student Chapters,. Section Volunteers were instrumental in collectively organizing 623

Technical, Professional, and Administrative Events. This events covered over 58170

attendees in 2018. This demonstrates IEEE Hyderabad Section Leadership commitment to make

it one of the most vibrant sections in this Region. The below table gives comprehensive view

future trends and also organized special events, flagship programs and Distinguished Lecture

Talks.

Special Interest Groups (SIGs)

Quantum Computing

Quantum Computing is formulated in collaboration with Industry Volunteers such as

Microsoft Corporation, IBM, TCS and Academic volunteers from IIIT, University of

Hyderabad to drive the knowledge and enablement on Quantum based programming methods

to explore Superposition and entanglement and understand the usage of Quantum bits in new

level of processing. Quantum Computing SIG is operated under the supervision of Computer

Society Chapter

IoT

Internet of Things SIG is launched under CAS/EDS to promote the knowledge and drive

programs which significantly driving the social and human change by adopting the usage of

sensors from large scale industries to homes.

Mini-POCO Conference

mini Panel of Conference Workshop is being organised by IEEE India Council in Collaboration

with IEEE Hyderabad Section which was scheduled at Vizag on 20th May 2018. This event is

comprised of seminars & focused sessions with plenty of opportunity for participants to exchange

ideas, success stories and challenges with other IEEE Conference organisers community. This one

Day workshop will offer Networking opportunity with the experienced Conference Organisers.

InCAP 2018

A new series of Indian Conference on Antennas and Propagation (InCAP), launched this year by

all seven IEEE APS Chapters of India. InCAP is conceived as an annual flagship conference on

antennas and propagation in India by merging three popular and successful Indian IEEE

conferences namely AEMC, IAW, and iAIM in order to provide a wider and more professional

forum to the student members, young scientists, engineers, and academia. It was held at HICC,

Hyderabad on December 16-19, 2018

MOS-AK 2018

This conference was organized by CAS/EDS to enable the community with industry sponsorship

on Modelling of System Circuits and Devices

International Conference on High Voltage Engineering and Technology by CPRI

IEEE Hyderabad technical co-sponsor for Central Power Research Institute’s International

Conference on High Voltage Engineering and Technology

National Conference on Communications – NCC 2018

The National Conference on Communications (NCC) is a flagship conference of India in the

area of Communications, Signal Processing and Networks. The 2018 conference was

technically cosponsored by IEEE Hyderabad Section and was held in the Indian Institute of

Technology, Hyderabad.

Special Events

AHCSSC 2018 - All Hyderabad Section Computer Society Student Congress

AHCSSC 2018 is a flagship Congress driven by Computer Society Chapter with a theme AI

and Blockchain In January 2018 at Vaagdevi College of Engineering. This was the first

edition of the congress covering the lectures on Artificial Intelligence, Blockchain and Cyber

Security technical Sessions. This congress enabled Computer Society Student Branch

members to interact and network with each other to gain insights on Technology Trends

influencing and changing the direction of the World.

HyWIT – Hyderabad Workshops on Information Theory

HyWIT is a workshop series on coding and information theory, communications and signal

processing conducted by the IIIT Hyderabad, IIT Hyderabad and IEEE Hyderabad

Communications & Signal Processing Society Joint Chapter.

The 2018 edition of HyWIT focused primarily on Next Generation Wireless Systems.

The workshop dealt with contemporary aspects of next generation wireless systems including

front-end design of receivers, feedback, base-station side estimation, 5G new radio, massive

MIMO systems and content delivery in wireless networks.

IEEE CIS/GRSS Summer School

The Summer School programme is a six day long workshop going in depth into topics in

computational intelligence, with speakers from four different countries.

All Hyderabad Section PES Student Congress

Power Energy Society organized the first All Hyderabad Section PES Student Congress at Kurnool

driving and connecting many student on the contemporary functions of Power Energy, Power

Electronics and so on.

Virtual Labs Workshops

The Educational Activities committee of the Section, in association with the Student

Activities committee and the Education Society Chapter, conducted a Virtual Labs workshop

at 15 different educational institutions. The Virtual Labs are a series of web enabled

experiments designed for remote operation and viewing.

