Introduction

‘Tally Retail’ is a business solution customized for Apparel & Footwear segment. The solution is developed on Tally technologies and works seamlessly with Tally.ERP 9. Tally Retail addresses inventory, barcode – item level billing, category management & reports, discount & promotion requirements of apparel and footwear segment.

Tally Retail is extremely easy to implement and use. This solution can adapt to existing business processes & practices. Retail outlets can be up and running with their operation in the shortest possible time. To sum up, Tally Retail will enable retail industry improve operation resulting in improved profitability.

Setup Guide

Retail Parameters

Various parameters in Tally Retail will enable you to adapt this solution to your business practices. A few parameters will need to be preset or pre-defined before you commence operations with Tally Retail. Once defined, these parameters cannot be changed.

Note: Item classification settings will need to be defined with care. The parameters you set, would decide the way Tally ‘Retail’ would work for your organisation.

Note: Above Item classification should compulsorily be defined at the time of implementation


Item Classification

Item classification has to been configured as per the business vertical.

For Garment EBO:

Class1: Product Class2: Style Class3: Shade Class4: Size

Super Class: Brand For One-off store:

Class1: Vendor Class2: Style Class3: Shade Class4: Size

Super Class: Product For Footwear Store:

Class1: Product / Category Class2: Model no / Pgsc Code/ Article No Class3: Color / Styling Class4: Size Super Class: Brand

Description: The name of the item classification under selected category is displayed as Item Master and in respective Reports. This cannot be edited.

Below Parameter values have behavioral effects in billing and the respective features of Tally ‘Retail’, which can be changed even after installation.

How to reach: Tally Main -> F11 -> Megabyte Retail Gateway ->Settings

Considering the example of Garment EBO, on enabling the settings as shown in Figure 3, you can enable the following configurations:

Style wise Billing: This does the invoicing / billing on the basis of Class2. Here ‘Style’ has been chosen as Class2; hence the option of doing billing on the basis of ‘Style’ can be enabled.

Barcode wise Billing: By setting this option to ‘Yes’ as shown in Figure 3, you can make invoice / bill using barcode.

Allow Percentage Discount in Billing: By setting this option to ‘Yes’ as shown in Figure 3, you can give percentage discount on item, which can be either automated or manual.

Allow Value / Amount based discount in Billing: By setting this option to ‘Yes’ as shown in Figure 3, you can give fixed amount / value discount on item which can be either automated or manual.

Enable Bill level Salesman: By setting this option to ‘Yes’ as shown in Figure 3, you can capture the details of the respective salesman at Invoice level.


Enable Item level Salesman: By setting this option to ‘Yes’ as shown in Figure 3, you can capture the details of the respective salesmen involved in billing at Item level.

Enable Loyalty Program: By setting this option to ‘Yes’ as shown in Figure 3, you can enable the Loyalty Program. This would allow you to capture the personal details of a loyal (member) customer, track their expense history etc. Based on the billing, respective loyalty points can be allotted to their account / card.


Item Master

This catalogue includes all the details pertaining to the stock items (SKUs). With this option, you can record / edit the Item Master entries. Depending on the requirement, the Item Master entry can be done at an individual item level as well as batch level.

How to reach: Tally Main -> Megabyte Retail Gateway ->Stock Item

The Item Master Entry window is displayed in Figure 4. In this window you can execute the following functions.

Create: Add new item details

Alter: Modify existing item details

Display: View existing item details.

Exit: Quit the Item Master press ‘Esc’

The naming convention for the item attributes can be followed in the manner mentioned below:

Name: Class2 + Class3 + Class1 + Class4 combination or Unique Item Description

Stock no: Barcode Number – Either Unique barcode number (manual) or Scan existing barcode put by the supplier

Under: Class2 – In case of Garment EBO, it is the Style no

Category: Department or Category of products

C.P.: Cost Price (Excluding TAX / VAT)

MRP: The MRP defined, will be reflected in the Sales Invoice (MRP will be always inclusive of TAX / VAT)


Operational Guide

Billing

The Billing option in the main menu (as shown in Figure 1) leads to a window that allows all operations related to billing. These include generation of a new invoice, including tax invoice and credit transactions.

How to reach: Tally Main -> Megabyte Retail Gateway -> Billing

The Invoice window has the following components as shown in Figure 5:

Header: The header part of the invoicing window allows you to accept details like invoice type, transaction type, customer name and sales staff code. The details like invoice class, invoice number,

invoice date and day are displayed as well in the header part.

