DIGITAL LIBRARY (IML 651) SULTANAH ZANARIAH LIBRARY, UNIVERSITI TEKNOLOGI MALAYSIA 1.0 LIBRARY BACKGROUND Perpustakaan Sultanah Zanariah (PSZ) occupies a central location at the Universiti Teknologi Malaysia (UTM) main campus in Skudai. It has a branch at the UTM City Campus, Kuala Lumpur and also branches at several faculties, learning centres and Centres of Excellence. PSZ was officiated by Her Majesty Sultanah Zanariah, the Chancellor of University Teknologi Malaysia on 3rd February 1991.The library is a four-storey building with a seating capacity of 3,422 and a collection of nearly half a million volumes. It has a total of 179 staff. As an integral component of the academic programme, PSZ supports the university's teaching, learning, research, consultancy and publication activities. Its services and collection development activities are geared towards fulfilling the need for library materials and information in the university's core area of Science and Technology. Nevertheless, PSZ also has a good Humanities and Social Science as collection to support courses in these areas which are offered by several faculties. The process of library automation at PSZ started in 1986. Today most of the library's operations and services are computerised. All processes including materials acquisition, indexing, circulation and information searching are conducted through the Computerised Library System known as SirsiDynix (Workflows 3.3.1J). Information on all materials available at PSZ can be accessed through LESTARI (Library Electronic SysTem And Research Information). Apart from information search of printed materials, other facilities available to library patrons include electronic information search through CD-ROM databases as well as Page 1

1.0 LIBRARY BACKGROUND Perpustakaan Sultanah Zanariah (PSZ) occupies a central location at the Universiti Teknologi Malaysia (UTM) main campus in Skudai. With the advancement in Internet technology, PSZ has made these facilities accessible via personal computers (PC), Multimedia, VCD and laser discs are also available to library patrons for teaching, learning, research, and consultancy and publication activities. The services PSZ provide to the UTM community are also made available to industry and corporate sectors. In doing so, these sectors are able to use the facilities available at PSZ to support their research and development activities. The professional staff at PSZ also provides assistance to encourage all users to become familiar with LESTARI the Library catalogue search engine for the Universiti Teknologi Malaysia and also to explore the wealth of materials available in the library collection. It has being awarded the MS ISO 9002:1994 Quality Certification by SIRIM in May 1998, is a testimony of the efficient

service PSZ provides. Further evidence of this is the successful upgrading of its quality service when PSZ was awarded the MS ISO 9001:2000 Certification in 2002 In recognition for excellence in management and service, PSZ emerged the winner of the 1st Vice-Chancellor's Quality Award in 1999. In 2005, PSZ was declared the winner of the Excellent Library Award by the Librarians Association of Malaysia for its excellence in providing excellent service and in educating library users and community service. PSZ was also the first runner up (Technical Group) in the 1st UTM Innovative & Creative Circle. On December 2006, PSZ was second place in Best Counter service competition in conjunction with UTMS Quality Week. 10th July 2007 marked a significant date when UTM became the first Malaysian Public University to implement the "Open Access Policy" for its intellectual materials through PSZ. 3.0 THE COLLECTION DEVELOPMENT AT PERPUSTAKAAN SULTANAH ZANARIAH The objectives of collections development at PSZ are: To acquire and provide relevant library materials such as books, journals, electronic medias, audio visuals, maps and photographs in support of the Universitys teaching, learning, research and consultancy activities. To acquire library materials pertaining to the history and progress of the University as part of building up the UTM archive collection. The library allocates resources for each faculty from its annual library budget or the acquisition of library materials. The allocation is determined by a number of criteria such as students numbers, new courses introduced, collection development and average cost of books and periodical subscription.