Flagship Events

The Section has conducted several flagship events organized by different technical society

chapters. These include the

Alexander Graham Bell Memorial Lecture organized by the ComSoc/SPS Joint

Chapter,

Faraday Memorial Lecture organized by the PES/IAS/PELS Joint Chapter, and

John McCarthy Memorial Lecture organized by the CIS/GRSS Joint Chapter.

Lalitha Memorial Lecture Organized by Women in Engineering Affinity Group

Sir JC Bose Memorial Lecture Organized by MTT/AP/EMC Joint Chapter

There are a total of sixteen (16) societies represented in a total of nine (9) chapters and joint

chapters in Hyderabad Section. In addition, the membership of the Section extends into Societies

not represented by a Chapter or Joint Chapter – in all, thirty nine (39) Societies have members in

Hyderabad Section.

We are happy to note that 8 chapters and joint chapters have exceeded the minimum number of

technical meetings required each year. Some of the major activities include

In summary, the Section received rebates/grants/receipts of Rs 61,40,032 (over Rupees Sixty One

Lakhs Forty Thousand and Thirty Two Rupees only) and incurred expenditure totalling Rs

63,57,455 (over Rupees Sixty Three Lakhs Fifty Seven Thousand Four Hundred and Fifty Five

only).

IEEE Hyderabad Section has over spent of Rs. 2,17,422 (Rupees Two Lakhs Seventeen Thousand

Four Hundred and Twenty Two Only). This has covered through Section Reserves.

The Section Financial Report will be filed via Net Suite or proper channels.

PART B - ORGANIZATIONAL ACTIVITIES

B.1 Membership Development Activities

Total number of active members in the past 3 years.

Over the past three years, the Section has seen a steady increase in higher grade membership

while also growing overall membership. The figures are below:

Summary and evidence of work done to improve the value of membership, which leads to retention

and growth of members

Section Membership has grown after we have appointed a Chair-membership activities. This is

visible in the growth of professional members.

As part of Section Future Directions Committee recommendations, it has been suggested to hold

activities targeted specifically towards each segment, instead of the one size fits all approach

currently prevalent. Sufficient awareness has been created among all the chapters and affinity

groups. This has led to brand new programs of “Research Forums” that are being conducted

specifically for GSMs. Hot topics workshops have been conducted that are members only, thus

highlighting the benefit of memberships. Chair Membership distributed chapter specific

presentations to each chapter so they can independently speak from the ppt at their events.

2018 plans including holding a special flagship event under each society chapter that is a Section

Society Congress of that society with a set of events along with a flagship talk. The first one held

by Hyderabad Section - Computer Society chapter in first week of 2018 was a blazing success

with tremendous interest in members. For 2018 a membership development committee will be

formed. With three subsections, each subsection has been asked to identify a Chair membership

development. IEEE Hyderabad Section continuous efforts was to demonstrate Value of IEEE

programs and the breadth of knowledge with exposure given. This Value demonstration really

made the difference in increasing the membership voluntarily.

Membership development is perceived as a lateral activity under part of every society and affinity

group therefore all activities have been merged as part of the organizational unit conducting the

event. No L31 was filed separately for membership activities. No special budget head was

assigned.

Total number of Chapters in the Section

There are a total of sixteen (16) societies represented in a total of nine (9) chapters and joint

chapters in Hyderabad Section. In addition, the membership of the Section extends into Societies

not represented by a Chapter or Joint Chapter – in all, thirty nine (39) Societies have members in

Hyderabad Section.

We are happy to note that 7 chapters and joint chapters have exceeded the minimum number of

technical meetings required each year.

Conferences

The Section has technically Co-sponsored the following Conferences

HyWIT – Hyderabad Workshops on Information Theory

HyWIT is a workshop series on coding and information theory, communications and signal

processing conducted by the IIIT Hyderabad, IIT Hyderabad and IEEE Hyderabad

Communications & Signal Processing Society Joint Chapter.

The 2018 edition of HyWIT focused primarily on Next Generation Wireless Systems.

