Function Room AssignmentFunction space is assigned according to the size and requirements of the group. Darden Hospitality reserves the right to reassign function rooms based on your attendee count and set up requirements.

Menu SelectionsThe enclosed menus provide a sampling of our culinary offerings. Darden Hospitality will gladly customize menus to accommodate your group’s needs. A final guaranteed count of attendees is required five (5) business days prior to the function start date.

Regarding multiple entrée choices, selections must be submitted no later than seven (7) business days prior to the function. Entrée identification is to be provided by the client and placed at the guest’s place setting. Preferably a card with the guest’s name and entrée choice and/or special dietary requirements or food allergies will be included on said card.

Darden Hospitality will provide meals to accommodate the dietary restrictions of our guests. Please submit special dietary requests seven (7) business days in advance of the function. Final numbers for special diets are due with the event guarantee. Special meal requests submitted after the guarantee will be accommodated to the best of our ability. Due to price fluctuations in the market, menu items and food and beverage pricing are subject to change.

All culinary services must be provided and serviced by our staff, unless prior approval from Darden Hospitality’s Catering and Conference Services or Food and Beverage teams.

Menu selection, room setup, beverage services, fees, taxes and other details relating to your event will be specified in a Banquet Event Order (BEO) document. The BEO document will be provided by your Catering and Conference Services Manager. Once completed, the BEO must be signed and returned prior to the event in order to guarantee all event details are provided to your specifications.

Pop-up functions, which are booked within 48 hours of event date, are subject to ‘Chef’s Choice’ menus and availability for all food and beverage items and services.

Hot buffet service for less than 25 guests are subject to a $15 per person charge above and beyond standard menu pricing in order to accommodate additional necessary labor.

Time of ServiceAll breaks and buffets are set up for 2-hour increments. Custom options are available, please speak with your Catering and Conference Services Manager. Leaving items on break or buffet stations any longer than the specified time can comprise the appearance, quality and safety standards of the food.

Taxes and Administrative ChargesAll food and beverage items are subject to a 19.5% and a 9.3% state and local sales tax. These figures are subject to change. In order for the group to receive tax exempt status, a copy of the appropriate tax exempt certificate must be received by the Finance Department 5 business days prior to event. Venue and event space rental is subject to the prevailing state sales tax.

ParkingParking is limited and based on availability. Surcharges for parking shall be based on size and scope of event. All vehicles must display a parking pass provided through Conference Services, unless otherwise directed.

For attendees of 50 or less, pre-arranged passes may be provided at the UVA Inn at Darden guest registration/Gatehouse. For meetings and events with more than 50 attendees, please discuss parking arrangements with the Sales and Conference Services Team.

SecurityDarden Hospitality reserves the right to require security. This expense will be the responsibility of the client. For events where minors will be present while alcohol is being served, we will require ID check and wrist bands.

Audio/Visual GuidelinesClients will be provided with an audio/visual request form, at the time of the event booking. Please complete and submit to Conference Services.

There is no food or beverage allowed in the Abbott Center Auditorium. The appropriate audio/visual form must be submitted for auditorium events. Auditorium hardware and equipment may not be adjusted by any non-Darden personnel.

PaymentPayment in-full for all social events is required 72 hours prior to the scheduled event date. Additional costs such as, but not limited to, consumption bars and additional guests above the guaranteed number, will be billed within 72 hours of the event. Payment is to be made upon receipt. A guaranteed credit card must be on file for all social events. Application for a direct bill account must be submitted 30 days in advance of event start date in order to be approved.

Tax ExemptionsTax exemption forms must be submitted at time of agreement in order to receive all appropriate exemptions.

Event SignageEvent signage will be provided through Conference Services. Please provide signage details and requirements 10 business days prior to event date.

Packages and DeliveriesPlease notify Conference Services prior to shipping materials to Darden for upcoming events. Conference Services will provide delivery instructions.
