Dear Exhibitor / Contractor,

With less than a month, bauma China 2016 will be here once again at the Shanghai New

International Expo Center (SNIEC).

To help you better prepare for your trade fair presentation, we have specially compiled a set

of important information that will be helpful to you. We would appreciate of you can read

them carefully.

1) Opening Hours during Show Days

Important Notice:

Settlement of your booth fee is necessary for entering the hall.

Electrical power supply will be cut off if exhibitors don’t settle full payment before the

show starts.

For any enquiries or questions on other issues during show period, please proceed to

Organizer’s Office at N5-B1.

Kind Reminder:

According to the newest regulation from Shanghai New International Expo Centre, every exhibitor, contractor and freight forwarder must wear the helmet on site during move-in and move-out period at the fairground.

Each company attending the show must appoint an onsite safety manager during the show

period, who should wear exhibitor badge with ID photo attached on it.

Important Notice:

Exhibitors and non-official contractors should apply from the official freight

forwarder for truck entry permission before move-in. Trucks can only allowed to

enter loading bay with assigned dates specified on truck entry permission. Please

refer detail contact of official freight forwarder on last page.

For your own safety, please do not use vendors that do not have the necessary licenses

required onsite. The organizer will not be responsible for losses caused by the use of

unlicensed vendors.

If overtime is required, please apply for overtime and make the necessary payment at

SNIEC customer service centre located in 1# South Entrance Hall / 2# (North) Entrance

5) Move-in Procedure for Raw space Stand A. Contractor badges by going through Real Name Authentication Procedure for Non-official Stand Contractors

Real Name Authentication Procedure (Badge Production Centre of South Square, SNIEC) According to the new regulations of Shanghai New International Expo Centre, all stand contractors and freight forwarders are required to go through Real-Name Authentication procedure at least 15 days prior to the first move-in date in order to obtain entry permission from SNIEC. Should you need any further clarifications, please contact SNIEC at +86-21 2890 6100 ext 201/202/203/204.

B.Necessary Documents to Buy Contractor Badges (Badge Production Centre of 1# South Square / 3# East Square, SNIEC) With completion of real-name authentication, all contractors and forwarders must buy construction badges with showing hall management fee & build-up deposit receipt, contractor/forwarder name list and ID card during build-up period. The schedule for processing is subject to “Important Notice” publicized before move-in. Each badge is RMB30. Insurance fee is RMB 20(10 days), 30(15 days), 60(60 days) / person. Person without badge is forbidden to any construction activities. Besides, considering the safety issue and to ensure the smooth operation of the show, all exhibitors and its contractors should purchase 3rd party public liability insurance and relevant insurances towards employees and exhibits. The organizer is not liable for any direct or indirect personal injuries and property damages towards exhibitors, their representatives, and employees. Please read the Insurance Plan as below. In the insurance period, if the following loss or expense occurs arising out of the insured or its employees、negligence when performing the exhibition work, loading and unloading exhibit, operating machines, or doing other exhibition related work in the exhibition hall specified in the policy, the insurer will pay, according to the policy, for the amount that the insured is legally liable to pay to the third party in accordance with the law of the People's Republic of China(excluding laws of Hongkong, Macao, and Taiwan): A. Notes: All stand construction companies must take up insurance for their employees working on the stand

construction during build-up/show/dismantling period (please consult the insurance company for details).

** General Management Deposit Rules

a.To those unpaid booth, organizer has right to reject its build-up and stop the power supplies, etc.

b.The exhibitor, and its stand contractor must surely comply with all of the various contruction/fire

protection/safety/attendance regulations in this manual. Any violation will lead to deduction from the deposit.

Fail to clear up the construction materials, garbage and packing stuff within preset time in the move-in/out period. Any building materials, scraps, empty cases, wooden structures, display boards or tools discovered to be placed out of the booth range during show period.

16 The sound level of the booth is above 75dB (with reference to the complaints and the sound level test result on-site).

17 Booth dismantling begins before the exhibition ends on the last show day. 50%

During setting up and dismantling the booth, each booth shall designate a person in charge of site safety and if he is not on the site when organizers and exhibition construction contractors conduct safety inspection of the booth.

