We look forward to providing a fun, faith-filled and enriching summer experience for your camper. Please read all information carefully as it will enable your child to prepare for this fun camping experience. DISCOVERY DAY CAMP FAQs When do I drop off my camper?

Monday Check-in is 8:00 - 8:45am Monday Check-in for campers enrolled in Before Care is 7:00 - 8:45am. Drop-off on Tuesday through Friday is 8:50 - 9:00am Drop-off for campers enrolled in Before Care Tuesday through Friday is 7:00 - 9:00am

When do I pick my camper up? Pick-up on Monday through Friday is 3:50 - 4:00pm Pick-up for campers enrolled in After Care is Monday through Friday 4:10 - 5:30pm Please use the walkway on the playground side of the parking lot as much as possible during Pick-up Drop-off.

What if I need to pick up my camper early? Please let us know if your child will be absent any days during their camp week(s). If your child needs to leave early during the week please see the Day Camp Director at Check-in or Drop-off to sign the early dismissal form.

Can I pay my balance when I arrive? PAYMENT OF CAMP The remaining payment must be paid on Monday morning at the registration table. All payments must be made by check or cash (sorry no credit cards).

What is Woodcrest’s refund policy? All deposits are non-refundable & non-transferable. No refunds will be given except for medical emergencies. Children that are sent home for inappropriate behavior or homesickness are not eligible for a refund.

How do I get to Woodcrest? You can find detailed driving directions on our website. Navigate to our day camp page and look under the resources tab for “Day Camp Check-in Map and Directions”. If using a GPS, please enter address as “225 Woodcrest Rd. Ephrata PA 17522”.

What do I need to bring at Monday check-in? Please complete the following documents before arriving at Monday Check-in: Health Care Release Form, Authorization for Medication Form, and Child Pick-up Authorization Form.

What do I need to bring at pick-up? Campers will only be released to persons listed on the enclosed Child Pick-up Authorization Form. Please make sure to bring photo identification when picking up your camper because it is required that we verify your identity, regardless of your relationship to the camper. This applies to anyone picking up a camper from camp.

If I forgot an item for my camper, can I drop it off? In order to provide a safe environment for all campers, visitors are discouraged and must be approved by the administration before visiting. All guests must register at the office before proceeding into camp. If you need to drop off an item for your camper please label it with your camper’s name and leave it with the office. Camp leadership will pick it up there and give it to your camper.

What safety measures does Woodcrest pursue? FIRST AID AND SAFETY - Our summer staff team includes a Health Care Provider who is trained in first aid administration. In addition, a camp administrator lives on-site during the camp program. We ambitiously recruit counselors and staff members that possess quality Christian character, obtaining all necessary background checks and clearances. We also ensure all staff are CPR certified. POOL - All campers must take a swimming test before entering the pool. The pool is supervised by both counselors and certified lifeguards.

What should I do if my camper has special dietary needs? Concerning peanut and tree nut products: As a rule we do not use peanut or tree nut products in the meals and snacks we provide. (Although some prepackaged snacks we provide are often labeled as manufactured in facilities that handle peanuts and tree nuts.) However, please note that snacks and candy with peanuts and tree nuts are available for purchase in our Gift Shop and Snack Bar. All other special diet concerns: We are limited in our ability to accommodate special diets. If your camper needs a special diet while at camp please bring prepared food, labeled by meal, for them to Check-in. We will make sure it is stored properly and is given to them at the appropriate time.

What if my camper has a TSS? TSS support for your camper is allowed in the Discovery Day Camp program but must be arranged in advance. If your child has TSS services and you have not already spoken with us about them coming to camp please contact the office as soon as possible.

