JOB DESCRIPTION: Operations Office Administrator

REPORTING TO: Operations Office Manager

LIAISING WITH: CEO, Head of Operations, Operations Team, and Operations Office Team

Contract Type:Full-Time 35 Hours per week

MAIN DUTIES AND RESPONSIBILITIESWhat the job involves

To be part of and support the Operations Team with effective systems to operate efficiently and professionally with the aim of providing high quality play and leisure service for disabled children and young people.

To assist in the administration of the database and filing systems – keeping children’s and families’ records up-to-date, accurate and organised efficiently.

Organise the efficient collection, filing and recording of administration and paperwork from Challengers schemes, including: incident report forms; child attendance registers; sign in sheets; staff timesheets; and child medication records.

To support the recruitment and induction of volunteer administrative staff. Support the Operations Team with any administrative duties as required, including

answering phones, taking bookings, promotional mail outs, data entry and general document filing.

To help source, purchase, receive and distribute scheme cleaning supplies and office stationary supplies.

Support the team to comply with the Health and Safety at Work Act (information available from Challengers).

To report any concern about a child’s welfare or safety in accordance with Challengers Child Protection Policy and Procedure.

To perform any other duties as they become necessary at the discretion of the Head of Operations and the CEO.

Experience of administrative work. Good organisational skills combined with an ability to prioritise and manage own

– including other professionals, community groups, disabled children and their families/carers in a professional and effective manner.

Ability to work in a busy team often in an informal working environment. A familiarity with and ability to use Windows-based applications (email, word

processing, spreadsheets) and database management skills and the ability to produce clear, concise reports.

Prepared to attend training and to learn new skills which will include Child Protection and Disability Equality.