※The exhibitor have to cooperate with all the rectification necessary, otherwise the power supply will be fully

c.The general management deposit will be returned by transfer. The exhibitor/contractor is required to provide

the relative information concerning company name, bank name, A/C No. (in accordance with the account info

when transferring), remittee’s name and contact details when he applies for the refund of deposit at Official

Contractor onsite service counter. It will take 30 working days to complete the refund.

D. Apply for Truck Pass

Raw space booth move-in procedure:

- Clear all payment of hall management fee;

- By means of blue sheet of hall management fee and reciept of general management deposit, to

exchange “ booth entry permission“ at counter of official stand contractors;

- “ booth entry permission“ + “truck permission“ from official forwarder + “vehicle license“ then to

apply truck pass at Badge Production Centre of South Square / P3 / P7.

Shell shceme booth move-in procedure:

- By means of “exhibitor badge“ + “truck permission“ from official forwarder + “ vehicle

license“ then to apply truck pass at Badge Production Centre of South Square / P3 / P7.

Exhibition goods of raw space booth move-in procedure:

- By means of “ booth entry permission“ from official stand constractor + “ truck permission“ from

official forwarder + “vehicle lisence“ then to apply truck pass at Badge Production Centre of

South Square / P3 / P7.

Self-driving exhibits move-in procedure:

By means of self-driving exhibits special pass from official forwarder, move in directly.

Traffic Management: Things to Note on Truck Pass (attached detail route map) With the Truck Pass on valid date, trucks to Hall W1-5 or E1-3 can access SNIEC via outer ring

road along to Luo Shan Road, and making a U turn in Hua Mu Road, than queue on Long Yang Road from Gate 9 of SNIEC to enter P3 park;

trucks to Hall N1-5 or E4-7 can access SNIEC via Jing Xiu Road to make a U turn, than queue on Hua Mu Road from Gate 7 of SNIEC to enter P7 park;

After the truck is parked, a loading bay pass(IC card) can be exchanged at Pass Exchanging Office in South Ground, P3 or P7 with truck pass, motor vehicle driving permit and paying charges and deposit.

With the loading bay pass and truck pass, truck can enter the appointed unloading bay via the route printed on map.

After loading is completed, trucks to W1-5 can leave SNIEC by Gate 2 or Gate 3 as printed route on the map; trucks to E1-7 can leave SNIEC by Gate 1 or Gate 10; trucks to N1-5 are required to abide to instructions of on-site SNIEC/traffic policeman. and get refund for the deposit by returning the loading bay pass( IC card) to any one of Pass Exchanging Offices.

All vehicles entering the unloading bay should apply truck permission from official forwarder and get to fairground according to specified date.

Price: RMB150/entry/3 hrs, a deposit RMB 400. Truck load more than 5t is permitted to enter unloading bay within 5 hrs/entry.

The above unloading bay pass and procedures for entry are only applicable for trucks carrying

exhibits and construction materials.

The route may be changed according to on-site situation. Trucks drivers are required to abide to

instructions of on-site staff/security of SNIEC/traffic policeman.

Kind Reminder:

The vehicle licenses are required to be presented when buying the loading bay passes. Otherwise, a

declaration must be signed and only 3 hours will be permitted for per entry.

Important notice

a. All hand carried exhibits are allowed to be moved out with showing the cargo release form issued

by official forwarder located at the vestibules nearby Gate 1 of Hall W1-W5, Hall E1-E7 & Hall

N1-N5.

All trollies can be transported only by small entrance of loading bay No.1-20. No goods are allowed to be

transported through entrance hall. The gate of loading bay will be opened after 15:30. All trucks driving

into loading bay need to show the admission pass issued in P7 parking area nearby 3# (East)

b. All water, power supply and air compressor will be cut off at 3:30 p.m. on 25th November. Please turn off

all electrical equipments and machines and exam all facilities in advance. If you need power supply after

3:30 pm, please apply from official contractor office(N5.792/ W3.790/ N1.790) before 12 a.m. 24th

November. Please notice that application for water, power supply and air compressor after this

time line can not be processed.

c. All exhibits and construction materials cannot be moved out before 15:00 on 25th

November. All

booth dismantling will start from 18:00 on 25th

November. Any dismantling with electricity before this

timeline is strictly forbidden. All constructing materials such as abandon wood and wires should be

cleared out by exhibitors or contractors before 12:00 26th

November. If you want cleaning service,

please contact the office in E6-B2B.

d. Please pay great attention to your exhibits and personal belongings. Hall security guards will not

specially take care of exhibits and stuff in your booth. For your own safety, please do not use

vendors that do not have the necessary licenses require onsite. The organizer will not be

responsible for losses caused by the use of unlicensed vendors.

e. For raw space exhibitors, please inform your contractors that they can get back the general management

deposit after the show by transfer after the security at Gate 1 or Gate 6 of Hall E1-E7 /Hall N1- N5 /

Hall W1- W5 and the cleaner at 1# (South) Entrance Hall / 2#(North) Entrance Hall / 3# (East)

Entrance Hall /E6-B2B to exam the dismantled booth and confirm there is no destroy.

