INFORMAL STAFF REPORT

MEMORANDUM

TO: Margie C. Rose, City Manager

Thru: Sylvia Carrillo-Trevino, Assistant City Manager

From: Jim Davis, Director of Fleet Maintenance

Subject: Auctioned Truck/Tractors

Date: June 14, 2017

Issue/Problem During the Council Meeting of June 13, 2017, a question was raised regarding the price the City receives for auctioned truck/tractors.

Background & Findings On March 18, 2017 Fleet Maintenance conducted an auction at which two of these units were sold. The first unit was a 2007 Peterbilt 357 truck tractor which was purchased on 5/28/2007 at a cost of $129,011.00. When the truck was pulled out of service it had accumulated 10,179 hours. The buyer paid $20,790.50 for the truck/tractor. For this vehicle, maintenance costs for the life of the vehicle were $206,000.00. As can be predicted, maintenance costs ramped up as the vehicle aged. When it reached the end of its service life (10 years) it was no longer cost effective to retain the vehicle and thus a replacement was recommended.

The second unit was also a 2007 Peterbilt 357 truck tractor purchased 6/26/2007 at a cost of $121,598.00. When the truck was pulled out of service it had accumulated 11,699 hours. The buyer paid $21,780.53 for the truck/tractor. For this vehicle, maintenance costs for the life of the vehicle were $204,000.00. Again, maintenance costs ramped up as the vehicle aged and when it reached the end of its service life (10 years) it was no longer cost effective to retain the vehicle. Consequently a replacement was recommended.

For information, both trucks had oil leaks at the time they were retired and would have required engine changes.

Conclusion As can be seen, we got good service from these two truck/tractors. Maintenance costs were

predictable and were remarkably close. Solid Waste Services was reimbursed the proceeds

from the auction. 5
