Saving Time and Money through Smarter Print Management As the first and largest community college in the state of Ohio, Cuyahoga Community College (Tri-C) prides itself on providing high- quality, accessible education. Each year, Tri-C offers more than 140 career, technical and liberal arts courses to 55,000 credit and non-credit students across eight campuses.

The college’s tuition is among the lowest in the state. But balancing high quality with low costs is a challenge, particularly in a tough economy. To ease the burden, Tri-C partnered with Xerox on an enterprise print solution. Al Moran, Vice President, Marketing, for Tri-C explains:

“With Xerox, we’re saving money for the college and we’re saving time for me. Anything we can do to optimize operations while saving costs helps us keep our quality education accessible and affordable.”

Higher Education with Lower CostsAs part of a larger centralization effort promoted by college leadership, Tri-C’s print operations were consolidated into a single center managed by Xerox. Five-year savings are expected to reach $1.5 million. In addition, the college replaced 400 outdated printers and copiers with energy-efficient multifunction devices. Says Moran:

“This was a no-brainer. We have the cost savings. We have the sustainability. And we don’t cut our expenses at the expense of others. It’s win, win, win all the way around.”

A Better Class of ServiceBefore the Xerox Managed Print Services implementation, Moran would deal with “calls and contracts and ordering paper and everything else that comes with running a print operation. But I’m not in the printing business. I’m in marketing.”

“People would come in with print jobs and we would say, ‘We’ll get it to you next Thursday or in two weeks or a month.’ They were not happy. Now we can say to three different people, ‘You can each have it on Friday.’ “

With a printing operation “run by people who do this for a living,” Moran says his team is free to focus on marketing. And the earlier problems?

“I don’t have them,” Moran says. “Now it’s routine to receive e-mails once or twice a week from satisfied faculty and staff.”

Sustainability and Savings as a Matter of CourseThe Xerox Managed Print Services strategy has decreased electricity and paper use by 34 percent at Tri-C. Says Moran:

“Think of the trees we’re saving, the water, the energy. The sustainability aspect of this is huge for us.”“It was beneficial costwise, timewise and missionwise. I can do my job and devote my time to where it should be—helping the college educate students.”