3.1 Collection categories Open Shelf Collection This includes books of all disciplines and is arranged according to its call numbers. The location is on the 4th. And 5th floor of the Library building. Large size books are assigned with the f symbol and are arranged on separate shelves. Closed Access Collection Closed Access Collection are titles of books that have been identified as titles that are heavily used by a large number of users but only a limited number of copies are available in the Library. Students need to consult the staff on duty at the Closed Access Counter to borrow any titles from this collection. Reference Materials Reference materials are titles which are of use to most Library users. They are located at either level 4 or 5 according to their respective call numbers. Sources to Information These are materials which are categorized as reference tool to locate information and are shelved at level 2, PSZ The call numbers to these materials are given the symbol x The collection consists of abstracts, indexes, contents pages, bibliographies and acquisition lists. Journals Collection There are two types of journals

a) Current issues are journals supplied to the library during the current year. b) Back issues are those of previous years. Current and back issues of journals are located at level 2 and are shelved separately To locate the journals, students need to search from LESTARI for the correct call number Page 8

PAT US 2,071,253 UTM Special Collection Consist of works pertaining to UTM by academic staffs, students, departments or faculties. Original copy is kept at the Special Collection Room at Level 2 as part of UTM archive/special collection. Users may refer to the second copy available at the Media Counter in microfilm format or in hardcopy format on the shelves at level 4 or 5. Maps/Aerial Photographs These maps are kept in cabinets on level 3. Users who wish to refer to this collection may consult the Readers Advisor at the Research Support Consultant for assistance.

Newspaper Articles Digital newspaper articles can be accessed via LESTARI Newspaper articles also available in microfilm format, which is available at Media Counter, PSZ Skudai at level 3 or Circulation Counter, PSZKL at level 2. Periodicals/Popular Magazines The locations for this collection are located at the level 2, PASZ Skudai, PSZKL Collection Management Counter.

b) Documentary - ASTRO channel : 8.00am-10.00am & 2.00pm-4.30pm Use of Media Collection - such as microfilm, videocassette, multimedia CD-ROM may be made in the library or borrowed according to users' eligibility.

4.0 SERVICES A full range of services is provided in libraries including loans, on-line renewal and reservation, interlibrary loan, viewing of multimedia materials, reference and advisory services and information search skills class. With a conducive environment for study and research, plus ready access to information resources, PSZ is the place to be. Students can come and uses services that provided by PSZ. 4.1 Borrowing and Returning a) Borrowing o Borrowing of books in PSZ Skudai and KL should be made at the SelfCheckout Machines. o For borrowing purposes, users have to produce their UTM ID cards or library membership card which is affixed with a barcode on the reverse side. o Borrowing can only be done after details of the barcode have been input into the Library Computer System. o Materials can be borrowed or returned at both campuses (Skudai and Kuala Lumpur). o Students doing their practical training are allowed to borrow 2 books from the open shelf collection for the duration of their practical training. o Loan eligibility/number of loans for each member is determined by his/her membership category (by item/collection type). o o Borrowers are responsible for all materials borrowed under their names. Lost/damaged materials should be reported at the relevant counters. A period of 2 weeks will be allowed for borrowers to search/replace the materials in question. o All library materials taken out of the building must be properly charged out.

Figure 2: Self-Check Machine b) Returning o Returning of books should be made at the Self-Checkin Machine or at Circulation Counter. o Books should be returned to the library according to the due date so as to allow the books to have shelf life and provide other users the opportunity to refer to/or borrow them. o Borrowed materials must be returned on or before the due date. Borrowers who fail to do so will be fined (for lecturers a grace period of one week is given). o Fines will begin only on the 8th day except for closed access collection, reference, journals, and audio-visual materials. o Courtesy notice will be printed and sent to the borrower (academic and non-academic) staff by email 2 days before the due date. The 1st notice will follow 2 weeks after the courtesy notice. The 2nd notice will be sent 2 weeks after the 1st notice. The 3rd notice will be sent 2 weeks after the 2nd notice. The final notice 'notice of outstanding fines' will show the amount of fines/replacement cost which to be paid will be sent 1 week after the final notice.

For lost material, fine for late return is imposed calculated from the date the material should have been returned until the date it was reported lost.

Computer facilities o o o Internet and Assignments Computer This service is free to all library members. PCs are located on level 3, PSZ and all library users are welcome to use the facilities such as browsing the internet or typing project papers etc. o There are 128 PCs located at the reference area for users who wish to navigate and find information from the Internet. o The PCs are also installed with other necessary software for academic purposes. Multimedia Computer o Accessible for documentary, dictionary, encyclopedia, music, movies, animation, interactive, computer software & other PSZ collection via CDROM, VCD, DVD & diskette formats. o o Located at Multimedia Room near Media Counter, level 3. To prevent misuse of facility, all 16 multimedia and desktop PCs are unequipped with network. o Kindly register at Media Counter for usage.

