The Nottinghamshire Members Golf Club. 23 rd Annual General Meeting Wednesday 14 th January 2015 at 7.30pm Prior to the meeting Captain Keith Harris presented a cheque £5265.00p to Chris Gatfield of Dove Cottage Hospice on behalf of the members fund raising throughout the year. My year… January My nerves at the AGM last year where at an all-time high! I was thinking why did I let Lesley talk me into doing this, but the cards and the well wishes from the ladies made me smile and I thought “I can do this”. February- Bad month! This is when I did my ankle and I was being told by everyone that it would have been better if I’d broken it…..12 weeks of no golf March Captains Drive In …..In plaster, not the way I wanted to start the season, but again so many good wishes from the ladies lifted my spirits. Later that month my father passed away, sadly another low point in my year. April Weekend Away at Bicester, what a great venue, everyone that joined me seemed to enjoy the course and the facilities. I was itching to play, no surprise there. May Mollie Mountney Trophy, out of plaster but still unable to join in the fun. I can’t mention Mollie without pausing a moment to pass on our sympathy to her as sadly Mollie’s husband, George, passed away in November last year after a long illness. June Lady Captains Day, it was fabulous to see so many ladies come and join me on my day and to be able to play was the icing on my cake…..but what a day not just one hole in one but two, this has to be a first. July’s highlight was winning the Rolling Pin and putting that pink ribbon on the rolling pin, the men might say it was by foul play, but I say it was a well-deserved win.

Lady Captain : Jackie Rowe presented a resume of her year as Ladies Captain and wished the incoming Lady Captain Stephanie O’Connell a very successful year.. March – Captains Drive In …..In plaster, not the way I wanted to start the season, but again so many good wishes from the ladies lifted my spirits. Later that month my father passed away, sadly another low point in my year. April – Weekend Away at Bicester, what a great venue, everyone that joined me seemed to enjoy the course and the facilities. I was itching to play, no surprise there. May – Mollie Mountney Trophy, out of plaster but still unable to join in the fun. I can’t mention Mollie without pausing a moment to pass on our sympathy to her as sadly Mollie’s husband, George, passed away in November last year after a long illness. June – Lady Captains Day, it was fabulous to see so many ladies come and join me on my day and to be able to play was the icing on my cake…..but what a day not just one hole in one but two, this has to be a first. July’s highlight was winning the Rolling Pin and putting that pink ribbon on the rolling pin, the men might say it was by foul play, but I say it was a well-deserved win.

August – The Summer Meeting saw the start of my handicap decrease - my ultimate goal September for me has two highlights, the first being my away day at Doncaster Golf Club, a glorious sunny day with our own private balcony. The other was the Captain versus Vice Captain, such fun was had by all and a perfect result to boot. October – Solheim Cup, a hard fought battle and no trophy to take home but I’m sure ladies that we will win at home under the leadership of Steph next year. November – Presentation Evening/Lady Captains Dinner, what a great evening so many winners to congratulate. Maybe a handicap cut for Aileen will be in the review at the end of the year with a bit of luck ladies. What would the evening be like without our very own resident music quizmaster, Carol. What a fabulous job she did it getting ladies to work on their pointless answer. I’m sure our table should have won…… Regarding my charity this year, the ladies section have managed to raise just over £1000 from all the raffles that have been held during the season. Thank you for ladies for all your support and I’m sure that Dove Cottage will put this to some good use. Thank you’s Firstly I would like to thank the ladies section for their support throughout the year and for making my year a memorable one. Thank you also to Bill and his team for their continuing support regarding the events the ladies have during the season and the warm welcome we all receive from the bar staff each day when we come into play. Committee thank you’s Ann who is an outstanding secretary and is always on the ball and I’m sure she is glad she doesn’t have to wait for my last minute reports anymore. Bernie what can I say – you have come from rookie status to a confident and experienced Handicap Secretary not one of the easiest jobs on the committee I know, thank you for taking the job on. I am sure you will pass all your experiences on to our new Handicap Secretary for 2015. Carol, who has all year only ever wanted a badge to wear but never got one, thank you for all your hard work extracting all the points for prizes, club champion results and also the birdie/par tree. That’s a lot of time working on excel worksheets, don’t you ever go out? ha-ha Sue, who only part way through the year gave way and became our Competition Secretary. What a great job, definitely a natural and an asset to the committee and does superb table arrangements with little or no cost to the ladies section. I’ve always wanted to write a school report!! Finally but not least Steph, I couldn’t have asked for a better Vice Captain, so hard working and organised, a dream come true. I think, no, I know, Steph will make an outstanding Captain next year with Bernie by her side, what a great duo. Can you both promise no more swearing in the committee room please!!! Sorry, I would like to thank my whole committee individually but I’m afraid that everyone will have fallen asleep by then so thank you all for all the hard work that you have each put in this year and most of all thank you for your support. I definitely couldn’t have done it without you as I have often said to the ladies when they have asked me how my year is going. Retiring committee members this year are Lesley Morris, Vicky Kemp, Dorothy Pendry & Lynne Williams – thank you again ladies for your support and hard work.

