Important Details for Submittal of Electronic Show Results 1) All APHA shows and special events (U.S., Canadian and International) must submit show results electronically including the entry roster and the individual class results. Important Details for

Submittal of Electronic Show Results

1) All APHA shows and special events (U.S., Canadian and

International) must submit show results electronically including

the entry roster and the individual class results. Judges’ cards

should be mailed. All shows not submitting their show results

electronically will be subject to a $50 special handling fee per

judge.

2) All Grand Champion and Reserve Grand Champion placings must

be entered into the show results submitted to APHA or the

results will be returned. The class codes for Champions are

listed on the Class Code list. Please enter only the Grand and

Reserve Champion winner under each judge (not the list of

eligible horses). There should be only one horse for Grand and

an unacceptable format, the show secretary will be given the

opportunity to resubmit the show results in the proper

electronic format within 5 business days, otherwise the $50

special handling fee per judge will be assessed in order to

process the results.

Show Results Electronic Specifications

1. Download Show Entry template (ShowEntry.xls) and Show Entry Instructions from the APHA website. http://www.apha.com/forms/performance-forms.

2. The results must contain one and only one back number for the same horse regardless of number of classes

entered, the number of exhibitors on that horse, or the different divisions entered. A record must be listed for each class the horse is shown regardless of placing. Do not create a record if the horse did not exhibit in the class.

3. Horse’s name and registration number indicated on results must match the registration certificate exactly or the entry will be in error. Do not include commas.

4. The exhibitor’s name and APHA ID number for all exhibitors indicated on results must match the Open, Novice

Amateur, Amateur, Novice Youth or Youth Status Card exactly or the entry will be in error.

5. More than one show may be entered into the Show Entry Template.

6. Remember to use the correct judge’s Show Number (not the Show Reference number) for each entry and placing, or the show entries will be in error.

To display valid class codes and relationship codes see Figures 6 and 7. 5. Save show results data see Figures 6 and 7. 6. Email Show Results to [email protected].

TIPS FOR SUBMITTING RESULTS ELECTRONICALLY

This is a list of the most common mistakes made on electronic results.

1) Each record on a diskette/attachment must contain the same show number and year. Do not

use the show reference number; use the individual judge show numbers. Please double

check to make sure you enter the correct show number and year. The reference number is

intended for printed results only.

2) Horse’s name and registration number indicated on results MUST match the registration

certificate exactly or the entry will be incorrect. Do NOT enter commas in the registration

numbers.

3) The exhibitor name and APHA ID number for ALL exhibitors MUST match the status cards

exactly or the entry will be incorrect. Include relationships on all entries in Youth, Novice

Youth, Amateur and Novice Amateur. If no number, list exhibitor’s initials in

field.

4) All EXHIBITORS MUST HAVE APHA or AjPHA ID NUMBERS. If an ID number is

unavailable include exhibitor’s address and enter their initials. Refer to the Record Layout.

5) Please use .dta or.txt files. May name file after show. Example: TucsonAz1.dta or

SpokaneWa2.txt.

6) When entering the Youth Walk Trot classes, the correct codes start with WT0. The

corresponding number code for each individual class see class code list. The “0” in the class

code is a ZERO, NOT the letter O.

7) Include the Grand and Reserve Halter Horses on the correct records. Refer to Class Code

list for proper codes for Open, Amateur and Solid Paint-bred Grand and Reserves. Results will

be returned if not entered. Enter only one horse for Grand Champion and one horse for Reserve

Champion for each sex and division.

8) You must enter the placing for the classes that do not have enough entries to make it a point

class. You must enter the horses that have a “no time” or “DQ” from the judge as a non-placing

entry.

9) Always use correct class codes. Refer to Class Code list. Remember to change the class

codes on the judges’ cards when class is combined or split.

10) Numerical fields must use zeros and Alpha fields must use the letter O.

11) Use all UPPER CASE LETTERS in Alpha fields.

12) APHA Approved Computer Software automatically uses format from Record Layout. If

developing your own software see ‘Show Results Electronic Specifications’.

APHA HORSE SHOW ROSTER INSTRUCTIONS

Show Results Not Submitted Electronically will be assessed a special

handling fee of $50.00 per judge.

List the city and state where the show was held.

Date of show:

List the date of the show.

Show Reference number:

List the show reference number. This number is found on the approval letter.

Name of the judge and show number:

List the full name of the judge for that date only. Rosters must be completed for each

day unless all the judges judge every day of the show. Example: Two judges for

Saturday and two different judges for Sunday will require two rosters. Single judge

shows having two or more single judges require a roster for each judge. Two back to

back Paint O Ramas require two rosters. The judge show number is found on the

approval letter.

Back number:

List the back number assigned to the horse (one back number per horse). Please list

back numbers in NUMERICAL order.

