Hostel Guidelines 2019-20
1. About IMS Hostel-Dhruv & Rohini
The IMS Hostel is a happy home for students from different places, and it is the unique youth hostel
in Ghaziabad. Hostel environment along with available amenities play very important role in
student’s overall development during his/her stay at the campus. Presently Institute is having two
hostels, DHRUV –The Boys’ Hostel and ROHINI – The Girls’ Hostel, "double rooms" with a total
capacity of 460 (Boys-260 and Girls-200). Hostel managing committee members along with a
team of two wardens in each hostel, and a chief warden are instrumental in hostel related affairs.
For smooth running of all the amenities, there are student committees like Mess committee, Sports
committee, Yoga committee and Cultural committee.
2. Accommodation
2.1. Hostel accommodation is available to a student, who is registered in the Institute as a regular
student. Accommodation will not be provided to any student whose registration is cancelled. Any
student who is removed from the rolls of the Institute will automatically cease to be a member of the
hostel.
2.2. No student will have a right to occupy a room during vacation. But he/she may be permitted to stay
on request, if he/she is doing SUMMER INTERSHIP PROGRAMME (SIP) or any course work / project
work / Institute work / Hostel work.
2.3. Hostel rooms will be allotted for full session. No pro rata allotment of rooms is permissible
2.4. No refund is permissible once hostel room is allotted
2.5. Any default in hostel fees shall be considered as default in academic fees.
3. Allotment of Room
3.1. At the time of admission of a student into the hostel and at the beginning of every year, each
resident is required to submit a duly completed Personal Data Form. Local guardians’ address and
phone number is optional. Email of the student and parent should also be provided. Any change of
address / telephone number of the parent / local guardian, at any point of time, has to be intimated
to the hostel office in writing.
3.2. Registration for Hostel through ERP : Apart from filling the “Personal Data Form”, all the students
have to apply for the Hostel room through the IMS ERP. The process is as follows: a) Login to the IMS ERP (used during the admission process) using the login credentials. Login ID : Your Email Id (you used while applying for IMS) Password : You have received in your Official Email ID b) OPEN THE Hostel Registration Link (visible in the left menu). IMS ERP WEB ADDRESS:

c) Open the link from Registration Form. d) Fill all the required fields (* marked are compulsory). e) Submit the form.
3.3. Once the Wardens approve your application for hostel and allocate you a room, the details will be
visible to you in your ERP login.
3.4. The Hostel administration will generally provide for each occupant one cot, table, chair and almirah,
ceiling fan, CFL lamp, tube light, curtain, washing machine and ironing facility (in utility room). On
arrival a student will report to the Caretaker and will take possession of the room after signing the
inventory of the furniture, electrical and other items in the room.
3.5. Room once allotted to a student for an academic year will not be changed, except on special
situations with the permission of the Director.
3.6. Before vacating the rooms, the electrical installations including the fan should be handed over
intact, in addition to the furniture to the caretaker. The student should fill up the Room Vacating Slip
in duplicate and take no dues on one slip from caretaker.
4. Code of Conduct
4.1. All residents are required to maintain standards of behavior expected of students of a prestigious
institution of national repute. They are expected to behave courteously and fairly with every one
inside and outside the IMS campus.
4.2. All residents are required to always carry their valid Identity Cards issued to them by the Institute,
with RFID and Bar-code. Red colored card for hostellers serves the purpose of Student ID card,
Library Card & Hostel Card. A fee of Rs 250/ shall be charged for the issue of duplicate ID card.
4.3. The rooms, common areas and surroundings of the hostel should be kept clean and hygienic.
Notices shall not be pasted on walls and walls shall not be scribbled on.
4.4. Rooms are allotted to each student on his/her personal responsibility. He/she should see to the
upkeep of his/her room, hostel and its environment.
4.5. Students should bring to the notice of the caretaker any pending maintenance work
(Civil/Carpentry/Electrical/Sanitation) to be carried out in rooms, corridors, toilets or other areas in
hostel premises.
4.6. Students should co-operate in carrying out maintenance work and vacate their rooms completely
when the Hostel administration requires the rooms for this purpose. On such occasions, the
management will try to provide alternate accommodation. If any maintenance work is to be carried

