The current version of QuikReports works only if the biblio- graphic and holding records are combined into one file. There are many changes that ALS made tothis release, most notably in the circula-tion module. Many files from the priorrelease were deleted, and many new filesadded. In.the same vein, many reportsand features from the prior release are nolonger available and many new reportsand features look and act completelydifferent. We need to take time to use andunderstand LMS 6.2.1 and make workflow adjustments i f necessary.

The Nunez Community College bibliographic data were loaded into production on June4 and the Center for Energy Studies and the Louisiana Energy and EnvironmentalResource and Information Center data was added to LOUIS on July 10. We plan to loadthe bibliographic data for the LSU Lab School and the Southern University Law Centerdata into LOUIS in the near future.

Ameritech Library Services informed us that we are now the largest user of InfoShare.In April we processed nearly 70,000 searches against the locally mounted databases onInfoShare and on April 18 and April 25 we processed over 300,000 CICS transactionseach day. Nearly 50 million CICS transactions were processed by the system in 1995.4,359,834 OPAC searches, 1,747,lOO circulation transactions and 32,427 batch jobswere executed during the 1995-96 fiscal year.

The LOUIS staff hosted the second Louisiana Users of the Internet conference on May22-24 and over three hundred attended the conference. Unfortunately, we will not havethe time to host the conference next year.

The Board of Regents’ Advisory Committee will be called the LLN Commission andheld meetings on April 16 and July 11. The purpose of the LLN Commission is “toassist the Louisiana Board of Regents and Louisiana State University in developingpolicies, procedures, and priorities for long-term maintenance, operation and enhance-ment of the Louisiana Library Network (LLN) and LOUIS (the network which providesautomation services to academic libraries) and to make annual recommendationsconcerning funding needs.” The members of the Commission include Dr. CarolynHargrave (chairperson), Jennifer Cargill, Ron Hay, Tom Jaques, Jill Fatzer, Dr. LaureneZaporozhetz, and Dr. Ada Jarred. Jill will serve a one year term, Laurene will serve atwo year term, and Ada will serve a three year term. The terms for these three positionson the LLN Commission started July 1, 1996, and a new representative will be electedby all LOUIS library directors each year.

The 1996-97 budget for the Louisiana Library Network is $2,057,511. The Stateallocated $1,440,000 to the LLN through the Louisiana Board of Regents and invoicesfor the balance of the budget have been distributed to LLN academic and publiclibraries.

Again a great big “thank you” and “congratulations” to all who helped implement LMS6.2.1. Get ready for LMS 6.3.1.

As of 8:30 a.m., April 4, 1996, the CardCatalog at McNeese State University,Frazar Memorial Library no longer exists!

The last card was removed and thrown inthe trash at that time. We have taken thisstep because of al l the things that arehappening to us because of the LOUISproject. Our holdings were totally inFRED as of the day we went into produc-tion on June 24, 1994, but we held on tothe card catalog because we were still tiedto it.

We have complete confidence in theLOUIS project and the LOUIS staff andthe Computing Services Staff at LSU thatwe will never need to return to the cardsys tem.

Thank you Ralph, LOUIS Staff, Dr.Carolyn Hargrave, LSU ComputingServices, and the LSU Middleton Libraryand all those who worked so hard to makeLOUIS possible.

SUMMER ‘96 LOUIS SYSTEM ADMINISTRATOR MEETING SUMMARYby Carolyn Coca

The biannual LOUIS system administrator meeting took place onJuly 25 and 26 at the new Computing Services Center on the LSUcampus. In attendance were system administrators and otherslibrarians from the following: Delgado, La Tech, LEERIC, LSU,LSU Lab School, LSU Law School, LSU-A, LSU-S, McNeese,Nicholls, Northeast, Northwestern, Nunez, Southeastern, South-em, Southern Law School, Southern-NO, UNO, and the entireLOUIS staff.

