Onboarding Training Guide Chapter 1 – User Roles, Navigation, & Plan Creation

InEight BASIS Onboarding


Lesson 1 – User Roles Lesson Objectives

• Know the types of roles that use BASIS

• Know what the roles can do in BASIS

Project Creator The Project Creator role is typically a planner or scheduler at an organization. The user can create projects and has full rights to their projects.

1) Create / delete their own projects.

2) Use Knowledge Library and Smart Planning to inherit projects and subnets.

3) Use Productivity Rates.

4) Assign contributors to project for markup.

5) Manage markup process.

6) Manage Review and consolidation process.

7) Contribute to other projects when assigned as a project contributor or delegate.

Project Member The Project Member role can be wide range of organizational roles. The org roles can be Supervisors, Foreman, SME’s, External Subs, Customers, anyone that a project would like to contribute to the project. The Project Member role has two functions:

1) Contributor in the markup process when assigned to projects. This allows the user to

provide buy-in and feedback to a plan in a simple way.

2) Delegated planner on assigned projects. In this role the user can perform all of the tasks

of the planner but on for the assigned area(s) of a project.

Administrator The Administrator role in BASIS can also be considered the Super User. This role has full rights to everything in the customer instance of BASIS. The typical person in a company that will have these permissions is a senior planner who is a super user or a Planning/Scheduling leadership role. In addition to the permissions described for the Project Creator and Contributor Role the Administrator can do the following:

1) Manage the Knowledge Library (Projects, Productivity Rates, Knowledge Tags, Risks)

2) Ability to create, delete, and modify any project.

3) Access to the System Settings to add users to the instance.



Lesson 2 – Navigation

Open BASIS

1. Open Google Chrome or another modern web browser. Do not use Internet Explorer. 2. Navigate to my.basisplanning.com. 3. Enter your username and password.



Navigation Basics When you first login into BASIS you will land on the Projects page. This page lists all of the projects that you have access to. You can search for projects in your list and also Group By project tags. Depending on your role you will have slightly different menu options available.

❖ Select the Vasey Building project to open the project.

Project Navigation Let’s get oriented with the project screen. One of the first things that you notice about BASIS is the lack of a menu bar and menu items. Instead of a menu, the actions that you will take are embedded in the view. You will see more as we go along.

❖ Follow along as the instructor orients you on the Project view.



Lesson 3 – Creating Plans

Create a new Project 1. From the Project list many select “Add New Project”. 2. Name the project using your Name. 3. Leave all the other settings on the Details tab as they are.



4. Select Next to go to the Context tab. 5. Add context to your project allowing BASIS to understand the characteristics of the plan

you are creating.

6. Select Next to go to the Outline tab. 7. Choose from the list of Knowledge Library (KL) projects as shown below (For Training

Development Organization use Commercial Building_Training). 8. Select Level 2 9. Select Create



Note: We are also able to select / deselect individual project elements. Everything from the level that you select will be used by default. Deselect an item to not include it.



Create a High Level Plan A powerful capability of BASIS is to create a plan quickly and without the encumbrance of schedule logic. Many times at the start of the project or phase we want non-schedulers to identify the plan items and create a rough outline of the timeline. If we were doing this on paper we would “sketch” out the things we need to do and in a rough order and timeline. BASIS gives us this ability to do just this in a way that will easily carry forward into a schedule.

1. Turn on Sketch Mode.

Tip: In Sketch Mode you are able to freely move around planning items. You can add Planning Packages and Milestones but cannot add Activities.

2. Manually move planning package Procurement to the left and stretch it to add 60 days.

We are going to create some additional Planning Packages in the plan. There are multiple ways that we can do this.

3. Select the Pre-Construction Planning Package.

4. The first method to create a new Planning Package is to select Create planning package from the actions menu. This is a manual method allowing the addition of one planning package at a time.



5. A more efficient method is to use the Detail Out feature. Select Planning Package Preconstruction in the Gantt view and Select Detail Out under the actions menu.

6. Change the quantity to 2. Leave the defaults for the other options.

7. Update new WBS items created to Design and the second to Permitting by doubling

clicking in the WBS line. Example: WBS 1.1.1 to Design and WBS 1.1.2 to Permitting.

