The cost of this security requirement is at £100+VAT Technicians & engineers - all systems should ONLY to be operated by suitably qualified engineers aided by Tabernacle house engineers and technicians. If any extra room, rehearsal room, dance studio or gallery is needed there will be an hourly hire fee and can be arranged subject to availability.

be consumed on the premise.

SOUND RESTRICTION Decibel limit = 96DB

The 96Db limit in the Theatre is imposed by a level meter on the back wall of the Theatre on Stage right (above the stage). This meter has to have 3 solid red lights for 10 secs continuously, after which it will cut backline power only to the 13a stage power sockets (all the backline must run through these sockets as part of the terms of our licensing) - it is not attached to the PA system. The PA system and controller is set to operate at a good 96Db throughout the theatre and is the ideal listening level for events in the space. The 96dBA level limit is measured at a minimum of 2 sec R.M.S. not peak, it is a 2 sec to 10 sec R.M.S. and venue will use discretion to decide if the bass or overall level will cause annoyance to any of the surrounding residents.

DANCE STUDIO FIRST FLOOR

Located on the first floor at the rear of the Tabernacle, the Dance studio is a large professional space that has been specially equipped for use by all forms of dance, exercise and health activity classes. This light and airy room is fully air conditioned, has sprung wooden floors and full length mirrors / ballet bars running along its span. It is a popular space with a wide range of classes being held in the Dance Studio on a weekly basis throughout the year, including some long term resident companies, Portobello Dance School has been at The Tabernacle for 20years.

MEETING ROOM SECOND FLOOR

HIRE RATE

£25.00 + vat per hour

Located at the front of The Tabernacle on the second floor, the meeting room has panoramic views over the courtyard and

Powis Square. It is able to accommodate 20 - 25 people comfortably for meetings, seminars and lectures alike with seating and

tables as seen in the picture below. A large flat screen TV is also available for use and can be connected to laptops for

presentation purposes etc. Main access to the room is via the lift on the right as you enter the Tabernacle. Please be advised

that there is direct access into the Technical Balcony in the theatre from the meeting room. When the theatre is being used for

an event, the Technical Team will need access to the balcony but will attempt to cause as little disruption as possible.

GALLERY GROUND FLOOR

Located to the left of the Main Bar on the ground floor, the Gallery is easily accessible.

It is a fantastic bright space to display all forms of art and hold intimate exhibitions.

Unlike other exhibition spaces, the Gallery at the Tabernacle has access 7 days a week

from morning to night as well as drawing in a wide and eclectic passing crowd to the

Theatre/Bar & Restaurant.

Access to set-up exhibitions from 9am. Use of the atrium/hallway outside the gallery for displaying purposes, as long as displays do not affect access. Use of atrium outside the gallery to hold an opening /preview night. Addition of the exhibition’s publicity onto the tabernaclew11.com. Display flyers and poster in specified areas in The Tabernacle. We do not provide any equipment to hang exhibits. All walls and surfaces must be repaired and returned to their original condition.

MUSIC ROOM SECOND FLOOR

Located on the second floor of The Tabernacle at the rear of the building, this is a small intimate room suitable mainly for music rehearsals. The room is fully sound proofed to avoid any disturbance. Main access to the studio is via spiral staircase on the first floor or the lift on the ground floor located in the corridor the main bar. Please be aware there are no windows in this room.

IMPORTANT NOTES

AUDIO AND LIGHTING EQUIPMENT Use of the house equipment must be operated and or supervised by a member of The Tabernacle technical team. Under

the terms of our license all amplified music must pass through out limiter. The appropriate technical staff will be made

available based on your requirements, to include sound engineer, lighting engineer, stage crew.

DOOR SUPERVISORS Door supervisors are a requirement of running a safe, successful venue. Our staff are SIA registered, professional,

friendly and experienced at handling all sizes and types of events. Under the terms of our license we are required to

have 1 member of security present per 100 people attending an event.

BARS If you need to let us know if your event needs the theatre bar open and we will arrange staff.

CATERING We have a range of catering options available for you. Please ask when you are booking your event.