out when the room is under occupation, it is the occupant’s responsibility to make the room
available for the maintenance work.
4.7. The students should not carry unauthorized/illegal movies in their rooms. Any violation will be dealt
severely.
4.8. The resident of a room is responsible for any damage to the property in the room during his / her
occupancy of that room and will be required to replace/repair at their own cost the damage, if any.
4.9. In case of damage to or loss of hostel property the cost will be recovered from the students
responsible for such damage or loss, if identified, or from all the students of the wing/hostel, to be
decided by the wardens. 4.10. The resident shall not move any furniture from its proper allotted place and also not damage them in
anyway. If there are any additional items other than the above belonging to the hostel in a room, the
occupant of the room shall hand over them to the caretaker, failing which he/she will be charged a
penal rent as decided by the wardens.
4.11. The resident shall not remove any fittings from any other room or common area and get them fitted
in his/her room.
4.12. Ragging of students admitted to the Institute is totally banned. Any violation of this by the senior
students will be dealt with very severely as per the Institute norms and guidelines issued from time
to time by the competent authorities. (Refer Advisory-1)
4.13. Students should report incidents of ragging immediately. Those who do not do so even when being
witnesses or victims, will be considered to be part of this practice, and will also be punished
accordingly.
4.14. When the persons committing or abetting the crime of ragging are not identified, collective
punishment on suspected group could be resorted to as a possible deterrent measure, as it would
ensure community pressure on the potential raggers not to indulge in ragging.
4.15. In the hostel premises following are strictly prohibited – • Smoking • Consumption of alcoholic drinks/drugs. • Gambling • Intimidation or violence • Willful damage to property • Entering the hostel premises in intoxicated state. • Moving in the colony sector or near the Girls hostel premises after 10.30 PM. • Shouting and using abusive language in their own hostel or in other hostel premises and
campus.

• Employing unauthorized persons for personal work such as washing clothes, etc. • Cooking in room. • Playing Audio/video with high volumes
4.16. Room services are strictly prohibited. However, sick diet may be served in room after taking
permission from Senior Warden/Warden.
4.17. Residents should not participate in any anti-national, antisocial or undesirable activity in or outside
the campus. 4.18. The use of electrical appliances such as immersion heaters, electric stove / heaters are not allowed
in the rooms. Such appliances, if found will be confiscated and a fine will also be imposed. 4.19. The use of audio systems which may cause inconvenience to other occupants are not allowed. The
students should not view objectionable videos.
4.20. When the students go out of their room they should switch off all the electrical / electronic
appliances, and keep it locked. Violation will attract suitable penalty and punishment as decided by
authorities.
4.21. In case any student has to stay out of hostel for a day or more for any reason, he has to inform the
warden and take his/her prior permission.
4.22. Students must seek gate pass and make entry in the ‘in-out’ register available with the warden and
return back by 8:30 PM. All residents of girls’ hostels must be back in the hostel by 7.30 PM. in any
circumstances
4.23. In case if a girl student needs to stay out of the hostel after 7.30 pm due to any reason, she has to
take prior written permission from the Senior Warden and subsequently warden will verify the case
mentioned above from the guardian/parent of the concerned student. Violation of this rule may
lead to disciplinary action including expulsion from the hostel.
4.24. Hostel residents should be always careful while moving outside the hostel. Individual’s safety is our
utmost priority. (Advisory-2)
5. Medical Facilities and Mediclaim Policy
5.1. Scheduled doctor visits everyday in the hostel for two hours in the evening
5.2. In case of emergency, ambulance facility is available
5.3. Round the clock Medical Aid is available through hostel tie-up with nearby hospitals.
5.4. As per the existing Mediclaim policy, hostellers are provided up to an amount of Rs. 2,00,000/-

