Purpose of this Presentation
This presentation was designed to
provide a general overview of
information that should be gathered
and assessed to assist in the creating
and maintaining of Career Technical
Education Programs
Can anyone tell me what EMIS stands
for?
E.M.I.S.Educational Management of Information SystemsWe actually have a list that is very helpful when first getting started!
What I think everyday since taking the
EMIS Position
WTF
Where’s The FTE?Please refer to the acronym list to know that
FTE = Full-time equivalent
WTF
CTE EMIS -Funding
Where is the Student FTE Student FTE is found in the Student
(S) collection. Refer to the FTE Detail Report
See Calculating Base FTE in the level 2 Report Explanation: FTE Reports Documentation
Student FTE
Numerator = Total Enrolled Hours x Total % of Time
Denominator = Total Instruction Hours
Where is the Weighted FTE Weighted FTE is found in the Final
Staff and Course (L) Collection. Refer to the CTE FTE Detail Report
See Calculating Base CTE FTE in the Level 2 Report Explanation: CTE FTE Report
Base CTE FTE
Numerator = (student course days/course days) x Length of Scheduled Instruction
Denominator= 1080

Weighted Funding Categories How to find what programs are in what funding categories?
Weighted Funding Categories
Weighted Funding
John Smith is taking an Agriculture Course
John took the course for 1 semester then decided to leave.
He attended the course for 90 of the 180 Days the course was offered.
EMIS is reporting this course as a 450 hour course
What is the weighted funding ?
Weighted Funding
John Smith’s Weighted Funding
Numerator (90/180)=.5 x 450=225
Denominator= 1080
225/1080= .2083
$5192 x .2083=$1081.49
CTE-26
A CTE-26 is a Career Tech
Education Program Application
CTE-26
CTE-26 Forms are completed in a District’s Safe Account.
You will need to go to the Ohio Department of Education’s Website and Log in
to your Safe Account or see your curriculum director.
In order to have access the CTE-26 forms you would need to have permissions
titled: Director-Curriculum/Instructional Services the Safe Account
CTE-26’s greatly impact Course or Weighted Funding
CTE-26 Renewal Schedule is very
important because…..
You need to make sure that your CTE-26’s remain up to date
It is very easy to apply for a CTE-26 and think you are good for five years
If your career field has a program renewal year scheduled for the following year then the five years is no longer valid and then you will need to reapply
for the CTE-26 in March of the specified Program Renewal Year.
The application Process for 2020 has passed.
The application process for 2021 will tentatively begin November 1st
The lead district will need to approve the application by March 1st
The completed application will need submitted by March 15th
CTE-26 Renewal System

CTE Courses
Course Code- Created by District to report a course
Ex: V2000 may be course in our Vanguard Building while S2000 may be in the Sentinel Building. The District decides on the code
Hours of Instruction-very important for funding as we learned in an earlier calculation and also for teachers since they are only able to be funded for teaching 1080 hours
Formula for determining course hours (Length in Period x Term Length) / 60
So (45 Minute Class Period x 180 Days of School) / 60
So (8100 Minutes)/60= 135 Hour Course
Curriculum Code-
See EMIS Manual 4.2 Course Master (CN) Record See Pages 12-13
Ex: VT= Career Technical Education Tech Prep Non-Cooperative Based Anchor
CTE Courses
Correlating (CV) 4.5 EMIS
Manual
Shows a relationship between an
anchor course (VN,VC,VP and VT) &
a related course (V3).
Often used in Career Based
Intervention
Mapping (CM) 4.6 EMIS
Manual Used to merge students from two or more
classes in EMIS to look like a single class
Used due to scheduling restraints
Courses must be identical in the following areas to be mapped together
Subject Code

Teacher
Subject Code & Teacher License Check So you have a fantastic Business Program thought up.
It’s perfect for Business and Industry Needs – Highly Employable
You have picked subject material- codes and hired a teacher licensed in Marketing (S5)
You find out that only two of the courses will receive weighted funding
because the teacher is Marketing Certified (S5) not
Business Administrative (C4)
Both Teacher License Areas allow the teaching of 141000 Business Foundations
&141025 Management Principles
But 140999 Global Logistics and Supply Chain Management is only approved under
a Business Administrative (C4) certification
Subject Code & Teacher License Checks Safe account