FIRE POLICY Please be aware of all contingencies and protocols and please make guests aware of the fire exits. Policy documents are

on display at The Tabernacle and digital and paper copies are available upon request.

TERMS AND CONDITIONS

It is agreed that the fee, plus VAT, shall be payable in advance of the date of performance with 50% as a

deposit. The booking shall not be deemed as confirmed until such deposit has been received. The deposit is

non-refundable except as provided for under the cancellation clause.

As far as it is possible The Tabernacle shall not make or permit the making of any 3rd

party audio and/or visual

recording or transmission of the musicians’ performance without their prior written consent.

This Agreement may not be modified or cancelled except by mutual consent, in writing signed by

both parties.

The Hirer agrees that they are the Principal as supplier of the service to the customer and that the venue is

acting solely as their agent in providing the hired space and associated services. Consequently, the Hirer

confirms that they are responsible for VAT on all ticket sales however sold and for the avoidance of doubt that

includes tickets sold by the venue acting as agent using a website or their box office. Furthermore, the Hirer

will indemnify the Company against any claim for VAT on ticket sales relating to this hire that might be made

by HMRC to any party.

Any rider attached hereto, agreed and signed by both parties shall be deemed incorporated into this

Agreement.

Hires are confirmed only when The Tabernacle is in receipt of a signed and completed contract and the agreed deposit.

The Tabernacle reserves the right to terminate the hire contract immediately if at any time the following terms and

conditions are not adhered to:

All communication relating to the function/event shall be routed between the Events Manager (or his/her nominee) and

one person to be nominated by the Hirer.

2 APPLICATION AND RESERVATIONS

2.1 Full details of the type of function/event and its associated activities must be provided in writing at

the time of the application on the provided Booking Sheet. The Tabernacle reserves the right not to

accept an application and is not bound to state the reason for doing so.

2.2 In specifying the day(s) and times in an application, the Hirer must include an adequate allowance

for any set up, breakdown and reinstatement activity.

2.3 The person signing the Contract Schedule as Agent and the person or organisation on whose

behalf the application is made shall together be deemed to be the Hirer. They will be jointly and

severally responsible for the payment of charges and for observance of the contract conditions.

3 PROPER USE

3.1 The room/space shall be used for no purpose and at no times other than as specified in the

hire Schedule. If The Tabernacle believes there is a discrepancy between the purpose stated in

the Schedule and that, which is going to take place, The Tabernacle may cancel the reservation

and retain the deposit. The Tabernacle reserves the right to discontinue any function/event whose

activities are other than those stated in the Schedule, in such case the Hirer shall remain liable to make full

payment.

3.2 In using the room/space the Hirer shall ensure that:

a. The function/event shall be organised in a manner, which promotes enjoyment by the attendees and

the reputation of The Tabernacle

b. Nothing shall be done, permitted or omitted that is contrary to any law or regulation or would

prejudice the reputation of The Tabernacle.

c. Good order is maintained at all times by persons attending the function/event.

d. No unlawful betting, gaming or lotteries take place.

e. There is proper care and supervision of children with CRB checks completed as appropriate under the

law.

f. All proper precautions have been taken to prevent fire and to protect people from any act or thing that

may be or become dangerous or risk to health or well-being.

g. All necessary precautions are taken with regard to seating, amplification, heating and lighting, in

accordance with The Tabernacle Health and Safety Policy and Risk Assessment, copies of which are

available for inspection from the Office.

h. Official exit ways from all rooms, buildings and spaces are kept clear at all times

i. Particular care is taken in the organisation of teenage and young persons’ events in respect of the type

of activity proposed and the maintenance of good order.

j. No smoke machines or incendiary devices are used without prior permission from The Tabernacle.

k. The maximum number of persons permitted under the term of the Licensing Authority for the

room/space is not exceeded.

l. There shall be no smoking anywhere in the building and only in the designated smoking area in the

courtyard to the maximum numbers allowed.

m. There must be no activities in the courtyard after 9.00 pm.

n. Attendees must leave quietly in respect for The Tabernacle’s neighbors.

4 CHARGES AND PAYMENT ARRANGEMENTS

4.1 Any storage of equipment must be agreed in advance. A further charge for storage may be

incurred.