cashless on certain ailments with 2.5% room rent free charges and 2.5% of ICU charges of the sum
assured.
5.5. Hostellers are insured for Rs. One lakh on accidental death (Details can be obtained from Manager
Administration). In case of death of parent due to accident, 2 lakh sum assured with waiver of
tuition fee.
6. Guests & Visitors
6.1 The parents of students and their guests may visit the student in the VISITORS’ ROOM after due
permission from Chief Warden/Warden and after making proper entry at the hostel gate.
6.2 Male students / visitors are not allowed inside the girl’s hostel.
6.3 Female visitors are not allowed in boy’s hostel. Lady family members may be allowed to visit a
student in the visitor’s room in the hostel between 9.00 am to 7.00 pm with the permission from the
Chief Warden/ Warden.
6.4 Violation of any of the above rules regarding stay in the hostels will lead to disciplinary action
including expulsion from the hostel.
7. Disciplinary Measures
7.1 Any student who is found to be indulging in undesirable activities such as ragging, physical assault,
damage to property, causing inconvenience to other inmates, non-compliance of any of the code of
conduct rules, or violation of any other rule defined in this manual will be liable to the following
punishments- a) Expulsion from the hostel. b) A record of his / her misconduct will be made in his/her personal file. c) The cost of damage will be fully recovered from his/her security deposits together with the
penalty. d) He / she will also be fined commensurate with the offence committed/decided. e) The privilege of appearing for campus interviews will be denied, when he/she reaches the
final year. f) No recommendations will be given to him / her for future jobs. g) Rustication from the Institute.
7.2 Any student found hosting / harbouring an offender will also be liable to the punishment mentioned
in rule 7.1.
7.3 Availing room service or taking food or mess utensils to the room will attract a fine and disciplinary
action by hostel administration, if repeated.
7.4 Any breach of the code of conduct rules or any act of indiscipline will invite an enquiry that will be
conducted by; the higher authorities. If the student is found guilty, then the authorities will take

disciplinary action that it deems fit. Depending on the case, the higher authorities reserve the right
to take direct disciplinary action, amounting to even expulsion at short notice from the hostel.
8. Responsibilities of Residents
8.1 General damage to the hostel property will be the collective responsibility of all the residents and
they will be required to make good of such damage, if the students who caused the damage could
not be identified.
8.2 Residents should not indulge in practices / activities, which may endanger their own personal
safety as well as that of others.
8.3 Residents will be personally responsible for the safety of their belongings.
8.4 Residents are duty bound to report to the Wardens / Chairperson / Institute authorities in case they
notice any unwanted incident or undesirable activity going on in the hostel or on the campus.
8.5 Residents are not allowed to use motorcycles / scooters / four wheelers in the hostel campus.

8.6 Residents are required to be conscious of the environment in which they live by keeping it clean,
healthy and presentable.
8.7.1 The residents of the hostel are responsible for the safe keeping of their personal belongings. They
are advised to keep under lock (preferably a branded one) all valuable items such as Laptop, Mobile
Phone, etc. and lock the room even when they are out for a short period. 8.7.2 Residents are also suggested not to keep cash inside the room.
8.8 Any case of theft should be reported promptly to the Chief Warden/Senior Wardens/Security
Officer.
8.9 If students create law and order problem outside the campus, they are answerable to the police or
city administration on their own. In such cases, they will also be answerable to IMS higher
authorities as per the institute norms.
9. Hostel Fees Students have to submit hostel fee in IMS Lal Quan campus by filling prescribed fee deposit form.NOTES:

