Use Wikis in SharePoint to Whiteboard your Thoughts

This   is   Asif   Rehmani   with   SharePoint­eLearning.com.     This presentation is about using Wikis in SharePoint to Whiteboard your Thoughts.   Have you ever wanted to whiteboard thoughts, brainstorm ideas with somebody who is not physically in the same room as you are?  Well now you can with the Wikis Technology in Share   Point.     Wikis   is   just   a   Site   that   you   can   create   in SharePoint. And using this Wikis Site, multiple users regardless of their physical location can edit a particular page or a bunch of different pages where they can implement and insert Text, Images, Tables, any Content that they would like to brainstorm or collaborate on.   And this Site actually grows organically, so links from a page could be created to other pages, which are contextual in nature.  If the page actually does not exist that is being linked to, clicking on that link creates a new page, so as I was saying before, it grows organically.

In a business environment, a Wiki Site could provide a very, very easy and a low maintenance way to record knowledge.   The demo that   I   am   going   to   present   now   is   going   to   be   based   upon Adventure Works bicycle company, which is a sample database that comes with Microsoft Sequel Databases. And using Adventure Works will have a few people incorporate their ideas together in a Wiki Site and whiteboard their knowledge.  So let us get started.  

As you can see, I am at my Collaboration Portal’s main home site. First, I am going to go ahead and go to Site Directory and then from there create a new site.   This is going to be of a type Wiki, which is just a Collaboration type site template.  Let me go ahead and call this site simply a Wiki site.  I will inherit permission, so I use the same permission as a Portal site for this site, list the site in a new site directory, and create. This will go ahead and create a new site or Wiki site for me, and I   am   signed  in   as   Alan   Jackson   right   now,   and   automatically become the administrator of the site.

The Wiki site now has been created.  So as you can see that it starts you off directly with this page.  This is actual content that is listed on this Wiki page and it is meant to be read and then meant to be deleted.  You delete this content and then go about editing this page to add additional content.  Before I do that, let me go ahead and see first of all who are the actual members of this site currently, and let us see if I need to make 

any   changes.     So   I   am   going   to   go   to   Site   Actions    Site 

Settings, these are the same steps that you would take for any site.  If you wanted to administer security, you go to Peoples and Groups under Users and Permissions tab here, and currently I see that the Members group contains Connie Watson as one member of this site; the Owners is me, Alan Jackson, that is what I am signed in as right now; and for Visitors, we have Ryan Williams, so that is perfect, the way I wanted it to be right now.

Let me go ahead and go back to the Wiki site.  Now to edit the Wiki page, which is this page right now, you simply need to click on Edit and start editing the content.  It would serve you best if   you   go   ahead   and   read   these   instructions   when   you   get   a chance.   I am going to go ahead and simply click on Edit and start rewriting this page.  So in this scenario, let us say that Alan Jackson who is the main administrator of this site wants to have a discussion, wants to have a Whiteboard type of discussion with Connie Watson here, just to discuss what kind of different things that they can do to alleviate their sales, to improve their sales of their 10­speed bikes and their mountain bikes that Adventure Works Bicycles sells.   So, Alan Jackson is going to first of all delete this content and start typing a new content. 

So here we go.   Alright, so here he had some thoughts that he just wanted to put out, whiteboard, and what he wants to do now, is that the two main things that he wants to talk about – the mountain bikes and 10­speed bikes ­ he wants separate pages for both of these, so that he can discuss the ideas separately.  So all you need to do is take, for example, this first subject, the mountain bikes and you enclose it with two brackets on each side, do the same thing here for 10­speed bikes, and what this does after Allen saves this page, automatically it is going to make links out of these two subject areas.   Now both of these are links but they have a dotted line underneath them, meaning that no page currently exists for these two links.  

And as soon as anybody who is an administrator or a contributor of  this site clicks on  any of these links,  a  new page gets created.   And the title of that page is going to be mountain bikes or you can choose a different title as well.  So now, Alan Jackson   has   created   this   page,   and   he   is   going   to   put   some content in this mountain bikes page.  So Alan starts writing some thoughts   about   mountain   bikes.     So   he   is   done   writing   his thoughts, now he clicks on create, now before he clicks on create on   the   actual   mountain   bikes   page,   this   Whiteboard   does   not exist.   Once he does click on create, it is going to create a 

page   called   mountain   bikes,   and   any   page,   here   is   the   page mountain bikes, now you can go back to Wiki site, that is the main page of the  site and still see that main page  that we started creating in the beginning to be displayed, but now this link, the first mountain bikes link, does not have the dotted line underneath it anymore, meaning that this page does exist, and you can navigate to this page by clicking on the link.  

Here we go.  The other page, 10 speed bikes, we are not going to create at this time, although I am going to show you one more thing.  Any page that I created within the Wiki site exists in a Page   library,   a   Wiki   Page   library,   which   we   can   get   to   by clicking on Wiki Pages.  So, all of the pages which are created on this site will be created in this library.  However we are not stuck with this library, there is definitely we can create new Page Libraries, Wiki Page libraries within this site by going to 

Site Actions  Create, and here is a Wiki Page library.  A Wiki Page library is very much like a Document Library but this is used specifically for creating and containing Wiki Pages.  

Alright, let me go back to the Wiki site, and now let us log in using the credentials of Connie.  Connie is a contributor on this site.  So, she sees most of the same screen that Alan saw as well as an administrator.  Now Connie here also has the rights here to make a new page.  She is going to go ahead and click on 10 speed bikes link, and as soon as she does that, a new page gets created for Connie, and now she is going to write some thoughts on this page.   Alright, so that is Connie’s contribution on this page, the new Wiki page, she clicks on create afterwards, and the new 10 speed bikes page has been created.  

On the Wiki site, the main site now, it shows the main page that we had created in the beginning and it shows the recent changes, the new pages that have been created just now on the mountain bikes and the 10 speed bikes.  Both of them are pointing to the pages in the Wiki Page library, which I showed you earlier.

So, in this presentation, I showed a demonstration of one of the uses   of   a   Wiki   site.     A   Wiki   site   could   also   be   used   to brainstorm  ideas, collaborate on  various designs, creating  an instruction guide, or gathering data from a field, tracking call centre knowledge, building any encyclopedia of knowledge about anything that is worthy.  Hopefully, in future presentations, I will show a deeper understanding of what else you can do with a Wiki site.