5.0 LIBRARY APPLICATION SYSTEM 5.1 Library Skill Classes Library skills tutorial provides an online environment for digital self-teaching by library patrons and liberates the Librarians from offering time-consuming offline classes. This tutorial is designed to achieve the following goals: To teach you the skill of library and information research To teach you how to use the Perpustakaan Sultanah Zanariah

5.1 Academic Forum Academic forum is a forum for both guests and PSZ patrons to discuss matters pertaining to the library and general interest and for PSZ librarians to moderate those discussions. Any user can read the forum but posting to forum requires the user login with a barcode and PIN. 5.2 Online Reference Desk Online Reference Desk is to facilitate the interaction between library patrons and a virtual reference desk. It offers digital interaction with the reference desk staff in a paperless environment. Perpustakaan Sultanah Zanariahs staffs will make every effort to provide you with library services that meet your needs. As with on-campus students, we expect distance students to develop their own skills in accessing and searching the Libraries' resources. These skills will give you access to the widest possible range of information resources and services and help you to become a more effective learner.

5.3 Smart Library Application The Smart Library Application is provided in order to increase the productivity of the librarians at OPSZ and improve the level of service of service for the patrons. The Smart Library Applications will provide the digital bridge between the Library Management System, the librarian and the PSZ patron. The Smart Library Applications are grouped as follows: Visitor tracking: Provides facilities for PSZ to track library visitors and encourage joining PSZ a patron Library skill classes: Provides an online environment for digital self-teaching by library patrons and liberates the librarians from offering time-consuming offline classes. Reservation system: A mean to organize the resources and usage within PSZ, from booking, to checking in and rules. Media Streaming: A combination of hardware and software designed to allow PSZ to offer online videos through the library system, both free and for a fee. Academic Forum: A forum for both guests and PSZ patrons to discuss matters pertaining to the library and general interest and for PSZ librarians to moderate those discussions. Billing: An online billing system that allows users to buy access to digital resources and allows librarians to manage pricing of the these items as well as facilitating the integration with the Library Management System through MARC record transfers. Online Reference Desk: Facilitates the interaction between library patrons and a virtual reference desk. It offers digital interaction with the reference desk staff in a paperless environment. 6.0 MEMBERSHIP Every new full-time/part-time off campus students and permanent staff members of UTM is issued a UTM identification card when they first register with the University. The barcode, affixed on the reverse of the card, is used to activate the member's record. External Members, UTM Family Members and Corporate Members are required to bring two passport-size photographs to the library and registration can be made at the Circulation Counter during office hours. Membership must be renewed annually except for UTM Family Membership. Temporary staffs and External Members will be charged RM10.00 on replacement of membership cards. Membership cards are non-transferable except to Corporate Members for a fee of RM50.00.

UNIVERSITI TUN HUSSIN ONN MALAYSIA LIBRARY 1.0 HISTORY OF UTHM LIBRARY

The library began operating in 1993, when UTHM was known as Pusat Latihan Staf Politeknik (PLSP). With a collection of 5,000 copies of book inherited from the Politeknik Batu Pahat, the PLSP Library occupied a small two-storey building that could accommodate about 120 users. Its mission was to support academic staff and students in learning, teaching and research. To support the increasing number of users, the library building has been extended to provide more reading area in year 2000. The extension has increased the floor space for reading to 200 seats. With the opening of a branch library at the Town Campus in 2004, and B5 Library (above the Bursary Office) in 2006, the seating capacity has been increased to 500 seats. In July 2008, the Town Campus Library was transferred to a new premise, to support more collections, provide more reading area consequently give better services. In May 2010, UTHM Library has moved to new building. This building has 16,000 square meters of floor area and can fill as many as 300,000 volumes of collections. The new library building has a seating capacity of 3,000 users and it provides a spacious and conducive study environment with 100 carrel rooms, 40 discussion rooms, 2 seminar rooms, a post graduate research room, an auditorium, a closed reference room, a journal room and a 24 Page 18

