    Athabasca University offers students high quality, post-secondaryeducation using online and print-based course materials. Courseinstruction centers on resources developed by a team of subjectmatter experts and enhanced by qualified tutors in a supportivedistance learning environment.

    1.3 Recognition and Accreditation

    1.3.1 Recognition

    Athabasca University has achieved the highest possible awardeach year for the Province of Alberta Performance Funding.Recently, the University received the Commonwealth of LearningAward of Excellence for Institutional Achievement.

    Most recently, the International Council for Open and DistanceEducation recognized Athabasca University as one of the world’soutstanding distance and open learning institutions.

    AU is also recognized by the Government of British Columbia.

    AU was awarded the 2010 Canadian Recognizing Learning Awardby the Canadian Association for Prior Learning Assessment(CAPLA) in Ottawa on November 8, 2010.

    1.3.2 Accreditation

    Athabasca University is a publicly funded institution of theProvince of Alberta that reports to the government through theMinister of Advanced Education. Pursuant to the Post-secondaryLearning Act, SA 2003, Chapter P-19.5, and the AthabascaUniversity Regulation, AR 50/2004, the government authorizes theGovernors of Athabasca University (the Board) to govern its ownaffairs. Public members of the Board are appointed under orders-in-council of the Lieutenant Governor of Alberta.

    Once you have completed and submitted the UndergraduateGeneral Application Form, you have agreed to abide by the rulesand regulations of Athabasca University. Your knowledge andacceptance of Athabasca University’s academic regulations,policies, and procedures is your contract with the University,particularly the Student Code of Conduct and Right to AppealRegulations.

    Just as we expect your acceptance of our regulations, you mayexpect Athabasca University to provide you with a successfuluniversity experience. The “Expect the Best” brochure, issuedwhen you are admitted, identifies the service standards to whichyou are entitled.

    To communicate with its students, Athabasca University uses aweb portal known as myAU, which offers quick access toinformation, forms, e-Letters, and services that are relevant toyou.

    Once you are admitted to the University, you will use myAU toaccess your course(s) and view personal information such as yourAU Library account, assignment marks, and course grades. Youmay also take care of administrative matters, such as bookingexaminations, requesting course extensions, registering forcourses, requesting course withdrawals, and ordering transcripts.

    1.10 Student Identification Cards

    1.10.1 Active Students

    If you are currently an active Athabasca University student, youcan request a photo Student Identification (SID) card that willconfirm your name, identification number, and the academic yearin which the card was produced.

    Student Identification cards are the property of AthabascaUniversity. You will be issued one card only. It is valid for theacademic year displayed on the front of the card. To update thecard annually, you must be an active student, and request a datesticker from the Office of the Registrar, AU Edmonton, or AUCalgary.

    Request for Photo ID Card

    1.10.2 Nursing Students

    Nursing students are now able to request a wearable ID card foridentification purposes in healthcare facilities. It is available forBachelor of Nursing students and Advanced Nursing Practicestudents.

    The Nursing Student cards are valid for one year. It is valid for theacademic year displayed on the front of the card. To update thecard annually, you must be an active student, and request a datesticker from the Office of the Registrar, AU Edmonton, or AUCalgary.

    1.10.3 Photo Requirements

    Student Identification (SID) cards are issued using a photographtaken by an Athabasca University staff member wheneverpossible. If this is not possible, you can supply your own digitalphoto accompanied by a copy of your driver’s licence, or apassport photo. The back of either photo submitted must besigned by a guarantor who can attest to your identity. Examplesof a guarantor are listed on the print and online SID forms.

    Photos can be taken by staff at the Office of the Registrar inAthabasca, AU Edmonton, or AU Calgary. All ID cards will bemailed to the current address the student has on file with theUniversity.

    1.11 e-Letters

    As of September 2011, AU converted all print letters that wereaccessible via the e-Letter delivery method to the e-Letter format.If you would still prefer to receive these letters in a print formatdelivered via Canada Post, you will be able to choose that methodof delivery and you will be assessed a one-time $10 fee for thisservice. Additional information can be found on the Office of theRegistrar website.

    Examples of documents that are available as e-Letters are:admission confirmation, course registration, course extensions,course withdrawals, tutor assignments, final grades, etc.

