• Our Club Administration program works off a design that has worked successfully for us since our move to Mulligan’s on the Blue in 2008-09. Our aim is to involve as many members as possible in committee and club activities. One member of the committee is responsible for assigning Club Duties, assigned randomly and posted on our website and emailed to assignees. The Program Chair assigns the Speaker Chair for each month, and that person is responsible for recruiting speakers and placing PSAs in the Maui News and Maui Weekly. The website subcommittee is responsible for weekly updates to our website, our web-based newsletter, our web-based members-only membership database, and our social media (see Public Image). We also video our programs and feature them on the website Newsletters. Newsletters and Program videos are archived on the website. Some of our members post daily on our website and our Facebook page Our website is based on Club Runner, so that member data, attendance, Ignite data are available to members and uploaded to the District and RI websites.

• One of our most successful innovations has been to take advantage of Mulligan’s three flat screen monitors. With PC/HDMI projection, speaker PowerPoints are exponentially more effective. This AV format (plus a wireless internet connection) gives on-screen access to our website, newsletters, and Facebook page allowing the President to present recaps of Club activities and announcements of upcoming events on screen, and updating our Ignite tracking sheet (while at the same time marketing the website and social media sites to Club members and our many guests).

• As a result of our Strategic Planning in 2012-13 (Updated July 30, 2014), we began to experiment with new approaches to our meetings, and concluded in our recent update that these changes had indeed improved meetings. In response to overwhelming support for more fellowship during meetings, we now start meetings at 11:30 with 30 minutes of fellowship and end at 1:30. Club members also wanted more social occasions without Club business or speakers, so the Club is dark on 5th Wednesdays with pau hana socials (including family members and potential new members) replacing the regular meeting. One member of our Club Administration Committee has been very active in arranging field trips. On July 30, we toured the Kihei Police Station with lunch at a new venue for us, Fabiani’s Wailea. Maui PRLS coincided with Children and Youth Day at the Kihei Youth Center on October 11 (where we shared a booth with Kihei Sunrise and volunteered for the UH Nursing program asthma research project—supported by our DG. On October 29, we held our meeting at the Kihei Youth Center, with a presentation by Celeste Baldwin, leader of the UH Nursing program project. One of our best off-sites was a cultural tour (March 21) of the Hawaiian Restoration site in Kahana. We have partnered with Kihei Sunrise to participate in 4th Friday events in South Kihei, where we staged our Polio Day funding campaign for Polio Plus and other outreach programs.

• Our First Annual Mardi Gras event at Mulligan’s on February 13 had net proceeds of nearly $9,000. We are planning another smaller event for the end of the Rotary Year. Our Club President has arranged most of our holiday socials, including a Halloween and Year-End Holiday parties at his home.

• We continue to support the District Literacy Project with distribution of 216 dictionaries to 3rd graders at Montessori Hale O Keiki Kihei on Maui and 4 schools on Molokai. We also support the Maui News Newspapers in the Classroom project with a $500 donation.

• Increasingly, the Maui Clubs are cooperating in all-island events and projects. Beginning with the all-Island Presidents Induction in late June, Presidents and PEs meeting monthly to coordinate projects and fundraisers. Maui RYLA, the Interact Workshop, PRLS, the Taiwan Friendship, Youth Exchange, and other events are all cooperative ventures. We also participated in chartering two new Clubs in Maui County—the Lahaina Sunset and RC of Lanai. We have also been a leader in forming all-island coalitions of Club for international projects, such as GG1524827—Rotary Eye Hospitals in New Delhi, which involved most of the Clubs on Maui. Kihei-Wailea, Kihei Sunrise, and Valley Isle Sunset have partnered on monthly 4th Friday events.