The workshop dealt with contemporary aspects of next generation wireless systems including

front-end design of receivers, feedback, base-station side estimation, 5G new radio, massive

MIMO systems and content delivery in wireless networks.

National Conference on Communications – NCC 2018

The National Conference on Communications (NCC) is a flagship conference of India in the

area of Communications, Signal Processing and Networks. The 2018 conference was

technically cosponsored by IEEE Hyderabad Section and was held in the Indian Institute of

Technology, Hyderabad.

Involvement in IEEE Standards Development Activities

IEEE Hyderabad Section actively supported the efforts to develop the IEEE P1451-99

standard for IoT Harmonization. The Section is represented in this effort by PVS Maruthi

Rao, Gopalakrishna Kuppa, N Venkatesh, and Arifuddin Sohel. The Section has drawn up

plans to aid the establishment of an Interoperability Lab at a supporting institution – the

objective of the lab would be to enable interoperability testing of devices and systems

intending to conform to the P1451 standard.

B.4 Students Activities

41 Student Branches and 36 Student Chapters of technical societies organized and reported events in

2018. They held 181 technical events, 69 professional events, and 51 administrative events with a total

of 35,587 participants.

Section level student activities (student congress, paper and other contests, awards etc)

IEEE Hyderabad Section has an encouragingly large number of Student Branches, most of which are

active and vibrant. In all, there are 118 student branches comprising over 3,537 student members. The

complete list is reproduced below.

For 2018, the Chair of the Students Activities Committee (SAC) was Vijayalatha Reddy Yellasiri and

the Section Student Representative was Sai Thejeshwar. SAC was supported by Technical Societies

under the governance of Section to support Student Activities and mentoring them to do contemporary

and relevant programs which are beneficial to the Student community and help them in nurturing their

career direction.

WIE, Hyderabad Section, received an SMC grant of over $6,000 to conduct events in each of the

IEEE Hyderabad Section revived its web presence substantially in 2018 and continue to sustain

that in coming years too. It established a process of collaborative creation of web content using

Git processes, daily builds etc. Training sessions are being planned to volunteers for managing the

website.

B.8 Industry Relations

IEEE Hyderabad Section has formed Industrial relations Committee (IRC) in 2016 to bring synergy

between Industry, academia, start-ups, Government and practicing professionals by bringing them together on to a common platform. Currently significant number of Execom members and volunteers are from various industry organizations. And also the fact that many of our activities were conducted with help and sponsorship from various companies. E.g. Qualcomm, Microsoft, TCS, AMS, etc.

There are constant efforts made by IRC to derive the presence of industry experts and professionals into

the events and programs to demonstrate value and improve membership growth and retention.

1. Special SEC Meeting for Section, Subsection, and Chapter Officer Orientation on

11th March, 2018

The IEEE Hyderabad Section conducted a full SLATE meeting in which all the office bearers

of all chapters, affinity groups and sub sections were invited. The meeting was held on 11th

March, 2018 at Plaza Hotel, Hyderabad.

The Special SEC meeting brought all Section, Subsection, Chapter and AG execom members

together and was aimed at disseminating best practices in administering the various volunteer

driven activities.

IEEE Hyderabad Section has a long standing association with other professional societies such as

Institution of Engineers, Institute of Electronics and Telecommunications Engineers, and Computer

Society of India. The Events included:

This has significantly helped in making the reach of IEEE activities with cross collaboration of other entities

new Student Branches, Student Chapters and grow our Membership Development.

IEEE Hyderabad Section was putting up constant efforts through CAS/EDS in promoting and jointly

collaborating with other Sections within the country and outside to promote IEEE activities and doing

Outreach programmes.

C.5 Best Practices of your Section (which you would like to share with other

Sections for the benefits of members)

IEEE Hyderabad Section has been continuously involved in introspecting on its own practices and

guidelines and taken advantage of its very large volunteer base in evolving its practices. Some of the

key practices instituted by the Section are:

Constitution of a Future Directions Committee to look into the Section Vision, Mission,

Goals, Objectives and methodologies to achieve them – further details are in Part D

below.

