How to Set up Balfour.com Marketplace to include adsAfter choosing either AdBuilder or AdSpace, the next step is including these options in you Marketplace Store Setup. To set up your store or edit an existing store setup, choose Sales and Orders > Marketplace Store Setup. During step 2 of the setup, you will be prompted to provide the following information regarding Ads.

PART 2

Select & Configure ad sizes for your store

The Buying & Designing ProcessLet’s walk through the purchaser’s experience of designing or uploading content. Once an ad has been purchased on Balfour.com and the ad workspace has been configured (this can take 24 hours), the customer will receive instructions via email to begin designing. They will visit Balfour.com > Log in > My Orders. The “Edit Now” button will launch into the ad designer (AdBuilder) or the content uploader (AdSpace).

All ad prices will default to $999.00. Once enabled, click the item name to edit the prices.

Click here to enable the sizes you select. Sizes can be added/removed from the store if needed.

This is what a customer sees when they log into Balfour.com and access My Orders.

After completing the first step of the store setup, you will need to add and price all of the ad sizes you want to offer in your store. During Part 3 of the Store Setup Wizard, Click the “Select from Available Products” button to see the screen below. Click the “Ad Builder” or “Ad Space” categories at the top, then click the check box under “Add” to enable the ad sizes you want to sell to parents and students.

AdBuilder Customer Experience

1. Images - Upload images from your computer to place on your ad. 2. Backgrounds - Choose a variety of backgrounds for your ad. 3. Clipart - Choose a variety of clip art for your ad. 4. Layouts - Choose a pre-designed layout or design your own ad using the tools shown in item #10. 5. Masks - Add a faded edges effect to your image in a variety of patterns and designs. 6. Frames - Add different border styles to your images.7. Ad Name - Change the name of your ad (optional).

8. Save Options - Save and preview your ad and check any printing notices before submitting your ad.9. Finish - This “checkout” button sends the ad to the yearbook staff. Purchaser will not be charged again for the ad. 10. Tools - Use these tools to design your own ad layout or customize and existing layout.11. Image Toolbar - When an image is selected, this toolbar appears to help position, rotate, flip, adjust transparency, bring to front, send to back or delete.

The AdBuilder tool is easy and intuitive to use. The purchaser is launched into this window shown below. The screen would be blank, and they can begin by finding a pre-designed layout or by uploading images and designing their own layout. The workspace allows several options for designing a beautiful ad including image rotation, backgrounds, font coloring and more.

The ad won’t be submitted to the staff until the green button is clicked, confirming the purchaser is finished editing.

AdSpace - Submitting Ad Space Text

1. Undo/Redo - Go back or step forward from the last change. 2. Image Areas - These boxes are the maximum number of images allowed for this size ad (customizable in your store setup). Purchaser will need to upload images into the Ad Space window (#4) and drag images into the squares to share them with the yearbook staff.

NOTE: The full image will be transmitted to the yearbook staff regardless of how the thumbnail is cropped in the preview.

3. Add More Photos - Select images from your computer. Only JPG and PNG files are accepted. 4. Available Photos - These are the images that have been uploaded into the system. Drag them in priority order to the boxes on the left.5. Save - This saves the ad space so it can be accessed and edited later if a purchaser needs to add additional images. 6. Add to Cart - This button submits the finished ad to the yearbook staff.

The AdSpace experience gives the purchaser a space to share images with the yearbook staff. It’s a simple process involving unloading images to the workspace and dragging them into the available image boxes on the left. This tells the yearbook staff what order the images should appear in, or what images have the highest priority to the purchaser.

The Ad Message will be captured here and downloaded, along with images, from the Ads Manager Dashboard in StudioBalfour.

FAQsSETUP QUESTIONSQ: How do I set up what ads will be available in the online store?A: In StudioBalfour Marketplace setup, you can choose which ads are available and how you’d like to manage them. Balfour managed means you want each purchaser to submit their ads or ad content themselves. School managed means you want Balfour to collect money for the ads, but you will manage the collection and creation of all ads.

Choose to sell Student, Business, or both types of ads by selecting the ad products in Step 3. Both color and black and white ads are available options.

Determine the ad sales end date and ad materials submission date. We recommend allowing purchasers time after the ad purchase date has ended to continue submitting their designs or content.

Q: What ad sizes are available?A: We are excited to announce we have more ad sizes available than ever before! Schools can choose from 1/8, 1/9 or Block ads. The three sizes of ads are the division of a page either into eight segments (1/8), nine segments (1/9) or nine segments that can be combined (blocks). The 1/8, 1/9 and Blocks are proportional to your book size - 7, 8 or 9.

Q: What margins should I use when setting up my pages to ensure the ads fit properly?A: The calculations on the ad sizes uses a one pica middle margin at the spine, four picas at top, bottom and outside. The ads will fit within these margins with a one pica separation between each ad.

Q: Can verbiage be added to tell parents the yearbook staff may edit the ad design?A: Yes. The adviser can edit the product description to include this information where desired.

