IntroductionAbout the Prepress Portal System: Why Use it Over Standard FTP Uploading?

The InSite Prepress Portal System introduces secure Web access into your work-flow. You can submit jobs,track progress, collaborate on changes, or proof and approve work from anywhere and anytime you have Internet access. Your changes, requests and comments are viewable to your staff, reducing miscommunication errors before a job goes to press. Lead times and material costs are reduced by eliminating the need for hard-copy proofing and back-and-forth emailing. The system checks for problems and, if necessary, alerts you and the prepress staff, so corrected pages can be quickly uploaded.

The built-in Kodak Smart Review system allows you to view full-resolution PDF digital master productionfiles. You can zoom in to the pixel level, measure dimensions precisely, check color with a densitometer and verify color separations. If any changes are required, you can place annotations directly in the file. Because the InSite System and Pri-nergy Software are accessing the same digital master, changes and updates are immediately accepted into the work-flow.

Logging In

1. If you do not have an existing InSite user log in and password please register on our site:http://www.thewatermarkgroup.com/client-resources/upload-a-file/

2. Go to the Client Access Site at http://proofs.thewatermarkgroup.com or by clicking “Client Access” from The Watermark Group site navigation bar.

3. Prior to first log in, we recommend you run a System Disagnostic Test as highlighted below:

3a. Upon clicking the System Diagnostics link, a new window will pop up.

3b. Check the report. Review your hardware settings for optimal performance.

4. If there are no issues, close the diagnostics window and log in using your assigned username and password.

1. Once logged in, you will see an overview of all your active jobs. If you have no active jobs, no jobs will be listed. To create a new job, and start uploading files, click on “Create Job” on the right hand side as shown below.

In order to reduce the likelihood of problems that cause production delays, please “preflight” your files before uploading to InSite and check to ensure the following:

• resolution of all images is 300 dpi or higher• fonts are embedded• confirm page layout document size, margins, bleeds,

and marks are set with the correct trim size• confirm that the correct color separations are being used• if the file is to be finished as a saddle-stitch, provide the

file as single consecutive pages with crops and bleeds

2. Enter a job name and a brief description in the appropriate fields on the next page. Use the notes box for any additional details about your project. “Job Code” and “Project Code” fields may be filled in with your project’s accounting or project management reference codes. Then click “Create” in the bottom right.

3. Click “Upload Files” to start uploading.

4. Name file, add general notes.

5. Drag and drop a file from your computer to upload. Alternatively, the green plus sign can be used for individual files or the folder to upload folders.

6. Click and you file will process. Preflight warnings will appear; these can be ignored. If Errors appear, they must be corrected (see page 9).

7. Close after upload finishes

8. Files should now display on the Upload page, and an update email will be sent.

8. Click “Create” next to “Info Sheet” to bring up info sheet window.

Your file is now ready for prepress proofing!

9. Fill out as much information as possible about your print job to ensure speedy processing. Scroll below the spot colors for scoring, glue and other options.

If you do not see a dropdown menu for your specifications, please add the information in the comments section.

Comments should also be used to add additional project information such as binding requirements, packaging, delivery addresses, etc.

***Before uploading your files, ensure your images and photos are a minimum of 300 dpi, with crops and bleeds at .125 (1/8) inches. Booklets should be formatted as single pages, not spreads.

Reviewing/Approving Pages with SmartReview (Preflighting)

1. Under the “Pages” tab, click the name of the .PDF you wish to approve. A new window or tab will open to complete this process.

2. Ensure bleed, crop marks, trim, size and etc. are correct in main display and the Page Info window on the left.

3. Click the at the bottom, center of the window to approve your page. Make sure to approve each .PDF page by going through the list on the far left. A will alert you to quality warnings. Warnings can be ignored, they are just for your information.

4. PDF is now approved on the site (may have to refresh). An email will be generated after you approve or reject the file. If corrections need to be made, they can easily be done at this point.

Alternate Method for Sending Files:The “Email Secure link...” tab can be used to send files for approval without SmartReview. You will not be able to preflight using this method, and your job will not have a “preview.”

Correcting/Substituting Pages

1. Corrections should be uploaded into the same job folder as the original files; a new job need not be created.2. Corrections can be submitted as single pages or simply re-upload the entire updated file.3. Name the updated .PDF using its page number or file name, and indicate it is a revised version. Examples: brochure_page3_n.pdf booklet_P3_revised.pdf brochure_R1.pdf booklet_NEW

***After uploading your revised file, the approval process starts over (page 6).

Warnings can be ignored; they are just for your information.

Errors, if present, must be corrected.