Honorary Treasurer : Allen Brentley Allen presented his financial report and thanked his predecessor John Saunders for the excellent hand over of the accounts. Allen agave a breakdown of his accounts and his intentions to keep the accounts balanced . We will use some of our cash reserves for various Capitol expenditures , namely, the computer upgrades and the proposed display cabinet. Report appended to the minutes Questions :- Pete Trotter asked about the % of payouts back to the members playing in competitions and could this be discussed at the first meeting of the new Committee..

Match and Handicap Secretary : Colin Brown Colin announced that new scorecards are being printed as the stroke index has been changed. He also said the M&H Committee decides on a day to day basis if a competition is a qualifier or not throughout the winter period due to the weather changes. 2014 – MATCH AND HANDICAP REPORT FOR THE NOTTINGHAMSHIRE MEMBERS GOLF CLUB ANNUAL GENERAL MEETING TO BE HELD ON WEDNESDAY 14 JANUARY 2015

1. SCORECARD STROKE INDICES – OPEN COURSE Following a review of the year’s competition results a detailed analysis report was produced which identified a number of recommended changes to the stroke indices of the Open Course. Following a review with the Director of Golf, Match and Handicap Committee and the Main Committee the changes were agreed and ratified. The changes are detailed at Appendix 1 to this report. These changes will be introduced on receipt of the re-printed course cards and at an appropriate time and when communicated to all members. 2. QUALIFYING COMPETITIONS In accordance with the rules of golf as outlined in the Council Of National Golf Unions (CONGU) Unified Handicapping System booklet, golf clubs are encouraged to play qualifying competitions throughout the year in order to maintain players handicaps. The Committee along with the Management of the Club has agreed to make competitions whenever possible ‘Qualifiers ‘ for handicap adjustment. However, this will only be achievable if the course is of a measured length and the conditions of play are conducive to being fair and reasonable. In the first instance the Match & Handicap secretary will decide if all relevant conditions are being met prior to a competition being declared as a ‘Qualifier’. 3. DIARY CHANGE As you will all be aware, changes to the 2015 Diary have been made which affect the layout and format. The committee will be pleased to have any feedback from members in order to build on a programme of continuous improvement. 4. VICTORY CUP CHANGE Following consultation with the original donor of The Victory Cup and a subsequent review carried out by the Match & Handicap Committee, the Main Committee has ratified a proposed change to the format of the competition. With effect from and on the 1st January 2015 a report will be compiled from the Club 2000 Handicap System which will identify the Top 32 lowest exact handicap ‘Home’ players plus ties. These members will be notified of their automatic entry into The Victory Cup Scratch Knockout Competition. The competition will be played under the existing knockout rules and still be administered by the Match & Handicap Committee. The entry will remain at £1 and the finalists will be awarded accordingly at Presentation Evening. 5. DREAM TEAM CUP CHANGE A request was received from the Ladies Section to review the competition format for the Dream Team Cup. Following a detailed review which involved clarification of handicap allowances based on the competition being played on the Open Course it was agreed that the revised format would allow for Men and Ladies to play off their respective handicap stroke indices, with a revision to Hole 4 which will revert to a Par 5 for Men for the day of the competition with the White Tee being located back to it’s original location; to the rear of the third green. 6. TROPHY CABINET In conjunction with the Club Management Team we have agreed to replace the existing Trophy Cabinet located in the main corridor with a bespoke and integral cabinet unit in the patio entrance area opposite the PSI terminal; currently used as a shoe storage area. The committee has agreed to fund 50% of the cost (excluding VAT) from reserve funds. The new cabinet, which will be lockable, will then display our trophies in an improved secure environment. Work on this will commence before the end of January 2015. 7. WARNING AND BANNING NOTICES As a result of a significant number of members failing to turn up to play in weekend competitions and not advising the committee or the Pro shop of their non attendance, a

