1. DWA and its subcontractors shall not be responsible for ordinary wear and tear in handling of equipment, damage to uncrated materials, materialspacked improperly, glass breakage or concealed damage. Claims for loss or damage must be submitted to DWA by the close of the show. No suit or actionshall be brought against DWA or its subcontractors more than six months after the cause of action accrues.2. DWA and its subcontractors are not responsible for the loss of, disappearance of, or damage to Exhibitor’s freight after the same has been deliveredto Exhibitor’s booth, nor are DWA and its subcontractors responsible for Exhibitor’s freight before it is picked up from Exhibitor’s booth for loading after theshow. Exhibitors must submit a DWA bill of lading for all outbound shipments. All bills of lading covering outgoing shipments submitted to DWA or itssubcontractors by Exhibitor will be checked at the time of pickup from the booth and corrected where discrepancies exist.3. It is agreed that DWA and its subcontractors are not insurers. Insurance, if any, shall be obtained by Exhibitor. Amounts payable by DWA hereunderare based on the scope of liability as herein set forth and are unrelated to the value of the Exhibitor’s property. It is further agreed that DWA and itssubcontractors do not provide for full liability should loss or damage occur. In the event that DWA should be found liable for loss or damage to Exhibitor’sequipment, the liability shall be limited to the specific article that was physically lost or damaged. Such liability shall be limited to a sum equal to $.30 perpound/per article with a maximum liability of $50.00 per item or $1,000 per shipment, whichever is less, as agreed upon damages and exclusive remedy.Provisions of this paragraph shall apply if loss or damage, regardless of cause of origin, results directly or indirectly to property through performance ornonperformance of obligations imposed by the offering of services to Exhibitors, or from negligence, active or otherwise, by DWA, its subcontractors or theiremployees.4. At the close of show, if carriers fail to pick up or refuse to accept shipment, DWA reserves the right to reroute such shipment or move shipment to ourwarehouse pending advice from Exhibitor who will be charged accordingly for this service. No liability will be assumed as a result of such rerouting orhandling. Thus, in order to expedite removal of materials from the show site, DWA shall have the authority to change designated carriers, if such carriersdo not pick up on time. Where no disposition is made by Exhibitor, materials will be taken to DWA’s warehouse to await Exhibitor’s shipping instructions, andExhibitor agrees to be responsible for payment of charges relating to such handling at the warehouse. DWA assumes no liability as a result of such re-routing or handling.5. DWA and its subcontractors shall not be liable for shipments received without receipts, freight bills or bill of lading, such as UPS or van lines, theseshipments will be delivered to booth without guarantee of piece count or condition. No liability will be assumed for such shipments. Shipments received onseparate days will be treated as separate minimum shipments.6. DWA and its subcontractors shall not be liable to any extent whatsoever for any actual, potential or assumed loss of profits or revenues or for anycollateral costs that may result from any loss, injury or damage to Exhibitor’s materials or Exhibitor personnel which may make it impossible or impracticalto exhibit same.7. The Exhibitor agrees, in the event of a dispute with DWA or its subcontractors relative to any loss or damage to any of the Exhibitor’s freight orequipment, that the Exhibitor will not withhold payment in any amount due to DWA for freight handling services or any other services provided by DWA orits subcontractors as an offset against the amount of the alleged loss or damage. Instead, the Exhibitor agrees to pay DWA prior to the close of the showfor all such charges and further agrees that any claim the Exhibitor may have against DWA or its subcontractors shall be pursued independently by theExhibitor as a completely separate transaction to be resolved on its own merits.8. DWA and its subcontractors shall not be responsible for any loss, delay, or damage due to events beyond their reasonable control which cannot beavoided by the exercise of due care and prudence, including without limitation, strikes, labor disputes, lockouts or work stoppages of any kind, fire, theft,windstorm, water, vandalism, acts of God, mysterious failure of power or utilities, and other events.9. The Exhibitor agrees, in connection with the receipt, handling, temporary storage and reloading of its freight, that DWA and its subcontractors willprovide these services as Exhibitor’s agent and not as bailee or shipper. If any employee of DWA or its subcontractors shall sign a delivery receipt, bill oflading or other document, the parties agree that DWA or its subcontractor will do so as the Exhibitor’s agent, and the Exhibitor accepts the responsibilitythereof.10. Empty Storage labels will be available at the DWA Service Desk. Affixing the labels is the sole responsibility of the Exhibitor or its representative. It isunderstood that these labels are used for empty storage only, and DWA and its subcontractors assume no responsibility or liability for loss or damage tocontents while containers are in storage or for mislabeled containers.11. Rates are subject to Union contract changes and rates effective at time of show. Rates include Social Security, Worker’s Compensation Insurance andPublic Liability Insurance. DWA and its subcontractors shall not be responsible for loss, delay or damage due to strikes, lockouts, or work stoppages of anykind.12. Please ship early and ship prepaid. DWA will not accept collect shipments.

