KEY REQUIREMENTS:

The Gem & Jewellery Export Promotion Council (GJEPC) is the apex body of the gem and jewellery industry in India. Amongst its many activities, it arranges exhibitions of gems and jewellery in different cities and countries as part of its trade promotion efforts. For these exhibitions, the existing system utilized by them involved issuing passes to delegates. Security guards would then check the passes and admit delegates one by one into the exhibition premises.

Main challenges:�A system was needed that did not require scrutinizing individual entry passes

one by one, since this was a very time consuming process causing delays to delegates as well as administrators.

�Need to cater to specific interests amongst individual visitor delegates.�Need to recognize arrival of individual delegates at various booths and

attend to them according to their level of importance.�Need for efficient transfer of information and feedback mechanisms to

delegates at various booths.�Need to keep track of maintenance and other staff at such high-value

exhibitions along with appropriate alerts to the individuals and participating exhibitors.

SOLUTION:

Essen RFID suggested their Delegate Tracking System as an effective solution based on RFID technology, that would intelligently track delegates, enabling them to be attended to as per their specific interests and at their appropriate level of importance. The system would also enable tracking of staff personnel throughout the exhibition premises. It involved the issue of RFID ID tags to each delegate as well as to the exhibitors’ marketing and maintenance staff, so as automatically keep track of their whereabouts and improve service provided and security.

IMPLEMENTATION:

A PERSONNA™ ID tag is issued to each delegate. PERSONNA™ tags are also issued to the entire marketing and maintenance staff at the exhibition. Xtenna Proximity™ is used to register these tags into the database. Xtenna™ antenna-readers are installed at the main gate as well as at the entrance of each booth within the exhibition hall. HandyScanna™ hand-held devices are used for reading ID tags of the delegates.

The system uses SQL Server as the back-end database. The HandyScanna™ contains Essen RFID’s mobile based application and operates through Wi-Fi connectivity.

WORKING:

The RFID tracking system is utilized for tracking both, staff personnel as well as delegates (customers).

Maintenance Staff Tracking:

1. PERSONNA™ ID tags are issued to all members of the staff. Each tag is registered into the database using Xtenna Proximity™. Relevant details pertaining to each staff member are entered into the system database and associated with their tag information.

2. Maintenance personnel are allotted a specific time period for cleaning and decoration of the various exhibition areas. Individual exhibitors also have their own maintenance personnel who have to finish their work within this period, before the daily opening time of the exhibition.

3. When a person from the maintenance team enters a particular exhibition booth, the Xtenna™ antenna-reader installed at its entrance detects his ID tag and logs in his location and time into the system. The devices at each booth continuously track the person if he moves from one booth to another and also logs the time when he exits the premises.

4. When time allotted to the maintenance staff has elapsed and Xtenna™ confirms that a person is still within a particular booth or area, a SMS alert is sent to this person as well as to the head of the team or the exhibitor for whom this person is working, asking that this person leave the premises in the next 15 minutes. After this time has elapsed, another SMS alert is sent to the person as well as his boss warning that action may be taken or punitive fines may be imposed.

Delegate Tracking:

1. Delegates who will be attending the exhibition are registered into the database along with their relevant personal details such as name, email ID, mobile telephone number, etc. and a PERSONNA™ ID tag associated with this data is issued and sent to each of them.

2. The system can also efficiently handle walk-in visitors so that such visitors can be issued tagged ID cards in less than 30 seconds each.

3. Marketing staff of all the exhibitors are registered into the system database and issued PERSONNA™ ID tags.

4. On the day of the exhibition, delegates entering the exhibition hall will have their RFID PERSONNA™ tags with them as personal identification.

5. Xtenna™ mounted as a portal at the exhibition entrance gate reads each delegate’s tag and displays his photograph on the welcome screen. This allows everybody present to know who has arrived.

6. An issued ID card can at any time be converted to ‘Deny Entry’ if the organizers are advised by security that a particular person is undesirable and should be stopped. On attempted entry, the person’s photograph on the welcome screen will display a large ‘X’ along with an audio alarm to alert security.

7. The delegates visit various booths in the exhibition hall as per their interest. At each booth the mounted Xtenna™ automatically reads their tag ID.

8. When a delegate enters a particular exhibition booth, he is attended to by the exhibitor’s marketing staff. This salesperson first reads the delegate’s PERSONNA™ tag and then his own tag using the HandyScanna™ device. This provides the system with an instant recognition of the delegate who has walked in and a SMS is automatically sent to the exhibitor himself or his manager that a potential customer has entered the booth. Reading the salesperson’s tag enables the exhibitor to track who has attended to a particular delegate.

9. The exhibitor/manager gets information through SMS about the potential customer and depending on his assessment of the customer’s importance immediately sends a senior person or comes himself to attend to the high-value customer or VIP visitor.

10. As the delegate leaves the booth, the exhibitor using the HandyScanna™ device sends him an email containing an electronic copy of his contact details, catalogues, sales brochures and feedback form. This will avoid burdening the visitor with carrying bulky physical catalogues as he moves within the exhibition premises.

11. Simultaneously, the system sends into the exhibitor’s mailbox, the visitor’s contact details, areas of interest, date/time of visit and name of attending salesperson. This process thereby creates an automated business card and information exchange system between the exhibitor and the potential customer.

BENEFITS:

�When using RFID tags as ID passes, the delegates do not need to show their tagged ID cards individually to security. Xtenna™ reads the tags of multiple delegates simultaneously.

�Automatically tracks movement of delegates from one booth to another. This logged information helps identify and analyze areas of interest of individual delegates.

�When a potential customer enters a particular booth, a SMS is sent to the exhibitor or his designated manager.