Active involvement of Chapter Chairs and Subsection executives in Section deliberations

– the monthly SEC meetings see large attendance. In addition, the SEC meetings are

open for online participation via webex. This way, Subsections and Chapter

representatives who are unable to travel to the venue, or wish to be spared of the

additional time and effort that takes, have been able to attend the meetings via two-way

video and audio streams.

Active participation of industry volunteers – almost all chapters have active volunteers in

their execom from the industry.

Encouragement to Chapters to institute an annual Flagship event

Inclusion of a brief IEEE pitch and membership development effort in each Chapter

event

Effort to increase Society membership by providing preferential pricing, and in cases

exclusive participation, to Society members in Chapter workshops

Annual face-to-face event involving all Section, Subsection, and Chapter committee

members to reinforce processes, impart basic training on the use of vtools, and alignment

to Section Vision and Mission

C.6 Problems anticipated and suggestions for solutions, if any

IEEE Hyderabad Section has following suggestions to make things better

A problem the Section is facing is on a sizeable number of Student Branches that are

dormant. To remedy this – our constant effort is to revive the Student Branch Chapters

by working with respective schools. However, there are some colleges which are not

operational, we are working with respective Schools. Additional volunteers have been

placed in the Students Activities Committee with separate representatives from different

geographical areas within the Section in order to better reach out to the Student

Branches. This should be continuously monitored and revived.

A common problem is the retention of student members as regular members following

their graduation. It is seen that the Value Proposition of IEEE membership is different

for students Vs corporate employees. A remedy identified is to focus on industry

participants in Section and Chapter events and provide for the needs of fresh entrants

into the industry.

It is observed that some of the chapters were unable to raise funds and grants to drive

programs. Section feels putting up some formal guidance tutorials in raising grants by

every chapter and ensure they get adequate support in delivering innovative, social

beneficial and humanitarian programmes to the community.

In the area of Conferences technically co-sponsored by the Section, there are a number of

challenges faced, including that of maintaining the IEEE brand, quality and originality of

the material, and obtaining sufficient sponsorship and attendance. The Section has

instituted a Conference Committee to oversee acceptance of technical co-sponsorship of

conferences, and has laid out guidelines for the proper running of the conference

including recommendations of the constitution of the Technical Programme Committee

PART D - GOALS AND PLANS

IEEE Hyderabad Section instituted a Future Directions Committee (FDC) under the leadership of C

Satish to examine, introspect, and put forth the Section’s Vision, Mission, Goals and Objectives that

would guide all activities of the Section in the years to come. The FDC collected feedback from all

members on their expectations from IEEE and their other views. A summary of the FDC report and

the guidelines issued is reproduced below.

It is necessary for any non-profit organisation to take a look once in a decade or so to see what

changes are needed in its strategy to fulfill its vision and mission. IEEE calls it strategic planning. For

such a strategic planning, IEEE Hyderabad Section Executive Committee formed a Future Directions

Committee (FDC) on 16 October 2016. This committee consists of about 15 members & includes 5

Past Section Chairs, few younger members and few current SEC members. Mrs. Supriya of TCS is the

committee’s facilitator.

FDC’s Terms of Reference are

Prepare a Vision and Mission Statement.

Identify the Section’s Goals and priorities.

Suggest a strategy for realizing the above.

IEEE Hyderabad Vision and Mission is as follows:

MISSION:

TO PROVIDE A PLATFORM FOR KNOWLEDGE SHARING, NETWORKING, AND

CAREER DEVELOPMENT TO THE LOCAL TECHNICAL COMMUNITY.

VISION:

TO BE AN ESSENTIAL RESOURCE FOR THE PROFESSIONAL DEVELOPMENT IN

SPECIFIC FIELDS OF INTEREST OF IEEE FOR THE BENEFIT OF MANKIND.

In simple words Mission is the purpose. Vision is a picture of desired future. Goals, strategy and plans

should emanate from the above and need to be in alignment with mission and vision by all the

constituents of the Section like Chapters, AGs. Mission is the guiding star for all our plans and

activities.