hours reading room. The development of library collection in various fields, especially in science and technology, has been intensified to support academic activities. Currently the library has acquired about 180,000 copies of books, 8,000 titles of thesis, 300 titles of journal, 40 titles of magazine and 20,000 copies of audio-visual materials. The library has also subscribed 26 online databases and 4 e-books services. The library automation project has begun since 1997 to provide better and faster services. Currently, the library is using Symphony integrated library system to manage library operations, automate tasks and improve staff productivity. 1.1 Vision Aspires to be a dynamic knowledge gateway 1.2 Mission To acquire, manage and provide complete, precise and current information materials to fulfill teaching, learning and research needs at UTHM through standard-conform and quality management based-on Tawheed concept. 1.3 Objective To acquire reference materials that fulfill academic requirement of the university as the whole. To provide a user-friendly, skilled and effective counter service. To assist the user getting required information for the purpose of learning, teaching and research processes. To provide an informative, right and latest publication as promoting library facilities and services. To educate and train user effectively in order to optimize the use of library facilities and services. To manage the registration process and update the membership record completely from time to time. To manage an organized and systematic collection in order to get easy access to user To effectively provide and support the use of information technology in the library management and services.

3.0 LIBRARY SERVICES 3.1 Circulation Services

Figure 6: Circulation Desk 3.1.1 Membership Registration The library will register all UTHM students and staff as library members. New students and staff are advised to check their account through the library website. The library will download student/staff record from the Student Information System and the Staff Information System to the Library System from time to time. If the record is still unavaiable in the Library System, users have to fill up the Membership Registration Form at the Circulation Counter. Borrowing eligibility for each member will be determined according to the patron category. 3.1.2 Borrowing and returning Borrowing of library materials can be done at the Circulation Counter or by using the self-check out machine. Users are required to bring their student/staff card when dealing at the counter or when using the machine. Users are prohibited from using other users card. Users will be given a borrowing slip for each transaction. Users are strongly advised to check the due date on the slip or check through the borrowing record in their library account in order to avoid fines for late returns of library materials. Returning of library materials can be done at the Circulation Counter or by using the Book Drop. Users will be given a returning slip for each transaction. Users are advised to keep the slip until they check the borrowing record in their library account and ensure that the record has been updated. Page 22

3.1.3 Reminder/Overdue Notice A Reminder Notice will be sent to users through e-mail 2 days before the due date. This notice is sent to inform users of the due date and to remind them for loan renewal. If users fail to return the library materials before due date, the 1st Overdue Notice will be sent 1 day after the due date. If users still fail to return it, the 2nd Overdue Notice will be sent 7 days after due date and if users still fail to return, the 3rd Overdue Notice (final notice) will be sent 13 days after due date. User account will be barred if the total amount of fine has exceeded the maximum limit allowed. Users are required to come to the Circulation Counter to return the library materials and to reactivate their account. Users are advised to check the due date on the borrowing slip or through the borrowing record in their library account in order to avoid fine for late return of library materials. 3.1.4 Replacement of Lost Materials If users found that the library materials that they had borrowed were lost, they are required to report at Circulation Counter immediately. Users will be given 1 month to search for the lost materials. If they still could not find it, they are required to replace the lost materials with the same materials or pay the price of the materials. 3.1.5 Replacement of Damaged Materials If users found that the library materials that they had borrowed were damaged, they are required to report at Circulation Counter immediately. The librarians will estimate the amount of damage that should be paid by the user. 3.1.6 Renewal Renewal can be done online through borrowing record in librarys user account. Users can only renew twice. No renewal is allowed if other users have made reservations for the same items. Online renewal can be done before the due date.

3.1.7 Reservation of Library Material Library materials that have been borrowed by other users can be reserved at the Circulation Counter or through the library catalog. The reserved materials will be located at the reservation shelf (Circulation Counter) for 7 days after the materials are returned by the borrower. If the user who had reserved the materials did not turn up to collect the reserved materials until the period ends, the reservation will be cancelled, and the reserved materials will be located at the open shelf. Users are advised to check on the status of the materials that they had reserved through the reservation record in their library account. 3.1.8 Delivery Service Delivery Services is provided for academic staff only, within campus area. This service covers reserved material that consists of open access books, audio-visuals and interlibrary loan materials. The titles requested for will be placed under user library account and will be sent to requesters office upon his confirmation. Besides, user also can request for returning the materials borrowed through this service.