Finally, please pay attention to the safety of booth dismantling. Every contractor and freight forwarder must

wear the helmet on site during move-out period and wear safety belts when working on construction in height.

Aiding information In serious cases: for domestic exhibitor, please call the ambulance (120) for international exhibitor, please contact with organizer’s office (N5-B1)

This schedule is up to date at the time of print. Should there be any amendment, an updated copy will be

available at the Organizer’s Office on-site.

7) Protection of Intellectual Property Rights Messe München Shanghai Co., Ltd together with Shanghai Intellectual Property Administration

Bureau will set up an Intellectual Property Rights Office (IPR Office) during bauma China 2016,

where the exhibitors can find support. The IPR Office will work closely with the authorities

responsible for the protection of the patent, trademark, and copyrights affected by the infringement.

8) Booth Construction Regulations and Fire Protection Rules

A. The maximum booth construction and advertising height is 6.0m for one-storey booth and 8.5m

for two-storey booth.

B. All the construction structures must be fireproof. Stand construction and decoration materials must be noncombustible with a burning diffusion rate not lower than Class B1.

C. A back wall or partition (not lower than 2.5m) must be installed for each raw space stand structure, except island stand and national pavilion structure, to separate from neighboring booth. The side of back wall facing neighboring booth must be covered with fire-proof material such as PVC and kept white, neutral and clean. In addition, plate or construction paper must be laid under the back wall to protect the floor surface. The exhibitor should not use the back wall or partition of neighboring booth for his own use or for displaying his company name, logo, etc. Using the structure of the exhibition hall or neighboring stands to stabilize or to decorate the exhibitors’ own stand is forbidden. Any violation will lead to deduction from the general management deposit.

D. The existing company name displayed on stand construction must accord with the information in the application form. It’s required to get the approval from the organizer if any modification. For each booth, the booth number must be prominently displayed, besides the exhibiting company name. Otherwise, the organizer reserves the right to mark the booth number, which may not be removed without prior consent of the organizer. The cost incurred will be borne by the exhibitor.

E. The booth with the platform exceeding 20cm in height must install slope.

F. The fire protection system, electric installations, emergency exits and aisles may not be obstructed by stand constructions.

G. Automatic alarm and sprinkler system should be installed for each 8sqm and a fire extinguisher for each 12sqm when the booths or the 1st floor area of two-storey booth has fully enclosed construction.

H. For double-storey booths whose second floor exceeding 30sqm, a fire extinguisher with annual inspection approval must be prepared for each 12sqm of both storeys from build-up period onwards.

I. When the 1st floor area of a double-storey booth is semi or fully enclosed and above 120sqm, TWO or more evacuation doors wider than 0.9m must be set up.

J. When the upper storey area of a double-storey booth is above 200sqm, at least two stairways wider than 0.9m must be arranged, distance between 2 evacuation exits must be 5m at least. Spiral stairs are not allowed to be used as evacuation stairs.

K. Fire-resistant cables and insulate casing must be used during wiring works; insulation porcelain and plastic connectors must be used during branch circuit connections. Aerial laying must be used when laying the wires, ground laid wires should be protected by cubes or by bridge plates.

L. All metallic structures and shells shall have a reliable grounding. Any electrical terminal switches should be installed with 30mA leakage protectors.

M. Lighting fixtures may not be attached to flammable decorations, among other things. Heat insulation measures must be taken when electrical appliances is close to non-flammable materials. The safe distance between lighting fixture and flammable exhibits must be kept more than 50cm.