suggestion was put to the M & H Committee to introduce a Warning and Banning procedure. The details of which are detailed in the diary under General Information, Section 3 Competition Entry and Management. The aim is to give every opportunity to all members to play in weekend competitions and to stop individuals from blocking out tee times and not showing up. The committee will apply a degree of discretion for compassionate cases. 8. CLUB 2000 SYSTEM REVIEW An upgrade for the 2015 season has been downloaded and installed successfully onto our PC. Throughout 2014 we experienced a few minor system issues but were able to recover in a timely manner due to good housekeeping and data back-up procedures. We have re-negotiated our Broadband connection with BT and made a small saving in costs. Overall we have a stable platform but we are now investigating the options following a request from the Club Management to consider converting and transferring our competition and handicap activity onto an ESP platform, which is compatible with the Club system. The committee has agreed to undertake a feasibility study and to include in that study the option of upgrading our existing system to Club V1, which will give designated users remote access to the system for administrative purposes. A project group will be formed to undertake this review and report back to the main committee. 9. COMMITTEE SUPPORT I would like to take this opportunity of thanking all past, present and co-opted members of the Match and Handicap Committee for their support throughout the year whilst I have been Secretary. Trophy Cabinet. We have some wonderful Trophies and they will in future be displayed to their best advantage in a new Cabinet being

built in the entrance area. In conjunction with the Management team the Committee is using funds to cover 50% of the costs, which will be approximately £1200. Question from Steve Black could we have a list of the current holders of the various trophies listed in the cabinet, so members will know who won it last year. Fail to Shows !! during the year we noticed an increase in the number of these and introduced a system of penalties, yellow card warning followed by a red card and a ban for a month from competitions. This has been successful in reducing FTA’s, The computer system , we use Club 2000 and the Management uses ESP system, we are going to review this and see if we can combine them. Club 2000 now offer ClubV1 which will allow off site access to put competitions live and also on-line booking which we know that members have been asking for. The cost of this is in the region of £600. We have had a few problems with Club 2000 this year but we need to look at the potential benefits of change. Colin thanked his very hard working M&H Committee for all their exceptional help , without this every thing would fall apart! He also thanked Pete Billings and his team for his fantastic setting of the course together with Rob Smith and his team in the Professional Shop. Junior Organiser : Dean Boyle Dean presented his report and announced that the Junior County Champion was Harry Tindale. He also thanked both Dan and Damon our two excellent teaching Professionals who had done wonders with motivation and coaching of the Juniors. Mixed section Captain : Peter Hollingworth My year as Captain or 10 months as it should probably have been called settled into being an enjoyable experience and I benefitted from the support of many in the mixed section. I feel it is the core of a strong golf club and I am very proud to be a part of it. To those of you who have bailed me out of holes, spotted my mistakes and stepped in when help was needed, a special thank you. I was fortunate in being left a healthy section by George Crowford, the outgoing Captain, and he has been there for me with support throughout the year. We have been blessed with a year of great weather which avoided the need for re-arrangement of matches and cancellations, and my thanks to all who took part in the various events.