(No letterhead, pictures or graphics; use Times New Roman 12pt size). “Friendraiser”- This effort was a joint undertaking with The RC of Lahaina Sunrise and Sunset. It was done in the spirit of raising awareness of Rotary and recruiting members. Maui residents were invited to attend a “Friend-Raiser” hosted by the three West Maui Rotary clubs Wednesday, November 19, 5:30 to 6:30 p.m. at Royal Lahaina Resort. The Rotary clubs provided complimentary pupus, a no-host bar with happy hour prices, and the opportunity for community members to get to know the Rotary Clubs. The goal was to meet some new friends and to thank those who have done so much to help Rotary serve the community on the West Side The Result: Total of 31 guests, including 9 (or 11) prospective Rotary members. Attendance numbers * Prospective members 9 (or 11?) * Lahaina members and spouses 8 * Lahaina Sunrise member 1 * Lahaina Sunset members and spouse 4 * Lahainaluna Interact 3 * Visiting Rotarians 6 (or 4?) Total 31 Beach Cleanup- November 8, 2014 Baby Beach and Lahaina Harbor and Breakwall Beach. This was another effort and undertaking with The RC of Lahaina Sunrise and Sunset. It was done in the spirit of raising awareness of Rotary and recruiting members. Maui residents were invited to partake in a community service day in which members of the 3 West Maui Rotary Clubs would help to clean up the beaches in Lahaina. It garnered support from Interact Club students and a few prospective Rotary members. It was a great time for fellowship as well. Second Friday in Lahaina- December 11, 2014, 5:30 - 8:30 p.m. This was yet another effort and undertaking with the RC of Lahaina Sunrise and Sunset. It was done in the spirit of raising awareness of Rotary and recruiting potential members. The Rotary Clubs of Lahaina setup a table/booth on Front Street and informed the community and visitors about what Rotary is all about and tried to create interest to join.

2014-15 Club Service RCHB had a full year for Club Service. Our 15th annual Oktoberfest on Oct. 3 saw more than 400 ticket sales to community members and the gala netted the Club $15,000 which are used to fund community, international and youth service projects. The Club participates in Ignite program and has achieved Premier Status. Four fellowship activities: 8/16 - members and spouses were invited to Volcano Winery (member) for wine tasting and to learn about tea plants. 8/24, members and spouses went to Cunningham (member) Gallery to learn about custom picture framing and enjoy fellowship and food. Our Oktoberfest was a major fellowship activity, as were the two after-working lunch gatherings that were part of the Rotary Park cleanup, 1.31 and 3/28; another major fellowship, the Spring Fling, is scheduled for April 22. Our Program Committee has done an excellent job of providing diverse speakers for meetings, from non-profits to academics and scientists to business and government leaders. It has also arranged vocational talks by members to provide a better knowledge of our membership and what each does. The Club participated with the four other East Hawaii Clubs in the Rotary Park workdays, 1/31 and 3/28—our club had at least a dozen members, along with spouses or friends, helping.

CLUB SERVICE

has made a concerted effort to improve the club structure to support the growth of our club. We implemented the use of DropBox to share documents and have documented job descriptions and processes needed to keep the club running. These include accounting, club service, community service, PR and more. We have a structured leadership team of 20 people that included Executives, Service Chairs and project chairs. We have implemented a strategic plan over the last 3 years and have identified club unity and member enjoyment as two critical goals of our club. We have made great progress in this area. We have changed our Club Service Chair into the Chair of Fun. Her job is to make meetings more fun, make sure we have successful social events and get the club members to know each other better. As a result, the Rotarians of ROK 2014-15 are often heard saying that they enjoy our club now, more than ever. We have implementing a Get to Know Your Fellow Rotarian’s program. About once a quarter, we have 2 or 3 Rotarians get up and talk about themselves for about 10 minutes. It has turned into a friendly competition to have the most exciting talk. As a result, I often hear Rotarians speaking of the unique talents and backgrounds of their fellow Rotarian’s with pride. We are actively recruiting new members to our club. We continue to implement the Ignite program and have achieved Double Premier Status. Tom Fine manages and tracks our activities encouraging membership activities all year. As a result we have attracted 13 new active members,1 New Corporate member and 2 new honorary members. We are very proud of our efforts to attract corporate members and now have 3. So while officially, we have 13 new members, with our 2 new corporate honorary members, we actually have attracted 15 new members this year. We continue to use our club meeting as an opportunity to provide books for the Kealakehe Library. Each speaker is provided a book to sign. The book is then donated in their name to the high school library. Overall the speakers are pleased with the idea, and we use Rotary funds toward something with lasting impact. It has been the goal of the West Hawaii Clubs to work together and play together more. We promote and attend each other’s events and fund raisers. We have joint social events including the DG Visit, hosted by . We have several joint projects including our Polio Plus Fund Raiser, hosted by , Rotary Means Business, hosted by the Menehune Food Drive, the Christmas and 4th of July Parades and this year we worked together on hurricane relief (hurricane relief was led by ).