9) Safety Rules A. According to the newest regulation from Shanghai New International Expo Centre, every

exhibitor, contractor and freight forwarder must wear the helmet on site during move-in and move-out period at the fairground. In addition, all personnel must wear safety belts when working on construction in height. Otherwise, the security guards of SNIEC or the

official contractor reserve the right to refuse against entrance and any construction. Any severe violation will lead to deduction from the deposit. All the helmets and safety belts should be self-prepared.

B. All the stand contractors nominated by exhibitors and exhibitors who build their own booths must purchase the insurance through the venue for their employees working on the stand construction during build-up / show / dismantling period.

C. Exhibitors/contractors of raw space booths must cut off the electrical power supply before leaving the booth during build-up/show/dismantling period. An electrical master switch must be installed.

D. Any exhibiting combustible vehicles or machines cannot be repaired or operated. Only 10% of the gasoline can be stored inside.

E. No smoking is allowed in the halls. Easily flammable and explosive materials may not be used. All work with open flames is forbidden.

F. The use of airships and balloons is not permitted in the halls and in the outdoor exhibition grounds.

G. Exhibitors and contractors should set good condition for fire protection and keep the belongings well during build-up/ exhibition/dismantling period.

H. Lifting machines/vehicles used in the construction shall be allowed in the centre only with prior consent of the venue.

I. All workers entering into the Centre for specific-type work must possess “Shanghai Specific-type Operator Certificate” (workers in height, electricians, welders or forklift drivers and others) and submit all related qualification documents in advance to the organizer / official contractor. Operators without certificates are not allowed to work. All relative operation rules and procedure must be strictly obeyed. Non-complying operation and supervision are strictly forbidden.

J. It is prohibited to use herring bone ladder up to 2m.

K. It is prohibited to use movable scaffolding without guardrail on the top or with guardrail lower than 1.2m on the top. The ladder / movable scaffolding must be in four-wheel-locked status when working on construction in height.

L. All the aerial works as working on the hanging basket are strictly prohibited.

10) Noise Notice In order to create a harmonious and friendly atmosphere for business communication, to conduct orderly and reasonable exhibition demonstrations, and to avoid any unfriendly influence to neighboring booths. The sound level of audible deivices like television sets cannot be higher than 75 db. The organizer will take strict measures against any conducts violating this regulaion.(See below detailed info) Exhibitors are obliged to provide further information or to amend the relevant events. In the case of infringement of any of the conditions specified here (e.g. demonstration sound level above 75db,harmful substance caused by demonstration, violating the fire protection regulations, influencing the visitors and the exhibitors of other booths) the organizers reserve the right to take action in accordance with the terms of following:

1. Use the decibel meter to take on-site evidence and take photos. 2. Deduct the general management deposit if the illegal evidence is more than two times. (booth

area<100sqm-deduct RMB 5000; booth area>100sqm-deduct RMB 8000) 3. If the illegal is stiil on after deducting the deposit. We will send the cut off power supply form to the on-site

security chief, and cut off the power supply of the booth on schedule.

11) Important Notice of Fire Protection

Regarding the Construction Materials:

1. All the carpets paved in the booth must bear the fire prevention aptitudes.(flammability not lower

than rank B1) .The booth contractor is required to possess the fire resistance type inspection report

and the fire resistance tag of the carpets onsite

2. All the construction materials must conform to the fire protection regulations with relevant quality

testimonials. The flammability rank of the materials must be higher than rank B1 (difficult-flammable)

3. All the wooden structures must be painted with fireproofing paintings, contractor should prepare

the fireproofing testimonials of the paintings.

4. The use of taslorn is highly prohibited. Gridding cloth should not contain any kind of taslorn fabric.

5. Stacking flammable material in the booth (including storage room) is forbidden. The storage room

needs to be painted by fireproofing paintings.

Regarding the Electric Appliances and Circuits:

1. Fire-resistant cables and insulate casing must be used during wiring works; insulation porcelain

when laying the wires, ground laid wires should be protected by cubes or by bridge plates.

12) Special Notice

We have been informed by relevant departments that there were many cases of freight forwarding disputes recently during move-out. Some individuals or illegal freight forwarding companies will start distributing their name cards on the fairground to try to attract exhibitors to engage in their services due to low prices offered.

After they obtained the business, they will start demanding for higher prices by holding on to the goods. This resulted in unnecessary distress and losses for the exhibitors.

To avoid similar cases, we strongly advise exhibitors to engage in qualified, legal freight forwarders for all freight forwarding matters.