    1.12 Moodle

    The name Moodle is an acronym that stands for Modular Object-oriented Dynamic Learning Environment—an open sourcesoftware package for producing Internet-based courses andwebsites. Moodle is both a Learning Management System and aVirtual Learning Environment designed to support a socialconstructionist framework of education. It is an online placewhere you, as a learner, can have access to your tutor, to otherlearners, and to a variety of tools, features, and interactions thatwill enhance your learning experience at Athabasca University.

    3.1 Admission

    As an open university, AthabascaUniversity admits students 16 years of ageor older. Students may be of anynationality and reside anywhere in theworld.

    Students under 16 years of age may beadmitted with special consideration bypetitioning the Coordinator of Enrolment,Records, and Examination Services. Anunderage student's admission applicationform must be accompanied by the courseregistration form, an up-to-date highschool transcript (or equivalent), letters ofsupport from the student's high schoolprincipal or designate, and from a parentor guardian. Permission from the CourseCoordinator responsible for the coursemust also be obtained. An interview will bearranged with the Course Coordinator atthe time the course registration form isreceived.

    3.1.1 Past AcademicPerformance

    While past academic performance at otherpost-secondary institutions does notprevent you from being admitted to AU, itmay be considered if you are enrolling in aparticular program (e.g., Bachelor ofNursing). If you were suspended ordismissed from another post-secondaryinstitution for reasons of academicmisconduct, you may be refusedadmission or enrolment at AU until theperiod of suspension or dismissal haselapsed.

    Athabasca University welcomes non-Canadian students.

    You need a study permit if:

    you are a non-Canadian with a workpermit and are living temporarily inCanada while enrolled in the Bachelorof Nursing degree program.you are a non-Canadian studentenrolled in an AU program at aninstitution with which the Universityhas a collaboration agreement.

    You do not need a study permit if you area non-Canadian AU student living outsideCanada.

    3.1.3 Returning Students

    To remain an active AU student you mustbe registered in an AU course, or you musthave completed an AU course in the last12 months. The 12-month period is basedon the most recent course contract date,course completion date, or the date ofwithdrawal from an AU course.

    Students who complete courses on aLetter of Permission from AU also retaintheir active status. If you complete coursesat other institutions without first obtaininga Letter of Permission from AU, you maybe designated inactive and forfeit yourenrolment status and risk not receivingcredit for the course.

    If you are a returning student and youhave never accessed the myAU portal, youwill need to log into the portal using yourAU Student ID number.

    3.1.4 New Students

    All new AU students require a studentidentification number. To obtain a studentID number, you must apply for admissionto AU.

    Complete and submit the onlineUndergraduate General Application Formand pay the one-time, non-refundableapplication fee. Before you apply online,you will need to determine if you areapplying as a program student or as anunclassified (non-program/visiting)student.

    Note: International students residing inCanada must apply using the paperGeneral Application Form, and submit italong with payment to AU.

    3.1.4.1 Unclassified (Non-Program/Visiting) Students

    Unclassified students are not enrolled inan AU credential program, but are eitherplanning to take or are currentlyregistered in AU courses only. There is nolimit to the total number of courses thatcan be taken; however, the maximumactive course load at any one time is six.

    The AU unclassified category includesvisiting students from other postsecondary institutions who are taking AUcourses for admission or transferpurposes to another institution. Visitingstudents are encouraged to obtain a Letterof Permission from their home institutionbefore registering in an AU course. Thiswill ensure the home university will acceptthe AU course in the visiting student’sprogram.

    NOTE: It is important to note that AU doesnot evaluate previous post-secondaryeducation or award transfer credit forstudents in the unclassified category. If astudent wishes to change from theunclassified category to a program studentcategory, a request for evaluation of anypreviously completed post secondarycourses can be made any time afterdeclaring an AU program.

    Visiting students must request a transcriptto be sent to their home institution oncethey have completed the course(s). Thiscan be done online through myAU.

    3.1.4.2 Procedure

    If you are applying to become anunclassified student (a non-program orvisiting student) from the “UndergraduateGeneral Application” page, choose, “No, Ionly want to take some courses right now”.Follow the prompts to complete/submitand pay for the application.