The EXHIBITOR is required to complete and return this form as well as the “Third Party Authorization Form” included withthis Exhibitor Kit. Both forms must be filled out completely, including credit card information. The forms must be signed byboth parties and returned to DWA Trade Show & Exposition Services at least 30 days prior to the show opening.
The EXHIBITOR APPOINTED CONTRACTOR (EAC) is required to provide a certificate of liability insurance of no lessthan $1,000,000.00 property damage, loss or personal injury in the form of a policy rider furnished by their broker to ShowManagement and to DWA Trade Show & Exposition Services (DWA) along with a complete list of exhibitors they intend toserve, at least 30 days prior to the show opening. The EAC must also be able to provide, upon request, the currentworkers’ compensation insurance certificate from the State of Oregon. The EAC must furnish to Show Management andDWA a list of emergency contact names, addresses and phone numbers. All EAC personnel must be properly badgedor identified at show site.

Any files that do not conform to the specifications described below will incur additional fees beyond the current pricing shown in ourexhibitor kits. Print-ready PDF is the only acceptable file type without incurring graphic design charges. Any in-house work that isneeded to modify files provided by client to a print ready state will be billed at $65.00 per hour with a half-hour minimum. Any files thatmust be opened in their native application and exported to the required file types below do not conform to this specification.
FILE TYPESDigital files (logos, photos, finished layouts, etc.) should be saved or exported from your design application to PDF, EPS or TIFF with aminimum resolution of 300 dpi at 50% OF THE FINAL PRODUCTION SIZE. The higher the resolution provided, the better the results.JPEG’s are less desirable but can be accepted if the resolution is 300 dpi or higher. Company logos should always be sent in a vector-based format to ensure a crisp, clean logo print. Placed images are to be embedded rather than linked. If files are linked, be sure tosend the linked sites.
PLEASE DO NOT submit GIF files, Word (.doc) files, Power Point (ppt.) files, Publisher files, InDesign files or any file formatted for or takenfrom a website. Web graphics are not suited for large format printing. This is a very common error and should be avoided.
PAGE LAYOUT / IMAGE SIZEImage should be cropped and scaled to intended print size or to a percentage of print size (no less than 25% for vector based, 50% forbitmap based). Remove non-printing borders. Final resolution should be NO LESS than 100 dpi at FINAL print size. Higher resolutionswill produce superior results. Image should be flattened, no layers and/or transparent objects. Color halftone images should be submittedin CMYK color mode. If arrangements are made ahead of time with our Graphics Department, Native files can be sent if any changes oradditions are anticipated but these should not be considered as the primary print files.
FONTSAll fonts should be converted to outlines or paths. Text should be converted to outlines to ensure kerning, leading and font size stayexactly as designed. Send font files if there is an anticipation of any changes or additions. Any in-house changes will be billed asdescribed above.
PROOFINGA clean, hard copy proof and a PDF proof should be sent along with the print files for reference. Files provided without proofs will beprinted as is without correction applied. Any re-prints necessary due to proofs not being provided are done at additional cost to theclient.
BLEEDGraphics must include one-eighth inch of bleed for products mounted on the following substrates: Dibond, aluminum, plywood, sintraand acrylics.
COLOR MODEFiles may be submitted in CMYK or RGB. You may also include PMS colors in your graphics (Coated palettes only). Although PMScolors will be run as 4-color process, keep them as spot colors in your documents to ensure a more accurate match.
CRITICAL COLORSAll Pantone and critical call out values must be specified in writing to DWA at the time of submission. Please note that approximatematching of any one color requires additional time and resources, and an additional charge may apply. DWA cannot guarantee that thecolors on your final print will match the colors produced by your monitor – monitors produce a greater range of color, brightness andsaturation than any printer.
SENDING FILESFiles can be sent on CD-ROM or DVD (recommended for extremely large, high resolution files) or posted to your FTP site or any onlinefile transmission site i.e., Dropbox. To All Exhibitors: Hollywood Lights, Inc. is pleased to be the official electrical contractor for the Northwest Food Show 2019 at the Portland Expo Center, on April 14, 2019 to April 15, 2019. In an effort for us to serve you better, we would like you to know about the services we provide. Your booth does not come equipped with electricity. If you require electrical services or lighting, please fill out the enclosed Electrical Order Form and return it to us as soon as possible. Our special discount payment order price, which must be received at least two weeks in advance of the first opening show date, April 14th, 2019, will save you money off the standard order price. All orders must be paid before service is rendered and payment must accompany the order form. We accept cash, check, Visa, MasterCard, Discover, and American Express.
We cannot accept phone orders or orders via email. Exhibitors that have ordered electrical service: your service will be energized daily from one hour prior to show opening until 15 minutes after show closing. 24‐hour service is available, please call us for pricing. If you have any questions about your lighting or electrical needs, please feel free to contact us. We want to provide you with the services you require early, so installation is free of delays. GENERAL INFORMATION
Rental Information:
1. Material and equipment provided by this order shall be and shall remain the property of Hollywood Lights, Inc. and shall be removed ONLY by HollywoodLights personnel at the close of the show.
2. Credit will not be given for service installed as requested in this order eventhough not used.
3. Exhibitors are not allowed to share power.
4. Outlets are located at the back center of each 10' x 10' booth space. Boothsmeasuring 10' x 20' or larger must order an outlet for each 10' x 10' section ifelectrical service is required for each.
5. Bulk space and large oversized booth electrical information should be mappedout on drawings to indicate location of outlets. Labor charges apply to thesebooths.
6. Electrical power is on continually during move in. On show days, power isturned on 2 hours before show opening and turned off 15 minutes after show closing. If youneed power on 24 hours, YOU MUST ORDER 24 HOUR SERVICE. Any exhibitor wishing early turn on or late turn off of electrical to booths, must make special arrangements with the show management and Hollywood Lights, Inc.
7. Wall, column and permanent building utility outlets are not part of your boothspace and are not to be used. If services are found to be used which have notbeen purchased, they will be charged at twice the LATE ORDER rate.
8. Exhibitor holds Hollywood Lights, Inc. harmless for any and all losses of powerbeyond Hollywood Lights Inc. control, including but not limited to: losses due toutility company failure, permanent power distribution failure, power failurecaused by vandalism, faulty exhibitor equipment, Exhibitor equipment notcompatible with GFCI outlets or overloads caused by exhibitor.
9. All Electrical Equipment must comply with Federal, State and Local Codes.Hollywood Lights, Inc. is required to refuse connection where the exhibitorwiring is not in accordance with electrical codes.
10. CLARK COUNTY WA ONLYDept of Labor and Industries Rules: GFCI PROTECTION: Exhibitors mustprovide GFCI protection at all times when utilizing Power tools and/or electricalfeatures with water: Hot Tubs, sinks, fountains, etc. including during move in/move out. Hollywood Lights has a limited supply of GFCI protection for rent.
11. Electrical Permits are required on all 208 volt and higher services andwill beadded to your electrical order. Please call for pricing.