3.2 REFERENCE AND INFORMATION SERVICES 3.2.1 Reference Service Library users who are looking for library materials for research purposes are advised to consult the librarian at the Customer Service Room. Users can discuss with the librarian to get some guidance on the information searching techniques based on the users needs. The librarian will identify the exact needs of the users before suggesting relevant information resources. Reference Service is opened to all users within library opening hours. 3.2.2 Information Skill Class Information Skill Class is a guidance program specifically on library services and facilities usage. The librarian will conduct the class on a specified date in every semester. The discussion topics include materials searching techniques through the library catalogue and information Page 24

searching through the online databases. By attending this class, users will be given the opportunity to apply the searching technique with guidance from the librarian. 3.2.3 Interlibrary Loan (ILL) Interlibrary Loan Service is a service that allows users to borrow library materials that are unavailable in UTHM Library but can be obtained from other local academic libraries and British Library. Reference materials that can be borrowed through this service are books, journal articles and conference proceedings and standards. The service is free of charge. The length of borrowing period is subject to the rules imposed by the supplying library. Users are required to fill in an ILL Application Form available at the Circulation Counter. Users will be informed about the status of the application through e-mail or telephone. 3.2.4 Selective Dissemination of Information Selective Dissemination of Information (SDI) service that available at the library consists of Latest Journal Content Page and New Arrivals Listing Dissemination. The Latest Journal Contents Page Dissemination service is particularly for academic staff in which the selected digital journal content pages will be composed directly to the inbox of respective requesters e-mail. Whereas the New Arrivals Listing Dissemination service is provided to give alert or current awareness to the users by compiling and publishing the listing of new materials received. This listing is arranged by faculty and distributed to both students and staff.

4.0 LIBRARY FACILITIES 4.1 Library Catalog Terminal Users can access the library catalog using Online Public Access Catalog (OPAC) through terminals provided at each level. The OPAC terminal enables users to search the bibliographic records and the status of library materials. Besides, users can also check their librarys account using these terminals.

4.2 Locker Users can keep personal things in the locker located near to the library main entrance. There are about 500 units of locker available on first come first serve basis. Students are advised not to store valuable items in lockers. The Library will not responsible for any loss or damage to any personal belonging. 4.3 Open Carrel The library provides open carrels especially for users who want to study alone and need privacy. There are 100 units of open carrel located at each level. 4.4.Laptop Lock It is provided to keep users laptop save and secured. Those who need to leave their laptop unattended in library are advised to use this facility. The request can be made at Circulation Counter, Level 1. 4.5 Wi-Fi Access The entire library building is equipped with wireless internet access or Wi-Fi. Please read this guide to obtain information on Wi-Fi at UTHM. 4.6 Self Check Out Machine This is a self-service machine whereby users do not have to queue up at the Circulation Counter to borrow Open Access books. These self check-out machines are located at each level. Keep the receipt for your refernce on the due date. 4.7 Book Drop There are 3 units of book drop available for your convenience to return books in which located at the Ground Floor of Library Building, Arcade and Tun Dr Ismail Residential College. Its operating 24 hours. Please follow the instruction on how to use the book drop. Keep the receipt until you ensure that the borrowing record in your library account has been updated. 4.8 Photocopy Machine User can use the machine located at Closed Reference Room, Level 1. This facility is a self-service machine. The prepaid card can be bought at a price of

RM10.00 at the UTHM Co-operative Shop. A copy of A4 size is charged at RM0.05. Photocopy is subject to Copyright Act 1987. 4.9 Iqra Room The library provides 100 units of individual carrel rooms that known as Iqra Room. These rooms are located at Level 2 and 4 and meant for those who want more privacy. Network point and electric socket are provided in this room. 4.10 Hikmah and Eksplorasi Room

Hikmah Room can accommodate up to 6 users per session, whereas Eksplorasi Room can accommodate up to 10 users per session. Network point and electric socket are provided in this room. Reservation can be made at the Circulation Counter, Level 1. 4.11 Lestari Room There are 2 units of seminar rooms located at Level 3, known as Lestari Room, which are equipped with a LCD projector and white screen. Each room can accommodate up to 80 users at one time. Reservation can be made at the Circulation Counter, Level 1.