8. Select the Design Planning Package you just created.



9. In the Smart Planning panel BASIS makes suggestions for Knowledge Library (KL) items

that are a match. 10. Hover over the suggestion strength bar to see the reason BASIS has presented this

element as a suggestion.

11. We are going to take the first suggestion by BASIS and adopt it as the duration and benchmark for this planning package. Select the duration in the suggestion to apply and the suggestion description to apply the benchmark.



12. Select the same options for Permitting. 13. Select Benchmark from the Annotation list.

14. We can still manually modify any of the planning packages based on our judgment to a desired duration. If we go outside the benchmark BASIS will let us know.

Adding Deliverables and Units Deliverables and units are used by BASIS in a number of ways. The suggestions made by BASIS are influenced by Deliverables. Tip: If you assign Deliverable and Quantities, in the Knowledge Library BASIS provides an option to derive activity productivity rates based on the assigned deliverables and units.

1. Select the Design planning package.



2. In Smart Planning select “No Deliverable(1)” to add a deliverable and quantity. Change the deliverable to Drawings and the quantity to 45.

3. Note that the selected benchmark “Design” from the knowledge library has a deliverable of drawings with a quantity of 50. The duration of the benchmark was based on the 50 drawings that are the deliverable. BASIS is now suggesting that we can adjust our duration removing 20 days in light of the lower deliverable quantity. Select the duration to apply.



4. Select the Permitting planning package. Set the deliverables to Permits and the quantity to 30.

Adding Project Register Items The Project Register allows the project team to identify Risks, Opportunities, Ideas, and any other topics to any level of the project.

1) Select the Design planning package. 2) In the Iris panel select Project Register, then select Add Event.

3) We can type in a new risk or select from the suggestions. Select Get Suggestions. BASIS will present register items relative to this section of the schedule.



4) Click the first risk in the suggestion list to add to the Design Planning Package.

5) Score the risk with probability and severity values.

6) Smart Suggestions will suggest risks based on the context of the section of your plan. You are also able to adopt risks that already exist in this Project or from the full Knowledge Library list of risks.



7) Select Knowledge Library. You can choose from any risk, issue, opportunity, etc. in the Knowledge Library register.

8) Click Close.



Lesson 4 – Detail the Plan

Create a Detailed Plan The real power of BASIS comes in though when we leverage the Knowledge Library to help us rapidly build a plan based on historical projects or even simple templates. This enables quick project creation by pulling together portions of like projects and adjusting them based on the parameters of the project we are creating.

1. Turn off Sketch Mode. 2. Select the Construction planning package. 3. In Smart Planning select Import Knowledge Subnet.

4. The merge dialog will allow you to define which portions of the selected WBS you want included in the project. You can keep the default of everything or manually unselect areas. You can import the native durations ultimately changing the duration or your work package or have BASIS fit the packages/activities into the existing planning package duration.



5. Leave the default and Select Preview.

6. BASIS merges in the project section and presents it for preview. If you are happy with the merge then select to commit the import in BASIS.



7. Do the same thing for Design and Permitting to add detail to those sections.

Activity Productivity Rates Productivity rates allow you to apply productivity factors to the activities and scale the duration accordingly. They also allow you to derive a bottoms up cost for the project.

1. Select activity Foundations → Pour & Cure.



2. In Smart Planning select to use a productivity rate for the activity duration.

3. We can adopt rates from the Knowledge Library based on suggestions from BASIS.

4. Select “Adopt” for the Concrete Pour (generic) suggestion.



5. Change the amount of work to 1,000 and Crew to 2. Note how this impacts the activity duration and cost.

6. Select Update to apply this to the activity. 7. Select the Metric dropdown and select Annotation Cost.

8. The Bottoms Up and Top Down costs for the project can be viewed.



Add Project Team Members Adding team members to your project will allow for collaboration with the team and the capturing of their opinion via the BASIS Markup process.

1) Select Project Configuration from the project settings in the first level drop-down menu.

2) Select the Contributors tab and select Add User. Add the BASIS users to your project as role Contributor.



3) Select Add and the users will now be part of your project. We will assign these new

users to specific areas/scope in your project in Chapter 2. Note: We can also add Non-BASIS users to our project. This is great for allowing subcontractors, partners, customers, or any external stakeholder to provide feedback to the project plan.



Set Baseline Setting the baseline allows us to compare any future changes that we make to the plan to the current plan.

1. In the Plan project view, select Set Baseline.