4.2 A non-refundable deposit of 50% to be paid by the Hirer within seven (7) days of the invoice date.

The balance of the charge must be paid in full seven (7) days before the function/event. Any

additional costs will be invoiced after the function/event and must be paid within fourteen (14) days

of the invoice

5 CANCELLATION

5.1 The Tabernacle may immediately cancel the reservation and terminate the Contract without liability

to the Hirer if the Hirer fails to make any payment when due or if the Hirer breaches any other

material condition of the Contract. On such cancellation or termination, or if the Hirer cancels the

reservation or terminates the contract, the following cancellation charges shall apply (and no monies

paid by the Hirer shall be refundable). A cancellation charge will be levied as follows: 2 months

before hire date: Deposit refunded; 2 months to 30 days: Loss of deposit; Less than 30 days: total

charge expected (to include room hire, catering if booked and charge for any additional items).

6 CATERING AND BAR SERVICES

6.1 Any catering and/or bar services required by the Hirer will be provided by The Tabernacle unless

otherwise agreed prior to the event.

6.2 The charges for catering if required by the Hirer shall be paid by the Hirer to The Tabernacle or its

catering contractor in accordance with condition 2.8 above and the Hirer shall confirm the final

number of attendees at least seven (7) days before the function. If a lesser number actually attend, no

price reduction will be made. The provision of catering services may be subject to minimum and/or

maximum numbers

6.3 No food or drink may be brought into the room/space by the Hirer or attendees of the function/event

for consumption by or for resale to attendees or the public within the room/space, unless agreed with

The Tabernacle. Food or drink provided by the caterer may not be taken or consumed outside

6.4 The The Tabernacle reserves the right to exclude any person from the room/space and/or to close the

bar and cease the provision of alcoholic beverages at any time if the situation renders this desirable.

7 LIABILITY AND INSURANCE

7.1 The Hirer shall indemnify The Tabernacle in respect of all damage or injury to property or person and

in full against all liabilities, claims, demands, losses, damages, costs and expenses suffered and

incurred by The Tabernacle as a result of, or arising in connection with

a) the room/space hire and activities associated with the hiring

b) the breach of any provision of the Contract by the Hirer.

7.2 The Hirer shall if required by the venue produce any appropriate policy for inspection by The

Tabernacle at least seven (7) days before the commencement of the hiring. In the event that the hirer

does not provide evidence of insurance as required The Tabernacle will provide cover for which an

additional charge will be made

7.3 The The Tabernacle reserves the right to close the function/event in the event of unreasonable

behaviour or willful damage and to require the Hirer to withdraw or cease any activities which puts

attendees, the public or the premises at any risk whatsoever.

7.4 The Tabernacle will not be liable for any loss or damage suffered in the event of the room/space not

being available by reason of circumstances beyond its reasonable control, including without

limitation, fire, accident, adverse weather, insurrection, revocation of a license or regulation of any

competent authority. The Tabernacle takes no responsibility whatsoever for equipment brought onto

site by the Hirer.

8 PUBLICITY AND SIGNAGE

8.1 No poster or other advertising material for the function/event shall be

a) issued or distributed prior to its written approval by The Venue

b) placed on public or private property without the owner's consent,

c) placed such as to cause nuisance or damage.

For the avoidance of doubt each condition above shall be deemed to be a material condition for the

purposes of condition 3.1 above.

8.2 Direction signs and related notices may be placed inside The Tabernacle premises immediately

before the function subject to The Tabernacle's prior approval and provided that nothing is fixed or

attached to any building surface, fixture, exhibit or furniture. All posters, signs and notices shall be

removed by the end of the hire period.

8.3 Both Westminster and the Royal Borough of Kensington and Chelsea do not allow bill posting in the

boroughs and to this end the hirer is not allowed to post publicity that contravenes this regulation. If

this occurs, the hirer will be responsible for any fines payable due to this offence.