To begin the meeting, each system administrator was asked togive an update on the latest “happenings” at their l ibrary. Follow-ing are a sampling of the updates. Vivian Hurst reported that theyhope to have the LSU Lab School up and running in NOTIS by

searching for an assistant director/system administrator. MarthaHenderson reported that Northwestern is currently dealing with anasbestos problem, and that they are planning to begin using NOTIScirculat ion in January. Johnson Awumah from Southern Universi tyreported that they are currently using NOTIS cataloging, OPAC,and Circulat ion functions, and that they are currently test ingAcquis i t ions funct ions . Southern is a lso consider ing the possibi l i tyof migrat ing from their s tand-alone NOTIS system to the LOUISsys tem.

One major topic of discussion was the instal lat ion of the upgrade toour library system software: NOTIS LMS 6.2.1. Sara discussedthe plan for the implementat ion, and system adminis t ra tors took a

December. Denise Repman said that Delgado is working with thecirculation module in the Training region, and that they have beenworking with some problems in Techpro. Karen Leeseberg fromNunez happily reports that they are now up in NOTIS, and thatfour of their l ibrary PC’s now have access to Vista. Glenn Maninosaid that UN0 is considering plans for the Acquisi t ions module,and that they are acquiring some new PC’s for the l ibrary. RitaMill ican reports that the LSU Law School now has a local areanetwork running in the l ibrary. Floyd Bennett reports that LSU-Ais preparing to bring up the circulat ion system next year. JoeMcNeil1 said that McNeese is planning to br ing up Circulat ion inthe fal l , and that they are considering possibi l i t ies for Acquisi-t ions. Mary Penny at Southern- NO reported that they now havee-mail accounts. Betty Burroughs reported that Southeastern is

vote on the best day to begin the upgrade. Sara also explained theupcoming upgrade to the control unit software. Cathy urged systemadministrators at institutions utilizing the NOTIS circulationmodule to view circulat ion reports in “=U.” She discussed thereports in “=I” and gave instruction on how to “snap” the reports toa dataset so that they could be printed. Cathy also discussedNOTIS QuikReports, and explained why they will not be functionalfor LOUIS inst i tut ions unti l the next software release.

Shaolong talked about Infoshare, and explained the three compo-nents of the system which al l must be running in order for Infoshareto function properly: the server, the client, and the TAG. He alsodiscussed some of the problems that have arisen with this productand how Ameritech and the LOUIS staff are dealing with them.

QUIKREPORTS 6.3by Cathy Sicurd

QuikReports is a reporting software package designed to meet theneeds of Ameritech Library Services LMS users. QuikReportsreports your acquisitions, cataloging, and circulation activities inthe form of tables and charts. A batch job using SAS programsproduces your printed reports .You can schedule your reports online and i t was designed to givethe user considerable flexibility in displaying and organizinginformation in the printed reports.

LOUIS ordered QuikReports last December from ALS andproceeded to implement it. To our dismay, the product did notwork in our environment. Each LOUIS site has numerous files thatstore all of their library data. Two files that each site has are thebibliographic file and the holdings file. ALS gave us the option,way back when, to store the bibliographic and holdings data in one

file, or separately into two tiles. We chose to separate theminto two files for each site. This works beautifully in LMS,but not for QuikReports. So unfortunately, we were at astand still until ALS applied the necessary fixes.

Well, the problem has been fixed and we have been invited tobe a beta site to test the new and improved product! Weagreed to be a beta site and some of the LOUIS sites (LaTech, LSU, McNeese, Northeast, Southeastern) have beenasked to take part in this test ing phase. We recently opened i tup for use by all LOUIS sites. Thanks to those of you whowill be involved in the testing phase! Good luck!

LOUIS is transferring ownership of the grant-supported Internet access equipment (workstation, router, and DSU) to the parishes. Theresponsibility to support and troubleshoot problems you encounter with the equipment will also transfer to the State Library. SaraTaffae is being trained by the LOUIS staff and an additional support analyst will be added to the State Library staff in the near future.

Meanwhile, I’ve been getting many calls from parishes who need to know how to get to a DOS prompt to install Bookware, the clientprogram that will communicate with the State Library’s new interlibrary loan service. In an e-mail to LLN-L I’ve posted the steps toget to a DOS prompt. I’ve also posted to LLN-L the specifications for adding RAM to your PC. You probably will need to add moreRAM, especially if you load Bookware and Netscape. Look on page 29 of the manual titled Installing Options that we left with theworkstation when we installed it.