Registration number:

List the registration number of the horse from the registration certificate which must be

inspected (original or photocopy). WORKORDER NUMBERS ARE NOT

ACCEPTED in the absence of registration papers. Only weanlings may be shown

without papers in the Open Division. Use 99999996 as the registration number for

unregistered weanlings. WEANLINGS SHOWN IN AMATEUR AND YOUTH

CLASSES MUST BE REGISTERED.

Horse name:

List the registered name of the horse from the registration certificate. Verify that the

correct number and spelling is listed. Unregistered weanlings should be listed as

UNNAMED. Also verify sex for halter and youth classes.

Class code:

List all of the class codes for the classes in which the horse has been exhibited (list only

the classes in which each horse actually participated). DO NOT LIST Scratched,

Futurity, OR Non-approved APHA Classes (including Walk Trot and Leadline classes

which are Club sponsored). Include all APHA classes even if all horses have been

disqualified.

Class description:

List the class description. Be sure the class description and the class code match.

Example: YEE1-Youth Hunt Seat Equitation 18 & Under. See your class code list in your

Show Management Manual.

APHA exhibitor ID numbers:

List the ID number for ALL EXHIBITORS. All exhibitors must be APHA or AjPHA

members. Be sure that you do not list a joint ID number. All open exhibitors must

possess a current year exhibitor card or membership card or complete a temporary open

membership/exhibitor application (see procedures and forms enclosed). All amateur and

novice amateurs must possess a current year card including membership or photocopy or

complete a temporary amateur or novice amateur application (see procedures and forms

enclosed). All categories in novice amateur must be checked for eligibility. The category

numbers are listed on the front of the card and the category descriptions are on the

back. All novice youth must possess a current year novice youth status card including an

AjPHA membership or photocopy or complete a temporary youth card application (see

procedures and forms enclosed). Show management must inspect the current card or a

photocopy of all cards and be sure that the card or cards are not expired.

Relationship:

List the exhibitor’s relationship to the owner of the horse. This MUST be listed for all

youth, novice youth, and amateur and novice amateur exhibitors. See Rule AM-020.A.

All amateur and novice amateur exhibitors MUST be related to the owner as listed on

the registration papers to be eligible to compete. The exhibitor must be related if the

horse is jointly owned or ranch or farm owned. If the horse is jointly owned, please list

the relationship to all joint owners or ranch/farm owners. DO NOT put “self”. The

exhibitor must prove ownership at the time of the show by presenting the APHA

registration certificate or a legible photocopy showing the current owner’s name as

printed on the certificate by the APHA office. See Rule YP-015 for youth relationships.

A youth may show a horse owned by a non-related person but any points earned will be

removed.

Youth and Amateur Exhibitor Birthdates:

We must have the youth’s and amateur’s birthdates. This will allow eligibility for the

honor roll, zone and Top 20 awards.

Additional Information:

If a handwritten horse show roster is submitted, the secretary will have 3 business days to

re-submit electronically. If not submitted electronically, a $50 per judge fee will be

charged. A handwritten horse show roster is designed to be used for one judge or up to

six judges on the same day. When a roster is complete with all horses that exhibited in

the show (the number of entries on the roster should equal the number of entries on the

judge cards), mail the roster and the ORIGINAL judge placing cards for each class

including Grand and Reserves to the APHA office in the envelope provided.

Remember: class codes, judge name, signature of the judge, and number

of entries must be included on the judge cards. Please sort the judge

cards by judge. DO NOT put judge cards on the same sheet of paper.

Judge cards should be separated. Be sure to keep a copy of the judge

cards for your records (these copies are to be kept along with the copy of

the show results received from the APHA office and the show entry cards

for a period of one year according to Rule SC-125.B. of the APHA

rulebook).

Results are to be submitted to the APHA office and postmarked or e-mailed within fifteen (15)

days from the date of the show. Before the APHA office will process a show, the following

must be submitted.

Horse Show Roster (Show results not submitted electronically will be assessed a special

handling fee of $50.00 per judge.)

Show fees-POR’s and ZOR’s are $5 per horse per judge and all other shows are

$2 per horse per judge.

Original judge placing cards. Must have class codes on each card and make any

necessary code changes due to combining or splitting a class.

Completed judge evaluations for each judge.

Temporary open exhibitor/membership applications and the open membership

summary completed with fees included.

Temporary amateur applications and the amateur summary sheet completed with fees

included.

Temporary novice youth applications and the novice youth summary sheet completed

with fees included.

Keep copies of everything that you send to us.

When the results and judge cards are received in the office, they will be processed, edited and

posted according to the date of the show. We do not post shows out of order unless we are

waiting on fees, additional information or judge’s evaluations. A copy of the results will be e-

mailed to the show secretary for their records.
