CHOOSING YOUR BENEFITS DURING OPEN ENROLLMENT

You may change your benefit elections during open enrollment as many times as you would like. After the open enrollment period ends on October 21, 2021, you may only make changes during the plan year due to a qualifying life event. All elections made during open enrollment will be effective January 1 – December 31, 2022. In PeopleSoft eBenefits, go to the Main Menu >Self Service >Benefits >Benefits Enrollment. Click the “Select” button to open the Benefits Enrollment screen.

ENROLLMENT SUMMARY PAGE Your plan choices will vary depending on your benefit program.

Edit Your Elections: Click the “Edit” button to the right of each benefit plan and follow the instructions on the screen to complete your changes. Once you are done, you will return this Benefit Enrollment Summary page. Tip! Use the Open Enrollment Checklist as a guide to ensure you have made all the appropriate changes to your benefit plans.

ENROLLING IN OR WAIVING YOUR MEDICAL PLAN Choose your medical plan, or reason for waiving, by clicking on the radio button next to the option on the left hand side. Tip! Medical plan information is available on the Open Enrollment Website.

If you Waive the County’s insurance, select the waive option at the bottom of the page.

Once you select your waive option, you will need to confirm the reason you are waiving. Check the “I Certify” box and click on the “Return” button.

There are 3 Waive Options to Choose from: Waive - Individual plan - You have a Government Health plan like Tri-Care or Medi-Cal Waive - Enrolled in HD Plan - You have a High Deductible Health Plan outside of COSD Waive - Group Medical Plan You are covered by a traditional health plan, not HDHP

HEALTH SAVING ACCOUNT

After choosing a High Deductible Health Plan, the Health Saving Account (HSA) page will appear. Tip! The HSA must be elected annually. If you want to allocate out-of-pocket funds into the HSA, scroll down and click on the radio button next to Health Savings Account associated with the carrier that is providing your High Deductible Health Plan.

Enter the amount you want to allocate for the year in the “Annual Pledge” box, then click “Continue”.

A confirmation page will appear summarizing your elections. Click “OK” to save your choices.

Note: If you do not want to allocate your own funds to an HSA, select the Waive option.

ADDING A NEW DEPENDENT/DOMESTIC PARTNER

Adding a Domestic Partner

To add a new Domestic Partner, submit a Domestic Partner Affidavit or your Registered Domestic Partner Certificate to the Benefits Division by email at [email protected] or through Document Upload.

• Once your record is updated by the Benefits Division, you will receive an email confirmation instructing you to log back into eBenefits and enroll your Domestic Partner.

Updating Current Dependent Information

If a dependent is listed, but they show as “No” under the Dependent column, contact Employee Benefits to update the dependent record by emailing [email protected]. You do not need to add them again. Adding a Dependent

If you need to add a new dependent that is not a Domestic Partner, click on the “Add/Review Dependent” button. Reminder! If your dependent was not previously covered on your health plans, the appropriate documentation to verify your relationship (marriage or birth certificate) is required. Submit document by uploading the document into eBenefits.

Tip! Only dependents eligible for health insurance (medical, dental, vision and critical illness) are recorded in PeopleSoft. If you are attempting to view or update your life insurance beneficiaries, please visit the Metlife MyBenefits website.

Click “Add a dependent”. Tip! When adding new dependents, you’ll need to enter their Date of Birth and Social Security Number.

Select “Save” once you have added your dependent’s personal information.

Click “OK” and the summary screen will appear. Repeat the same process to add more dependents. When you have completed this section, click on “Return to Event Selection”.

Scroll down to the updated list of eligible dependents. Check the box next to the names of the dependents you want to enroll in the plan. Click “Continue”.

Click “OK” at the bottom of the screen to save your selection, or “Cancel” to make changes.

EDITING BENEFIT PLANS

Select the “Edit” button for the benefit plan you would like to review.

After clicking “Edit”, elect your plan or reason for waiving by clicking the radio button next to the plan.

Select the dependent/s you want to enroll. Place a checkmark next to their name. You can also add new beneficiaries by clicking “Add/Review Dependents.”

Click “Continue” to save changes or “Cancel” to go back.

A confirmation page will appear summarizing your elections. Click “OK” to save your choices, or “Cancel” to make changes.

SUPPLEMENTAL LIFE INSURANCE Choose your life insurance plan or waiver election by clicking on the radio button next to the plan. Please note: an increase in coverage requires a Statement of Health. The County’s life insurance provider, Metlife, will email the form to you after open enrollment. Increases will not occur until MetLife approves the increase and will be effective the 1st of the following month of approval.

HEALTH CARE FLEX SPENDING ACCOUNT (HCFSA) Tip! Contributions to this plan will be an out-of-pocket cost, paid for by you, from your paycheck. Annual enrollment is required. Click “Edit” to enter the amount you want to allocate for the year in the “Annual Pledge” box, then click “Continue”.

A confirmation page will appear summarizing your elections. Click “OK” to save your choices, or “Cancel” to go back and make changes.

DEPENDENT CARE FLEX SPENDING ACCOUNT (DCFSA)

Tip! Annual enrollment is required.

Click the “Edit” button for the DCFSA and enter the amount you want to allocate for the year in the “Annual Pledge” box. Then, click “Continue”. A confirmation page will appear summarizing your elections. Click “OK” to save your choices, or “Cancel” to make changes. Please Note: A Dependent Care FSA is for eligible day care expenses related to care for your child, or other eligible dependents that may be physically or mentally incapable of self-care, so you can work. This account is not for health care expenses for your covered dependents.

COMPLETING OPEN ENROLLMENT

Are you satisfied with your elections? If yes, please click “Next” at the bottom of the main Benefits Enrollment page to continue.

ERRORS AND WARNINGS

If the “Errors and Warnings” page pops up, read the message at the bottom of the screen and make appropriate changes, if necessary. Otherwise, click on “Continue”.

SUBMIT AND SAVE YOUR BENEFIT ELECTIONS

If there are no further changes, click “Next” at the bottom of the Save Your Benefit Elections page. Click “Cancel” if you are not ready to submit your choices and want to return to the Benefits Enrollment screen.

OPEN ENROLLMENT SUMMARY

Click “Print” and save a copy for your records. You can now review your total Flex Credits, plan election costs, and out-of-pocket costs.

When the new screen opens up to print, move your curser to the bottom of the page for the print icon to show, and print your elections for your records.

Click back to the Benefits Enrollment Tab at the top of your screen. Once back on the Benefit Enrollment window, at the bottom of the page, click “Continue” to end your session. Tip! You can go back and make changes up to the last day of open enrollment (October 21, 2021).

Click “OK”. It will take you back to the Benefits Enrollment selection page.

Your enrollment is complete! You may log out of eBenefits now.

RETURNING TO MAKE CHANGES To update selections during Open Enrollment in PeopleSoft eBenefits, go to the Main Menu >Self Service>Benefits >Benefits Enrollment.

Click the “Select” button to return to the Benefits Enrollment screen.

Tip! Remember to submit your changes and review your new Open Enrollment Summary.

UPLOADING DOCUMENTS INTO SELF SERVICE

In PeopleSoft eBenefits navigate to Self Service > Benefits > Document Upload or Click here to upload your Open Enrollment documents

The browser will open a new tab. The Life Event will be “OE”, then click “Add”.

Click on “Add Attachment”

Type in the subject description and then click on “Add Attachment”.

Click “Add Attachment” and then “Browse” to upload the document from your computer. Once the file is selected, click “Upload”.

Click “Save” to complete the upload.

After attaching your documents, a message will pop up, click “OK”. You will see your document uploaded.