FIRE MARSHAL’S RULES
1. All decorative materials must be flame proofed or of a type acceptable to the Fire Marshal’s Office. Use of bark dust,mulch, chips or hay, etc., is not allowed unless pre-approved by the Fire Marshal’s office.
2. No flammable gasses, liquids or solids, are allowed in any building, enclosed tent or structure. Two (2) 16.4 oz. bottlesof propane are permitted in a booth at any one time. All other bottles must be stored outside the building and secured.
3. Tents, canopies and covers over booths are allowed inside building only at Oregon Convention Center, ExpositionCenter, Memorial Coliseum Arena and Rose Garden Arena where ceiling height is adequate. Booths with canopies largerthan 10’ x 10’ are not allowed unless approved by the Fire Marshal’s Office. All canopied booths must have a working smokedetector properly mounted in the canopy. If cooking in a canopied booth, you must also have a fire extinguisher.
4. Any enclosed structure larger than 100 sq. ft. in floor area must have a working smoke detector properly mounted inthe structure. All doors or windows to the structure are to be left open.
5. All natural gas lines used to run a fireplace etc. must have a shut off valve by the appliance(s) and be accessible. Allpersons working in the booth shall be instructed in the location and operation of the shut off valves to the appliances andto the building as well. All natural gas fireplace displays must have a safety pilot kit providing automatic shut off if no flameis detected. Each fireplace must additionally have a Carbon Monoxide detector with alarm and a protective barrier tosafeguard against risk of being burned. No wood burning fireplaces are permitted.
6. Portable space heaters are not allowed unless approved by the Fire Marshal’s Office.
7. Displaying of vehicles requires vehicles to have 1/4 tank or less of fuel in the tank; gas cap must be either locked ortaped in place; and battery cables taped or batteries removed.
8. Displaying of any vehicle containing LPG gas propane shall have such containers reduced to atmospheric pressurebefore bringing them into the building.
9. All exhibitors are to keep all their exhibit items, tables, chairs, etc., within their assigned booth space. Nothing is to beplaced in any aisle.
10. Empty cardboard boxes are not to be stored within booths overnight.
11. OBSTRUCTIONS BLOCKING UTILITY FLOOR BOXES MUST BE RELOCATED BY THE EXHIBITOR UPONREQUEST.