• Club Social: An Evening at the Theatre - club members had dinner together then enjoyed a showing of'Jekyll and Hyde' at the local community theater. The first 2 rows were reserved for our club Rotarians.All members included a donation to the theater with their ticket purchase.

• Several members join other Hawaii West club members and participate in the monthly Rotary MeansBusiness get together

• Literacy Project: Donated dictionaries to all3rd graders in area schools. Did a presentation to the studentsexplaining how to utilize a dictionary.

• In order to build club comradarie, member profiles are included in each issue of the club newsletter.

• Held a social Thanksgiving weekend at a member's home.

• In order to further highlight Rotary's impact throughout the world, there is a 'Rotary Travels' segment in thenewsletter that features photos of members stumbling upon Rotary projects in their travels.

Rotary Club of has conducted, for several years, three lunch meetings and one evening

meeting per month. The evening meetings are the last meetings of each month. This is to accommodate those

members who are unable to meet during every lunch meeting. Prior to each one-hour meeting, our Club has

a half-hour social when members can informally get together. A Speakers Committee assigns and publicizes

speakers who are drawn from the community, for the lunch meetings. However for the evening meetings, the

speakers are our own Club members who present their “My Life’s Journey”. This is to better acquaint

members with each other’s backgrounds. Our Club Secretary provides Rotary information to new members,

including a 40-page history of our Club. Various Club members mentor new members. The Secretary also

officially greets visitors and speakers.

Currently, our Club has two new members: Ashley Masarik and Kristine Westmoreland who came from

another Club. Ashley is already filling out the submission form for the Matson $ 1,000 environmental

cleanup grant. Both Ashley and Kristine helped plan our St. Paddy’s Day party. Kristine is also planning the

upcoming induction ceremony for PE Kate Braden. Kristine will also be giving a presentation (on 14 May)

which will be about her PolioPlus experiences in Ethiopia and India. They attend our Board meetings even

though they are not Board members yet.

DG Steelquist conducted an induction ceremony for my Board and me on 26 June 2014. There was a 100-

year birthday party for Steward Wade on 13 Nov 2014. My Club held a Holiday Season party on 6 Dec. 2014

and a St. Paddy’s Day party on 12 Mar 2015. DG Steelquist inducted Ashley on 26 March. DG Steelquist

has held a Bequest Society Member and Major Donor awards ceremony on 16 April. There will be an

induction ceremony for PE Kate Braden on probably 28 June.

During the meetings, our Club has a marbles game in order to generate additional income for the Club. There

are 14 black marbles and one white marble in a bag. The member who draws the white marble wins the pot.

Virtually every winner has given his/her winnings to the Club.

Our Club maintains a printed membership directory, and an electronic directory (with members’ portraits) are

on our Club’s website.

Eve1y member of the Rota1y Club o� participates in meeting assigrunents on a rotating basis at least twice a year. This instills the importance of attendance, participation and familiarization with the many facets of a meeting.

Strategic Plan - Our Strategic Plan was introduced to the club at our cwTent president's inaugural meeting. Eric Kaler was able to share and discuss the Board's goals, desires and aspirations for his presidential year based on surveying club members for updates since the initial strategic planning session tv.•o years ago.