Measures -

Driven through society, take feedback as to desired events, along with industry conduct events in

proximity

IEEE section should be one of the professional bodies that Govt. seeks advise from, and be

invited to be part of any Govt. initiatives e.g. Photonics Valley corporation.

Promote continuous education (certifications).

Change the branding to show that it is for industry only.

Promotion of awareness of relevant IEEE Standards to the industry (driven by the Chapters).

Promote to management of the companies to support IEEE involvement.

Collaboration with local bodies for training based on IEEE content and standards.

Let there be an IEEE Roadshow which goes to various industries– focused on IEEE, multiple

components of various societies

Increase success rate of entrepreneurship

Measure –

Promoter technological mentoring to entrepreneurs

IRC will focus on TES with the help of the Chapters

Collaborate with technology makers to provide the inputs on how to use their technology for

business solutions.

Goal 2: To increase the effective volunteer base.

Measure: Pool of 50 active volunteers at any given time

Make volunteering easier – use technology procedures,

Ask for volunteers- surveys

Proactively Send IEEE volunteer material to each member (people have not used available

material) – training, also send to HR and other similar bodies in an org

Setup a volunteer identification committee.

Put in place Mechanism of Recognition of professionals from engg. community

Increase volunteers from industry members

Recognition of volunteers – by local body, in a social with FAMILY members

Each volunteer to find an understudy (succession planning)

sustaining the membership retention and recruitment goals.

Following Goals were planned to sustain membership retention and drive higher recruitment

Goal 3: To increase technical Society membership

Measure: 10% Increase society membership in 2 years

Offer local incentives- discounts for local events. Early bird discounts

Reach out membership development from industry- absence of industry

Target IEEE members who are not society members through awareness– they do not know

benefits of society.

Ask what they want – by society, Identify topics broad topics that the professionals are interested

and conduct programs in that – through survey etc.

Increased access to digital libraries specific to society

Facilitate change in organizational culture in the organizations through petitions to regulatory

bodies. E.g. DRDO – 25K provided for professional, so this is used in appraisals.

Popularize benefit of the society– beyond the society only, communications not reached out to the

entire IEEE community. 1000 prof. members out of 5000 members. So the 4000 members do not

get any society information.

Chapter must organize one good conference of that society once in two years.

Promote society and events through social media.

Demo society membership at a physical location – IEEE Café

Recognition from local society chapter – volunteer or member.

Chapter Promotes society activities in the Student branch.

Goal 4: To Sustain membership of students even after their transitioning to full members

Measure: current 25% retention… Target- 50% retention

Evangelize importance of being full member

More Student Transition & Elevation Program (STEP) events with measurable outcomes.

Promote membership afresh, not talk of “transition”. See benefits as any other professional

membership. Focus only on increasing professional membership. As part of ongoing efforts to

increase membership.

More contests like all India Student Project Contest– which is more like an Academia-Industry

interaction.

Mentor network – needs to be publicized and strengthened

Evangelize IEEE membership among the industry

Faculty advisors and mentors have to be educated to promote

Challenge: Jump in member fees from ~$27 to ~$80.

Focus on GSM (masters, or PhD students)

D.4. Business Plan for Sustainable Growth and Financial Stability.

IEEE Hyderabad Section promoting the VOLT for Volunteer Leadership both for academia and industry.

Also focusing on Grants to drive high quality engaging programs with the participation of industry. This

helps to enable sponsorship and make the entire channel of programs accessible for the entire community

The recommendations of Future Directions Committee are given to the Section Executive Committee on

21 Jan 2018. The SEC will communicate them to 1. Section members and 2. Chapters, AGs and

Subsections and start a dialogue with them through various channels like newsletter, web site and

direct mail. The objective is to develop detailed measures, procedures, priorities to set up to reach the

goals. The SEC will assign responsibilities for implementation. The main criterion for approving and

continuing all proposals will hereafter be whether they satisfy the Sections mission. The SEC will

monitor performance and results. Mission and vision statements are long term, but goals and measures

can be modified and given up (where they don’t work) even in the short term.
