Improve Learning and Training with an Enterprise YouTube

The “consumerization of IT”, vis-à-vis YouTube, Facebook, LinkedIn, and other social media outlets, has

changed the way our society gets things donei. From how we shop, to what we watch, to the way we

learn new skills and disseminate information. Aspects of daily life that for generations could only occur

in a physical realm are now conducted online, through mobile devices, and, increasingly, with the

assistance of social networks that consumers increasingly draw upon to qualify their everyday decisions.

In terms of knowledge management, this trend can be seen in the way individuals seek and disseminate

knowledge via YouTube and other social media on subjects as wide-ranging as how to utilize a new

software upgrade, to how to set up a standout PowerPoint presentation – signaling the enterprise

YouTube as an optimal channel for connecting workers with the knowledge they need.

The Baby Boom generation, as did their predecessors, had to adapt to the culture of the workforce they

entered. Office etiquette, the tools of the trade, the systems of governance, and the technologies of

knowledge management, were learned on the job. In the past ten years that paradigm has dramatically

shifted, because the generation entering the workforce (or who has in the past decade or so) is creating

the culture of the workforce – bringing in the networks and apps that are reshaping the corporate

landscape. From gaming, to university courses, the way new workers learn is increasingly through video

accessed through a social media platform. In this new world order, enterprises are finding that by

creating enterprise YouTubes they are able to keep pace with the new worker and the new world.

Enterprise YouTube: The New Tool for Knowledge Management

Reaching the Twitter Generation

The term “flipped classrooms” has become part of the new lexicon of education, signifying the

emergence of non-traditional learning settings and more intuitive learning modules. In a “flipped”

classroom the age-old practice of students passively listening while a teacher or professor lectures has

been replaced by new systems of knowledge transfer, such as streaming video and webcasting

(produced by teachers and students), that allow knowledge to be absorbed and interacted with visually

and aurally, shared broadly, and segmented (a là tweets). The contemporary classroom – with its

radically expanded tools of engagement – enables and encourages continuous commentary and

engagement beyond the classroom (and, for that matter, the campus), fostering a more intuitive

learning environment for present and future generationsii.

In the recent article BYOD and Video: Mobile Learning Trends Affecting Your Campus Nowiii, BYOD (bring

your own device) and video are posited to continue to be the two biggest trends in education, shaping

the way people teach and learn. What differentiates today’s video-based learning from earlier

incarnations is a substantially improved experience (i.e., high-quality, on-demand or live content via

webcasting and telepresence) and, consequently, greater adoption rates. Recent grads expect to be

able to access training content (as they did course lessons) via their smartphone, tablet, or laptop

anywhere and anytime – and, for those students to be engaged by that content, it must be delivered in a

highly socialized format. Through the enterprise YouTube, companies can provide a social medium

platform for workforce training that corresponds to contemporary learning styles.

BYOD Creates a New Conduit for Knowledge Management

BYOD has also barnstormed industry. According to Cisco’s BYOD Insights 2013: A Cisco Partner Network

Studyiv, “90% of full-time American workers use their personal smartphones for work purposes.” BYOD

usage patterns are revealing: of those who use it for work, 62% use it for work purposes after hours,

further evidence that workforce development is no longer restricted to office systems, on-site training,

or 9-5.

A Better Medium Creates a Better Message

The enterprise YouTube can support corporate training and workforce development by cultivating active

learners in the workforce. According to the leadership development firm Lominger, 60% of people are

passive learners, 30% are blocked, and 10% are active learnersv. Active learners are ideally suited to

adopting new technologies, systems, and methodologies, which in turn translates into improved

efficiencies and ROI, making the case for investing in technology that helps turn passive learners into

active ones. By creating opportunities for employees to participate throughout training programs, they

are more likely to remain active learners and take away more from them than if they merely passively

viewed the material presented. Companies can incorporate user reviews into their enterprise YouTube

to better capture critical performance metrics and create more tailored – and therefore more engaging

– training modules.

Through utilizing the enterprise YouTube for knowledge management, training programs are more

digestible (e.g., start-and-stop functionality gives employees the ability to stop, review, and apply what

they’re learning as much as they need to) and training content becomes more interactive (e.g., via

quizzes, random comprehension questions, live Q&A and chat), which leads to greater clarity of data

points on an individual or departmental level. In this way, the enterprise YouTube can enable one to

customize a training program down to a particular segment or module to facilitate greater

understanding and application of one (or several) key points covered and then enable viewers to apply

them more ably and with greater alacrity.

Benefits of the Enterprise YouTube for Employee Training:

Continuity and consistency of training across enterprise

Improved on-boarding and on-going education

More effective communication

Streamlined knowledge management and reduced related costs

Improved efficiency and capability of workforce

Cultivation of a high-performing, flexible work culture

Improved productivity and engagement

Intranet Video Portal

Rich Media Content Creation

An enterprise YouTube is a video

portal that enables the streaming

of on-demand and live video

content for corporate

communications and training.

The ability to create live and mock

live rich media content provides

organizations with the tools to

leverage Q&A, polls, surveys and

certificates.

Video Asset Management

Options to upload, capture, embed and add urls, along with flexible and configurable video transcoding is

standard functionality of an enterprise YouTube.

The enterprise YouTube provides administrators with robust permission management tools to

control who can create or view content and analytics. Life cycle management and audit logging are

also required for asset management.

Security and Governance

Conclusion

Video has a well-established track record of enabling employers to effectively and efficiently train and

develop employees. Its appeal lies in the ability to convey a large degree of detailed information to a

veritably unlimited number of people, consistently, and in any number of locations, and in its ability to

be entertaining, compelling, and engaging. Ultimately, its greatest strength lies in its ability to influence

behaviors, to translate complex ideas and soft skills in a much more effective way than a procedural

manual could. Nevertheless, the video of yesterday could not continue to support the needs of today’s

enterprise.

Consequently, enterprise video, continually evolving, has become the enterprise YouTube, breaking the

office barrier, training workers where they are and when (and how) they learn best. Given the

emergence of a highly distributed workforce (teleworkers and geographically dispersed teams), coupled

with the popularity of social media platforms such as YouTube, and the ubiquity of BYOD in the

workplace, enterprise YouTubes form a natural extension of e-learning via video streaming and

webcasting ideally suited to train the emergent workforce.

Studies unilaterally support the benefits of innovative technologies and intelligent learning strategies,

such as webcasting and live video. By enabling employers to keep materials current and by engaging

The enterprise YouTube allows for administrators to define who can contribute videos to the

system. It also defines if a contributor requires approval by a moderator before the video is

published.

employees with mission-relevant and targeted training content that they can access whenever and

wherever they wish and review as often they require, companies are ensuring that they are cultivating

the kind of agile, innovative, and high-performing culture that propels the competitive advantage in the

marketplace.