Food and Beverage Sampling Policy Effective through June 30, 2019

A. FOOD, CANDY, ETC.
1. Food sampling will be permitted by those exhibitors whose products/business they represent.
2. No other food may be distributed from booths other than that of exhibiting companies whose product or service is being represented at the show. Exhibitors wishing to give away food and beverages from their booth, but who do not qualify for sampling, may purchase such give-away food and beverage items from the Portland Expo Center’s exclusive food and beverage contractor.
3. Food sampling will be bite-sized portions (the size used in grocery store samples). Anything larger must be
preapproved by the Expo Director.
4. No food or drinks are to be sold for on-premise consumption.
5. All non-alcoholic beverage samples must be in 2 to 3.5 oz. containers (see – Alcohol Authorization Form for sampling of alcoholic beverages).
6. Any products that are sold for off-premise consumption must be factory sealed to discourage on-premise
consumption.
7. All persons dispensing food products must have the proper food handling permit from Multnomah County and/or the City of Portland if required by the Multnomah County Health Department. Small sample sizes usually do not require a permit unless containing raw or uncooked food product.
8. All exhibitors are expected to carry required permits while on-site and may be subject to inspection of such
permits by the Multnomah County Health Department.
9. If required by the Multnomah County Health Department, sanitizing/hand washing stations will be the responsibility of the licensee to provide for exhibitors sampling food products.
10. Any exhibitor distributing samples that do not meet Expo portion guidelines, or requiring a permit by the
Multnomah County Health Department, found to be without an authorized food handlers permit may be asked to discontinue sampling from their booth.
11. All insurance shall hold the Portland Expo Center, Metro and MERC (Metropolitan Exposition Recreation
Commission), as well as the members, officers, directors, agents and employees of each entity, harmless from any problem occurring from the dispensing of samples of food and beverage from the licensee and/or the exhibitor dispensing the samples.
12. It is the responsibility of the licensee, distributor or exhibitor to acquire all necessary permits and licenses if

Exhibitors can cook on the show floor. Here are a few guidelines:
1. All food being served in the buidling must comply with the sampling policy and healthdepartment requirements.
2. Professional natural gas grills that can hookup to the house gas lines are allowed, but notrecommended. The smoke these grills create can set off the fire alarm.
3. No large propane or gas tanks allowed in the facility per the fire marshal.
4. Small single burner propane/butane units using a 16 oz bottle is allowed. Fire marshal allowsONLY (2) bottle per unit in the facility at one time. One in the burner, and one for back up (ex: 3 units =total of 3 bottles allowed). The rest must be stored outside the building, or in a trailer parked at the maindock.
5. Exhibitors that are cooking or using sterno (or a similar product) to keep food warm, arerequired to have a minimum of a 2A 10BC fire extinguisher. K Type is required for cooking with greaseand deep fat fryers.

All equipment ordered must be picked up at the service desk prior to the start of the show unless you have selected the Delivery and Setup option. Refunds will not be made for unclaimed equipment. Equipment must be returned to the service desk within one hour after the close of the show to avoid additional charges. If ATS staff hasto pick up your scanner, you will be charged $100.00. Renter is responsible for the full replacement value of lead retrieval equipment if lost, stolen or damaged whilein possession of renter. All cancellations received earlier than seven (7) working days prior to show opening date will be subject to a$75.00 service fee. All cancellations received within seven (7) working days prior to show opening date will be billed at full rental price and will not be eligible for refund. A credit card is required on all orders as a security deposit on rental equipment. ATS will not charge anything tocredit card held as security deposit with out prior authorization, however, ATS reserves the right to charge feesassociated with lost, stolen or damaged units as a last chance effort to recover damages. ATS will allow ample time(at least sixty days) for exhibitor to arrange payment for lost, stolen or damaged units, before this step in taken. Checks are due in the office ten (10) days prior to show start.

The Show Guide is the official publication of the Northwest Food Show and a valuable resource guide for attendees to take home and use year round. Your ad message will be placed in the hands of 5,000 foodservice professionals at the Show. Additionally, the Show Guide will be made available for download on the Show website as well as the ORLA websites creating a total of more than 40,000+ impres-sions.
Full payment for the sponsorship specifed above is due 30 days upon signing this agreement. Sponsorship cancellations must be directed in writing to the Northwest Food Show. If canceled after September 30, 2018, no refund will be given and any outstanding payments are due in full.
Advertisements for the Show Guide must be received by March 31, 2019.
Full payment for advertisements is due immediately upon signing this agreement. Cancellations must be directed in writing to the Northwest Food Show; however, no refunds will be given.
The Northwest Food Show reserves the right to decline materials which in its sole judgment are considered inappropriate due to wording or appearance.The Northwest Food Show and its representatives will be held harmless for any performance expectations other than specifed on this agreement unless agreed upon in writing by both parties.
