GENERAL DESCRIPTION:

Under the direction of the Director of Community Outreach and Special Events, the incumbent in this position coordinates sponsorship contracts for statewide special events and statewide Lottery merchandise for use with special events and promotions.

ESSENTIAL DUTIES:

• Contract Coordinator – Assists with the enforcement and oversight of a Contractor’s performance, ensuring services have been rendered in accordance with the contract terms and conditions prior to authorizing payment.

• Coordinates terms, conditions, content, value and accuracy of sponsorship contracts with appropriate contacts

• Coordinates sponsor benefits, and reviews proof of performance for sponsorship contracts. • Maintains and monitors the sponsorship budget for special events. • Merchandise Manager - Manages statewide merchandise budget. • Maintains statewide promotional merchandise to ensure appropriate inventory levels are

maintained. • Conducts quarterly physical inventory counts of the Florida Lottery Headquarters Merchandise and

Props Warehouse. • Maintains the Headquarters Merchandise and Props Warehouse. • Works directly with District Offices, Purchasing and Graphics to obtain innovative merchandise.

This includes; researching trends, preparing district allocations based on need and promotional activity, preparing specifications for Invitation to Bid (ITB), coordinating shipment and receipt of items, and processing payment to vendor upon reconciliation.

• All other duties as assigned for the good of the agency. • Occasional weekend and overnight travel may be required. • Attendance is an essential function of this position.

Knowledge, Skills, and Abilities

• Ability to research, analyze, and evaluate data relating to event sponsorships and promotional items.

• Ability to create, negotiate and manage contracts. • Strong analytical, critical thinking and problem solving skills. • Exceptional interpersonal and communication skills. • Proofreading skills. • To perform this job successfully, an individual should have strong computer skills with ability to

learn and master new applications, including but not limited to, Oracle, Microsoft programs (Excel, Outlook, PowerPoint and Word) and the MyFloridaMarketplace.

• Ability to coordinate and monitor tasks and special projects as assigned to ensure completion in a thorough and timely manner.

• Ability to plan, and maintain budgets in Excel. • Ability to work in a fast paced environment. • Ability to utilize problem-solving techniques.

Minimum Qualifications

A bachelor’s degree from an accredited college or university and one (1) year of professional experience in sales, marketing, customer service, communications, merchandising, advertising, or public relations.

Professional and nonprofessional experience as described above can substitute on a year for year basis for the required college education.

Combinations of college course work and experience as described above may be substituted for the required college education.

College course work will be considered equivalent to experience at the rate of thirty (30) semester or forty-five (45) quarter hours on a year for year basis. A maximum of three (3) years of college course work may be substituted.