9 STAFFING

9.1 The Hirer shall provide a nominated liaison person at the function/event and such number of suitably

skilled attendants and stewards as may in the opinion of The Tabernacle and the relevant authorities

to be necessary adequately to control the function/event. All such attendants and stewards shall wear

clearly distinguishing dress that allows attendees easily to identify them. In the case of

functions/events for children, one adult steward shall be present for every ten (10) children

9.2 The The Tabernacle reserves the right to require the Hirer to provide at the Hirer's cost, a uniformed

security presence at the function/event. Unless otherwise agreed, the Hirer shall use the same security

organisation as used by The Tabernacle at its premises. 1 security to every 100 people is required.

9.3 The Tabernacle reserves the right for its employees to enter the room/space at any time and for its

Contractors to do so in the event of need. The Tabernacle will provide a responsible officer who will

liaise with all staff brought in by the Hirer.

10 ACCESS, EQUIPMENT AND CONTRACTORS

10.1 The Hirer shall ensure that any vehicle delivering or removing equipment or goods for the

function/event uses authorised routes only and complies with all relevant site regulations. Vehicles,

equipment and goods must be positioned so as to block neither emergency routes or fire exits nor

access to inspection chambers, service covers and the like.

10.2 General parking is not available at The Tabernacle. A limited number of pay and display and disabled

parking spaces are available in designated positions near to the premises

10.3 No delivery or installation shall commence before the time permitted under the hiring and/or

breakdown and removal shall be completed by the time denoted as the end of the hiring. All such

activities shall take place only at times agreed with The Tabernacle.

10.4 The Hirer shall ensure that any equipment brought onto the site or into a building complies with all

relevant laws and regulations. Other than electrical supply from existing 13 amp outlets within

buildings, the Hirer will notify The Tabernacle of any requirement for utility services and will not

make connections to any such services without the prior consent of The Venue.

10.5 The Hirer shall notify The Tabernacle of the identity of any supplier or contractor that it intends to

use for the provision of equipment or services on the site. The Hirer shall give due consideration to

using The Tabernacle's preferred supplier or contractor, if any, who has relevant knowledge of the

site and buildings. Nevertheless the Hirer shall remain solely for the performance and actions of its

suppliers and contractors. The The Tabernacle reserves the right to refuse certain intended suppliers

or contractors access to any building or open space.

10.6 If The Tabernacle so requests, the Hirer shall provide a method statement and risk assessment for the

activities and intended use of equipment by the Hirer.

10.7 The Hirer recognises that during the Hirer's presence on the site, the activities of The Tabernacle and

of other parties are likely to be taking place at The Tabernacle premises. The Hirer will use all

reasonable endeavors not to interfere with or cause nuisance to such other activities and will act upon

the reasonable request of The Tabernacle in that connection.

11 OTHER OBLIGATIONS OF THE HIRER

11.1 Licenses

The Hirer shall be responsible for abiding by the terms of any license that may be required for the

function/event.

The Tabernacle licensing hours for most events are as follows:

11.2 The Hirer shall adhere to the above opening times under the terms of hire.

12 CHILDREN AND VULNERABLE PEOPLE PROTECTION In the case of those Hirers working with Children, the disabled or elderly.

12.1 The Hirer shall provide proof of Criminal Record Bureau CRB) checks for all persons working

directly with children or vulnerable adults at the time or before the use of the space being hired. If

this is not forthcoming The Tabernacle reserves the right to cancel the booking and recoup

cancellation costs from the deposit as outline in 3.1.

12.2 All hires involving children renting space must ensure that the children are supervised at all times,

and we are required to have the name of the person who will be responsible for children attending

your event. Please ensure that this filled in on the application form. This is necessary to be in line

with our Certificate of Registration for Children under 13 years, as dictated by the Children’s Act.

The Tabernacle cannot take any responsibility for any injury to unsupervised children. This is also to

avoid unnecessary complaints about children running around unsupervised, disturbing other sessions

and/or the neighbours. We urge you to adhere to this requirement, especially when we have made

space available to you for this purpose.

