from the receiver.It involves four features:1.Sender: the person who starts the process

by sending the message.

2.Medium of communication: the methodused to send a message, for exampleletter, which is a method of writtencommunication.

TWO-WAY 

COMMUNICATION

One-way communicationinvolves a messagewhich does not call foror require a response.For example; aninstruction does notrequire a response’“deliver these goods

tomorrow”.

Two-way communicatiois when the receivergives a response to themessage and there is adiscussion about it. For

example; inorganizational meetingopinions are requiredwhich allows two way

communication, this caalso be an example of EFFECTIVECOMMUNICATION.

INTERNALCOMMUNICATION

EXTERNALCOMMUNICATION

Internal communicationis when the messagesare sent betweenpeople working in the

same organization.

External communicationis when messages aresent between oneorganization and

another organization oroutside individual.

Communication MethodsVerbal communication:It involves the sender of the message speaking to

the receiver.Following are some methods of verbal communication:

§ One to one talks

§ between sender and the receiver,§ Telephone conversations,

§ Video conferencing,

§ Meetings.

Written communication:

Written forms of communication includes thefollowing:

§ Letters,

§ Memos (memorandums); these are writtenmessages only used internally,

§ Notices; these are used to display informationwhich is open to everyone. However there is nocertainty that they are read,

§ E-mails.

Visual communication:

Visual forms of communication includes the following:§ Films and videos; used by businesses for

advertising purposes to catch attention of consumers,

§ Posters;

§ Charts and diagrams; presentations can be given by using graphs and charts to give thorough explanations, usually used in business meetings.

members of a group communicate with

each other, these are actually the linksbetween people in a group.

Chain network

Messages are passed down from top of anorganization to the lower levels. Inaccuracy is adrawback of chain network as the message has tobe passed through different levels.

Wheel network

It can be used to communicate withdifferent departments or regions of abusiness. Problems of one area of abusiness can easily be solved ascommunication is taking place,between several departments and thehead; though departments do not have

the opportunity to communicateamong themselves.

Barriers to effectivecommunication

As we have already seen, there are four parts to any successfulcommunication- sender, receiver, medium used and feedback.

Communication can fail if any one of these four parts does notoperate as it should. If one part fails it would be called a barrier to

effective communication.

THE SENDER 

Language which is toodifficult is used.

Understandablelanguage should be used

to ensure that thereceiver understands it.

The sender speaksquickly or is not clear.

Sender should be asclear as possible andfeedback should be

asked to ensure themessage is beingunderstood.

Wrong message is sent by the sender to the

wrong person.

Make sure the messageis rightly sent to the

Wrong channel has beenused, e.g. importantmessage was put on thenotice board which most

of the people did not

Appropriate channelmust be selected for each message sent.

Make sure the receiver receives the correctmessage andunderstands it.

Breakdown of medium,e.g. computer failure.

Other forms of communication should.Where possible, be

made available.

Management shouldmake sure suchunprofessional acts arenot carried out.

PROBLEMS WITH

FEEDBACK 

There is no feedback. Perhaps the method of communication used did

not allow for feedback.

The original messagewas not received due todistortion or longer chain or command.

Direct communication isalways more effective.

  There is a very high significance of 

communication in business world, and even in theouter world. We simply cannot do withoutcommunication, even a one month old infantcommunicates with his mother!! Life is incomplete

without it…