Matches Team selection for the friendlies was generally strong and (with the exception of the final match at Norwood which happened to fall on Ryder Cup Sunday), we fielded full teams. That cannot be said for some of our opponents who struggled to find enough couples. On several occasions we supplied a pair to play on their behalf. 15 matches were scheduled for this year, and overall results were; Won 5, Lost 6, 3 Halved and one cancelled. We continue to play the home matches over both courses where allowed. This helps with delays for meals and seems to go down well with visitors. Either, through invitation or necessity 5 matches have been captained by other members of the section and my thanks go to them, especially David & Julie Rose who were the necessity element. Home catering has been excellent through the year and we are now proud to entertain our visitors. Competitions All club competitions were well supported. It was good to see many new faces taking part and bringing fresh blood to the mixed section. The Lee Mixed competition is no longer part of the 5 event arching trophy (now known as the Mixed Champions Bowl) and has been replaced by the Philip Lodge Trophy. This was played as a greensomes tournament which I feel gives a good balance to the two betterball and aggregate events. David & Julie Rose, and Steve & Emma Bravery Winners of the Mixed Champions Bowl for 2014 were Mike & Liz Smith Our congratulations also go to Robin & Chris Gardner on winning the Mixed Knockout Comp. (Wellington Trophy). Weekends Away This year has seen 3 good, but 2 exceptional venues for the mixed section. As usual the golf was competitive even though the weather tried to spoil a couple of days, but the spirit and enthusiasm was superb and I for one was glad I participated. Winners of the weekends were; Ingon Manor Keith Harris & Lynne Williams (David & Jenny Brown Trophy) Rudding Park David & Julie Rose (Mansfield Millennium Trophy) Vale of Glamorgan Robin & Chris Gardner (Gelsthorpe Trophy) It’s always nice for the captain to have somewhere to hang his hat, and I am pleased to say that Rosie and I won the irregular running of the Welsh trophy, this time played at The Rolls of Monmouth Congratulations to all winners and thanks to everyone who supported these trips and made them a great success. Other Events In addition to the weekends away we held a Captains away day which this year was at Bondhay Golf Club playing for the Brian & Lorna Reid Trophy. The course proved very challenging for most of us normal mortals, but David & Julie Rose handled it well and won the day. In Closing I would like to thank the mixed committee for the help, guidance and support they have given me, but especially Rosie Dennett, for without her I would have lost the will to live on many occasions. The staff at The Nottinghamshire have done their very best to support and meet our needs through the year and I thank them for that.

Finally, I would like to thank all of the people who have played and supported the mixed section in the friendlies and competitions during the year. I, along with the committee are always looking for ways of improving the section and would be very happy to receive suggestions on how we could do that. Here’s hoping you all have a good year in 2015 Peter Hollingworth, Mixed Section Captain Seniors Captain : Brian Wigley Firstly, I would like to thank everyone who has given up their time to support the seniors during the past season. For other seniors who are considering joining us, please come along and introduce yourselves - we are still looking for more new blood to swell our ranks: you will be made most welcome. Our allotted tee times are 0704-0800 each Monday and Wednesday and Friday. The tee times in the winter from November to March is 0800am Our midweek competitions continue to draw a good crowd of regulars as well as those who cannot make the Monday slot. These competitions are open to all senior golfers. During the past season the seniors enjoyed two Away Days. The first, in March, an aggregate stablefords, was held at the College Pines Golf Club. The second was held in September at Melton Golf Club. Both days were well attended, and many thanks must again go to the seniors committee who organised them. Plans for an early Away Days for next year are already underway. During the 2014 season we have played 34 matches. We won 14, lost 17 and drew 3. The new players who joined us for our match fixtures enjoyed the competitive edge and are looking forward to the 2015 season. We have got a new fixture for 2015 with Ramsdale Golf Club at home and away. SENIORS 2014 ROLL OF HONOUR. The Crowford Spring Away Day Trophy College Pines Golf Club winner Paul Ferrara. On the 15th December we had our Christmas bash which was attend by 79 seniors, with 72 playing in the competition which was a green some format and the winners were: Steve Wood and Pk Chung with a net 73 . We also ran a completion on the day for the quests which was won by Damon and Derek Price with a net score of 67. Following the presentations we ended our year with a very enjoyable Christmas dinner.

