BEFORE YOU START

Prerequisites for this exercise

You must have a cloud provider account with either Amazon Web Services (AWS), Google Cloud Platform (GCP) or Microsoft Azure.

You must have an SAP Community registration and user id, which you can create for free while performing the first exercise.

Using this SAP Cloud Appliance Library (CAL) solution is free of charge with a trial license for 30 days each. Plan accordingly that you would be done with the exercises

after 30 days. Please note that your cloud provider will charge you when creating and activating the

SAP CAL solution for using their infrastructure. Always make sure that you suspend or terminate the instance when you no longer need it. This is very important to avoid unnecessary costs.

Additional information:

This SAP Cloud Appliance Library (CAL) is based on the standard SAP S/4HANA 2020 (FPS01) Fully-Activated Appliance. This means you can test the standard processes provided as well as the ones we have added

for this course in this SAP CAL.

It is important to note that these additional processes are not configured in the standard SAP CAL.

Exercise 1: Access the SAP CAL and find the

required solutions

Overview

Estimated time: 5 mins

Objective You want to get an overview of the SAP CAL solution.

The course requires one SAP CAL solution instance to perform all exercises. This solution is different to the solutions used for the

previous courses (Gain experience with SAP S/4HANA – Business Partner CVI or Gain Experience with a System Conversion to SAP S/4HANA).

The SAP CAL solution is called:

• “5: Gain Experience with SAP S/4HANA – Logistics (openSAP)”

Find the solution In this process step, you will log on to the SAP Cloud Appliance Library and find the solution for this course. What to Do What You Will See

1. Open https://cal.sap.com and click on “Log on” Enter your SAP Community user id and password. In case you don’t have such a user id, click on “Register” and create one.

Note: You may need to enter your user id and password. You may have to provide these details on the following screens. The screen shots are in German. In the first screen you’ll need to enter your user id and in the second one your password.

2. Note: Make sure you are in the section “Solutions”. Then click on the Search field. Enter the following solution name to find the solution: “5: Gain Experience with SAP S/4HANA – Logistics (openSAP)”. Click on the search icon, in the search field, to start the search.

Please note that we can’t provide a screenshot showing the solution. It will only be made available shortly before course start. Simply look them up with the names as described on the left or best follow the URL link on page 4.

3. Search example with the search term “SAP S/4HANA 2020 FPS01”. Depending on the search term you may see one or more entries in the list.

4. In case you get multiple search results click on the icon on the right-hand side of the line to access the system details.

5. You will subsequently see the corresponding SAP CAL solution. Note: This is only an example screen.

6. Result: You have found the required SAP CAL solution and are ready to create your own instance in the next exercise.

Exercise 2: Create your own SAP CAL instance &

access it

Overview

Estimated time: 90 mins

Objective Now that you have found the required SAP CAL solution, let’s create your own instance.

• “Gain experience with SAP S/4HANA – Logistic” Additional Information Creating an instance can take up to 1½ hours. Please be patient. When creating an instance your 30-day free trial period will start running. Suspend your instance when you are not actively using it. You should terminate the system when you don’t want to use the instance anymore. Both actions will help to reduce the cost. Please note that terminating an instance will permanently delete it, so if you still want to work with it, obviously do not terminate it yet.

Exercise Description Perform the following tasks:

A) Create your own SAP CAL instance B) Access the instance.

Find the solution and create your own instance In this process step, you will create your own SAP CAL instance.

1. The process starts on the webpage of the instance you found in the first exercise. Click on the button “Create Instance”.

Please note that the above screenshot shows an example instance. Make sure you search for the right solution with the correct name or follow the link provided.

2. Choose your

cloud provider

account or

alternatively create

a new account. You

will need an

account to proceed.

Add a name for the

instance you are

creating. This

should be

meaningful to you.

In this example the

name of the

instance is

“openSAP – Course

– Demo”.

Choose your

master password

and enter it twice

into Password and

retype Password. It

must follow the

password policy

mentioned on the

page.

Click on the “Create” button.

3. The system will

ask you about

either storing the

private key in your

SAP CAL solution

instance or to

download it.

As this is a training system without any productive data, choose the simple option Store. Click on the button “Store”.

4. Once you see the green text “The private key has been stored.” Click on the link “Close”.

5. After clicking on the link you will see a message about how long it may take to activate the instance. You can close the message by clicking on the button “Close”.

6. You will see that the status will show that the system is being prepared. It will now take about 90 minutes till the status shows “Activated”.

7. About 90 minutes later the status will show “Active”.

8. Result: You have created your own instance.

Access your own instance In this process step, you will access your own SAP CAL instance. Note: The screen shots and steps below are based on a Microsoft Windows based computer. In case you are using an Apple Mac you will need to make sure you have installed the Microsoft Remote Desktop from the Apple App Store. You can either follow this link: https://apps.apple.com/mv/app/microsoft-remote-desktop/id1295203466?mt=12 or search for the app directly in the App Store.

