Overview of RICOH Unified CommunicationSystem AdvancedRICOH Unified Communication System Advanced (RICOH UCS Advanced) is the portal from whereyou as a user can simply and effectively manage your personal video experience.
RICOH UCS Advanced allows you to easily invite, schedule, and manage your Virtual Meeting Room(VMR).
An open and interoperable service ensures that you can hold video meetings with participants dialing infrom different kinds of networks, devices, systems, and standards.

You can use following devices to connect to the RICOH UCS Advanced VMR:

RICOH Unified Communication System P3500M (P3500M)
The P3500M allows you to start a meeting by connecting to VMR. This device has a built-incamera for video input and a microphone and speaker for audio input and output. By connectingthis machine to the Internet and a video output device such as a monitor or projector, you can havea meeting practically anywhere.*1

Smartphone/Tablet (Android/iOS)
You can connect to VMR from a smartphone or tablet by installing the My Meeting (Android: MyMeeting; iOS: My Meeting for iPhone) app produced by Videxio.
When you join a meeting, a regular (GSM) call is placed via your carrier.
Meetings that you join using this app are sound only.
Computer (Windows/Mac OS)
You connect to VMR from a computer by using a Web browser.
In addition, you can use My Meeting Video application produced by Videxio to connect to VMR.
Camera, microphone, and speakers are required.
Meeting device
You can connect to VMR by using a supported video conferencing system device.
Application
You can connect to VMR by using the following applications.

Users can connect to a VMR and start a meeting at any time.
Up to 30 users can join a meeting.
Team VMR
This is a VMR for a team, and which is managed by multiple users.
It can be created by the administrator.
The administrator can also register or change the users of a team VMR.
Company account
This is the account of the company or organization that has contracted RICOH UCS Advanced. TheVMR user and team are created in the company account.

Conference code (Conference ID)
This is a unique character string set for the VMR.
It is used to identify the VMR.
The conference code is also included as part of the URL of the VMR.
PIN code
You can set individual PIN codes for the host and guest users to access the VMR.
• Host PIN
This is the PIN code for the user who wants to connect to the VMR as the host.
If a Host PIN is specified, the host must be connected to the VMR in order to start the meeting.
• Guest PIN
This is a PIN code for users who want to connect to the VMR as guest users. If you want torestrict the participants, specify this PIN code.
To specify a Guest PIN, the Host PIN must be specified first.
If a Guest PIN is specified, guest users must enter the PIN code in order to connect.
• For details about creating a Team VMR, contact your administrator.
• PIN codes for host and guest users can be specified under Profile.

Features Available with This ServiceThis section describes the features available with RICOH UCS Advanced.
Features of RICOH UCS Advanced differ slightly depending on the device or the type of user.
The following features are available in the VMR:
Video meeting
You can hold a video meeting in the VMR.
Supports up to 30 participants
Audio meeting
You can hold an audio-only meeting.
Guest access
You can allow guest users to join a meeting.
If a Guest PIN is specified, the guest user must enter the Guest PIN to join the meeting.
To specify a Guest PIN, the Host PIN must be specified first.
Host access
By entering the PIN code, you can join a meeting as the host user.
Screen sharing
You can share the computer screen with meeting participants.
When the screen is projected, the images that are displayed on your computer can also bedisplayed on the screen.
You can select to show either the entire desktop or a specific window.
Manage meeting
You can manage participants during the meeting such as muting participants, disconnectingparticipants, or locking the meeting.
You can also record the contents of the meeting or end the meeting.
The following features are available on the user page:
Invite participants
You can invite users to participate in the meeting by e-mail.
Download applications
You can download related software.
Manage profile
You can manage your profile, including changing your password, specifying a PIN code, oradding a team VMR.

Registering Address BookThis section describes how to register the URL of VMR to Address Book.
• When you import a new Address Book file, any existing Address Book files will be deleted.
If you register the URL of VMR to Address Book first, it makes it easier to connect to VMR.
For details about basic operation of P3500M, see Setup Guide provided with P3500M.
1. Check the URL of VMR in the invitation e-mail.
The URL of VMR example: https://my.videxio.com/meet/00000000/
2. Create a Unicode little endian text file (.txt), and then enter the name and URL of VMR.
If you want to connect to VMR as a guest user, add "connect" to the end of the URL provided inStep 1.

3. Import the text file to P3500M.
• A destination name can contain one or more spaces. If there is a blank line that only containsspaces and the like, that line and succeeding lines are not registered.

• If there is no destination registered in Address Book, a text file only containing a label line isexported. You can enter destinations into the text file for use.
• If there are more than 1000 items in the fi le, only the first 1000 items will be imported.
• Appending "connect" to the URL allows you to participate in the VMR directly, bypassing theconfirmation screen. If a PIN code is set for the VMR, a screen is displayed, asking you to enter thePIN code.

1. Press the [Power] key.
Address Book is displayed.
2. Press the [Push] key and then pull up on the arm of the camera to raise the camera unit.
3. Adjust the orientation by carefully moving and rotating the camera vertically andhorizontally.
4. Select the VMR you want to connect.
You can also use the cursor keys on P3500M to select the destination and then press the [Enter]key.
5. Select [Join].
The Web browser opens and displays the selected VMR.
6. Click [Sign in].

7. Enter the username and password to log in.
8. Select [Computer].
9. From the "Select browser or software" drop-down list, select [Using your browser].
10. Select [Get started].
11. Check the settings for the camera, microphone, speakers, and video quality.
12. Click [Join now].
The meeting starts.
If a PIN code is set for the VMR, you will need to enter the PIN code before clicking [Join meeting].
Connecting As a Guest User
1. Press the [Power] key.
Address Book is displayed.
2. Press the [Push] key and then pull up on the arm of the camera to raise the camera unit.

To connect to a VMR and hold a meeting, the operating environment must be set up as follows.

If you want to use My Meeting Video or My Meeting to connect, download the appropriate applicationfrom the User page.

• If you are a guest user who does not have an account with RICOH UCS Advanced, you will needto use a Web browser to connect to the VMR.
