

More Information and Travel Letter requests For information about permission and requests for a Travel Letter, please email [email protected]

International Student Extended Absence Application Form

Daily attendance at the secondary school level is critical to ensure student success. Certain classroom assignments, projects and exams cannot be made up if missed. For these reasons we do not recommend or allow students be absent during the school term. However, extended absence can be authorized for particular reasons*. Students are required to obtain permission from the International office if an extended absence is to be authorized. This form must be given to the International office at least one week prior to departure for approval to be granted. Students must inform teachers a week prior to departure (see back of sheet). Students may receive a “0” for missed work. Please complete the following: (Questions? Ask your homestay co-ordinator: [email protected]) Student’ Last name Student’s first name Students’ Grade School name This student will be absent from school from ___________________________ to _______________________ Total ______# of school days of absences, because of ________________________________________________ ☐ Travel Letter provided Student Signature ________________________________________ Permission Check list: (Please have homestay & school sign first, then bring to International Office) ☐ Natural Parent/custodian* Name Signature

------------------------------------------------------------------------------------------------------------- *During the Winter Break and the Spring Break, one week prior to –or– one week after the scheduled vacations is considered as acceptable extra time off school if the student’s parents/custodian inform the International Programs department in advance. Allowing limited extra days off acknowledges that getting flight tickets during Christmas holidays and Spring Break can be challenging. Students should make every effort to return to their schools on time. If the notice from parents or custodians is received in advance, the International Programs department will inform the student’s school to mark those days as “Excused Absence”. If no notice from parents or custodian is received in advance, extra days off will be marked as “Unexcused Absence” on their Attendance Records and Report Card. In addition, further disciplinary action might be taken. Note: See instructions on back. Ms. Tanfara will be the last person to sign & can sign for Mr. Frankowski. *Natural parents only need to sign if they reside here in the Vancouver area

Moving? If you are living with your natural parent:

Your parent needs to bring his/her passport, Visa and proof of the new address to International office.

If you are living at a Private Host family:

Your custodian must inform the Homestay Coordinator with the contact details of your new, private host family information. (Name, address, phone number, and email address).

If you are staying with a District Host family:

If you find any problem or concern about your host family, come see your Homestay Coordinator first. We will assist you solving issues you might experience. Often, it’s just a result of miscommunication and the situation will be resolved quickly. If a homestay change is needed, students must complete a written Notice of Homestay Termination (two weeks’ notice). If the student is not willing or able to stay the two weeks, we expect payment in lieu.

You must contact the International Office for any changes!

We will be contacting you via email, phone, and text messages, so let us know if anything changes! Same for your homestay and custodian information, any changes, we must be informed!

Tips for Success

Be a successful high school student: Stay Organized: Make good use of your agenda. You need to have the ability to stay on top of all your activities. Use your agenda to stay organized and follow through with your plans. Also, use your agenda to set time limits.

School is your number one priority: Attend classes on time, use in-class time effectively, ask questions, and make an effort in group discussions, complete all homework, tests, quizzes and assignments.

School is important, but so is your social life. Balance is the key. Keep on top of your schoolwork but make sure to join a few clubs consistently throughout your high school years.

Have good study habits. Hand in all assignments on the day they are due. If you are not able to finish your assignment on time, talk to your teacher before it is due. If you miss any assignment or tests, see the teacher and ask if there is any way to make it up.

Make friends with everyone. Get into the habit of saying Hi to people and not being afraid to talk to new classmates, teachers, or school counsellors. Be Social!

Stay healthy: Get enough sleep (8-10hours), join sports and eat healthy food. Focus on yourself: Everyday you should only be trying to get better. Focus on what you can do to make yourself better, and go for it.

Never give up. Learn to try and try again, and make friends along the way! Learn to laugh at yourself when you make a mistake and learn from your mistake.

Be successful in your Homestay: We say “good morning” & “goodbye” or “good night” ! (Don’t leave without speaking) We make “small talk” (talk about our day, what’s new, ask about your family’s day…) We say “Please”& “Thank you” all the time! We make Eye contact!