I strongly recommend that libraries contract with a local computer service and repair shop to help you install software and maintainyour machines. Remember, the manuals are always a good place to start looking for answers.

Bron discussed Infoshare database updates, and explained the processof loading the disks onto the Infoshare system. Rachel Murphree(LSU) discussed LSU’s new ins t i tu t ion group: LSUR.Sara discussed the structure for charging LLN fees to LOUIS andLLN libraries. Bron discussed the transfer of ownership of LLNequipment to the publ ic and school l ibrar ies , and the posi t ion that wil lbe funded by LLN to support the maintenance of the LLN softwareand hardware. Zehra updated everyone on the status of the Govern-ment Documents load, and Carolyn discussed the recently writ ten199596 Report to the Board of Regents , which is now avai lable viathe LOUIS Web page.

NUGM, the NOTIS Users Group Meeting, and LaNUGM, theLouisiana “re-cap” of NUGM, were discussed. Several systemadministrators are planning to at tend NUGM in Chicago. Also, GlennManino, system administrator at UNO, volunteered to host LaNUGMat UNO. The date for LaNUGM was set for Friday, November 15,1996, and the approximate meeting time will be from 9:00 am until4:30. Glenn will post further LaNUGM information on the LALINC-L Discuss ion Lis t .

Lisa discussed WebPAC and gave updates regarding InfosharelSilverplatter/Wilson databases, the progress that has been madeby the two database selection committees, and our plans forloading addit ional databases in the near future. Carolyn wentover instruct ions on how system adminis t rators can disconnect astaff member from his NOTIS terminal by using “acfmud,” andasked for the names of people who should have access to thistransaction. Cathy briefly discussed the success of the 2ndLouisiana Users of the Internet conference, and explained thatthe LOUIS staff wil l not host i t next year .

The final i tem on the agenda was the discussion of futureLOUIS plans and upgrade schedules. The next systemadministrator’s meeting is planned for January 23-24, andi t wil l take place in Baton Rouge, a t the LSU ComputingServices Center conference room.

The government documents reconversion project is currentlyunderway to convert and bring online the government docu-ments of eleven LOUIS libraries. It is scheduled to becompleted by the end of 1997. The libraries participating inthis project are LSU-Law, LSU-S, McNeese, Nicholls,Northeast, Northwestern, Southeastern, Southern-BR-Law,Southern-N.O., Tech, UNO.

The project is funded by a grant of $157,350, whose PrincipalInvestigator is Jill Fatzer, Dean of Library Services at UNO.

On June 14, 1996, the Government Documents Recon Projectmeeting was held at the Computing Services Center to discussthe objectives of the grant, evaluate requirements, scheduleloads, and the profi le disket tes .

The vendor MARCIVE will provide a union tape of everyrecord for the conversion covering the year range 1976- 1996.The 049 field will have the holding codes of each libraryselecting the record.

The grant covers the cost of one holding code, with eachinstitution paying $250 for each additional holding code. ALOUIS analyst will write preprocessors to separate the recordsfor each institution, and we will work with each library toprofile the LBC30 loader according to each library’s individualneeds, before loading the records into the database. A separateprocessing unit will be created for each institution for thegovernment documents .

The loading schedule was to be established based on twoconsiderations. One was to load the larger institutions towardsthe end, yet balance the load to avoid potential disk spaceproblems. The other was to begin with institutions whosedocuments librarians were familiar with NOTIS, and who werelarge enough to cover a wide range of different record formats,types, and problems. The project would begin the load withNicholls (65% selective) and follow with McNeese (67%).UN0 (97%) and TECH (100%) would be the last to be loaded.Beginning in Jan 1997. there will be one load per month, withthe final annual update loaded in December ‘97 or Jan ‘98depending on when LOUIS receives the tape.

At the meeting each inst i tut ion was given a copy of theMARCIVE GPO profile. This has to be completed beforeMARCIVE will create the diskettes that are to be used bythe libraries for choosing the items they select. Each institu-tion must complete profiling the diskettes by the end ofNovember ‘96.

It was decided to use the listserv BAYOUDOC as the mainsource of communication. All messages about the project willhave the prefix ‘RECON:’ on the subject line.

