AUTHORITY: The CareWorks Administration and Finance Officer has the authority to act and make decisions necessary to fulfil the key responsibilities listed below subject to these limitations: Expenditure must be consistent with the adopted Budget, adhering to the Purchasing Policy & Procedures, and in consultation with the CareWorks Office Manager. Compliance with appropriate government legislation, policies of Churches of Christ Victoria and Tasmania, and policies and guidelines of Northern Community Church of Christ and Northern Community CareWorks Ltd. KEY RESPONSIBILITIES: The CareWorks Administration and Finance Officer will: Take primary responsibility for entering financial and administrative data into our IT systems. This includes working with accounting software, our personnel database and Microsoft Excel Spreadsheets. Assist with the maintaining of records by scanning documents, archiving of old data in line with privacy legislation and accounting principles and appropriate destruction of data. Model and maintain quality standards for customer service at reception, providing information, advice and assistance to visitors to the centre; Maintain reception space ensuring the office is safe, clean and easy to access; Maintain office equipment including cleaning, repair (either onsite or offsite), purchasing and maintenance in consultation with the CareWorks Office Manager; Opening and closing of premises and associated security;

· Maintain reception space ensuring the office is safe, clean and easy to access;

· Maintain office equipment including cleaning, repair (either onsite or offsite), purchasing and maintenance in consultation with the CareWorks Office Manager;

· Opening and closing of premises and associated security;

· Document office procedures and policies in consultation with the Office Manager and support the communication of any changes with staff.

ADMINISTRATION

· Ensure sign in and sign out procedures are followed for both Work for The Dole participants and volunteers including an update of the Work for the Dole APP at the end of the day with the communication of any issues to the providers;

· Filing, record-keeping, sorting correspondence, photocopying and operating a multi-line phone system;

· Basic administrative support including taking phone messages, making appointments based on the assessment criteria, and general referral of enquiries to other agencies;

· Ensure that, wherever possible, upon vacating the position, the outgoing Administration and Finance Officer gives a detailed handover to the CareWorks Office Manager on responsibilities, processes, access to relevant logins and passwords, and pass on any other relevant documentation and information.

FINANCIAL

· Xero data entry, invoicing, report creation and reconciliations;

· Ensuring the appropriate budgetary and expenditure information is captured and recorded

· Provide assistance and support to the Office Manager as required

POLICY & PROCEDURES

· Abide by Northern Community Church of Christ’s and Northern Community CareWorks various Policies. Attend and participate in any OHS and Emergency Evacuation Training as well as report hazards, incidents and accidents in accordance with Northern Community Church of Christ’s OHS Policy;

REQUIRED SELECTION CRITERIA

· A commitment to social justice and alignment to the values of Northern Community CareWorks: compassion, respect, belonging, person-centred

· Well-developed interpersonal skills, with the ability to relate to a broad range of people;

· Experience with Accounting software, preferably Xero.

· Excellent attention to detail

· Excellent time management

· A good working knowledge of and experience in administration, including experience with IT systems, e.g. Word, Excel

· Ability to take the initiative and work autonomously as well as in a team setting which includes volunteers and staff;

· Maintain confidentiality and the appropriate handling of sensitive information;

· Not easily flustered;

· Financially competent;

· Ability and commitment to self-care and personal development;

· A current Federal Police Check and Working with Children Check.

HIGHLY DESIRABLE

· Previous experience in the community services sector
