Work InstructionFunctional Area: Business Warehouse Using Bookmarks in BW 7.0

Purpose Business Warehouse

Use this procedure to create and execute bookmarks.

Prerequisites

Log into BW before creating or launching a bookmark A BW report has been run in order to create a new bookmark

Helpful Hints

Bookmarks are saved in Internet Explorer; not within the SAP Easy Access menu. Bookmarks are saved on the individual computer; not in the UC Flex user profile. Bookmarks

may also be saved in a Word document or in an email. Bookmarks are used to save and/or share report formats. Users should save Variants on the

Variable Entry screen rather than bookmarks if the report format and/or filters are not being changed and saved.

Variants that have been saved per BW report will work with the corresponding report's bookmark.

Variants for a particular report can be shared with other users by executing a report with the variables in the variant and then saving a bookmark for the executed report. Copy the bookmark address into a email and send it to others who can execute the bookmark and immediately save a variant while on its Variables Entry screen.

When building a complex bookmark, begin the formatting and filtering process of your new report, bookmark it so it saves your work so far, continue the changes, re-bookmark it to save all the work completed so far. When the formatting and filtering are done, save the final bookmark.

Procedure

1. Log on to UC Flex and execute a BW report.

2. Click the Bookmark button .

Bookmarks cannot be saved in the SAP Easy Access menu.

3. Click the Add to Favorites button to add the bookmark to your Favorites in Internet Explorer.

The bookmark will be stored in the browser favorites file of the computer where the bookmark was saved.

4. As required, complete/review the following fields:

Name: Required User defined name of bookmark or the defaulted name

Example:FM865 Report Format 1

5. Click the New Folder button to create a folder to save the bookmark.

If the folder to save the bookmark in already exists choose the folder from the Create in drop down.

8. Click New Folder button again to add a sub folder.

11. Click the Add button to add the report bookmark FM865 Report Format 1 to the sub folder FM865.


12. Click the Copy to Clipboard button .

The bookmark can be pasted into an email or any document to run and be saved in another computer's browser.

13. Press "Ctrl + V" to paste the URL into the body of the email.

14. Click the Close button after saving or send the email.

The URL can be sent to a other user to be added to their browser favorites. The format of the report is saved in the bookmark. Remember to send the bookmark to yourself if needed when running BW reports on another computer.

15. Click the Close button .

Users may Copy to Clipboard and/or Add to Favorites therefore the window doesn't close automatically.

17. Click in the Username (6+2) field .

To run any bookmark you must be logged into the UC Flex portal. This includes bookmarks previously saved and bookmarks that have been sent.

19. Click the Log on button .

20.Click to open a new tab .

Always open a separate window for running bookmarks. Otherwise, the report will run in your portal window and eliminate your log-in. If you try to execute another report whether a bookmark or not, you'll have to log into BW again to start over.

22. To run the report Click FM865 Report Format 1 tree item .

To save a bookmark from somewhere else, first copy and paste the bookmark into the URL field and run the report, The bookmark can then be saved to the browser favorites menu.

23. Click the OK button .

The variable entry screen always comes up first when running a BW report, change the search criteria as needed.