The grant funding this project has two object ives, f i rs t to load thegovernment documents and second, to train and instruct thebusiness community through their public libraries and theacademic users of documents.

To meet the second object ive Ji l l Fatzer suggested that to help thepublic libraries understand and better utilize the governmentdocuments, generic versions of the Help and Explain screens forthe OPAC should be designed, and each campus modifies it fortheir individual OPACs.

To increase campus awareness and diffusion of information to thecommunity, a subcommittee will be formed to design informationsheets. There is one depository library in each congressionaldistrict. Each depository will contact the public libraries in theirdistrict. The State Library will be contacted, at a later date, toarrange for a demonstration at one of their meetings. Campuseswill work with the Small Business Development Centers toprovide handouts they can use.

An Evaluation Committee was created (Dr. Martha Henderson(Northwestern), Brantley Cagle (McNeese), and John Conover(Nicholls), to oversee the evaluation requirements of the grant.To est imate the usage of documents, both quanti ty and pattern ofuse, a baseline will be determined using circulation and in-houseuse figures of this Fall. The methodology for determining thesefigures will be created and used again a year after the completionof the grant .

To evaluate improved instruction a plan will be created to identifycourses and instructors who use documents. A survey may bedeveloped to measure the degree of progress this grant hasprovided.

UN0 will be the fiscal agent for the grant and will processreimbursement forms and handle all invoices, etc. Budget formswere handed out that would be used to document hours spent onthe project, including working with the campuses and publiclibraries.

If the cost of the bibliographic records exceeds $60,000, adecision will have to be made whether each institution pays theirshare or forego the first annual update.

MARCIVE estimated that the year range 1976-l 996 covered355,000 records. Based on the percentage selected by each of theeleven institutions, the Government Documents Recon Projectwill be loading a total of approximately, 7 11,9 17 records!

On July 10, 1996, we loaded 12,224records into the new inst i tut ion groupcalled LSU-Other.

This ins t i tu t ion group conta ins therecords for LEERIC (Louisiana Energyand Environmental Resource andInformation Center) and CES (Center forEnergy Studies). Both LEERIC and CESare two separate libraries of LSU.

The separate inst i tut ion group cal ledLSU-Other was created to load therecords of the other libraries on the LSUcampus. In the near future, we will beloading the records of LSU UniversityHigh Lab School to th is ins t i tu t ion group.On the Navigator screen LSU-Other isl is ted under CAT2.

LSU-Other will serve as a model forother ins t i tu t ions that have remotelibraries whose holdings they would liketo automate without combing or mergingwith the records of the main collection.Other institutions to soon join the LOUISis Southern University Law Center andBossier Parish Community College.

LLN-PLAC MEETINGby ZeeZee Zumin

The LLN-PLAC (Public Library Advi-sory Committee) meeting was held at theBluebonnet branch of the East BatonRouge library on July 19, 1996.

Tom Jaques gave a report of the July 11,1996, LLN Commission meeting. Heinformed the group that money had beenallocated to hire a technical supportperson to assist Sara Taffae. He alsomentioned that the LOUIS installedequipment was going to be transferred tothe public libraries and that the publiclibraries were to contact Sara Taffae fortechnical support. LOUIS will be thebackup for the State Library.

Following his report, the committeediscussed the database survey results .Gary Rolstad, Trudy Jaques, and LesleyDolinger reviewed the questions asked,the statist ics generated, and the conclu-s ions drawn.

After a short break and an OCLC FirstSearch demonstration by Ron Gardner,the committee (chaired by GarlandStrother) ranked their recommendationsfor databases for the public libraries, aswell as some alternate choices:

2. Datatimes or UMI - NewspaperAbstracts

The Database Sharing Subcommittee is charged with advisingthe Louisiana Library Network Commission on databaseselections. The subcommittee surveyed the LOUIS librariesand created a ranked l ist ing of the most heavily requesteddatabases. The committee also explored possibilities of sharingdatabase access by LALINC libraries who are not a part of theLOUIS; f ind out how the Louisiana l ibraries provide electronicdatabase access; explore different delivery methods; shareexperiences and expertise; understand State funding of data-bases; and explore the potential for sharing the costs of data-bases by all Louisiana academic libraries. It was decided tohold a seminar and ask each LALINC academic library directorto send a representative from the Reference staff and one fromthe library Systems staff.