Club Assemblies (Calabash) – We had/will have 3 Club Assemblies where members learn about service committees. Each was sponsored by a committee and arranged for a small project to be conducted during the meeting; 9/29 our club made tray favors for the children at Kapiolani Women's and Children's Hospital. Our 12/22 assembly was filled with holiday cheer, along with games, and there was a food collection for the Hawaii Food Bank. Birthdays and other accomplishments are recognized during this time. The final Calabash for the year is scheduled for 5/11 and each service chair will inform the club of their award submission as a recap of the year.

Speaker Schedule - A speaker committee scheduled speakers according to monthly themes. Honolulu Sunrise offered a variety of outstanding speakers this year from the Hawaii Theatre Center and Pacific Business News to the Congressional and Senatorial Candidates (Mark Takai, Charles Djou, Colleen Hanabusa and Brian Schatz). Roz Cooper spoke about Polio Plus, Marco spoke about membership and several of our own members spoke about their vocations. The committee stayed two months ahead on the calendar and speaker engagements were competitive this year, driving world class quality for the club and measurable value for the members.

Dutch Lunches – Our Dutch Lunches allowed our members to dine at some of Honolulu's finest eateries such as: Cafe Julia, Fresh Cafe, MW Restaurant, Grondin, Scratch, Soul de Cuba and Livestock Tavern. The luncheons were held monthly with an average attendance of 6 members.

Ethnic Dinners – Dinners were held quarterly at restaurants such as Du Vin, HASR Bistro and Uncles Bo's. Members attended a play at Hawaii Theatre Center prior to dinner at Du Vin and a wine tasting was organized before eating at HASR Bistro. Average attendance was 18.

Holiday Celebration – A Holiday Celebration and cookie exchange was held at the magnificent Kailua home of Margit Watts. Over 100 people (members, family and a couple potential new members) attended the annual event.

Club Fundraiser – Ciao, Chao, Chow....and Chocolate is the theme for our exciting annual fundraiser. It's scheduled for 5/16 at Kapiolani Community College's Culinary School Dining Room. 200 is the expected attendance.

Joint Club Project(s) On 3/28/15, 18 enthusiastic members helped upgrade the US Vets Housing Facility at Kalaeola. Thiswas a joint club project with each club assigned to improve various areas of the facility. 22 members participated for 4 hours and theclub donated over a thousand dollars in cash, half from a district matching grant award.

Feeding Homeless Teens - On the third Wednesday of each month this year, our club committed to providing meals for 50 homeless teens. After the first several months of providing these meals, we opened the opportunity to our West Central Oahu partner clubs and both Pau Hana and Downtown accepted the challenge. They each participated for a month and are now considering taking on their own day each month. The community service budget covers the food and a few members shop, prepare and deliver the food to Yo House.

Ignite: Following the ignite protocols, the membership committee began tracking invited guests and new members to their sponsors. The result is that so far this year 10 new members have joined the club (25%). The ignite tracking matrix was submitted with more than double the points required to qualify for ignite.

Literacy: School supplies were collected and donated during meetings at the beginning of the school year. The donations to Royal school included books signed by our guest speakers for the year and library books purchased with district simplified grant.

Rotary Club of - Club Service

Club Service This year we started with a strategy plan and many things were implemented as we went into the year as well. Our weekly speakers were very well planned and very successful this year. We had a club assembly, 15% attended PEARLS, 2 fundraisers, started up our Club Runner site, and continue to dedicate the last meeting of the month to Club Fellowship. We also implemented a very good member follow up system when they are missed at our weekly meetings. New member orientations also have been successful and has resulted in a new awareness of why we are Rotarians and why we want others to learn about Rotary.

The Ignite Program We implemented the Ignite program for our club to increase members and help to retain current members. We set a membership goal, dedicated our second club meeting of the month to membership updates and congratulating those members who are out there sharing Rotary, at every meeting we posted the Ignite Action Point sheet so that members could see where we were at in participation and achieving our goal. We scheduled action and had a Pau Hana Meet and Greet at a local night spot, and sponsored “What is Rotary” Pupu hours at Waialae Country Club featuring our District Gov. and District Gov. Nominee talking about Rotary and also dedicated our Club Fellowship meeting for all of our new member inductions. We were successful at setting a goal and we put it into action and got club members involved, which also helped our retention. We became a Double Premier Ignite Club but the greatest benefit for us are the new members that have enhanced our club and the club members who got actively engaged in Igniting our club. For us the Ignite program has been a very good tool to use in focusing on membership.