BRIAN WIGLEY Seniors Captain Course Superintendent : Pete Billings Pete spoke about all the changes and the work that his Team have put in this year and hoped that it was to the liking of the members. The Greens have been running at 10.5 on the stimt meter , during the summer the fairways are cut twice a week, Permanent Artificial tee surfaces are being placed at White tees on 3,6,8. This will be a year of consolidation and improvement. Roped off area’s are being introduced to protect the playing surfaces for the summer months, you may be asked to play off small fairway mats in these area’s. A perennial thing but please keep Buggies and Trollies away from the perimeter of the Greens. Question :- Roy Boot asked about the path on the first….this is to be redone. We all agreed that the courses are in exceptional form and a true credit to both Pete and Alan Hardy for his vision. General Manager : Bill Mackenzie Bill gave a very upbeat presentation on the health of The Nottinghamshire and the following of Alan’s vision. He thanked Keith and Jackie and welcomed the incoming Captain’s Chas and Steph. 2014 AGM REPORT FROM BILL MACKENZIE MD Dear Members, As ever thank you for the opportunity to bring you up to date with where we are as a business which includes of course where we are as a Golf Club. Well as usual there is some bad news and some good news to share with you. There is no doubt that 2014, as has been the case for most golf clubs, has been a challenging year in an ever declining golfing market. The facts are that less people are joining golf clubs as Members and more people are playing in Societies. Unless you want a handicap and to play regularly with your friends at one course, more and more people are choosing to play at different courses instead. Visitors paying and playing are also in decline due to a mix of all the pressures about work time families and economic stress etc. This is despite receiving fantastic feedback from visitors and members alike about the ever improving facilities here. Although we enjoy the core of people in this room thankfully choosing to continue to be Members, the market trends are currently against growing our numbers of Members. This in turn puts massive pressure on making our business and financial model work effectively, especially when you are investing as we have been doing over the last 3 years. So membership is actually down and we now have less than 900 members playing on 2 courses of which 60 people don’t actually pay us anything anymore. This leaves around 840 paying members compared to clubs like Stanton who have 800 members playing on 1 course. The other comparison is that Stanton and Radcliffe and all other members owned clubs don’t pay VAT where as we have to give 20% back to the taxman. We are at least 300 members short of what we need and at only 450 members per course we are the lowest members per course in the County. What does all this mean to you the members you might ask? I think it is worth reflecting on the following points:

1. Without the vital extra income form the function suites the business would struggle to be

viable so please bear with us when the car park is busy or you can’t access upstairs

sometimes.

2. Your support in bringing more friends to pay and play, more new joiners and more

events to the Club would help massively.

3. We have made significant improvements to the courses and the Club house already

including the gents locker rooms being redecorated but, this needs to and will, slow

down now. We often get asked to invest in several new features but it is usually

unaffordable.

4. We do know there is an issue with the car parking and we are currently seeking

permission to extend the number of spaces we have currently.

5. As a thank you for your loyalty, all full fees for 5 and 7 day members are being frozen in

2015 which is unusual in this industry. This is despite costs continuing to rise across the

board. In return we hope to retain the existing membership and get more members

demonstrating their support to the club in general.

6. So the year ahead will be one of consolidation so if you can help us grow our

membership and visitor numbers we will greatly appreciate it. Thank you all for

listening.