A day-long seminar on electronic database sharing, popularlycalled the ‘Roundup’, was held on June 19, 1996, at theComputing Services Center. It was sponsored by the DatabaseSharing Subcommittee of the Resource Sharing Committee ofLALINC.

Forty-seven people from 25 inst i tut ions at tended the seminar.They represented all state higher education systems, private andpublic, community colleges and professional schools, LOUISand non-LOUIS academic institutions.

The seminar began with an overview of the project, anddiscussion of the benefits accrued by cooperative access, aswell as the airing of concerns and concessions that would haveto be made.

David Atkins demonstrated the delivery methods available forfull-text and citation electronic databases. Different searchengines were used, highlighting equipment and softwarerequirements.

Then the breakout sessions took place. Five groups werecreated, where large libraries were paired with smaller libraries,so that the expertise and experience of one would benefit theothers. The discussions were lively and several issues wereexplored. Each group had a member of the Database SharingSubcommittee, so that the concerns of al l the attendees wererecorded.

After lunch instead of breaking out into groups again, as had beenplanned, one huge discussion took place. Several questions wereanswered, and the following recommendations were made.The LOUIS and non-LOUIS libraries expressed a great willing-ness to share databases. Providing adequate electronic access tolibrary users, whether in the library, from campus, or remotely,was a major concern. It was recommended that the Subcommit-tee pursue sett ing standards for access and equipment so that asmany libraries as possible could participate in access to data-bases.

Full-text was important for everyone. The Subcommittee wasasked to conduct a statewide comparison of full-text providerse.g. VISTA, IAC, UMI, EBSCO, etc., and to survey the opinionsof the librarians and users alike.

The Wilson databases were selected as a first choice of databases.Again it was recommended that the Subcommittee look into thefeasibil i ty of purchasing the full package of Wilson databases.

Two databases, INSPEC and COMPENDEX, currently availableto six engineering schools were also discussed. COMPENDEXis still not available on LOUIS, while INSPEC has not been usedas extensively as expected. Both of these databases are expensiveand the need was fel t to investigate al ternative methods of access.

Next, a review of the survey by the Subcommittee of the LOUISlibraries took place. The group as a whole endorsed using theranked list of databases as a guide for the LLN Commission. Itwould represent the database needs of the Louisiana academiclibraries.

Finally the seminar ended with Ralph Boe’ giving a muchanticipated overview of the status of State funding for thedatabases, and answering several questions about the differentoptions for sharing costs for cooperative access to databases.

INAUGURATION OF ELAINETby Karen Leeseberg, Nunez Community College

About 150 guests attended the celebration. Nunez faculty, staffand students were joined by community members and representa-tives of local libraries. Librarians from the local LOUIS libraries

After three years of preparation, ELAINet, the Nunez Libraryportion of LOUIS, was inaugurated on Friday, September 6, 1996.ELAINet stands for Electronic Library Automated InformationNetwork. The name also refers to the fact that Nunez is the onlyhigher education institution in Louisiana named after a woman.

She alsomentioned that she getsjust as excited at attend-ing inaugurations now asshe did at the f i rs t ones in1993. Ms. Dawn Wilsonrepresented the Board ofTrustees of the Universi tyof Louisiana System and told of the importance of LOUIS forNunez and all the participating institutions. Ms. Zehra Zamin,Network Information Specialist from the LOUIS Office, told ofsome of the advances planned for the system.

After the formal program, the activities moved to the library wherethe ribbon was cut. Demonstrations were given by the librarians.Plans for the future library were on display. The Culinary ArtsDepartment provided wonderful refreshments including a cakedecorated with the ELAINet logo. The Nunez Friends of theLibrary contributed greatly to the success of this event .

The l ibrarians have been busy teaching classes and individualpatrons how to access ELAINet and all the wonderful features itcontains. Enthusiasm among the library patrons is very high.Workshops for Nunez faculty, staff and students are being heldduring Fall Semester.
