What is TixTrack?

• TixTrack is a set of tools used by ticket office staff to help manage events

• Pre-event, TixTrack can help analyze and preview scaling and pricing options for the venue, and produce friendly, visual reports for staff and promoters

• Once on sale, event data is imported into TixTrack based on extracts from client’s ticketing system, and visual reports are produced to help understand sales and trends

Benefits

• Hosted, web-based solution that uses visual (CAD drawings) and graph/charting tools to represent venue scaling, pricing, hold and sales data

• Allows easy production of Promoter data (color-coded scaling & hold maps) and audits using easy to read pictures and charts

• Can be used to “model” pricing and test out scenarios before building pricing data into the ticketing system

• Analysis on sales data can be undertaken to improve future event scaling and setup

View Samples of the visual reports created quickly and easily using TixTrack:• Map 1 - "Visual Audit" - shows the status of all the seats

 • Map 2 - "Hold Map" - the legend provides a list of all the holds, and how many in each category.

The map shows where the holds are located. Running this allows the venue and promoter to keep track of holds to make sure they release them as necessary

 • Map 3 - "Sold Map by Price" - legend shows how many tickets/revenue sold by each price. The

map shows where those seats where sold

 • Map 4 - "Sold Map by Specific Promotion" - legend shows how many tickets/revenue were sold

for the "ADO" promotion. The map shows where the promo tickets were sold. Can also run the same map showing all the promotions on the same map so a promoter/team can see in a quick glance which promotions did well

Once an event is built it is a simple process to forward the required information over to the TixTrack Representative. This serves a dual purpose; firstly the TixTrack Representative is able to quickly assemble your event in their system and secondly they are able to easily catch any mistakes that have been made. As we all know human error is a very real part of building an event. TheTixTrack Representatives are able to quickly catch and identify any duplications or omissions. Our goal is to get the information from the build to the TixTrack Rep. quickly so that any mistakes can be rectified before holds are even placed in the event. This way we can avoid having any imperfections present by the time we are ready to have the event go on-sale. Not only does this ease our minds knowing that there is a secondary checkpoint in place it also ensures that our on-sale will proceed smoothly.

 

Once the event is on sale and built in TixTrack we are able to create a PDF or a hardcopy map to enlighten the promoter in relation to our sales progress. Upon hearing that we have a seat specific colored map that indicates holds, sold seats and kills most promoters respond with marked enthusiasm. Once they actually see the product they are, more often than not, even more excited. Having each seat accounted for with individual colors indicating their status makes everyone's job easier. For the promoter, they can easily and quickly make decisions about holding, releasing or killing any seat in the arena. For our part, not having to sit over a CAD drawing and laboriously color in each section, is a gift. The average hand colored CAD takes anywhere from 25 to 45 minutes, depending on the quickness of the artist and the complexity of the holds. The average TixTrack map takes 2 minutes to prepare from start to finish. Not to mention that the average hand colored map, despite the proficiency of the artist, looks terrible. Whereas the TixTrack map is clean and professional, with an attached Key indicating either specific hold codes or the standard Sold/Held/Open/Killed designations.

 

This color allocation can also be used for price scaling, allowing the user to designate sections per their choosing and then give them a generic section total that they can use to estimate sellable seats. With floor seats ever fluctuating it is impossible to get a 100% accurate number, but most of the scaling process lies in estimation anyways and this feature allows for a near accurate and quick and easy total. We here at the BOK Center are very budget conscious and the old adage, "time is money", has never been more true than in the entertainment industry.

So as a time saving device that shaves down daily activities to fractions of their former selves TixTrack succeeds in giving us back something we truly need. It is not simply a luxury or a shortcut anymore; it is a proven tool that enables us to do our job better. The savings in time and frustration translates into more productive work, pure and simple. In light of these savings we feel very comfortable in recommending the TixTrack system to any other venue that wishes to increase their productivity and their promoters’ satisfaction.