Bill asked for all the members to become ambassadors for the club both in attracting new members but also in welcoming new members into the club, and to support members evenings. Questions Brian Reed asked if the 5 year plan would be available, the answer is no as its not financially viable. Gavin Brand asked about increasing the car parking. Quotes have been gained for increasing the number of spaces and Bill ran through the options. Carl Afonso spoke about the expense of bring a friend here for 9 holes, there are no plans at present for a 9 hole rate. Gavin asked about different categories of membership. Bill replied that he was simplifying the position. We are now offering a reduced rate for the under 31 age group. Election of Officers for the year All Officers were elected unopposed. Mr Keith Howard is confirmed as Honorary Auditor. Past Captains address Keith Harris. He had a DREAM, and even at the end of the year he still has it…. Keith didn’t know how he did it but all events throughout the year have had good weather, he has enjoyed the year as our Captain playing in the Mixed away days and also with the Seniors. Keith was very happy the Callum Fern won the Club Championship Great thanks to Pete Billings and his staff and also to Alan Hardy for his continuing vision. Rob Smith and the Professional staff have been FAB as have Trevor and his team in their food creations. Keith thanked the Committee for all their hard work and is very proud to have been our Captain. He ended by saying it had been and experience with Jackie this year. Keith presented flowers and then exchanged Ties with Chas as the incoming Captain. New Captain for 2015 Mr Chas Uhbi He has been a member here before we even had a course and has seen the many and fantastic changes, but the recent changes that Alan Hardy envisioned have been very significant. It has also been a pleasure to see how people like Damon Wood have grown and developed so well at The Nottinghamshire. We have a fantastic and diverse membership. During his year Chas wants as much feed back to the Committee as possible to ensure that we reflect the wishes of you , the members. All of the sections of the Club are very active and do our Club proud. Match and Handicap committee have a hard and difficult task during the year and it is due to their continuing efforts that everything seems smooth and easy. We have a new Hole In One Book to record all the brilliant golf and as such Chas presented the first Hole In One Tie to no other but Bill Mackenzie.

The Captains away day will be held at Birstall Golf Club and Chas is hoping that as many as possible will be able to attend. Chas introduced CARDIAC SURGERY at The City Hospital as the Captains chosen charity , the unit is supported by Cardiac Surgeons and Technicians . All the monies raised will be ring fenced for local needs only. Chas presented Vice Captains Cuff Links to Brian Wigley as his new VC. He will have responsibility of running the Combined Team this year and hopefully this will continue in future years as a VC task. NMGC - Treasurer's Report to the AGM Held 14th January 2015

1. Income from our club competitions is slightly down on last year, perhaps due to a higher number of

cancellations as a result of bad weather. We still managed to organise 42 regular Saturday

competitions with an average of 133 participants and 38 midweek competitions with an

average of 31 participants.

2. Most items of expenditure are down from last year for one reason or another and thus the cash

surplus on the year of £2.4K is higher than had been forecast in the budget. Once again, this

annual surplus was significantly boosted by the anonymous donation we received towards the

cost of trophies.

3. Our cash reserves remain healthy, the balance of around £7.5K at the start of the year being

increased by the annual surplus of £2.4K

4. An operating budget has been set for 2014/15 based on similar levels of income & expenditure with

a view to breaking even on day-to-day activities. However, the committee wishes to report

that investments from cash reserves will be made in two areas next year which will be over

and above the operating budget:-

. 4.1. A contribution of £1200 towards a new trophy presentation cabinet which will be installed and

largely funded by the Club Management and will provide greater visibility and prominence to

our member honours.

. 4.2. The second item, for which costs are not yet fully defined, is the possible upgrade or

replacement of the existing competition and handicap management system (Club2000) in

order to provide greater flexibility in these crucial and time-consuming processes.

5. I can confirm that, as in previous years, we have continued to regularly reconcile the cash paid by

members for "topping up" their competition cards against the balances showing on their

accounts. This process confirms that all members competition cash is properly accounted for.

6. This has been my first year as Treasurer after taking over from the excellent work carried out by

John Saunders over the previous 3 years. I would like to place on record my thanks to John for

his endeavours in making sure that I had a solid platform from which to start and for his

significant support throughout the year.