    3.1.4.3 Program Students

    Program students are enrolled in any ofthe undergraduate degrees, diplomas, orcertificates offered by AU. Students whochange from the unclassified (non-program/visiting) to a program categorymay use credits earned while in theunclassified (non-program/visiting)category provided the course(s) meets therequirements of the program, includingany restrictions on the age of a course, ifapplicable. There is no applicationdeadline for enrolling in an undergraduatedegree program. Applications areaccepted year round.

    Because program regulations can change,students are required to complete theprogram regulations in effect at the timeof their enrolment. Students who areadmitted to a program that has anyentrance requirements for admission willfollow the degree regulations in effectupon completion of the transfer creditevaluation.

    Pre-Enrolment Category

    Although most of the undergraduatecredentials have open admission, thereare some that require documentation beprovided and assessed prior to admission(refer to the specific program regulations).In these cases, students will be admittedto a pre-enrolment category untildocumentation is assessed.     3.1.4.4 Procedure

    If you are applying to become anundergraduate program student (you wishto complete a credential such as a degree,diploma, or certificate at AU) you need toapply using the ApplyAlberta form that hasbeen designed for this purpose.

    ApplyAlberta is a secure online applicationand transcript exchange system thatstudents will use to:

    apply to one or more of Alberta’spublic post-secondary institutionsthrough one portal, andauthorize institution(s) to request thetransfer of their Alberta high schooland post-secondary transcripts.

    Student personal and academicinformation is entered only once—it isfilled in automatically on each applicationsubmitted to a post-secondary institution.

    Once you have completed and submittedyour personal information via theApplyAlberta site, you will be forwarded toAU’s Office of the Registrar Online System(OROS) to finalize your application ofadmission with AU. Be prepared toindicate the program you are interestedprior to submitting your application andpaying the one-time non-refundableapplication fee. If you need help selectinga program, contact Counselling Servicesprior to submitting an UndergraduateGeneral Application Form.

    3.1.5.1 Active Students

    Returning students with an inactive AUaccount, will need to log into myAU andreactivate their active status by completinga new Undergraduate General ApplicationForm before they can register in courses.

    3.1.5.3 Changing Programs/Status

    Active students who want to change theirenrolment from unclassified (non-program/visiting) to program, or changefrom one undergraduate program toanother undergraduate program; orinactive students who would like toreactivate their account, must log in tomyAU and in the Student Record section,under “Manage Your Program”, select“Change Your Program”.

    Inactive students will be asked if theyrequire an evaluation of previous post-secondary studies. A fee is required forthis service if it wasn’t submittedpreviously.

    Effective November 5, 2018, studentsrequesting a transfer credit evaluation areresponsible for providing recentlyissued official transcript(s) to theEnrolment Services Unit. These documentswill be retained for 3 years.

    International Assessment Services (e.g.IQAS, WES, etc.) documents are requestedas required and will be retainedindefinitely.

    All students are required to fulfill theprogram regulations in effect at the timeof their enrolment. Course workcompleted previously will be assessedtoward the new credential.

    3.1.6 Enrolment Status

    3.1.6.1 Part-Time Students

    Those who are registered in less than 60per cent of a full course load with AU. Fortaxation or Government Student Loanpurposes, students who register in lessthan four, three-credit courses over sixmonths are considered part-time.

    3.1.6.2 Full-Time Students

    Full-time students are enrolled in aminimum of 60 per cent of a full courseload. At the undergraduate level a fullcourse load is defined as 3.75 credits permonth at AU. The minimum requirementfor full-time status is 2 credits per month.

    Example: If you are on student financialaid, full time enrolment is 9 credits over 4months with the same start date. If youare taking courses via individualized studyover 6 months, you require 12 credits tobe full time with the same start date.

    3.2 Evaluations and TransferCredit

    In general, Athabasca University will reviewyour previous post-secondary educationtoward your credential. A one-timeEvaluation Fee will be charged for thisservice. Please note this fee is non-refundable once an evaluation has beencompleted. For detailed informationregarding the awarding of transfer creditplease refer to the UndergraduateTransfer Credit Policy.

    AU has articulated courses and programsfrom more than 240 institutions andorganizations. These decisions can besearched on our online database.

    Non-Canadian students who will bepresenting international credentials forpossible transfer credit to an AU programmust refer to Foreign TranscriptEvaluation.
