1 EXECUTIVE SUMMARY
This document provides a short description of the OSCCAR dissemination tools setup so far. While
practically each work package (WP) in OSCCAR will have its dedicated dissemination activities,
there is a central WP (WP6) defined in the project which deals with managing and coordinating
these activities project-wide. In Subtask 6.1.1 “Dissemination tools and materials” the setup of
dissemination tools is located.
The aim of this task is to support dissemination and communication activities to increase the
visibility and support the impact generation of the OSCCAR project and ist project results. This
includes the establishment of a project “corporate” identity with project website and supporting
dissemination material.
To optimally support and perform dissemination and communication activities, professionally
crafted materials have been developed. The project marketing basics (Logo, Templates, Leaflet,
etc.) as well as a website were established and are maintained in order to inform the public about
the project.

2 OBJECTIVES
The main goal of this deliverable is to create a sound basis for further dissemination and
exploitation activities. The deliverable is created withing WP6, Subtask 6.1.1 “Dissemination tools
and materials”. The objective of this task is to plan the dissemination and communication activities
to provide the necessary material and support to perform the activities. This includes (1) the
establishment of a project “corporate” identy with project website and supporting dissemination
material and (2) the planning of dissemination activities towards target groups identified.
The project activities, results and deliverables shall be widely disseminated on national and European level to the following audiences:
• Specific “external audiences” such as relevant target groups / institutions / organizations,
other projects, as well as individuals.
• Wider “external audiences” such as ‘the community’ or the broad public, and
• the “internal audience”, i.e. all partners of the OSCCAR partner consortium.
The identified stakeholders are:
• OSCCAR project partners
• Other related EU projects
• Scientific/Academic Community
• Researchers / Experts
• Students (PhD or Master Thesis)
• Industry & Business Associations
• Civil Society
• General Public
• Media (regional, national and international)
• Policy Makers
• Investors
• Customers
• Public authorities involved (National Funding Authorities, Horizon 2020,…)

Important stakeholders, who are able to take the role of opinion makers / leaders as well as a
catalysts, may serve as “multipliers” regarding the efficient and effective dissemination of /
spreading information on activities, results and deliverables.
For OSCCAR such multipliers may be in particular:
• Representatives from industry & business associations, academic communities, and other
interest groups
• Researchers / experts from the field of policy, science and industry

• Other related EU projects & project participants
• High-level officials from the EU
• Public authorities involved (incl. National Funding Authorities)
• Regional, national and international media
• OSCCAR partner consortium
A more elaborated and detailed description will be provided in D6.2 Dissemination Plan and the
execution of dissemination activities .
The dissemination activities include but are not limited to:
• Set-up and maintenance of project website to communicate towards the external audience
• A press release at the beginning of the project
• Newsletter at each innovation cycle to be spread within the networks of the participants, at
least every 9 months
• Participation in and co-organisation of (scientific and industrial) conferences including
special workshops, tutorials or industry days where feasible
• Clustering and liaising with other relevant RDI projects and other initiatives at European
and international context [1]
The objective of all communication measures and dissemination and exploitation activities during
the project is to ensure wide visibility of the project. All partners shall be given a well-founded set of
tools to promote their activities in a OSCCAR style embedded environment.
A detailed definition of the target audiences and the corresponding objectives will be given in
deliverable D6.2 Dissemination plan, due in month 9 [2].

3 OSCCAR CORPORATE DESIGN & DISSEMINATION MATERIAL
3.1 Corporate Design
The OSCCAR Corporate Design was developed at the beginning of the project for internal
communication as well as for external audiences and stakeholders. The goal was to establish and
transport a joint image of OSCCAR project and to ensure uniform appearance to the external
community on all levels (regional, national, European, international). It aims to give a clear,
homogeneous and appealing image to the project in all its communication and disseminations
activities.
3.1.1 Project Logo
The logo of the project (Figure 1) is shown at the front of each document. It is used throuthout the
project and is available for all partners on Projectplace [3] and the Website [4].

3.1.2 General Templates
All templates provided have the typical OSCCAR look. They are developed for internal and
external use and meet the Europen Union’s standardized templates for documents. They are
available for all project partners on Projectplace, see Figure 2.
In this section all general templates are listed and will briefly be described.

3.1.2.1 PowerPoint Master
For internal and external presentations a PowerPoint Master (Figure 3) has been developed. The
template can be found on Projectplace [7].

3.1.2.2 Deliverable Template
For all deliverables, whether they are public or confidential a general template has been created
(Figure 4) and is available on Projectplace [8].

The according document style is defined in the OSCCAR Project Handbook [5]. The handbook
also describes “Rules for Dissemination and Exploitation” in more detail (in chapter 8 [5]), which
are consistent with the rules defined in the project Consortium Agreement .

3.1.2.3 Meeting Minutes Template
This template (Figure 5) has been created in order to meet the requirements for the internal
documentation process. It includes sections for general meeting information, partners present,
agenda, notes, decisions/conclusions and defined tasks. It is available on Projectplace [9]. Main
objective of the meeting minutes is documenting discussions, tasks and decisions and the
corresponding person responsible.