12.3 All hires relating to workshops must keep a register of all participants attending the workshop as well

as register all names in the signing in book at the box office desk. The register of names to be

submitted to the office at the end of each session

13 RADIO, TV AND FILMS The Hirer may not grant broadcast (sound or television) or filming rights without the prior written

consent of The Tabernacle. If such consent is given, The Tabernacle reserves the right to take part in

any negotiations, to be a party to the conditions of any Agreement and to take a share in any income

or publicity and the benefits derived there from.

14 RULES FOR WORK ON SITE In preparing rooms or space for any function or event and in the subsequent break down and

reinstatement, the Hirer shall abide by The Tabernacle rules relating to work on site.

15 REMOVAL AND CLEANING The Tabernacle will undertake normal cleaning operations but the Hirer shall be responsible for the

removal of all its equipment, boxes, packing materials, samples, brochures and the like. The

clearance and removal of waste and rubbish from catering and bar services is the responsibility of

The Tabernacle preferred catering contractor. Any equipment or goods remaining at the end of the

hiring period may be removed and returned to the Hirer or disposed of at The Tabernacle's discretion.

Any costs incurred by The Tabernacle as a result of failure by the Hirer fully to perform its

obligations under this condition 9.4 shall be paid or reimbursed by the Hirer. The Hirer can only

remove any equipment or goods brought on or removed from site by the Hirer between the hours of

10:00hrs – 21:00hrs and ay specific times to be agree with The Tabernacle.

16 SERVICE OF NOTICES Any notice demand or request by The Tabernacle to or upon the Hirer may be sent by ordinary pre-

paid post addressed to the Hirer at the Hirer's address given in the Contract Schedule and shall be

deemed to be made or served at the time when the latter containing the same would be delivered in

the ordinary course of post.

17 COMPLAINTS Any complaint arising out of the hiring must be made in writing to the Events Manager within

twenty-four (24) hours of the reason for such complaint arising.

19 AT HIRER’S RISK All property brought in to The Tabernacle by the hirer shall be at the Hirer’s risk. This shall include

but not exclusively all musical instruments, equipment, props, accessories, artwork and personal

effects. For the avoidance of doubt these are not insured by The Tabernacle and The Tabernacle will

take no responsibility whatsoever for any loss, theft or damage.

MORE THAN A LITTLE SOMETHING ABOUT THE TABERNACLE

The Tabernacle is a beautiful old church built in 1878, a multi level iconic building stretching over three

floors and has a long-standing bond with the community and is steeped in history.

Open Daily from 9am - late The Tabernacle has a Theatre, Dance Studio, Art Gallery, Bar & Kitchen,

Meeting & Rehearsal Rooms, Conservatory & Garden and is open to all for breakfast, brunch, lunch, dinner.

It is totally inclusive and strives to reflect the community she supports.

In 1966: Michael X and Mrs Laslett as a local affair started the first Carnival in Powis Square for kids.

1968-73: Pink Floyd debut with a residency at All Saints Church Hall. Hawkwind form nearby. The BBC

film ‘Interstellar Overdrive’ at The Tabernacle. Hendrix, Marley, Van Morrison and Rolling stones are

regulars at The Globe.

1973: The Siege of Notting Hill – local councilors are locked into All Saints Hall to listen to demands that

include opening the Tabernacle as a Community Centre and saving the Electric Cinema from

redevelopment. The Tabernacle is squatted and is soon to become the heart of the community.

1974-80: The Tabernacle has become the community arts centre base of the Carnival and the Mangrove steel

band (as it still is today). Rough Trade opens in ’76. In ’77 it The Tabernacle is the venue of the Raincoats’ debut gig; and at the end of the 70s, Joe Strummer appears at the time of ‘London Calling’ with Richard

Dudanski’s Ladbroke Grove All Stars 101′ers reunion.

The 90′s: The Stones and Pink Floyd rehearse at the Tabernacle. It reopens after a significant refurbishment.

The first 21st century Portobello Film Festival is screened at the Tabernacle. In 2006, the building is used as

the rehearsal studio of The Good, the Bad and the Queen.

2009 – Present: The Tabernacle officially re-opened on Carnival weekend August 2009 under the

guardianship of Carnival Village Trust. One could say these past 4 years have seen a great evolution and The

Tabernacle regaining her soul – we’ve had music from artist across all genres, both local and around the