1. The AC facility will be available from April 1 to October 31 or till Diwali vacations whichever is
earlier for the respective year. 2. The request for the rooms should reach in pairs to the hostel warden. 3. All rooms are on twin sharing basis. 4. Hostel accommodation will only be permissible for academic session. Thereafter it may be given
in the circumstances on the special approval of the management, but necessary charges will be
applicable. 5. Hostel Fee may be changed at any time at the sole discretion of the management.
10. Mess Functioning
10.1. All the inmates of ‘Dhruv & Rohini’ hostel will compulsorily become permanent members of the
mess.
10.2. It will be sole responsibility of the mess contractor to provide quality food and services as per the
scheduled time in the mess.
10.3. Each hostel mess will have a “Mess Committee’ consisting of inmates of the hostel to be selected
by the Managing Committee-IMS Hostels The term of this committee will be for a period of one
semester, unless extension is provided or new committee is formed in the next semester, as per
rule. 10.4. On the basis of inputs regarding choices of menu items received from the hostel residents through
Google doc, the choice of majority residents is considered for selection of menu items. The mess
committee will prepare the monthly menu in consultation with Hostel warden and duly approved by
the managing committee-IMS hostels and also get it displayed on the on the notice board.
11. Mess Rules
11.1. ‘Self service’ is applicable inside the mess. Mess users are to be in proper dress. In no
circumstances, a student in indecent dress will be allowed to enter the mess.
11.2. Students are not permitted to cook any food on their own accord in the mess or in their rooms.
11.3. Students on no account whatsoever will be permitted to take food outside the mess. Nor can they
take mess utensils such as plate, spoon, tumblers, etc, to their rooms.
11.4. No food will be served in the rooms of the hostel for any student unless a request is made in
advance to the Sr. Warden regarding their illness and a medical certificate is presented. 11.5. All diners shall interact with the mess staff in the dining hall in a courteous manner.
11.6. After eating food, diners shall leave the cup, plate, waste food etc. in the designated bins.
11.7. If any diner is medically ill and requires a sick diet (e.g. Boiled food) he / she can request the mess
warden to arrange for the same at the mess.
12. Mess Timings
The mess timings are as follows and the students should adhere to these timings.

13.1 Hostel fine will be imposed for violating the hostel and mess rules.
14. Hostel Amenities
14.1 IMS Hostel is self-contained with amenities such as a common room with TV and reading facilities,
a Gymnasium, Facility Room, Warden Office, Guest Room and a dining hall with mess.
14.2 A Visitor’s room for parents of the students with good sitting arrangement is available.
14.3 A furnished Warden Office in which Senior Warden/Warden regularly will be available during the
fixed timings, so that the students can communicate their problems or difficulties, if any.
14.4 Furnished Guest Room for the parents of the students to be allotted with the permission of the Area
Chairperson/Chief Warden on payment of Rs. 500/- Per day.

It is to inform all hostel residents of DHRUV- BOY’S
HOSTEL & ROHINI- GIRL’S HOSTEL that Hostel authorities
will observe “Zero Tolerance” on the following issues:
• If found consuming liquor or banned substances in
the hostel premise;
• If found abetting ragging in any form (physical or
psychological one)
• If found creating nuisance or showing indiscipline or
damaging the hostel property;
• If found using filthy language or displaying indecent
behavior
• If found colluding with outside unlawful elements;
and Inviting friends/ batch mates without prior
permission in the hostel premise.
In all such cases, a student found guilty will be evicted from
the hostel with immediate effect, pending further enquiries
and subsequent penalties, as to be decided by the highest
authority.

Safety Guidelines for Hostellers All hostel residents are advised to adhere the following
guidelines while moving around in Ghaziabad.
1. Never move alone in the evening while outside the
hostel campus. This is for your own safety and
security. For girl students, it is to remind that chain
snatching is a serious threat.
2. In no circumstances our girl students should venture
out alone in autos plying between IMS Lal Quan and
Hostel. It is advisable that they should be in company
of two or with some escort during night time.
3. Seeking lift on the highway is strictly not advised.
NCR is not having good reputation for night
movement.
4. Whenever going outside hostel, inform the concerned
wardens and your room mate in advance.
5. Prefer day movement during holidays or off days.
6. Never confide in any stranger or desist from
intermingling with local people around. Confusions
may lead to bigger problems.

It is to inform all hostel residents of DHRUV-BOY’S HOSTEL & ROHINI-GIRL’S HOSTEL that possession of private vehicles in
Hostel premise is strictly prohibited. IMS hostel is situated on the National Highway-24, which is highly accident prone area
and an individual’s safety is our utmost priority.
In case of any eventuality, IMS would not be responsible for such incidents. Stern actions will be taken against the violator
leading to immediate suspension from the hostel.