3.2 Marketing Basics
Marketing basics support all communication activities via different communication channels. This
ensures that all communication tools transport a coherent image. A set of basic marketing tools
has already been developed. The main goal of these marketing basics is to communicate the key
information of the project relevant during the whole project and beyond. All marketing basics are
available on Projectplace. Every partner can download and print them and use the layout for
specific communication activities such as conferences, events, publications, etc.
3.2.1 General Presentation for external communication
In order to provea homogeneous image of the project to the external stakeholders, a standard
presentation of the project has been prepared (Figure 6). The presentation shows the OSCCAR
objectives, consortium, main activities and main expected results. It provides the link to the project
website and information to contact the projects coordinator. The presentation will be updated
regularly to reflect the achieved results. It is available on Projectplace [10] and on the Website [4].

3.2.2 OSCCAR Leaflet
The OSCCAR Leaflet (Figure 7) has been created at the beginning of the project to give a project
overview for all external and internal stakeholders. As it represents mainly general overview
information about the project it will be up to date during the whole project cycle and can be used
e.g. as giveaway at conferences and events. A printed version is available and 300 prints are
available to distribute it at conferences and other events.
The OSCCAR Leaflet is accessible for every partner through Projectplace [11] and also for the
public on the website [4]. That ensures that all partners can produce if for their own use.

3.2.3 OSCCAR Poster
The OSCCAR Poster (Figure 8) serves as an eye chatcher during conferences, workshops and
events. It provides general information about the project and is available on Projectplace [12] for
downloading and printing for all partners.

3.2.4 OSCCAR Press Release
The OSCCAR Press Release (Figure 9) was created at the start of the project. It acted as
information and teaser for journalists to raise awareness of the project already at its start. It can
also be used from the project members as template for their own press release. The press release
provides basic facts about the project. It was sent to selected journalists and relevant media
representatives. As for all other applications, all partners have access to the corresponding data on
Projectplace [13] and it is also available for the public on the OSCCAR website [4].

3.3 OSCCAR Website
The Website [4] (Figure 10) has been set up under the address www.osccarproject.eu and is
hosted by VIRTUAL VEHICLE Research Center (VIF). The site itself is fully public and accessible
by everyone.
The website is intended to provide information to both the project partners and the public. It gives
an introductory overview to OSCCAR for interested parties and makes public deliverables and
publications available. It also provides updates on recent events and news and presents also low-
barrier introductions into project objectives, activities, partners and contact. Additional sections
present the key outcomes and results of OSCCAR (publications, public deliverables).
The project objectives, state and results and especially contact addresses need to be easily find-
able on the internet and are provided on the website. The project website went online in July 2018.
3.3.1 Objectives
The website has been designed for both an external audience and the project partners. It aims at
fostering communication and spreading information on the project and its progress featuring many
and various aspects of the project and the work performed: It provides information on the status
and progress of the project, as well as specific activities and events, gives insight into the research
work and presents important achievements.
In order to fulfil its goal, the OSCCAR website must be designed and continuously maintained with
search-engine optimization (SEO) in mind.

3.3.2 Target audience
The website information architecture aims at reaching an audience as wide as possible, including
• Experts in industry and academia interested in using or referring to OSCCARS’ results
• Research and education organisation interested in the body of knowledge resulting from
OSCCAR
• OSCCAR project partners
• Governmental organisations, NGO etc. looking for related expertise
• Other related EU project participants
• General public interested in the state of the art and ongoing research
• Multipliers

3.3.3 Responsibilities and Updates
The project coordination team from VIF is responsible for editing and for carrying out website
updates on a regular basis. In particular, VIF has to care about regular maintenance of the website
including timely uploading of project results, papers published, deliverables released or news items
to be reported.
Before going online all OSCCAR partners were given the opportunity to provide feedback and
make changes, additions etc. to the content. The project partners do not have the possibility to
make any direct changes on the website but can propose modifications to the project coordination
team.
3.3.4 Partner Websites
All partners in the project are encouraged to use their own company websites to link and promote
OSCCAR project. Ideally, links to OSSCAR project website will be made from most of the partner
websites, and partners’ marketing departments are encouraged to make good use of it.
3.4 Social Media
Social Media channels are planned for OSCCAR project. At the moment the discussion about
which channels will be used to share the project results and highlights of OSCCAR project is
ongoing. The implementation of Social Media is planned for January 2019. A detailed description
about Social Media channels within OSCCAR project can be found in D6.2 [2].
3.5 Newsletter
Newsletters are planned at each innovation cycle to be spread within the networks of the
participant, at least every 9 months. The newsletter will be published on the project website and
will be used for other major external dissemination events. Content will be provided by all partners.

4 CONCLUSIONS
The OSCCAR dissemination tools and as well as the website were established in order to inform
the target audience, interested parties and the public about the project. By developing a
professional joint image, a sound basis for further dissemination and exploitation activities has
been set already in the beginning of OSCCAR project. Furhter steps will built upon this basis and
will use the corporate design elements presented in this deliverable. They will be described in the
upcoming deliverables as shown in Table 1.
