There are a number of facets that are involved and associated with the best practices in donor recognition. Turning to a direct and authoritative source here, the Association of Donor Relations Professionals (ADRP), it’s easy to understand the five most important elements: receipting, acknowledgement, newsletters, special events and recognition efforts. Receipting

While all donors are donating for a cause they deem to be worthy, they also should be receipted for their efforts. This exchange of documentation is necessary because most donors will be writing the funds donated off their annual income tax bill; one of the greatest benefits that donors receive and one of the motivating factors behind donating. Donors should be made aware of what their donation is going towards, what they will receive in the form of documentation, and any other associated facts regarding their pledge.

Acknowledgement

Letters are by and far considered to be the most plausible and personal method of thanking donors for their efforts. Letters, according to the ADRP, should be sent out to the donor within 48 hours of receiving their donation or pledge. Postage cards and mailers can be sent out if delays are anticipated in processing the donation. Letters should always include expressed gratitude, and should inform the donor of where and how their “gift” will be applied to make a difference.

Newsletters

Monthly newsletters are a powerful aspect of donations during the modern day, the ADRP says. They help the organization stay connected to the current donors, and they serve to attract more donors. More importantly, they continuously remind donors that more funds are needed to meet organizational goals, while also commending any new donors in the process.

Special Events

Special events can be hosted from time to time, like pay-per-plate dinners and other events. These events can serve to not only commemorate current and past donors, but to also help highlight the urgent need for the task at hand to continue in its greatest capacity.
