From our early days in 1999, Trinity has grown to be one of the UK’s largest managing agents covering the whole of England and Wales. Trinity’s independence (We’re not part of a larger group) remains a core principal of our founders and owners and is closely protected.

New Build Consultancy Services

At Trinity, our philosophy is to provide a comprehensive service that ensures continuity throughout the planning, construction, marketing and handover stages. We start the process by putting together a team (comprising Chartered Accountants, Solicitors, Licensed Conveyancers, Health & Safety experts, Building Surveyors, Estate Managers and Customer Service Managers) all under the leadership of an experienced project manager who will be able to advise you on the following:

Design Stage

Working with your technical and design teams our experts are able to provide advice and recommendations.

Pre Commencement

Working from plans, specifications and briefings from your architects we can assist you in drafting development specific leases, reviewing Section 106 planning agreements and develop cost effective and practical strategies.

Budget Advice

Prepare and keep under review service charge budgets throughout the build process, producing transparent, accurate and concise breakdowns of service charge expenditure for each individual unit.

Handover of Management Services

The importance of aftercare is not underestimated and all new developments are brought on board by our experienced Handover and Customer Care Team. They help residents settle in to their new homes and ensure all services are set up and delivered to the agreed client’s needs and requirements.

In House Legal Services

The Trinity in-house legal team work closely across all departments and has a wealth of experience in all aspects of property management and landlord & tenant law. Below are just a few of the services the team regularly provide;

• Company Secretarial duties to include filing of annual accounts and other statutory information with Companies House

Block Management

The Trinity operating model is organised in such a way as to enable the locally based Estate Managers to focus on each developments’ requirements and in particular establish good working relationships with the residents.

They accomplish this through knowing that our Customer Care Centre is handling day to day maintenance, service charge collection, insurance claims etc.

The services provided are extensive and the following gives a “taste” of what we deliver;

• Arrangement of maintenance contracts• Managing contractors and approving invoices for payment• Managing major works and Section 20 consultation procedures• Preparation of life cycle maintenance plans• Arrangement of building insurance including claims handling• Regular site visits• Assisting Resident Directors in understanding and dealing with their

responsibilities• 24 hour Emergency Helpline available 365 days a year

Communication underpins our service and is an essential ingredient for smooth Estate management. Not just person to person, but on line too. Every owner is provided with a unique reference number which allows them to view up to date information about their home, when it’s convenient for them, 24 hours a day.

Customers can access their account on the Trinity Residents’ Portal - Get updates on repairs or ongoing maintenance, make payments at a time that suits them, as well as viewing useful information relating to their development

Surveying

The management, maintenance and safety of the buildings we manage is a key and fundamental responsibility which we take very seriously.

In fact all managed developments are visited at least annually by our surveyors. We’re currently providing these services (and more…)

Estate and Open Space Management

The increase in private housing developments in recent years has resulted in more communal open spaces requiring management, which combined with pressure on local authority funding, has resulted in alternative solutions being sought.

Working closely with developers and local authorities, we will devise a bespoke management strategy for;

Unlike most managing agents, who have to rely entirely on private surveyors , here at Trinity we have our own in-house surveying team. The Trinity surveyors carry out several functions, the chief of which is the annual risk assessment which is done at all of our estates.

Annual Risk Assessments This involves an in-depth site inspection, including testing of fire precautions such as emergency lighting systems and automatic smoke vents, and the production of a report which gives recommendations on how the health and safety of our estates can be improved. Separate reports are produced for fire risk, general health and safety, and play area risk assessments. Our surveyors will subsequently follow up on their reports and advise our estate managers on compliance with health and safety legislation and the implementation of any improvements, repairs or upgrades.

Our robust management systems ensure that risk assessments are carried out automatically when due, so that no estate is ever missed. Other requirements, such as the provision of asbestos surveys and water risk assessments, are outsourced, but overseen by our team to ensure both legal and safety compliance.

The surveying team are also on call to provide reports on any building fabric defects that may occur.

All members of the Surveying Team have extensive experience in building pathology, defect diagnosis, and the supervision of remedial works. Our supervision also extends to the scheduling, tendering and contract administration of insurance repairs (such as fire and flood damage) and cyclical redecoration and repair works.

Should a problem occur at one of our estates, in order to reduce the cost of any remedial works our surveying team manage this process and regularly liaise with the NHBC

Whenever possible, a warranty claim will be made either to the developer or the NHBC..

To smooth the way as new developments are built, they also carry out site inspections and liaise with our New Schemes team. Our Surveyors also work closely with our insurance managers, to provide information relating to fire and flood claims, as and when required.

In dealing with licensing matters, the surveyors regularly coordinate with our legal department. This all adds up to a fully integrated approach across the whole company, to ensure full compliance with relevant Health & Safety legislation and regulations.

Forming the focal point of a fresh chapter in the future of Canning Town, Vermilion is a new generation of London living.

The 271 apartment mixed use development comprises studio, one, two and three bedroom apartments many of which benefit from a balcony or terrace as well as use of a communal eco-garden. Vermilion has Rathbone Market on its doorstep, one of the East End’s oldest markets, whilst being just minutes from Canary Wharf, Stratford City, the O2 Arena and major transport links across the city and beyond.

What thismeans in reality...

NEWCASTLEThis site consists of 143 apartments and a number of commercial units. Trinity have been successfully managing this site since 2007.

Initially there were a number of challenges in terms of the build and in particular with the smoke extraction system and the generator located within the basement area.

We worked closely with the developer and the Resident’s Association (RA) in order to get these problems rectified and since then whenever any other problems have arisen we have found that the excellent relationship we have built with the RA enables us to quickly resolve matters in a way that is beneficial to all parties.

CONWYThis is a site that we were asked by the developer/freeholder to take over from the existing agents.

The developer wasn’t happy with the standard of management of the existing agent and so they asked us to step in and turn things around.

We used the existing budget to bring the site up to a good standard and have since been able to employ some of our key contractors to ensure the site standards are maintained.

As a result of our work on this site the developer has now instructed us to take over other challenging sites in their portfolio.

Trinity set up a scheme to manage the vast amounts of open space on this development consisting of 543 residential units. We were also required to take on the management of a number of apartment and housing blocks within the development, some of which were new and some which were refurbished units.

To ensure the fairness of our charges we set up individual charge headings relating to the new build units and the refurbished units. This was an equitable way of dividing the costs and was done in a way that ensured that the Service Charge Budget was both comprehensive and user-friendly.

Across our business we are always looking at ways to improve our own efficiencies at our offices by encouraging car sharing by our employees, staying local in company events, discouraging unnecessary travel by the use of video and conference calling, double sided printing and other ways of reducing waste.