Detail: The detail part of the invoicing window has item details grid as well as direct entry grid. The direct entry grid is used to accept the details stock no., product, style, shade, size, item level salesman, MRP, last rate and quantity and so on, for each item selected for invoicing.

Footer: The footer part of the invoicing window displays the invoice totals like total number of items invoiced, net amount of the invoice and so on. Apart from invoice totals, you are able to accept the multiple payment modes.


Sales Return

The Sales Return option in the main menu (as shown in Figure 1) allows to you to perform the related operations. This option is used to carry out sales returns of merchandise. By default a Credit Note is generated against a sales return.

Instances when the store policy permits sales returns, even if the customer is unable to produce the invoice while returning the merchandise, can also be handled. You can record the sales returns of items without specifying the original invoice details. The flexibility of entering discounts and deductions is also available.

How to reach: Tally Main -> Megabyte Retail Gateway -> Sales Return

The Return without Invoice Reference window (Figure 6) and the steps to be followed are as follows:

1. Select either Cash or Customer, as the transaction type of the invoice being returned. 2. Credit Note is generated automatically. 3. The day book date and day are displayed. This is considered as the Return Invoice Date and

Day. 4. The Customer Name of the selected Customer Code is displayed. 5. Used for: Select the appropriate Reason code for the return of the invoice. 6. Item Selection: Enter the stock number or scan the item that is to be returned. 7. Item Details Grid: Displays the details of the items selected for return. 8. Bill Totals: The total sale value, discount, sales tax, add-ons and deductions (if configured to be

captured) are displayed at the bottom right corner of the Return window. 9. Total Qty: The total quantity of items selected for return is displayed in this field. 10. Sale Value: The total sale value of the items selected for return is displayed in this field. 11. Item Level Discount: The total of item level discounts is displayed. 12. Bill Discount: The total of bill level discounts (item level discounts are not included) is

displayed. 13. Note: Bill level discount value is appropriated against all the items selected for return. 14. Net Amount: The final amount to be paid to the customer is displayed in this field. The Net

Amount is calculated as follows. Net Amount = (Total Sales value + Total Add-ons + Total Sales Tax) - (Total Discounts + Total Deductions) - The Total Discounts is the sum of Total Item level discounts & Bill level discount - Net Amount is calculated by rounding off the calculated value to its nearest integer

value, if Bill round off is catalogued.


Salesman Management

The Salesman option in the main menu (as shown in Figure 1) leads to a window that allows the operations related to Salesman Management.

How to reach: Tally Main -> Megabyte Retail Gateway -> Sales Man

Create Salesman: Record a new Sales Personnel

Alter Salesman: Edit the details of an existing Sales Personnel. Enter the Code to display the Sales Personnel details. Make necessary changes and click Ok to confirm modification.

Display Salesman: Display / list the Sales Personnel code and details


Sales Promotion

The sales promotion catalogue is the repository of various promotion schemes that can be applied on bill / invoice. Multiple schemes can be defined to be implemented during the same period. Implementation is based on the priority assigned to each scheme.

How to reach: Tally Main -> Megabyte Retail Gateway -> Define Promotions

The Sales Promotion Catalogue window (Figure 8) is displayed. In this window you can execute the following functions:

Discount can be defined on the basis of Group / Product with the validity period. The discount will be will be applied while billing as per the validity period.


MIS Reports

Tally ‘Retail’ facilitates an extensive range of reports that would meet almost all the requirements of a retail business. The reports are classified into the following groups:

Day – Wise Sales Summary The Day wise Sales Book provides sales information with Bill no, Party Name, and Tender

(mode) wise Payment for a given period or a day.

How to reach: Tally Main -> Megabyte Retail Gateway -> Reports-> Sales Reports

Stock Balance Report The Stock Balance Normal Report provides information on quantity and value of the items currently in stock. The selection criteria for report generation are brand and product. A detailed list or summary of items in stock can be produced based on cost price.

How to reach: Tally Main -> Megabyte Retail Gateway -> Reports-> Stock Reports->Stock Balance

Stock Balance Style wise Report / Barcode wise Report

The Stock Balance Style wise Report provides stock information based on item classification2 (Style/ Model) provides information on quantity and value of the items currently in stock. The report generation is done on the basis of brand, product and style. A detailed list or summary of items in stock can be produced based on cost price. Report generation on Barcode base, will have all classification wise report of current stock.

How to reach: Tally Main -> Megabyte Retail Gateway -> Reports -> Stock Reports ->Stock Balance Style wise