Should I bring spending money? GIFT SHOP - Each camper will have the opportunity to visit the Gift Shop during the week. It is also open for parents and campers Tuesday, Thursday, and Friday after camp from 3:50-4:15. A variety of adult and children items that range from $0.50 to $23.00 are available. Such items include: sweatshirts, backpacks, American Girl doll clothes, flashlights, water bottles, stuffed animals, toys, jewelry, journals, mugs, candy, ice cream novelties and more. SNACK BAR - Open during pool hours on Friday only. Items available at the snack bar include: soft pretzels, hot pockets, popcorn, slushies, root beer floats, ice cream, etc. Items range from $0.50 - $3.00

Is there a dress code? DRESS GUIDELINES- All clothing should be modest and suitable for outdoor activities. Please avoid clothing with images or wording contrary to Christian principles. SHORTS: Mid-thigh or longer and not form fitting (please no writing on backside). SHIRTS: Please avoid form fitting or low cut shirts. Midriff must be covered. Any tank tops need wide shoulder straps. SHOES: Close-toed footwear or sturdy sandals only. FLIP-FLOPS: These can only be worn when going to and from the pool or showers. JEWELRY: Jewelry is generally discouraged in the active, outdoor setting of camp. Loose or dangling jewelry such as hoop earrings that pose a safety hazard are not allowed. SWIMSUIT POLICY Girls - Modest one-piece swimsuit, or a tankini- only if the fabric overlaps and does not show ANY midriff.Boys - Swimsuits should be mid-thigh or longer.

In what scenario would Woodcrest send my camper home early? BEHAVIOR EXPECTATIONS - In the event that a camper's behavior is a hindrance to the rights or the safety of others, or the program, Woodcrest Retreat reserves the right to dismiss the camper upon consultation with the parent.

What items are not allowed at camp? ELECTRONICS AND OTHER ITEMS TO LEAVE AT HOME - Summer camp provides children with a great opportunity to ‘unplug’ from their daily routine in a fun and exciting way. Woodcrest is also a place where we strive to put relationships with one another and God first. Electronic devices often hinder these goals and increase the likelihood of behavior problems. So, please make sure your camper leaves all electronics such as cell phones, ipods, cd/mp3 players, apple watches and similar devices at home because they are not permitted at camp. Pocket knives are also not permitted at camp. Staff reserves the right to confiscate any item that compromise the safety, goals and values of camp for the duration of the program until dismissal.

outdoor recreational and learning activities and that participation in the Camping Program could result in personal injury or

hereby absolve, release and forever discharge and hold harmless Woodcrest Retreat, its officers, directors, members,

employees and agents, and any individual directly or indirectly involved with the Camping Program from any and all

liability, for injury or illness suffered by the Camper while participating in or as a result of the Camping Program.

In the event the Camper should suffer an injury or illness while participating in or as a result of the Camping Program, I

hereby authorize and consent to any and all medical treatment which may be determined by a physician, other qualified

medical personnel or the officials of the Camping Program to be necessary or desirable for the Camper and hereby authorize

the officials of the Camping Program to use their discretion to have the Camper transported to a medical facility for such

treatment.

Important Coronavirus Information for Parents

Greetings Parents,

Below are special guidelines and information pertaining to the precautions that Woodcrest Retreat is taking in

response to the current Covid-19 situation. While we strive to keep your child safe, we cannot guarantee that Covid-19

or any other pathogen will not enter camp. Please read over this letter carefully so that you are aware of the changes

before arriving at camp. If you have any questions, please call the camp office. We want you to be able to make an

informed decisions about sending your child(ren) to Woodcrest this summer. If you decide not to send your child(ren),

you can rollover your deposit and payments to summer 2021, donate all or a portion of your deposit to support the

ministry, or request a refund.

Statement of Risk

As a ministry we desire to be as open and honest as possible with our camper parents. Although we are implementing

changes conforming to CDC and health department guidelines, there are always risks to your children if they

participate in an outdoor recreational program. Further, by the very nature of the personal interaction that takes place

in the camp environment, there will be a natural risk of your child becoming ill with this or other diseases. By sending

your child to camp you, the parent, are acknowledging these unknowns and accept that risk:

We have been doing all we can to open camp for the 2020 season. We believe that we are able to do this in a manner

that meets our camp’s as well as CDC safety standards, state requirements, and the special guidelines set forth by

the American Camping Association pertaining to Covid-19.

I understand the steps you are taking and accept these terms listed above and promise to do my part to keep my

child and others safe this summer by following these guidelines.

• It is possible that the coronavirus may be passed to your child, exposing him/her and your immediate family to the virus.

• It is possible that a camper in your child’s group will test positive for the virus. In a positive case all campers in the immediate

group will be sent home for the remainder of the program with a prorated refund. We will not send home the entire camp

but will notify all parents of the circumstance and offer parents a prorated refund, if they decide to send their child home.