4.12 Information Searching Room Users can use 50 units of computer provided in the Information Searching Room which is located at Level 2, to access the online databases, e-journals, e-books and library catalog. Internet searching is allowed for research purposes only. This room is also equipped with laser printers. The charge of A4 size printing is RM0.20 for black & white and RM0.50 for color. 4.13 Al-Shirazi Scholar Room This room is mainly for post graduate students and academic staffs. It is located at Level 3 and can accommodate up to 100 users at one time. Al-Shirazi Scholar Room is equipped with 30 units of computer, sofa, television, carrels, electric socket and network point. 4.14 Reference Service Room The Reference Service Room is for reference services whereby librarian on duty will assist users in their information searching. It is located at Level 1 next to the Circulation Counter

4.15 24 Hours Reading Room The 24 Hours Reading Room is located next to library entrance at Level 1 which is equipped with study tables, electric sockets and wireless internet access. This room is available for users who wish to use this facility during or after the library's opening hours. It can accommodate up to 300 users at one time. 4.16 Journal Room The Journal Room places printed journals and magazines collection subscribed by the library. It is located at Level 3 and can accommodate up to 50 users at one time. This collection is for internal use. User is not allowed to take out the collection. 4.17 Closed Reference Room This room places Reference Collection, Closed Access Collection, Special Collection and daily newspaper (Utusan Malaysia, Berita Harian, Harian Metro, New Straits Times, The Star, Nanyang Siang Pau, Sin Chew Daily and Tamil Nesan). This collection is for internal use. User is not allowed to bring out the collections. The Closed Reference Room is located at Level 1 and can accommodate up to 140 users at one time. 4.18 Al-Jazari Auditorium Al-Jazari Auditorium is located at Level 3 which is equipped with a LCD projector and white screen. It can be used for screening of videos and films to facilitate learning and teaching. It can accommodate up to 150 users at one time. Reservation can be made at the Circulation Counter, Level 1. 4.19 Open Reading Area Open reading area is located at Level 2, 3 and 4, and equipped with 2-4 seated tables and carrels. Electric socket and network point are also provided at certain area. 4.20 Gallery and Exhibition Area Gallery and exhibition area is located at Level 1, next to the Circulation Counter. User can gain information and knowledge about library facilities and services, general knowledge and current issues by visiting this area.

4.21 Information Kiosk The kiosk is a touch screen directory that provides user with a variety of information about the library such as floor plan, rooms location, opening hours, collections, facilities, services and staff directory. It is located at Level 1.

4.22 Permata Hikmah Library This library is located at Level 1 and can accommodate up to 100 users. At present, this library is open to UTHM staffs child aged between 6 - 12 years old. It is equipped with books, magazines, computer, TV, sofa, table and chair. Users are encouraged to surf SchoolRooms to get access to related information. The library opening hours are as follows: Monday to Thursday: 2.00 5.00 p.m., Friday: 2.45 5.00 p.m., and Saturday to Sunday: 9.00 a.m. 5.00 p.m.

5.0 RESOURCES UTHM also have a resources collection. Electronic resources contain the electronic collection which include in the library UTHM database. Others than that, this library also have an open resources which can use as a general references. Open resources contain the information from others sources. There have a few types of E-Resources. 5.1 360 search 360 Search is a federated search engine that searches across the librarys electronic resources. It provides citations and abstracts, as well as linking to fulltext articles and electronic books. You can search by subject or database listings. 5.2 Online database Online database is one of the sources which useful in searching material or article. Library should subscribe the online database before users can access. 5.3 E-Journals This source contains the electronic journal. This is a collection which UTHM subscribed. It contains the journal with many fields.

5.4 E-Book The collection of E-book which UTHM have is EBSCOhost eBook collection. It is a searchable collection of over 10,000 scholarly, reference and professional electronic books on Arts, Architecture, Law, Business & Economics, Education, Engineering, Medical & Health Sciences, Science. This collection was formerly known as NetLibrary. This library also has E-brary. This E-Book provides the content and technology that make the library research experience richer and more productive. Others than that, it also have Knovel is a web-based application integrating technical information with analytical and search tools to drive innovation and deliver answers engineers can trust. For the open resource collection, It more to resources from theses, journal directory, articles and repository. Thesis are providing as a reference for their students. Theses builds on the Dissertation Abstracts subscription and includes the complete Dissertation Abstracts database plus unlimited downloads of over 450,00 dissertations in PDF format (PDF format is available for all titles for users references. These open resources may help users in easy searching information because it contained the articles and theses from many title.