DESIGN QUESTIONSQ: Are pre-designed templates available for each ad size?A: Yes! We have several ad templates available for each ad size. These are available in all trim sizes (7, 8 and 9).

Q: Can advisers or staffs create custom templates?A: In the current phase, ad templates cannot be customized per school. We are working to include custom templates as a feature in a future release.

Q: Can the yearbook staff limit the number of fonts available to customers?A: All ad workspaces have the same font set available. We are working to include custom font selections as a feature in a future release.

Q: What design elements are available in the ad workspace?A: In addition to pre-designed layouts, a collection of backgrounds, clipart and frame elements are available.

Q: Is there a profanity filter in AdBuilder? A: No. We recommend every ad be double checked by the yearbook staff for inappropriate material before submission.

Q: When designing an ad, what types of image file formats are acceptable?A: The editor will accept PNG and JPG images. When uploading images, files of other formats cannot be selected, ensuring only compatible images are loaded in the system.

Q: Will ads with low resolution images be allowed?A: Images with low resolution can be uploaded by purchasers. They are warned about low image quality and encouraged to replace with high quality images.

Q: Does the designer work on all browsers? What about tablets, iPads or iPhones?A: The editor is compatible with all browsers. For the best design experience, we recommend using a tablet, iPad or browser. We are working to improve the design experience on a phone or other small screen.

Q: Can a purchaser complete their ad design over multiple sessions? A: Yes! By logging into Balfour.com with their user name and password set up during the checkout process, the purchaser can edit their ad over multiple sessions before submitting to the yearbook staff.

Q: If the purchaser submits the ad and then wants to change it, what happens?A: The adviser can unlock the ad for further edits at their discretion.

Q: Is the new AdBuilder/AdSpace compatible with all of Balfour’s page editors? A: Yes, the system is compatible with all of our software editors. Advisers simply download their ad materials or ad content from StudioBalfour and place it on the page where it belongs.

Q: What if the purchaser buys an AdBuilder ad but emails a completed ad to the yearbook staff?A: The staff can certainly accept on-campus submissions. We recommend manually updating the order status to Locked in the Ads Manager to keep your records up to date.

FAQs RESOURCESACCESSING COMPLETED ADSQ: Once a customer has designed an ad and submitted content, how quickly will it be available to the yearbook staff?A: Submitted ads and ad content are available within minutes.

Q: Once an ad is designed, can it be edited by the yearbook adviser? Can a student edit?A: The adviser will have the rights to edit the ad from the Ads Manager dashboard in StudioBalfour. Click the pencil icon to access the ad and make changes. Student logins do not have the rights to edit ads.

Q: Can an adviser download content in bulk? A: Yes, simply select all ads from the Ads Manager that you want to download and choose “Download Selected.”

Q: What format will the ad be when downloaded?A: All ads will download in a high-res JPG format.

Q: How are the ads named when I download?A: They are named with the item number generated in checkout. This number is also referenced in all your sales reports. Student names are also shown in the ad name.

Q: Why are the original images provided when I downloaded my finished ad? A: The individual images used to design the ad are provided in the download with the finished jpg as a resource. Should there be questionable quality of the image, this will allow the yearbook staff to edit individual images before publishing them in their book.

Q: When downloaded, does the status change on my Ads Manager Dashboard?A: Yes, the ad status will change to “Downloaded.”

Q: How do I get my ads onto my pages?A: Once ads are downloaded from StudioBalfour, the files can be loaded like any other picture in the yearbook. We recommend creating a folder or album specifically for these ad photos.

Q: How do I keep track of ads I have already placed in my book?A: After placing the ad on a page, enter the page number on the Ads Manager dashboard and change the Status to “Locked.”

GENERAL QUESTIONSQ: What happens if I have ads that were purchased in the previous system? Will the purchaser be notified about a workspace for designing their ad or uploading content for their ad?A: We will convert existing orders and configure them to follow the same workflow as the new system.

Q: What communication does a purchaser receive from Balfour regarding their ad?A: As soon as an ad is purchased, an email will be sent to let the customer know their ad workspace is being set up and may take up to 24 hours.

Once the workspace is available, another email will be sent with instructions on how to design their ad or upload their content.

Automatic reminder emails will be sent out seven, three and one day before the ad is due, prompting the purchaser to finish the ad.

Q: How will purchasers know their ad is submitted for publication?A: The purchaser will receive an automatic email that the ad has been submitted to the yearbook staff for publication.

Q: What if the purchaser does not submit the ad by the submission date?A: The ad will automatically close from additional edits. The adviser can decide to either refund the ad from the school or contact the parent to help complete the ad.

Q: Can the adviser extend the ad design due date on individual orders?A: Yes, advisers can extend the ad for an order by changing the status from “Locked” to “Awaiting Content.”The purchaser cannot edit and potentially submit a new ad.

Q: How will purchasers know their ad is submitted for publication?A: The purchaser will receive an automatic email that the ad has been submitted to the yearbook staff for publication.