Literacy Project Aina Hina Library project was a great club service. We planned with the Friends of the Library to help them with their annual fundraiser. The club participated in several ways. Prior to the event we collected used books, CDs, and DVD’s, we received donations to help with creating the Aina Hina Library Christmas mugs and had some our Kalani High School Interact club help with set up. On the 2 days of the event we manned the check in and help to sell Christmas mugs and ran the holding and pick up tent. 30% of the club participated in this project and we have formed a great relationship to help out the Friends of the Library that will continue every year.

Rotary  Club  of      

Club  Service  Award  Narrative:  

During  this  fiscal  year,  the  Rotary  Club  of   implemented  a  number  of  strategic  activities  to  enhance  it’s  club  member  retention  and  recruitment  efforts.    Following  the  district’s  guidance,  the  Kahala  Sunrise  club  implemented  the  Ignite  Program.    While  our  goal  is  to  score  270  points  to  become  a  Premier  Club,  our  club  is  currently  at  230  points.    Currently,  some  of  the  areas  in  which  members  earned  points  include  but  is  not  limited  to:  

• Bringing  in  new  members  (3  so  far  this  year)  • Establishing  a  Membership  Goal  (3  for  the  year)  • A  Mentor  was  assigned  to  each  new  member  • Each  new  member  selected  a  committee  to  participate  in  during  their  first  week  with  the  Club  • Members  brought  visitors  and  new  member  prospects  to  Club  meetings  and  events  

In  addition  to  such,  a  new  member  recruitment  event  was  held  on  February  19,  2015.    About  30  club  members  and  new  member  prospects  attended  our  first  Speed  Networking  Event.      Membership  applications  along  with  information  regarding  the  club  were  disseminated  at  the  event.      Also  unique  to  the  Club  was  our  financial  scholarship  that  was  awarded  to  new  members  that  were  interested  in  joining  but  had  financial  difficulties  doing  such.    A  partial  scholarship  was  offered  to  offset  the  cost  of  club  fees  and  meals.  

As  another  part  of  the  strategic  plan  was  to  “Get  Back  to  Basics”  and  rejuvenate  club  spirit  and  commitment.  We  increased  the  number  of  club  assemblies  to  involve  the  entire  membership  in  the  planning  and  decision  making  for  the  club.  At  each  assembly,  either  a  speaker  presented  on  a  topic  related  to  Rotary  or  fun  networking  activities  were  included  as  a  part  of  the  program.    Assemblies  were  held  on  the  following  dates:  August  20,  2014;  November  12,  2014;  January  7,  2015,  February  4,  2015;  and  May  20,  2015  (scheduled).    

Strategic  planning  is  an  important  activity  to  set  the  mission  and  course  of  action  to  meet  it’s  mission.    The  plan  was  revised  at  the  August  20,  2014  assembly.      One  major  focus  area  was  improving  the  weekly  program  and  scheduling  dynamic  speakers  and  networking  activities.    A  team  of  three  have  maintained  a  schedule  of  interesting  speakers  for  the  year.    A  favorite  is  the  Hero’s  breakfast  that  we  have  held  for  the  past  three  years  where  we  honor  community  leaders.    This  year  it  was  held  on  February  25,  2015.    Another  annual  event  is  celebrating  the  high  scholarship  recipients  at  one  of  our  breakfast  meeting  which  is  planned  for  June  3,  2015.  

Our  club  likes  to  have  fun  and  enjoys  coming  together  for  social  activities  where  family  members  are  invited  to  join  our  fellow  rotarians.    We  had  a  fall  event  on  November  1,  2014  –  Fall  Social  at  Koolani  Condo,  Christmas  party  on  Dec  6,  2014  and  celebrated  Chinese  New  Year  together  on  February  15,  2015.  We  are  planning  a  summer  social  in  May  at  one  of  our  member’s  homes.