• Your camper or an immediate family member is part of a high risk population (including,

but not limited to, moderate-to-severe asthma, diabetes, compromised immune system, a

member of the elderly population in the household)

• Your camper or an immediate family member has experienced a new or worsening cough,

fever, or soar throat within the past 7 days.

• Your camper or someone in your household was exposed within the past 7 days to some-

one who has tested positive for Covid-19 or was exhibiting symptoms.

Morning registration Changes:

We consider registration and drop off/ pick up times to be the most high risk aspect of camp. Therefore,

registration will look very different from previous years. You can help us keep camp safer by following these

guidelines.

• WE ASK ALL PARENTS TO ARRIVE EACH MORNING IN FACE MASKS. Staff in the registration process will

also wear masks on Monday or will be behind clear breath shields.

• You will first be greeted by our Covid-focused health care provider. She will take each camper’s

temperature (with a touchless thermometer) and ask each child if he or she has a new or developing

cough. She will then record the results in the health log. This person will also collect your signed

“Statement of Risk” form included with this packet. If you don’t have it with you, you will need to read

and sign one at that time.

• As you walk through the registration process you will see markers every six feet apart. Stand on these

markers until the person in front of you has moved forward to help everyone maintain appropriate

physical distancing.

• All paper transfers will be from you to us. To avoid sharing pens our counselors will put a check mark to

sign your camper in and out in your presence. This is instead of your signature.

• We strongly encourage you to pre-pay before camp. If you will be paying the balance in person please

bring a pen to write with or have the check pre-filled.

Woodcrest’s Covid-19 Safety plan for Camp

Woodcrest Retreat is planning on opening our summer camp program. We are ready to go, and are

confident we can put a safe and fun program in place. Here are some of our changes we are implementing

for this year.

Proactive…

Woodcrest has a plan in place to reduce the chance of spreading the coronavirus within our camp. To

see what we will put in place and how it will impact your camp experience, continue reading. While no plan

can guarantee a complete, risk-free experience, we strongly believe we have in place what is necessary to

keep our kids safe by following recommended guidelines and procedures from the CDC, local and state

health officials, and special guidelines from the American Camp Association.

Law Abiding…

Currently we are in the “Yellow Phase” as assigned by Gov. Wolf, and camps are permitted to be

open. We are following, to the best of our ability, guidelines set out specifically for camps by the CDC, as well

as recommendations from the Association of Camp Nurses and local health professionals.

Life-Restoring…

We believe camp is the perfect cure for kids burned out from quarantine. Youth are designed to be in

community, to get out in nature, and to run and jump and shout. Camp can be that outlet! We also believe

that kids need to hear and see God’s love, and we hope to be that place for your child. Finally, we desire to

be the support families rely on for child care in order to be able to get back to work and back to life.

Summary of Key Aspects of Woodcrest Overall Safety plan:

• Proactive and preventative health measures

Daily temperature and symptom check for all staff and campers

All adult guests, including parents, are asked to wear a mask to registration, drop-off, and pick up

Keep detailed health logs of campers and staff to monitor signs of symptoms

Summer staff will “soft quarantine” for 9 days before camp begins and will be instructed to limit

social contact when not on duty

Quarantine procedure in place for possible cases with Covid-like symptoms

No visitors will be permitted on camp to interact with counselors or campers, with the exception

of TSS staff.

• Limit group sizes and keep groups separate

Groups will still be in the same 6-8 camper groups with the same staff for the week, as normal.

Instead of one large day camp, it will be broken into 4 smaller day camps following required size

restrictions.

We will limit how other groups interact during the week by limiting larger group activities.

• Eliminate or modify activities that require close physical interaction

Group games with lots of contact are eliminated

Hands free water fill-ups will be used

Hand washing stations will be set up after games involving limited physical interaction and after

being in a high contact or hard to sanitize area.

• Clean and disinfect often and regularly

Teach and guide campers on proper personal safety measures

Scheduled hand washing times throughout the day

Staff will perform top-to-bottom disinfecting of indoor rooms, restrooms, and high traffic areas

• Food service

When weather permits, meals will be served outside.

When inside the dining hall, it will be reconfigured to maximize physical distancing

All food service staff will be wearing masks and gloves