Note: In case your instance was suspended you will first need to activate it. You will only be able to perform the following steps once this prerequisite is fulfilled.

1. You will continue from the last webpage. Click on the button “Connect”.

2. A pop-up window will be displayed. It will show you different options accessing the system. We will use the “Windows Remote Desktop”. In case you want to use another option check the “Getting Started Guide”.

3. Depending on your browser settings you will see a download starting. You will need to click on the file and choose the menu entry “Open” to start the process.

4. A pop-up window will be displayed. You will need to click on the button “Connect” to proceed.

Mac:

5. Another pop-up window will be shown. You will need to enter the password you choose when creating the instance. After entering the password choose the button “Ok”.

6. Another pop-up window will be shown asking for an action from your side. Choose the button “Yes” to proceed.

7. NOTE: You may see some pop-up window showing that a connection is being established. No action from your side is required.

8. You should see a Windows Remote Desktop session being opened.

9. Once the connection is established you should see a desktop. You should see an open web browser window with some additional information. In case the window is not open you can access the information by clicking on the link “Welcome”.

10. You can access the SAP system via SAP GUI. Click on the “SAP Logon” link on the desktop and a window will open. Click on the system maintained in the SAP Logon window.

11. The SAP GUI will open. You can now log on to the system with the users mentioned in the exercises or the getting started guide. NOTE: The client we are using for any exercise for this openSAP course is client 100.

12. Check the welcome page for the link for SAP Fiori or use the following link to access the SAP Fiori entry page of the system: https://vhcals4hcs.dummy.nodomain:44301/sap/bc/ui5_ui5/ui2/ushell/shells/abap/FioriLaunchpad.html

13. Result: You have accessed your instance and are able to start the SAP GUI and SAP Fiori.

Some additional tips managing your SAP CAL instance In the following table you will find some additional tips using your SAP CAL instance.

1. Make sure you close your Windows Remote Desktop session by choosing the “Disconnect” menu entry. This will allow you to access the same session again.

2. Suspend your SAP CAL instance when you are not using it. This will help you to save money. Choose the button “Suspend”. Once the SAP CAL instance is suspended you will need to pay the cost for storage, but not for running the system.

3. You will need to activate the system when you want to use it, meaning running processes in the system. Choose the button “Activate” to start the instance. It will take about 10 to 15 minutes before the system is running and you can access it.

Preparation 1: Access the SAP CAL and find the

required solutions

Overview

Estimated time: 5 mins

Objective You must check which period is setup in the system. In case the current open

period is in the past you will need to adjust it and ensure that the open period is the current month. Otherwise, you will see error messages when trying to run exercises for the units.

You will need to log on to the SAP GUI to check and adjust the period. The transaction that needs to be used is MMPV. You may

need to repeat this step, in case you are using the system in different months.

Exercise Description Perform the following tasks:

A) Access the system and open the transaction. B) Adjust the setting ensuring the current period is open.

1. Make sure you are logged to the instance with the Windows Remote Desktop.

2. Open the SAP Logon by double clicking the respective icon. You should see a new window opening.

3. You should only see one entry in the SAP Logon pad. Click on the button “Log On” in the bottom right-hand corner”. A new window will open.

4. Enter the value BPINST as user into the corresponding field on the screen. Enter the value Welcome1 into the Password field. NOTE: Check the information on the welcome page and the documentation of the system for the latest information about available users and their passwords! You should see the “SAP Easy Access” menu, assuming you entered the details correctly.

5. You need to access the transaction “Close Period”. You can access the transaction either via the transaction code (MMPV) or via the Easy Access Menu “Logistics → Materials Management → Material Master → Other → Close Period” The screen shots will show the path via the transaction code. Enter the code into the field in the top left-hand corner. Then press the “Enter” key on your computer keyboard.

6. In this first step you will only check the current period. Enter the company code you are checking. Enter the value 1710. Tick the box for the value “Use current date:”. Make sure that you select the radio button for “Check period only”!! Then press the button “Execute” in the bottom right-hand corner.

8. In this example the period is open for August 2021. You will need to adjust the period, assuming you will use the system in October 2021 or later. Note: It is very likely that you must change the period to the correct one in your system. Use the icon on the top left-hand side of the SAP icon to move back to the previous screen.

9. Note: The following values are examples only and you must adopt them to your situation! The data is based on the assumption that the period for October is open and you would need to open the period of November.

Enter the values for the company code, e.g., 1710. Define the next period you need to open after the current one. In this example it is November 11. “The next period after the actual system period, for example, 10 + 1 = 11” Enter the Fiscal year, in this example it is 2021. Check the box for “Check and close period”. Click on the button “Execute”.

10. You should see the following information on the screen. The system period has been updated, for example, to period 11.

The log should display the new system period: Period entered (month/year):<xx xxxx> Company code <1710> converted Period closing complete; log issued.

11. Leave the transaction and return to the SAP Easy Access menu.

12. Result: You have ensured that the correct period is now open, and you should be able to run transactions in this period.
